1. Preface

The electronic application system for LEADER (for researchers) is a system which

utilizes the Internet to partly prepare and submit application. Please implement the

application procedure from the electronic application system page installed and

managed by JSPS. Before you apply for LEADER, please access JSPS website at the URL

shown below and refer the application guidelines.

2. Operation procedure

2.1 Issuing login ID / password

Click [ID・パスワード発行申請(卓越研究員事業)] button on the side menu of “電子

申請のご案内” page.

“Before Having ID and Password Issued” page is open. Confirm the note, put a check

mark in the box of “Agree” and click [OK]. In order to have the ID and password

issued, you are required to agree to all of the items.

Provide the information and click [OK] on “Application for Issuance of ID and Password”

page. Then the confirmation screen is displayed. Confirm the contents and click [OK].

NOTE

① “Name (official family register)” is not used for review and the list to provide

to the institutions that offer the posts.

② “Name (for display)” is used for the announcement of the applicants and other

occasions where JSPS handle such persons as Excellent Young Researchers. You may

choose your original family name, commonly known name, or the like.

③ If your age exceeds the age of the application requirements, you cannot complete

the submission of the application. Please make sure to check the application

requirements beforehand with the application guidelines.

④ Send an e-mail message confirming the completion of registration to the address

to be registered on this screen.

* If the Chinese characters (Kanji) you wish to use are not among the JIS level 1

or level 2 Kanji sets (JIS X0208 standard), please replace them with those that

are among the JIS sets. If your Kanji cannot be replaced, then please use the two-byte

Katakana characters that indicate the pronunciation of them.

* Items to be registered on this screen cannot be changed or modified except for the

e-mail address after ID / password is issued. If there is an error, you need to

re-apply for ID / password.

Since the ID and password issued are displayed on “Application for ID and Password

Completed” screen, please print out the displayed screen.

Please confirm that the e-mail message confirming the completion of registration has

arrived.

Close the page and follow the procedure on the next page to prepare an application

using the ID and password issued.

* The ID and password issued is also used to confirm the selection result, please

keep them carefully. The selection results can be confirmed only on this system.

2.2 Login

Click [申請者ログイン(卓越研究員事業)] button on the side menu of “電子申請のご

案内” page.

The login page is open. Type ID and password and click [Login].

* If you fail login five consecutive times, you cannot log in to the system for a

certain period of time. Please wait about 20 minutes and log in again.

* If you forget your password, please get a new password from [here]. For a new password,

it is necessary to enter the registered e-mail address, name, date of birth and

login ID issued. If you lose such information, you need to re-apply for ID / password.

Menu page is displayed when login is accepted. Please click [Prepare application]

button to start entering application information.

NOTE

・ There is a requirement concerning the applicant's age etc. in this project. Before

preparing the application, please confirm the requirements by the application

guidelines.

・ In order to apply, you need to prepare each form as follows.

Application form (Form 1):Input to next application pages on the system.

Form 1 Attached Document and Form 2: Download the prescribed formats from the JSPS

website and fill in them. Then register them (Word or PDF file) to the system.

“Application Management” page is open. Click [Input Information on Application Form]

button.

2.3 Preparation of Form 1 (including the Attached Document)

Provide information on “Enter information on application form” page.

Then, put a check mark in the box of the agreement at the end of the screen, click

[Next]. If you want to save it in the middle, click [Temporary save].

* If you do not operate the button for a certain time (over 60 minutes), the session

timeout may occur and the information you entered may be lost. Please temporarily

save it at any time.

NOTE on each input item

【Research area】

① After typing Field code, click the [Decision] button. Discipline and Field names

of selected are displayed automatically. (To check the code, click [List]. “List

of Research area/discipline/field” is open.)

② If you have selected “integrated Disciplines”, please select Research area to

be reviewed. (Selectable fields can be referenced from [List])

After typing Field code, click the [Decision] button. Discipline and Field names of selected are displayed automatically.

This field can be entered only when you select “integrated Disciplines”.

【Name・Nationality etc.】

③ In the item of Name, Gender, Date of birth and Contact information, the information

when ID / password is issued is automatically displayed.

④ Choose either “Japan” or “Outside Japan” in Nationality field.

If you select “Outside Japan”, type country code and then click [Decision] button.

Country name of selected are displayed automatically. (Country code can be

referenced from [List]. If the country name is not on the list, please type "ZZZ"

in the code field and type the country name in the name field.)

【Current affiliation】

⑤ Select either “Organization in Japan”, “Organization overseas” or “Not

affiliated”.

* If you select “Not affiliated”, you do not need to enter other items of Current

institution.

⑥ Type institution code and then click [Decision] button. Institution name of

selected are displayed automatically. (Institution code can be referenced from

[List]. If the Institution name is not on the list, please type "99999" in the

code field and type the institution name in the name field.)

【Academic background for PhD】

⑧ If you are acquiring a doctoral degree abroad, please select “Doctoral equivalent

degree in a foreign country (Ph.D etc.)”.

⑨ If you select other than “Completed the doctoral program without a doctoral

degree”, you need to provide information of “Degree awarded date” and “Degree

name”. You can not input dates after April 1, 2017 for “Degree awarded date”.

⑩ If you were enrolled in the medical field which requires clinical training, please

select ”Yes”.

【Research/ job history】

⑪ Please list your research work history in chronological order. (e.g. postdoctoral

fellows at universities, corporate researchers) If you have interrupted research due to childbirth or childcare, please also

describe the interruption history.

Example:

1. From April 2010 until March 2011 Worked at ○○ univercity as potdoc

2. From April 2011 until March 2012 Worked at the central research institute of △△ Co.Ltd as researcher

3. From April 2012 until December 2012 Interrupted research due to childbirth / childcare

4. From January 2013 until April 2017 Worked at the central research institute of △△ Co.Ltd as researcher

* You can enter up to 10 research/job history. If you can not enter it all, please

input about the last 10 cases.

【Research interruption period due to childbirth / child care】

⑫ If you apply as a person who took time out your research activities for childbirth

or child care, you need to choose “Yes”in this item, and submit the documents

certifying the grounds for childbirth / childcare. (For details please check the

application guidelines 4.(2)(ⅵ).)

* As of April 1, 2018, those who are under 40 years old (under the age of 43 for

medical field, which requires clinical training) are not required to submit the

documentation.

⑬ Please enter the research interruption period only if you selected “Yes” in

the previous item.

・Please enter up to 2 cases of interruption research period.

・If you interrupted multiple times per child, please enter one of the major

interruption periods.

【Research plan title/ Research outline】

⑭ Describe Research outline (Form 1 Attached Document) in the prescribed format

downloaded from the JSPS website. Then, click [参照] button and register the file

of Form 1 Attached Document.

* After registration, you can download the registered file from the [DOWNLOAD]

button.

NOTE

* Form 1 Attached Document must be created in Word or PDF format in advance.

* Please do not modify the format of Form 1 Attached Document, such as addition,

abbreviation, deletion, etc. You can not register files other than 1 page total.

* Form 1 Attached Document is converted to a PDF file in the system and it is used

for review etc. If there are characters / symbols etc. which are not displayed

properly in the converted PDF file, paste them as images etc. Please create again.

* Form 1 Attached Document cannot be registered if it is 1 MB or more.

【Other information to register】

⑮ Current address information is not used for review and provideing to the

institutions. If you wish to modify your current address after submitting the

application form, please change from “Change contact information” on “Menu

for Excellent Young Researcher Applicant” screen.

【Evaluator infromation】

⑯ Please input the first and last names separately. (Middle name can not be entered.)

⑰ If the evaluator does not currently belong to the institution, please enter about

the affiliated institution which he or her used to belong to at the time of

connection with the applicant.

⑱ A request e-mail for evaluation statement will be sent to the e-mail address you

entered in the contact information. Please be sure to input the e-mail address

that the evaluator can receive. You can not input the same address as your contact

information, and e-mail address of two evaluators can not be the same address.

* Since the evaluation document is prepared from two people, registration of two

persons is necessary. (For details please check the application guidelines

4.(2)(ⅰ).)

【Confirmation and agreement】

Please check the contents displayed on the screen and put a check mark in the box

of the items you agree.

Click [NEXT] at the bottom of the screen. When there is no error, “Check Application

Form” screen is displayed. Confirm the registered contents and click [NEXT].

The application form is converted into a PDF file. The following screen is displayed.

① Click [Check application form] button and check PDF file (Form1 and Form 1 Attached

Document).

② Please click [Amend information on application form] button if there are items

to be corrected. If it is not corrected, click the [Complete] button.

* You cannot start the request to prepare an evaluation document without clicking

on [Complete] button.

After clicking on [Complete] button, a confirmation e-mail will be sent

automatically to the e-mail address entered in your contact information.

Confirm reception of confirmation e-mail and click [Receipt of message confirmed]

on “Confirm Desired Contact Information” page.

* If you cannot receive e-mail, go back to the menu page from [Return to Menu], correct

your e-mail address. JSPS is not responsible for the disadvantage of not being able

to receive contacts after submitting the application form.

After clicking [Receipt of message confirmed], the screen returns to [Application

Management] screen. If application status is “contact Information Confirmed”, the

Preparation of Form 1 is completed.

Meaning of Application status:

[DOWNLOAD]:Download form 1 you prepared.

[Confirm]:Go to “Check application form” page.

[Make correction]:Go to “Enter information on application form” page.

When temporarily saved, [Restart] button is displayed.

2.4 Preparation of Form 2

Download the prescribed format and fill up Form 2. Register Form 2 in Word or PDF

format on the system. Even when you modify registered form 2, please register the modified file in the same procedure.

NOTE

* Form 2 must be created in Word or PDF format in advance.

* Please do not modify the format of Form 2, such as addition, abbreviation, deletion,

etc. You cannot register files other than 10 page total.

* Form 2 is converted to a PDF file in the system and it is used for review etc. If

there are characters / symbols etc. which are not displayed properly in the converted

PDF file, paste them as images etc. Please create again.

* Form 2 cannot be registered if it is 3 MB or more.

Click [Register Form 2 file] button at the bottom of “Application Management” page.

Click [Register Form 2 file] button.

Application status has to be “Contact Information Confirmed”.

Click[参照] button on “Register Form 2 file” page, register the file of Form 2

and click [OK].

Form 2 file is converted into a PDF file. Click [Check Form 2] button on the following screen and check the contents.

If process status is “Registered” on [Application Management] page, the preparation

of Form 2 is completed.

2.5 Preparation of Evaluation statement

To request the evaluators to prepare an evaluation document, click [Request

preparation of evaluation statement] button on Application Management page.

Click [Request preparation of evaluation statement] button.

Application status has to be “Contact Information Confirmed”.

Registered evaluator information is displayed here.

“Request for Preparation of evaluation statement” page is open.

Check the contents, input deadline date you wish and click [OK].

The e-mail containing information for preparing an evaluation statement is sent to

the evaluator’s e-mail address. “Preparation of evaluation statement Requested”

screen is displayed, click [OK] to back to returns to [Application Management] screen.

NOTE

* Even if you fail to send e-mail to the evaluator due to an error in the e-mail address,

no error will be notified. Please contact the evaluator by yourself and check whether

the e-mail has arrived.

【How to check the creation status of evaluation statement】

Check process status of the evaluator on “Application Management” page. If the

status is “Evaluation submitted”, evaluation statement has been completed by

evaluator.

* The applicant cannot confirm the content of evaluation statement.

【Amend evaluators information/ Change the evaluator to another researcher】

Click [Make correction] button or [Restart] button of Application status on

“Application Management” page. “Enter information on application form” page is

open. Click [Amend inputted information on Evaluator] button or [Change the Evaluator

1(or 2) to another researcher] button, and amend evaluator’s information.

* After correction, please do the process until confirming contact Information again. * When you amend evaluator's information, evaluator’s ID and password are not changed.

However, if the evaluator has already submitted the evaluation document, the

evaluation document will return to the state before the submission. Please notify

the evaluator to "submit" the evaluation document again by yourself.

* When you change the evaluator to another researcher, click [Request preparation

of evaluation statement] button of new evaluator on Application Management page.

The ID and password of the previous evaluator will be invalid, and the evaluation

document which has been submitted or being prepared will also be deleted.

【When the Evaluator loses ID / password】

Click [Have password re-issued] button on “Application Management” page.

Since an alert screen is displayed, confirm the contents and click [OK].

ID and new password will be notified to the evaluator by e-mail. (The ID to be notified

is the same as previously issued. Password to be notified is new one, and the old

password is invalid.)

2.6 Check and submit Application

When preparation of Form 1 (including the Attached Document), Form 2 and evaluation

statements are all completed, each status is as follows.

■Application Information (form 1 (including the Attached Document)) ・・・・・ Contact

Information Confirmed

■Evaluation statements ・・・・・ Evaluation submitted

■Form 2 ・・・・・ Registered

Confirm that statuses are as above and click [Confirmation completed/ submit] button.

Click [Confirmation completed/ submit] button.

“Confirm Submission of Application” screen is displayed.

When clicking [Check application], PDF file of application (Form 1, the Attached

Document and Form 2) is created. Please download the PDF, check the contents and click

[OK].

* When you click [OK], the application form is submitted to JSPS. After that, you

cannot modify the application.

“Application Submitted” screen is displayed and the submission work is completed.

Please click on the link at the bottom of the screen and cooperate with the

questionnaire for the applicants.

2.7 Download submitted application

To download your application after submitting it, please click [Check application]

button on “Application Management” page.

2.8 The questionnaire for the applicants

After submitting application, please cooperate in answering the questionnaire for

the applicants.

You can open the questionnaire screen from the link on “Application Submitted” screen

described on the previous page, or there is the link to the questionnaire on the JSPS

website.
