Integrated Cancer Service Cancer Centre Update It is pleasing to report that the South West Regional Cancer Centre (SWRCC) has finally commenced construction. This $30m project is due for completion in August 2016. Associated with this project is the construction of a 140 space multi-storey car park which is due for completion in December 2015. In 2015 SWH is rolling this project

out across inpatient and outpatient

services.

Research shows that 1 in every 33

conversations that a health worker

has with a client regarding

smoking, will result in a successful

QUIT attempt.

Currently education sessions are in

progress at the Warrnambool acute

campus and a Supporting Patients

to be Smokefree assessment &

care tool is being trialled.

Smoking cessation TRAK referrals

can be sent for inpatients requiring

smoking cessation support.

In April Legislation will be passed

banning smoking within 4 metres of

the entrance to any Victorian

Hospital or Community Health

Service.

It is important for all staff to be

mindful that SWH has a Smokefree

policy which prohibits smoking in all

SWH buildings and outdoor area’s

within SWH boundaries. This

policy has been effective since

2006 and applies to staff, visitors

and patients.

Staff smoking cessation support is

available in the form of cost free

nicotine replacement therapy and

support from Community Health

Smoking Cessation Clinic.

Members of the public can access

smoking cessation services at

Warrnambool Community Health by

contacting reception for an

appointment. No referrals

necessary. The Smoking

Cessation Service is a free service.

BENEFIT ANNUAL FEE

A reminder to all staff who par�cipate in the

Meal Entertainment/Accommoda�on Benefits: -

the annual fee of $200 will be deducted from the

pay fortnight ending on Sunday 12 April 2015 (ie

deducted from the payday on Wednesday 15

April).

END OF FBT YEAR and IMPORTANT SALARY

PACKAGING CHANGE: The end of the current

Fringe Benefit Tax (FBT) year (1 April to 31 March)

is again fast approaching.

Human Resources/Pay Office staff are currently

finalising and reconciling deduc0ons, contac0ng

staff to ensure all available amounts are u0lised,

calcula0ng grossed-up amounts for Employee

Payment Summaries (Group Cer0ficates), etc

For the 2015/2016 FBT year (commencing from

the payday on 15 April 2015) – all staff will have

a slightly increased amount of salary packaging

available each fortnight. (an increase from

$333.70 to the new amount of $346.54).

This is a $12.84 per fortnight increase is due to

having 27 pay periods in the last FBT year; and us

rever0ng to the usual 26 pay periods. (therefore

the same amount for the year equates to a higher

amount for each fortnight or pay period).

Further informa0on or clarifica0on are available

from Human Resources or Pay Office staff.

2015 “People Ma6er” STAFF SURVEYS

In early May 2015, the staff survey that must be

undertaken by all public health services, agencies

and hospitals every two (2) years will be made

available for staff to complete.

This survey is designed to measure staff

percep0ons of our organisa0on’s culture and

opera0ons. It is also an important part of our

quality management and accredita0on processes.

An online “link” to a website will be made

available for those employees who wish to submit

their survey electronically; and hard copy surveys

will also be circulated for those who would prefer

to complete this format or who do not have

access to the web link. It is important to note

that confiden0ality of responses is assured.

Whilst par0cipa0on is voluntary – we would once

again encourage ALL staff to complete the surveys

as accurately and honestly as possible to

demonstrate the posi0ve aspects of working at

South West Healthcare and provide evidence

regarding things we do well; but also to address

any concerns expressed by staff and iden0fy areas

in which we need to further improve.

Further informa0on regarding this important staff

survey process will be made available to all staff

and departments over the next few weeks.

EASTER/ANZAC DAY 2015

Easter public holidays this year fall on Friday 3

April; Saturday 4 April; SUNDAY 5 APRIL and

Monday 6 April; with Anzac Day on SATURDAY 25

April.

Although the public holiday penal0es and

en0tlements are rela0vely complex, the usual

arrangements will apply under most awards/EBAs.

Easter Sunday is a NEW public holiday this year

and as such will aHract addi0onal penal0es for

those staff who work weekends.

Department Heads and staff are reminded to get

their 0mesheets and other payroll documents in

as early as prac0cable in the week prior to Easter

to assist Pay Office processing; but no later than

12 noon on Tuesday 31 March.

CORRECT COMPLETION OF TIMESHEETS FOR THIS

PERIOD: Given the complexity of so many Awards/

EBAs and four (4) public holidays in one pay period

– it would be greatly appreciated if all staff and

department heads could assist by ensuring that

the 0mesheets are completed according to the

following principles:

*** IF STAFF ARE ROSTERED OFF (ie not a day that

they are required to work) ON THE DAY – then

nothing should be recorded and the line on the

0mesheet should be LEFT BLANK.

*** IF STAFF ARE ROSTERED TO WORK AND

PRESENT ON THE DAY (ie working rostered hours)

then the start 0me, finish 0me & hours of work

should be marked but please do NOT mark that it

is a public holiday.

*** IF STAFF WOULD USUALLY WORK BUT ARE

HAVING AN ADDITIONAL DAY OFF – then the line

should be marked as “Public Holiday” with the

total of hours that would normally have been

worked but NO start or finish 0mes.

If everyone is able to comply with the above –

there will not be confusion about whether

someone is actually present at work, rostered off,

having an extra or ‘granted’ day off, etc – and pay

errors will be reduced to a minimum.

CONTINUING PROFESSIONAL DEVELOPMENT

(CPD) PAYMENTS

For those Awards or EBAs that provide for regular

lump sum payments for Con0nuing Professional

Development (CPD) – these are to be paid in the

pay period ending 26 April 2015 (payday on

Wednesday 29 April 2015). As these are taxable

payments, eligible staff may wish to have a

corresponding once-off deduc0on to their meal

entertainment/accommoda0on card. (forms are

On the 7th and 8th of January, the new Mental Health Complaints Commissioner – Lynne Coulson Barr and her Principal Advisor Bee Mitchell-Dawson visited Mental Health Services in Camperdown and Warrnambool. This was the first time the Commissioner had visited the South West since the implementation of the Mental Health Act 2014. The pair spent time with our CEO, as well as our community mental health service, Extended Care Inpatient Unit, Acute Inpatient Unit and included a tour of ED and Paediatric departments. The Commissioner spoke with staff, consumers and carers about the role of the MHCC. During the visit, the Star Beat Choir entertained residents, staff, the Commissioner and Principle Advisor with original songs written by the choir. Lynne Coulson Barr is Victoria's first Mental Health Complaints Commissioner and is committed to working with consumers, carers, families and services to ensure that complaints are seen as an opportunity to improve public mental health services for all Victorians. The Mental Health Complaints Commissioner is an independent specialist statutory body established under the Mental Health Act 2014 and deals with complaints about Victorian public mental health services.

DynaMed Awareness Program With the collabora0on with the educa0onal staff, EBSCO

and the library, we offered a dynamic learning experience

to our staff and medical students and increase their

awareness of DynaMed.

With the recent launch of the new DynaMed mobile

applica0on, the Stan Carroll library took the opportunity

to host two days of in house training led by EBSCO expert

presenters. DynaMed is a clinical reference tool which provides point of care content and

resources. Having a vigorous evidence-based prac0ce approach, the clinical decision tool

helps clinicians quickly find relevant diagnoses, treatment, prognosis and relevant

guidelines.

About 90 staff members and 22 Deakin Medical Students from across South West

Healthcare took part in one of many informa0on sessions culmina0ng in an evening where

clinicians downloaded and tested out the app on their own devices.

Staff members also had the opportunity to par0cipate in the DynaMed Challenge run by

the library. The lucky winners are Gavin FleH and Vikki Hoy taking away Coles Myer giO

cards for their efforts.

Library News Mental Health Services

Influenza 2015 – News Flash

Flu vaccine stocks for the public immunisation program in Australia have been delayed for more than seven weeks. Vaccine should be available from the middle of April 2015. Staff will be notified when the vaccine is available.

Warrnambool staff will be able to access the vaccine through SW Medical Clinic & mobile rounds.

Arrangements are in place for staff at Camperdown, Lismore & Macarthur. Further details will become available once the vaccine has been received. SWH staff working at the Hamilton and Portland Hospitals is able to access their influenza vaccination as per the respective hospital staff program. SWH would like acknowledge the support of both hospitals in providing our staff influenza vaccinations.

Please remember the importance of having your flu shot. There is a risk you may be

exposed to, and transmit the disease to co-workers, vulnerable patients and their

family. Maintaining a level of immunity in the HCW population ensures this risk of

transmission is minimised.

New Mission Statement

The Library reviewed its Mission and Vision Statements last year, and found that these

statements no longer reflect its role in the current healthcare environment. A new Mission

Statement has been developed.

ORAL HEALTH PROMOTION South West Dental Service has received funding from DHSV to run the

Smiles 4 Miles Program.

Our oral health team presented “Smiles 4 Miles” training to Early

Childhood Development staff from kindergartens, preschools and child

care centres in the Warrnambool and Moyne regions. Smiles 4 Miles

works to improve children’s oral health by encouraging early

childhood services to promote a healthy environment using the

three key messages: Drink Well, Eat Well, Clean Well.

MANIFOLD PLACE Community Health services at Manifold Place, Camperdown, have been going through an encouraging growth phase and will provide increased services and opportunity for the Camperdown community. Nikita is our full time Health Promotion Officer is focussing on nutrition, physical activity and mental health. Kaylene is implementing the Residential in Reach program that aims to decrease hospitalisations and length of stay amongst aged care residents. Kimberley is our Allied Health Assistant working to reduce the impact of chronic illness particularly with diabetic clients. A new office area accommodates current and visiting staff;

ensuring additional rooms are free for consultations, meetings

and client visits. This new area provides the opportunity for

visiting SWH staff to utilise the space ad hoc. If you are

visiting a client or are in Camperdown and need a space to

work please drop by or contact us and we will be happy to

have you ‘hot desk’ at Manifold Place. We are eager to

welcome all SWH staff and look forward to a collaborative and

united work place.

MACARTHUR

Telehealth Macarthur Community Health is introducing Telehealth options for Dietetics clients. This will be the first of visiting clinical services to provide this service. The benefits include: the client can decide when they wish to see the Dietitian rather than just the day they visit Macarthur and also reduces the travel component for the clinician. Currently the client has only one option at Macarthur & this often clashes with other appointments thus limiting their choice. Macarthur Community Health has set up a dedicated telehealth room that will be available for clients to use. This will include telehealth to clinicians based at SWH Warrnambool campus as well as specialist services both in Warrnambool, Hamilton & beyond. This will considerable reduce the time required by clients to travel to specialist appointments thus reducing stress & anxiety as well as cost. Our clients are often aged with multiple health issues & are reliant on others to assist with travel. Our aim is to provide the right service, at the right time and at the right place. Telehealth is an exciting initiative that meets all these criteria.

Walk the Block Macarthur Community Health will be participating in “Walk the Block” initiative on Thursday 19 March. Walk the Block is a workplace health initiative by Victoria Walks, aimed at combating the dangers of a sedentary lifestyle. “Sitting is the new public health enemy’, says Dr Ben Rossiter, Executive Officer of Victoria Walks. According to health experts, sitting could be as dangerous as smoking. There is growing evidence to show that prolonged sitting is linked to obesity, type 2 diabetes, heart disease, some cancers and premature death.

BOWEL CANCER PREVENTION PROJECT A project focussed on preventing bowel cancer has begun at South West Healthcare. The second leading cause of death from cancer in Australia, bowel cancer has touched many in south west Victoria. The National Bowel Cancer Screening Program is currently distributing a free test to eligible people without obvious symptoms between 50 to 74 years olds. The test (called a faecal occult blood test – FOBT) is easy to use and has been proven to be effective in detecting small amounts of blood in faeces, possible signs of growths or polyps in the bowel before they develop into cancer or in their early stages of the disease. If detected early, over 90% of these cancers can be avoided or cured. The Bowel Cancer Prevention Project at South West Healthcare, funded for two years by the Department of Health and Human Services, will look at issues of bowel cancer screening and follow up for the community in Warrnambool, Corangamite and Moyne shires. The project team from the Primary and Community Services Division, Craig Fraser, Catherine Loria and Margie Morrice, are working with medical experts, including local physicians, doctors and other health professionals to find ways of encouraging eligible people to do the test and managing follow up colonoscopy for people who get a positive test. Only 35% of people currently complete the national test, which means we have many people in the community not being screened. The project will also focus on raising awareness in the community of the disease and ways to prevent it including screening, lifestyle and diet.

Subacute Redesign – RIGHT patient in the RIGHT place at the RIGHT time

Phase 2 of this work has now commenced aimed to streamline the referral, intake and assessment processes for current patients streaming to subacute services (both admitted and home based). This will assist in reducing the confusion for patients and staff, and reduce the current duplication of effort.

Patient Flow Redesign This work, assisted by Denis O’Leary, has introduced earlier start times for the Pathology and Radiology departments which is assisting with patient flow both from the Emergency Department (ED) to the wards, and for from the wards to home. LAN paging (messages to pagers) from the wards: Now that the communication from wards to the medical Interns has improved with the introduction of LAN paging, others are keen to get on board. We are currently working to expand this ability to include the clinical support staff / clinical educator’s pagers so that the communication between students and their support staff is more streamlined. Releasing Time to Care – Productive Ward program coming to Merindah Lodge Camperdown Staff at Merindah Lodge, with the help of facilitator, Kerry Henderson, have made some great improvements to their working environment with their Well Organised Ward work – reducing staff time wasted in trying to find things, and therefore releasing more time to care for their clients. The process is called 5S: 1=Sort, 2=Set in order, 3=Shine, 4=Standardise, 5=Sustain See the great before and after photos below to demonstrate this work.

National Standard 6: Clinical Handover –

Nurse Unit Managers will be starting to discuss with their staff the move towards Introducing a bedside component to all the shift handovers, not just the AM to PM shift which it is the case now. Having this component across all handovers will improve patient involvement and patient safety e.g. reduce the number of medication incidents that are not picked up at these handovers with the current practices. Get ready for auditing- all handover audits due this month! Endoscopy Redesign Marg Bull commenced in February to lead the 6-month Endoscopy Redesign improvement work. This work is part of the larger 2-year Bowel Cancer Prevention project run by SWH Primary and Community Health, aimed at increasing participation in national bowel cancer screening. With the predicted rise in demand for colonoscopy as a result of this work, it is now time to focus on improving the process for people requiring colonoscopy.

New Education, Research and Workforce Development Unit We welcome Barbara Moll, who has accepted the position of Manager Education, Research and Workforce Development. Barbara will be overseeing the operation and co-ordination of education services across all division, to ensure all staff have access to education and training. Barbara has also been appointed to the deputy Chair of the Barwon South West Clinical training network We are also delighted to announce the appointment of Peter Sheehan in the post of Workforce Training & Development Coordinator in Primary and Community Services. Also new to the team are Emma Rowbottom and Dearna Leishman, along with Kate Burt who are on secondment to the team this year as Clinical Support Nurses for nursing students.

Graduate support We welcome all new graduates to South West Healthcare and 2015 will be an exciting year for you as you transition into your new career. We want to ensure staff who have recently graduated are well supported in their first year and have programs running this year in Nursing, Mental health and Community health. For all post graduate students commencing study in 2015, the Education services are available to support you through this time.

Students It is early in the academic year and as a teaching hospital we are already very busy with students across all clinical disciplines. We will be hosting nursing, medical, dental, pharmacy, health information and allied health students. In addition we have VETIS and VCAL students from Brauer College undertaking placements in the Service Development directorate as part of their Certificate III in Health Assistance as part of the Greater South Coast Health Articulation project. We have also hosted trainees from Warrnambool City Council completing their Certificate III in Allied Health Assistance. Work experience for learners from our local schools gives young people an insight into the careers in health, both as clinicians and in the wide range of support services we provide. The support from supervisors in the workplace for students is vital for ensuring we have a role in developing the future workforce. We are very proud of the excellent feedback we receive from students.

eLearning SOLLe is our current system for staff eLearning and records of education and training. New staff are issued with log in details and enrolled on core mandatory training. The SOLLe calendar informs staff of upcoming education and allows you to enroll directly into the course. All staff are reminded they must discuss the appropriate course with their manager and complete the appropriate documentation.

Avoid a Code Grey situation South West Healthcare is committed to improving the safety and security of staff by supporting the prevention of violence and aggression, enhanced responses to Code Grey calls and training for hospital and security staff An introductory eLearning program, on managing violence and aggression in the workplace (SWITCH) is available to staff through SOLLe. SWITCH is about shifting our thinking, attitude and actions to maintain optimal safety within our workplace. By acknowledging the experience of the consumer, client or patient, and understanding what triggers the emotion that drives aggressive actions, we can promote a greater opportunity for a safer work environment for staff. Frontline staff are encouraged to complete this program as it incorporates many principles for recognizing and de-escalating potential situations that can lead to aggression. Advanced SWITCH is face to face session for staff who are mandated to undertake this training e.g. mental health staff, Code Grey tea, Clinical Co-ordinators as well as nursing staff. You need to compete the eLearning package to be able to enroll on a face to face session through SOLLe.

Educa?on News

The myALLY mentoring program is open to all allied health professionals and assistants, at any stage in their career, working at least some of the time in the public health sector in regional and rural Victoria. It’s free to join. Clinical Supervision Support Program

A one-day face-to-face workshop for supervisors of entry-level health professional

learners.

WHAT IS EXPECTED OF PARTICIPANTS? ∎ That you attend the training day and make every effort to apply what you have

learned. ∎ That you participate in the evaluation by completing all 3 parts:

⇒ The baseline data at the time of registration, or on the day of training. This

collects items such as your discipline, your experience, your organisation.

⇒ An evaluation of the workshop, at the conclusion of the training day.

⇒ A follow-up survey, 3 months after the training day. This survey will be

conducted by the Department of Health and will be available in a variety of

formats including paper based, electronic and telephone interview. It is an

evaluation of the training and its relevance in the workplace – not of you or

your ability as a supervisor or clinician. Findings will be used to improve the

training opportunities for supervisors.

Foundational level training is suitable if you are new to supervising students, if you

“buddy” with students as part of your work, or if you haven’t had any previous training in

supervision. It includes basic learning styles, adult learning principles, feedback, skills

teaching and recognising potential problems.

Intermediate level training should be your choice if you supervise more than one

student, if you are responsible for the assessment of students, if you have had previous

training, or have been supervising students regularly for a number of years. It covers

problem solving, communication, underperforming students and assessment in more

detail.
