• Supervisors must review WebTime and approve each timesheet no later than the Tuesday following payday before 10:00am

• Any late submissions/approvals will result in another 2 week delay with payroll.

• Deadlines are visible in WebTime.

• Once inside, choose Employees under COTCconnect

• Under Employees, select Time Approval for Supervisors.

• The Time Approval screen will show all the employees assigned to you. You may be the primary Supervisor, or the Alternate.

• Contact any of your employees if the Time Entry screen is not populated with any hours, and the deadline is nearing.

• Choose the entries you wish to review, then click SUBMIT. I strongly advise against clicking the Approve column without reviewing.

Use drop-down box to approve or reject. If rejecting, you must enter a subject line and comments.

• The timesheet is now indicating Approved status. • Move on to the next timesheet, or click SUBMIT to

receive a confirmation that you have Approved.

• You must approve each pay period when it ends, do NOT wait until after the deadline. (once a pay period is processed in Payroll, those weeks will no longer be accessible in WebTime).

• If you miss a pay period deadline, you must work with your employee to submit a paper timesheet. This likely will be paid yet another 2 weeks later.

• If you reject someone’s WebTime timesheet, it will reappear in their WebTime Time Entry area. They can make changes and Submit again for your approval.

• Using Outlook, consider adding a reminder, to access WebTime every other Monday to review and approve any timesheets.

• If you are not in the office, you can access MyCOTC anywhere the Internet is available.

• Make arrangements with your Alternate Supervisor if you will not be able to approve before the deadline.
