Exhibit space must not be torn down until close of the exhibit hall Thursday, October 17th at 1:20pm. Early tear downs may result in exhibit fines and/or forfeiture of future exhibit space.
BOOTH PAYMENT AND CANCELLATION POLICY50% non-refundable deposit is required upon returned signed contract. Booth(s) will not be assigned until deposit is received. Late payments may result in Show Management choosing an exhibit space for the exhibiting company if all requested spaces are taken by the time payment is received.
Full payment is due no later than Monday, August 19, 2019. Payment not received by this date may result in forfeiture of exhibit space. No exhibitor will be permitted to move into exhibit space without full payment collected.
EXHIBIT SPACE ASSIGNMENTShow Management will make every attempt to guarantee your exhibit space priority choices; how-ever there may be times when Show Management discretion may be used in assignments.
If a selection is made that is not listed on your contract, Show Management will notify you of the exhibit space choice and discuss your options to
best accommodate your exhibit.
Occasionally, there is a need to reassign space after booth confirmations are executed. Show man-agement will notify in such cases and discuss your options to best accommodate your exhibit.
EXHIBIT SPACE CONTRACT DEADLINESReturning exhibitors may return their contract up to January 1, 2019 for priority placement. After January 1, 2019, exhibit space will be open to all other vendors.
EXHIBIT SPACE RESTRICTIONSAll exhibits (except Islands) will contain 8’ high pipe & drape back wall and 3’ high side drapes. Exhibit construction may not exceed 8’ in height and any construction over 4’ in height, must be kept within 3’ of the exhibit back wall. Any varia-tions to exhibit height must be approved, in writing, by Show Management.
No natural gas or propane burning equipment is permitted.
No helium balloons or stickers are permitted.
Nothing may be affixed to the drape or any Con-vention Center walls or structures.
All exhibit materials, including vehicle exhibits, must conform to the fire regulations of the Conven-tion Center.
All food & beverage sampling/distribution must be approved by, and contracted through, the Conven-tion Center’s official caterer, Ovations. No outside food or beverage will be permitted.
Aisle space is intended for foot traffic and may not be used as additional exhibiting space. All staff and exhibit materials must stay within the contracted exhibit space and not infringe on any aisle space.
Exhibitors are encouraged to host giveaways/drawings in their exhibit space, however, ACVC will not provide for announcements of the giveaway or winners during the show.
EXHIBITOR SERVICESShow Management will designate an official general service contractor for the Atlantic Coast Veterinary Conference®. An exhibitor kit with all order forms for exhibit materials, utilities, lead retrieval, internet and shipping/drayage instructions will be available approximately 3-4 months prior to the Conference.
LABOR POLICY/UNLOADING VEHICLESThere are no restrictions on exhibitors working in the booth as long as the person working in the booth is a fulltime employee of the exhibitor. The official general service contractor will offer labor to those exhibitors who wish to hire official labor to work in the booth.
In addition, exhibitors can unload and reload their own vehicle at the loading dock in a specified area provided:
• They provide their own hand trucks
• They utilize no motorized lift equipment
• The vehicle is no larger than a panel van
Exhibitors may hand carry exhibit material through the garage entrance provided they do not utilize material handling equipment other than personal luggage carriers.
LIABILITYIn case the premises of Atlantic City Conven-tion Center shall be destroyed or damaged, or if the show fails to take place as scheduled or is interrupted and/or discontinued, or access to the premises is prevented or interfered with by reason of any strike, lock out, injunction, act of war, act of God, emergency declared by any governmental agency or by Management, or for any other reason, Management may, in its sole discretion, relocate the site of the show or terminate this contract. In the event of show relocation or termination, the exhibitor hereby waives any and all damages and claims for damages against Management or Atlantic City Convention Center. In the event of termination of the contract, the exhibitor agrees that the sole liability of Management shall be to return to each exhibitor his space payment less his pro-rata share of all costs and expenses incurred and committed by Management.
The Management and Atlantic City Convention Center and the Convention Services Contractor are not responsible for any injury to any exhibitor or to exhibitor’s employees or property, or for loss by fire, theft, damage, delay, or any cause whatsoev-er, while exhibits and merchandise are in transit to and from the building or while in the building. Exhibitors who desire to carry insurance on their exhibits may do so at their own expense. Each exhibitor expressly releases Management, Atlantic City Convention Center and the Convention Ser-vices Contractor from such liabilities and agrees to indemnify them against any and all claims for such injury, loss or damage. The Management reserves the right to remove or eliminate any objectionable exhibits, persons, advertisements, souvenirs, or any other feature or action which might harm or impair the high standards of the Conference.
CONDUCT OF EXHIBITORSACVC reserves the right to close any exhibit that conducts solicitation in an objectionable manner or infringes on the rights and privileges of other exhibitors. All activities of each exhibit MUST be confined to the exhibitor’s allotted space. Show Management will immediately close any exhibit whose representatives are found conducting busi-ness in the aisle, or other public space.
