I think at Giza Systems we have enoughexperience and qualifications that would enableour team members to pass both levels.

Q:Would you tell us about majorprojects that enriched yourprofessional experience?A: At the beginning of my career at DMS, Iparticipated in a distribution systemimplementation project at Procter and Gamble;a significant customer yet extremelyprofessional and dynamic. This experienceaffected me both personally and professionally;I learned the meaning of hard work, commitment and customer satisfaction.

Another project that also had an impact onmy career was Telecom Egypt's Mega Projectwhere I learned all about communication, integration among people as well as the abilityto identify stakeholders and orchestrate theirinvolvement. In this project, I learned tomaintain communication channels to receivefeedback as well as implement problem solvingtechniques.

Q:Project Management Office isa relatively new area not only inGiza Systems but also in Egypt.Would you please highlight theimportance of this area to thebusiness world?A: Any company that aspires to grow shouldhave a similar central project managementoffice in their organization structure.PMO helps in effectively analyzing and solvingproblems encountered during the course ofthe projects, which in turn improvesperformance. PMO also helps organizationsachieve one of their main objectives ofeffectively utilizing time and resources tocontinually improve productivity.

Q:What are your activities asPMO manager?A: We plan on having a more proactive visionin the future to be able to accurately predictproblems before they take place. This, ofcourse, requires more details and informationas well as an open communication channelbetween the PMO and project managers. Forthat reason, we are currently focusing on thetraining and career development of moreproject managers. In fact, we started adevelopment program in this year to train

interested candidates that we feel have thepotential and skills to be highly qualified projectmanagers.

Furthermore, PMO focuses on customersatisfaction by establishing standard PMOprocesses that encourage the completion ofprojects on time, within budget, and to anagreed level of quality. As a matter of fact, part of the ability to execute better, faster, and at a lower cost comes from theorganization's implementation of standardprocesses and practices.

We review quality procedures for ISO andconduct internal audits to ensure that allstandards and methodologies are beingapplied. We also provide management withstatistical measures to monitor performanceand measure progress.

Q:Since your division is newlyestablished, what’s the approachit is currently using to positivelyin f luence the company ’sperformance?A: We use two main approaches to positivelyinfluence the company's performance. Thefirst one mainly focuses on the developmentof Project Managers' skills and capabilities byproviding up-to-date Project Managementclasses and training.

The classes focus on preparing for PMIexamination, making use of modern teachingtools and techniques in addition to conductingproject audits and assessments.

This, in turn, will enhance the Project Mangers'performance as well as personal skills suchas in te rpersona l commun icat ions ,leadership, decision making etc.

As for our second approach, we concentrateon helping project managers adopt a consistentsystematic and reliable approach to our projectmanagement methodology called "Fanar".This approach helps reduce project risks, improve project success rate and increaseproductivity and quality. To be most effective, this consistent approach includes projectmanagement methodology, standards, guidance, practices, tools, techniques, education, coaching and training. The projectmanagement office is, therefore, in charge ofthe deployment and the continuous

improvement of this approach for all projectsand project managers.

Q:From your point of view, howwould this new approach impactcustomer satisfaction?A: Giza Systems has always had a proactiveapproach with regards to customer satisfactioneven before PMO was establ ished. What PMO has added is perhaps a morestructured and consistent methodology; afterthe customers formally accepts a project andits deliverables, a PMO team member holdsa formal meeting with them.

The meeting addresses customer satisfactionissues and receives feedback on Giza SystemsProject Management Process Assessmentand Project Satisfaction. Then, this is analyzedinternally and fed back into our processes tobe taken into consideration in future projects.

Q:How does your division ensurethe quality of projects carried out?A: We continuously monitor ourselves byperiodically running internal audits to verifythe processes as well as generate a list ofobservations for improvement.

Q:What are PMO’s future goalsat Giza Systems?A: There are two main goals. The first is tooptimize allocation of project resources, andproject selection and prioritization process. The PMO can play a cross-functional role bymonitoring resource information thatencompasses all the projects.

This will facilitate the project resources planningacross the organization and supportmanagement decision making about projectselection, prioritization and resource allocations.

Our second goal is to provide a better visibilityand control of projects in order to minimizethe occurrence of problems as well as enablingtheir early identification before they take place.

As for resource allocation, since eachdepartment has precise goals along with thecompany's vision, we aim at reaching aconsistent rhythm across the organization, sowe can have the opportunity to optimizeresources usage based on the project’simportance and the company's objectives.

On behalf of all the employees at Giza Systems,we cheer Nihad Abdallah for being the firstemployee at Giza Systems to obtain the ProjectManagement Professional (PMP) degree fromthe Project Management Institute in the UnitedStates of America. Nihad has set a great examplefor her colleagues, who are now following suitand getting the same recognition she attainedover 2 years ago from the Project ManagementInstitute (PMI). Since Nihad is also the first tohold the position of Project Management Office(PMO) Manager, we found it appropriate to shedlight on her career and her new role and how ithas impacted business at Giza Systems.

Q:Nihad, I would like you to shedlight on your educationalbackground,A: I got a B.Sc. in Electrical Engineering,Communication & Electronics at Ain ShamsUniversity in 1991.

Q:Why did you choose this fieldin particular & how close wereyour studies to your actual work?A: In the late 80's, wireless and car phoneswere the most talked about gadgets in Egypt, and I was at the time very eager to knowmore about this new trend. Soon after Igraduated, I attended a 6 month course atData Management Systems (DMS), one ofthe top software houses at that time. DMSused to receive Ain Shams University's topgraduates, provide them with training coursesand then offer them job opportunities.

Q:Was DMS your firstintroduction to Software?A: No, it was not. As a matter of fact, I hadbeen introduced to the software applicationsbefore I even joined DMS, with my graduationproject, which was on software interfacingand controlling a Microwave Network Analyzer.

Q:How did you start out yourcareer?A: Upon completing the course, DMS offeredme a position at their Enterprise ResourcePlanning (ERP) division. I worked on an ERPapplication called Business Planning & ControlSystem (BPCS) where I was in charge ofimplementing and developing any modificationneeded by customers using RPG under IBMAS/400. I was also responsible for developingthe interface between the BPCS system andany other packages or newly developedsystem.

Later I got promoted to ERP team leader, where I was responsible for the teamperformance in several accounts, such asProcter & Gamble, CBI, GlaxoWellcome andBristol Myers Squibb. I then became a SystemAnalyst and Designer in DMS's Industrial sector, and afterwards I was promoted again to workas Project Manager in the same division. Afterthat I changed companies and joined OFOKwhere I worked as a Quality AssuranceManager. Finally, I joined Giza Systems in 2002as an ERP Project Manager.

Q:You started at Giza Systems inthe Software Solutions Unit, untilyou were transferred to PMO. Tellus how this change came about.A: I've always believed that organizedperformance is vital in any project, whetherprofessionally or personally, that is why I wasintrigued by Project Management and waslooking for a way to include it in my academics. When I started here, the "DevelopmentPrograms for Project Management Skills"managed by Engineer Hisham El Deeb, theCustomer Service Director at the time, hadjust started so I decided to join in and learnas much as I could to set the right standardsfor myself, which in turn would allow me to

better perform, avoid problems and abide toset rules and methodologies. I was laterintroduced to PMI and it was a natural evolutionto apply for their much sought after certificatePMP. Later on when Giza Systems establishedits first "Project Management Office" I waspromoted to manage that new division.

Q:Please tell us about a majorevent that was a turning point inyour career?A: A few days after I started at Giza Systemsin 2002, one of the company's projectmanagers resigned and I was given theresponsibility of completing one of his projectsfor Telecom Egypt. The 18 month project wasat its last quarter with 4 more months to goand still a lot of work to do. Although at thetime it was risky for me to accept the projectin such timing but I was new at the company, and of course, I wanted to prove myself, so Iworked very hard and Thank God was able tofinish on time and achieve customer'ssatisfaction. As a result of this success, GizaSystems managed to complete phase threeof implementing Oracle Financial applicationat the remaining 10 business units in additionto seven sub-divisions and 22 inventoryorganizat ions al l over the country.

Q:Tell us about the PMI examA: The exam was not that difficult for mesince in order to pass, one needs experience, coupled with diligent work. Lately, manyapplicants at Giza Systems have alsosuccessfully passed this exam and we hopethat eventually all our project managers willbecome successful PMPs. As far as theexam goes, there are two levels; the firstrequires an experience of 3 years, while thesecond level requires 6 years of experience.I sat for the latter the "Professional ProjectManager”.
