Hockey Office Information

It is located on the 2nd floor, Room 203, of the Walter Baker Sports Centre. The office is open on Tuesday & Thursday evenings from 5:00pm to 8:00pm, and Saturday mornings from 9:00am to noon until April 1st then 5:00pm to 7:00pm The telephone number is (613) 825-1590 and the fax number is (613) 825-1591. Please check this envelope on a regular basis.

Sweaters

Contact: NMHA Sweater Director NMHA Sweater Office Barrhaven Dental Centre (inside Mega City Promotions) 810 Greenbank Rd. Sweaters for all House League teams are provided by the Nepean Minor Hockey Association. Each team receives two sets of sweaters. The home color is White and the away color is either Red or Black. The NMHA sweaters are to be worn for games only, not for practices. NMHA sweaters are currently in the process of switching over from the Red & White jerseys to Black & White. This will take several years to happen. Older (retired) sweaters will be assessed and those that do not make the grade will be available for purchase. These sweaters would make a great practice jersey. Purchase price of these sweaters will be set by the Hockey Office.

Pick Up

Sweaters and socks can be picked up on dates specified by the NMHA Sweater Director. A deposit of $1,000 is required at the time of pickup – post-dated cheque dated December 1. A personal cheque can be submitted initially, and then replaced at the hockey office with a “team” cheque prior to December 1. Teams will be notified by the Sweater Director when the cheques are available for replacement. Upon pick up, team representatives will sign a contract agreeing to the following:

Any lost/stolen or damaged sweaters will be charged back to the team at a cost of $150 for the set. This amount will be deducted from the deposit refund. If one sweater is lost, the whole set is replaced.

Any lost/stolen sponsor tags will be charged back to the team at a cost of $10 per tag. This amount will be deducted from the deposit refund.

There are NO GLUES or ADHESIVES to be used on the sweaters. This includes sewing on Velcro. Tags and letters are to be HAND SEWN. No machinery to be used as this causes tears upon removal of the tags.

All sweaters are to be assessed for damage prior to the first game of the season and a report is due no later than October 31st. The Sweater Report is to be completed by the team manager and remitted by email to [email protected]. This form is attached.

Ensure players keep their sweaters separate from skates and equipment with Velcro as these items cause unnecessary pulls, pilling and cuts. If any sweater gets damaged during a game, the team manager is to inform the Sweater Director immediately to ensure the team is not penalized at the end of the season. Sweater exchanges (sizing or extensive damage) will be considered at the beginning of the season once an email is sent to the Sweater Director with full details of the request. Special requests can only be done with the sweaters that are currently in stock. Special orders will not be possible.

Sweater Returns

Managers may choose to collect the team sweaters at the end of the last game of the season. This can eliminate the need for chasing after the sweaters before the scheduled return date. An email will be sent with the return schedule as the regular season draws to a close. The team manager or the coach shall return the sweaters as per the following guidelines:

Carefully remove all name tags, sponsor tags and C’s and A’s from all sweaters.

All sweaters MUST be washed, hung up on wire hangers and returned in numerical order in the appropriate sweater bag (white in one bag, red/black in the other bag).

A lost sweater bag will be charged back to the team at a cost of $40 per bag. For any other Sweater question, comment or concern, please contact the NMHA Sweater Director at [email protected].

Socks

All players must wear the official NMHA hockey socks. They are available at the Hockey Office. Each player will receive a pair of socks at the start of the season from the NMHA, and the team may buy a second pair. It should be a team decision if this should come out of the team budget or be an individual expense. Socks are currently $ 10.00 a pair.

Please fill in the sweater number and note any damage to the sweaters BEFORE handing out the sweaters to your players. Please remind your players and their parents that C’s, A’s, name tags and sponsor tags should be hand sewn on the sweaters. Any sweaters whose tags that have been ironed on, glued on or attached by Velcro, will result in a charge to the team for the replacement of those sweaters.

Name & Sponsors Tags

Name Tags

Name tags are to be ordered via email, through the hockey office, using the Name Tag Order Form found on the website. Email completed forms to the hockey office at [email protected]. On the form, include:

Team Division, Level, Name

Contact person – name, email and telephone number

List of tags noting the colour and players’ last names. A confirmation email will be sent once the tags have been ordered, followed by an email or phone call from the name tag supplier when they are ready to be picked up. Payment is to be made at the hockey office. Name tags go on the top of the jersey, above the stop sign and the sponsor tags on the bottom stripe, below the jersey number. White tags on white jerseys, black or red tags on black or red jerseys. Teams can choose to have parents pay individually for name tags, or include them in the team budget. Name tags are currently $7 each, or $14.00 for a set.

2014-2015 Sponsorship Opportunities – General Information

Contact: Marilyn Hargreaves, Sponsorship Director The NMHA and its members are very appreciative of their sponsor’s support and value the relationships that have been formed. Sponsorship through civic and sports-minded businesses, associations and individuals, such as our sponsors, assist the NMHA in keeping the cost of minor hockey at a reasonable level, so that all children, no matter their background, have an opportunity to play this game we are so passionate about. The NMHA encourages all our members to use our sponsors businesses when shopping for services.

Team Sponsorships Opportunities:

A House League team sponsorship is $300.00 and a Competitive team sponsorship is $300.00. The sponsorship money pays for such things as game ice, referee and timekeeper fees, and membership in the ODMHA. Individual teams will receive $50 in this sponsorship revenue at the end of the season, included in the sweater deposit refund. In return for sponsoring a team, the NMHA will provide the following:

The NMHA will provide the team with sponsor tags to be fitted onto each player’s sweaters. Sponsor tags must be stitched to the back of the sweater on the bottom, below the jersey number. White tags go on the white sweaters and red tags go on the red sweaters and black on black

Tournament Sponsorship Opportunities

To defer tournament costs all teams are permitted to seek additional funds for tournament sponsorship. The tournament costs that can be deferred include registration fees, coach’s expenses (as applicable) and team travel costs. Sponsorship limits, from all sources, are set at:

House League $2,500.00 per team

Competitive $6,000.00 per team Teams may create a team banner, team booklet or similar memento to provide recognition for their tour-nament sponsor. This banner or memento may only be used at the tournaments only and cannot be used during regular season or playoff games; in no way can it replace or supersede the team's official sponsor.

Ice Policies and Other Ice Related Information

Ice Allocation

One (1) hour of ice consists of 50 minutes of playing time and 10 minutes to clean the ice. The team must leave the ice immediately upon hearing the horn that is sounded by the arena staff. Ice time for team practice is included in the registration fee as per the following:

Novice to Bantam 12.5 hours (25 half-ice practice sessions) Midget 5 hours

Your team may run over the allotted amount and should budget accordingly. This ice will be billed by your director and the payments are to be brought to the hockey office. Team managers should keep track of assigned practice ice and budget accordingly. Teams wanting additional ice time may purchase it according to the following rates and must account for it in their budget.

2014/2015 Practice Ice Costs

Full Ice = $180.00 per hour Half Ice = $ 90.00 per hour

Game Changes

PLEASE NOTIFY DIVISIONAL DIRECTOR / CONVENOR OF ALL GAME CHANGES Teams needing to reschedule a game (due to tournaments or other conflicts), should email the Convenor and Divisional Director as soon as a conflict is known. The Divisional Director / Convenor may use the team’s practice ice to reschedule the game. The Convenor will arrange for referees and timekeepers for rescheduled games. Important: Rescheduled Games: It is up to the HOME team Manager to confirm via email to the Referee & Timekeeper Assigner, Jay Kleiman, 72 hours before all rescheduled games to confirm officials for that game.

Ice Swap

This service was initiated with the intention of making the best possible use of NMHA ice assigned to teams, and works well if used properly. When not used, ice is wasted. To make it work requires the co-operation of all coaches, managers and directors. If teams have ice they are unable to use, and the Convenor cannot reassign that ice, teams can list it with the Swap Shop so that all NMHA teams can have equal access to it. To sell or buy ice, use the Ice Swap Shop found on the NMHA website at www.nepeanhockey.on.ca:

NMHA Technical Information and Clinics

Technical – Courses and Clinics – House League Volunteers

Contact: Keith Ellard, Technical & Clinics Director House league teams will require the following volunteers:

Other optional roles include Treasurer and on-ice help (help with practices but not assist behind the bench during games

All Volunteers for house league teams must:

Complete the Respect in Sport online course.

Complete a Police Record Check form.

Accept the NMHA Code of Conduct (outlined later in this document)

Accept the Police Record Check Policy (outlined later in this document)

Coaches

Each house league team must have a Head Coach, who has successfully completed the Coach Level course.

Coach Level has 3 parts:

Part 1 – Respect in Sport; and

Part 2 – On-line E-learning for Coach Level ½ (approx. 6 hours)

Part 3 – Coach Level: 1 day clinic with 2 hours on-ice. Each Assistant Coach must have completed the Coach Level course.

It is highly recommended that each Assistant Coach has part 1 and 2 of the Coach training. This will be

mandatory in 2015-2016 so we recommend that it be taken this year. In 2016-2017 each Assistant Coach

will be required to have Coach Level, which is the on-line session plus 1 day of instruction.

Trainers

Each Trainer must have successfully completed the Trainer Level 1 course. Exemptions are not granted to

anyone due to the nature of this course being a “Risk Management” course – not a First Aid Course.

Courses & Clinics - Description

Respect in Sport Course

The Respect in Sport course is no longer included in the Coach Level course. Any Head Coach, Assistant

Coach, Trainer, Team Manager, on-ice helper (team volunteers interacting with the players) are required to

take the Respect in Sport course online and to have completed a Police Check within the last two years.

Respect in Sport is a mandatory training program for all volunteers working with youth in Minor Hockey

including coaches, managers and trainers. There is also a parent program that is highly recommended for

all hockey parents. To visit the Respect in Sport website and read more about both programs, go to

Coach Stream (Hockey University Coach Stream)

For Hockey Canada members wishing to become a certified coach, official or team safety person, their first stop will be Hockey University. This engaging, interactive online platform provides the baseline of information needed, and it’s all done conveniently online.

Coach Level

Coach Level is designed for coaches working with players at the recreational level. The clinic is a one day event. Participants will be presented with learning opportunities in both classroom and on-ice settings. Approximately 6 hours of in class will be supplemented with a 2 hour on ice session to cover key topics such as practice planning, communication, teaching techniques, preparing for game day and long term player development.

Developmental One Clinic (Level Two Coach)

We hold one of these clinics early in the fall since Competitive hockey starts earlier. This is required to be a Head Coach on a Competitive team. You need to do the Coach Stream Clinic and complete your certification and then for one full year put what you learned in the clinic to practice before you can advance to the Developmental One Clinic.

The Development 1 clinic is a two day event. Coaches will receive approximately 12 hours of in-class in-struction and 3 hours of on-ice instruction. Coaches taking the Development 1 clinic will also complete a take-away clinic post task that will be submitted to HEO for assessment.

Trainer Clinic

Every team needs to have a certified Trainer on the bench at all times. Teams have until the end of December to get certified as a Trainer. For games and practices occurring before a trainer is certified, teams can ask the opposing team to cover them should someone need to go out on the ice to check on a player. Trainers are allowed behind the bench until their course is taken, but not on the ice. All trainers walking on to the ice surface to check on a player must wear a helmet. Be sure to have a spare helmet as part of the team trainer kit. Courses & Clinics – Payment, Registration & Cancellation

All NMHA members are to pay for the clinics in advance when registering for Coach Level, Development 1, Trainer Level One or Trainer Level 2. Once NMHA members have successfully completed the course, they are to email the NMHA Technical Director the following information:

Registration for Coach Level, Development 1 or the Trainer clinic is done through Hockey Eastern Ontario:

Note: Coach Level and Development 1 course has in-class session including time on ice. Therefore the

volunteers will need to bring their skates, hockey gloves, helmet, hockey stick along with pen and paper.

Coach Level has online course(s) to complete prior to the in-class session. As for Coach Level, the

participant(s) are required to successfully complete online course(s) prior to attending the in-class session.

The Trainer 1 clinic is an online course. If you have your First Aid/CPR through your place of employment,

please email Jeff Baker of HEO at [email protected], to ask for your Trainer Level 1 to be

upgraded to a Level 2 and include in the email:

Cancellation Policy

Participants wanting to cancel from clinics must contact Hockey Eastern Ontario (HEO) at least 7 days

before the clinic date.

Technical – Year End Plaques

Each year the NMHA also pays for "Year End Plaques” for each team. The NMHA covers the cost for fall the players and four bench staff: Head Coach, 1 Assistant Coach, Trainer and a Manager. Should teams require any more the team will pay an addition cost for them (between $5 and $6 is the norm). By December team rosters are finalized. Teams will be sent an email requesting that they complete the plaque request template. The completed template then must be sent to the Technical Director and plaques are ordered. Due to the large volume of plaques being ordered, teams are asked to complete their requests within a specific timeframe. This ensures teams have their plaques in time for season close, and any year-end team activities.

NMHA Coaching and Ethical Philosophy

Introduction

As a member and representative of the NMHA, volunteers’ personal conduct on and off the ice is of principle importance towards attaining the objectives of the NMHA program. Team officials are responsible to uphold the following rules of conduct, ethics and procedures contained in the following documentation.

3. NMHA House League Ethical Philosophy

1. House League Coaches are expected to work in a team environment with their NMHA Director

and Convenor, fellow coaches and the Technical Director with the objective of trying to achieve a balanced division.

2. House League Coaches are expected to implement the NMHA Equal Ice-Time policy which applies to every sequence of every game:

NMHA Equal Ice Policy One of the principles of NMHA is that every house league player is entitled to an equal share of ice time. The equal ice principle applies to the entire game in both regular season and playoffs. All house league coaches have agreed to abide by this equal ice time policy.

3. Winning results from good ice utilization in practice and equal rotation of players during the

game. 4. Every player should have the opportunity to practice and or play with the higher level team.

Coach Agreement

The Nepean Minor Hockey Association Nepean Raiders House League Coaching Agreement

I, ______________________, accept your offer to Coach a Raider House League team within the Nepean Minor Hockey Association, at the _________________ level for the __________ season. The following terms and conditions form part of this agreement and in accepting this appointment it is understood that: 1) I will abide by the aims and objectives of the Nepean Minor Hockey Association as outlined in the NMHA Constitution and the NMHA Coaching and Ethical Philosophy;

2) I have read and I agree to abide by the NMHA Fair Ice Time Policy for Raider House League teams;

3) Immediately upon my selection of assistant coaches, trainers, and team manager, I will inform my Director/Convenor in writing, and I understand and acknowledge that the NMHA reserves the right to review and approve/disapprove and such selection;

4) It is my responsibility as Coach to ensure: a. I have obtained the required coaching certification by this coming January 1st.; b. That my team has a qualified trainer with proper certification; and c. I will ensure that each Assistant Coach will have obtained at least a Coach Level certification by this coming January 1st.

5) I will be responsible for ensuring that the appropriate financial budgets and team activities are provided, on a routine basis or as required, to the Director/Convenor, and, that team funds are administered independently from myself, or my spouse, and appropriately in consultation with team parents;

6) All monies owing to the NMHA for ice time, sweaters, timekeepers, referees, etc., will be paid by the due dates. These due dates are normally noted on the invoice or posted in the hockey office.

7) All sweaters, being the property of the NMHA, will be my responsibility as Coach and must be returned in the manner and by the dates specified by the Director/Convenor. Failure to return the sweaters may result in the forfeiture of the sweater deposit; 8) I will be responsible for the conduct of all of team personnel, both on and off the ice, whether in Nepean or elsewhere;

9) I will be responsible for ensuring that players and team officials refrain from verbally or physically abusing game officials, and that the utmost respect is shown towards these individuals at all times. I will help the Director/Convenor to achieve similar respect for game officials and for opposing teams and their supporters from parents of my players;

10) I will respect the policy on the use of affiliated players as set out by the NMHA;

11) I recognize that coaching my own child is a privilege, not a right, and that I will not show favouritism to my child at the expense of other team members;

12) I will respect the code of conduct set out by the NMHA;

13) I understand and acknowledge that the NMHA may cancel this agreement at any time, and the Coaches and/or team officials associated with the team may be released for failure to abide by the NMHA rules, some of which are set out above, or for any reason that, in the opinion of the Director/Convenor, is contrary to NMHA principles or policies. This agreement may also be cancelled by the NMHA for any reason which the Association feels may be detrimental to the players or the Association, or contravenes Hockey Canada, Ottawa District Hockey Association (ODHA), or Ottawa District Minor Hockey Association (ODMHA) rules and regulations; 14) I will abide by the rules and regulations governing the NMHA, specifically that all coaches and on ice assistants must wear CSA approved helmets.

NMHA Code of Conduct

This Code of Conduct identifies the standard of behaviour that is expected of all Nepean Minor Hockey Association (NMHA) members, including players, coaches, parents, directors, volunteers and staff. The NMHA is committed to providing and maintaining a minor hockey environment where all individuals are treated with respect. Appendix ‘A’ identifies specific guidelines for the behaviour of Parents, Players, Spectators, Coaches, On and Off-ice Officials and Administrators and forms part of this Code of Conduct. During the course of all NMHA activities and events, members of the NMHA shall conduct themselves at all times in a fair and responsible manner. They shall refrain from comments or actions that are disrespectful, offensive, abusive, racist, or sexist. Behaviour that constitutes harassment or abuse (as defined by Canadian hockey governing bodies) will not be tolerated by the NMHA. Members shall avoid behaviour that brings the NMHA or the sport of hockey into disrepute, including but not limited to abusive use of alcohol and non-medicinal use of drugs, or that endangers the safety of others. NMHA members shall at all times adhere to NMHA operational policies and procedures, to rules governing NMHA events and activities and to rules governing any events and activities that the member participates on behalf of the NMHA. Failure to comply with this Code of Conduct may result in disciplinary action in accordance with the Discipline policy and guidelines of the NMHA. Such action may result in the member losing the privileges that come with membership in the NMHA, including the opportunity to participate in NMHA activities.

NMHA Behaviour Guidelines

Guidelines for Parents

Do not force your children to participate in sports, but support their desires to play their chosen sport. Children are involved in organized sports for their enjoyment. Make it fun.

Encourage your child to play by the rules. Remember that children learn best by example, so applaud the good plays of both teams.

Do not embarrass your child by yelling at players, coaches, or officials. By showing a positive attitude toward the game and all of its participants, your child will benefit.

Should you wish to confront your child’s coach about a practice or game-related issue, wait 24 hours before doing so. Emotions can cause miscommunication and misunderstandings.

Emphasize skill development and practices and how they benefit your young athlete.

Know and study the rules of the game, and support the officials on and off the ice. This approach will help in the development and support of the game. Any criticism of the officials only hurts the game.

Applaud a good effort in victory and in defeat and enforce the positive points of the game. Never yell or physically abuse your child after a game or practice -- it is destructive. Work toward removing the physical and verbal abuse in youth sports.

Recognize the importance of volunteer coaches. They are important to the development of your child and the sport.

If you enjoy the game, learn all you can about the game, and volunteer!

Help provide a safe and fun environment; throwing any items on the ice surface can cause injury to players and officials.

Do not lean over or pound on the glass; the glass surrounding the ice surface is part of the playing area.

Support the referees and coaches by trusting their judgment and integrity.

Be responsible for your own safety -- be alert to prevent accidents from flying pucks and other avoidable situations.

Respect locker rooms as private areas for players, coaches, and officials.

Never appear for a game while intoxicated by drugs or alcohol.

Be supportive after the game . . . win or lose.

Recognize good effort, teamwork and sportsmanship.

Guidelines for Coaches (and all NMHA Team Officials)

Winning is a consideration, but neither the only one nor the most important one. Care more about the child than winning the game. Remember players are involved in hockey for fun and enjoyment.

Be a positive role model to your players, display emotional maturity and be alert to the physical safety of players. Do not appear for games or practices while intoxicated by alcohol or drugs. Show respect for on-ice and off-ice officials at all times.

Be generous with your praise when it is deserved; be consistent, honest; be fair and just; do not criticize players publicly; learn to be a more effective communicator and coach; don’t yell at players.

Adjust to personal needs and problems of players, be a good listener, never verbally or physically abuse a player or official; give all players the opportunity to improve their skills, gain confidence and develop self-esteem; teach them the basics.

Organize practices that are fun and challenging for your players. Familiarize yourself with the rules, techniques and strategies of hockey; encourage all your players to be team players.

Maintain an open line of communication with your players’ parents. Explain the goals and objectives of your association.

Be concerned with the overall development of your players. Stress good health habits and clean living.

To play the game is great; to love the game is greater.

Guidelines for On and Off-Ice Officials (Referees and Time Keepers)

Act in a professional and businesslike manner at all times and take your role seriously.

Strive to provide a safe and sportsmanlike environment in which players can properly display their hockey skills.

Know all playing rules, their interpretations and their proper application.

Remember that officials are "teachers." Set a good example.

Make your calls with quiet confidence; never with arrogance.

Control games only to the extent that is necessary to provide a positive and safe experience for all participants.

Violence must never be tolerated.

Be fair and impartial at all times.

Answer all reasonable questions and requests.

Adopt a "zero tolerance" attitude toward verbal or physical abuse.

Never use foul or vulgar language when speaking with a player, coach or parent.

Use honesty and integrity when answering questions.

Admit your mistakes when you make them.

Never openly criticize a coach, player or other official.

Guidelines for Administrators (Directors, Volunteers and Employees)

Follow the rules and regulations of the Canadian Hockey Association, the Ottawa and District Minor Hockey Association and the Nepean Minor Hockey Association to ensure that the philosophy and objectives of these organizations are promoted. In particular, this means the ice time provisions for each program and the codes of conduct for other participants.

Work with on-ice officials, coaches, parents, and other administrators to provide a positive and safe experience for all participants.

Support programs that train and educate players, coaches, parents, officials and volunteers.

Promote and publicize your programs.

Never appear for an Association event while intoxicated by drugs or alcohol.

Communicate with parents by attending parent/player orientation meetings and/or by being available to answer questions and address problems throughout the season.

Treat all players, coaches and other volunteers with fairness, to promote fair play and sportsmanship.

Recruit volunteers, including coaches, who demonstrate qualities conducive to being role models to the youth in our sport.

Perform your duties impartially, in furtherance of the aims of the NMHA. Do not use your position or influence to further purely personal objectives.

Police Records Check Policy

1. Effective Date

This NMHA Policy is effective April 16, 2001.

2. Policy Objective

The Nepean Minor Hockey Association is committed to creating and maintaining a safe environment for its participants. An integral part of the NMHA’s screening process for volunteers and employees is the use of Police Record Check (PRC) to identify any person (volunteer or staff) who may harm children or vulnerable adults.

3. Policy Statement

It is NMHA policy that:

Volunteers and employees working closely with players and holding positions of Authority be screened utilizing Police Record Checks (PRCs);

The PRC is a mandatory personnel-screening tool;

PRCs are required for each volunteer and employee once every three years;

NMHA volunteers and employees must complete the PRC process, at the very latest one month after assuming their respective roles in the NMHA. Every effort should be made to complete the PRC process before an individual assumes their respective role in the NMHA.

4. Application

The PRC application is available on our web site www.nepeanhockey.on.ca Individuals not able to make the NMHA date for police checks can request via email, or pick up the letter from the office to confirm that they are a volunteer and take it directly to the police station.

5. Policy Requirements

(a) Individuals submitting applications for volunteer positions or employee positions must complete

Consent for Criminal Records Check form. Applications that are incomplete or filled out incorrectly will not be considered until revised accordingly;

(b) NMHA Directors must complete Consent for Criminal Records Check form within two months following the Annual General Meeting in May. Directors failing to complete the form within the required time frame will relinquish their respective appointment to the NMHA Board of Directors;

(c) NMHA employees, coaches, assistant coaches, managers and trainers must complete Consent for Criminal Records Check form within one month after assuming their respective NMHA role. Individuals failing to complete the form within the required time frame will relinquish their NMHA role;

(d) The NMHA President is responsible for the screening of office staff and all members of the NMHA Board of Directors, ensuring that each and every individual completes a Consent for Criminal Records Check form prior to conducting their respective role in the NMHA;

(e) NMHA Directors are responsible for the screening of volunteers and staff, within their respective areas of responsibilities, ensuring that each and every individual completes a Consent for Criminal Records Check form within one month after assuming their respective role in the NMHA;

(f) The NMHA Director of Risk and Safety is responsible for the processing of Police Record Checks on behalf of the NMHA through local police forces;

(g) PRCs that result in a positive hit indicates that the individual has a conviction for a criminal offence and/or has a pardon for a sexual offence;

(h) The NMHA Director of Risk and Safety will contact any individual who receives a positive hit to request a confidential, written disclosure of their Criminal Record. This information will then be brought forward to an NMHA Committee consisting of the NMHA President, Vice President and Director, Risk and Safety. A hearing will be held to discuss the matter and to assess the relative risk(s) to the NMHA, particularly from the players’ perspective, taking into consideration the position held by the individual, the nature of the offence and the time frame of the conviction. Where appropriate, the Committee will utilize the services of the local police community to provide advice. The Committee will determine an appropriate course of action, including, but not limited to, the suspension and/or release of the individual from their NMHA responsibilities. The individual will be informed of the results within twenty-four (24) hours of the decision having been made. Decisions that result in the release of individuals from their NMHA responsibilities will be forwarded to the ODMHA Chairperson, Risk and Safety Committee in the interest of preventing high risk individuals from involvement in another minor hockey association within the ODMHA;

(i) Refusal to provide written disclosure of a criminal record or any record of a sexual offence (including a pardoned sexual offence) will cause the individual to be ineligible for a volunteer position within the NMHA. In addition, the ODMHA Chairperson, Risk and Safety Committee will be advised accordingly.

6. Monitoring / Records

(a) The NMHA Director, Risk and Safety will maintain a master list of individuals who have completed the PRC process within each three year period;

(b) The NMHA House League and Competitive Programs Directors will provide the NMHA Director, Risk and Safety with updated and accurate lists of all volunteers associated with each team each season in order to cross reference names so as to ensure compliance with the program. These lists should be made available as soon as individuals are assigned volunteer responsibilities;

(c) The NMHA Registrar will provide the NMHA Director, Risk and Safety with a copy of each team list as they are approved to facilitate the maintenance of the master list.

7. Frequently Asked Questions (FAQs)

7.1 Does the use of Police Record Checks as part of the NMHA screening process suggest that

volunteers can’t be trusted?

No. The use of Police Record Checks addresses the fact that people seek out voluntary organizations to cause harm. Like most forms of insurance, PRCs are designed to prevent theft, property damage and physical and emotional abuse.

7.2 What should a volunteer know about screening?

Individuals should understand that the screening process is confidential and is not dependent on the applicant but on the position being filled. Screening ensures the best match for the position is made and vulnerable individuals are protected.

7.3 I’m on the NMHA Board of Directors. Do I have to be concerned about screening of volunteers?

Absolutely! The NMHA Board of Directors is ultimately responsible (and as a result, potentially liable) for the services and programs run by the NMHA. It is in your best interests, as well as those that the NMHA serves, to establish ground rules that guide staff in designing appropriate screening measures.

7.4 On what basis can an organization refuse an applicant for a volunteer position?

An applicant can be refused if his or her interests and experience do not meet the requirements of the position or if their background makes them unsuitable to work with vulnerable people.

Getting Information from Parents / Guardians

Collect general player information such as name, address, home and cell numbers, email addresses. Be sure parents complete the confidential Medical Information Sheet also attached to this document.

Some tournaments may also require that you show a copy of a player’s birth certificate as proof of age.

Giving Information to Parents / Guardians

Establish an efficient method of communicating information to parents. Open lines of communication between Manager and Head Coach are essential to ensure smooth running and consistent messaging to parents. Parents will need to be up to date on:

Game and practice schedules: Now both online under “Schedules” under the House League tab on the website o Game schedules are generally available for all or half of the season o Practice schedules are generally available in 3 to 6 week blocks

Events, parties and tournaments Email is preferred: It’s a great idea to send weekly updates to parents. Keep a running tab of information to send out once per week, including the upcoming weekend’s schedule, forms or payments due, etc. Set up a team website: Team websites can be set up to send out event/game/practice reminders automatically. Coach Evaluations

Parents will be asked for feedback on the coaching staff twice during the season – mid-season and end-of-season. Divisional Directors will provide Head Coaches and/or Managers with a link to an online survey for completion. Head Coaches, Assistants, Trainers and Managers get evaluated. It is important for team staff to develop with constructive criticism or positive feedback. Parents/guardians should be encouraged to complete the surveys in a timely manner.

Section 4 – Budgets

Team Fees

Teams can collect a maximum of $350 per player in extra fees (over and above hockey registration fees). Team fees can be collected in one or two installments. Team fees are used in booking tournaments, team events, and paying for items such as a first aid kit, coaching supplies and the sweater deposit. See the attached budget template for an idea of team expenses. Team fees must be collected by December 15. Team fees are not optional, based on player participation in tournaments are parties.

o Managers and/or Head Coaches should notify the Divisional Director immediately if there is difficulty collecting team fees.

Financial Assistance

Parents or guardians may work at the NMHA Bingo to help offset a portion of team expenses. The Financial Assistance Form is available either from the NMHA website or it can be provided to families with the form attached. Fundraising

There is information on the NMHA website and at the Hockey Office on fundraising events and activities teams can use to raise money to offset team expenses. Fundraising revenues are to be reported to the NMHA on the team financial statements.

Managing Team Finances

Team Banking Procedures (September 2014)

The Nepean Minor Hockey Association (NMHA) has approximately 135 House League teams, and 24 Competitive teams go through its system every hockey season. Listed below is the team banking procedure the association has set for each team manager to follow. Banks in the Nepean area are fully advised on how our teams are to operate their banking. The procedure is as follows:

One team bank account, with chequing and deposit book privileges only.

ABM cards may be issued on a deposit-only basis on the team account (no withdrawals under any circumstances).

Request a Community Service account to avoid banking fees.

Each team bank account requires two signing authorities and cannot be the coach, assistant coach or anyone related to the coaches, including spouses. Typically it is the team manager and team treasurer.

The team cannot represent themselves as the NMHA, as we are a separate entity. The account is to be open under the team name. For example: NMHA Atom A Team B. The NMHA claims no responsibility for the team’s banking activities. All teams are to operate their bank account for the current season and is responsible to close their bank account promptly once all of the financial affairs are taken care at season’s end, no later than June 1. Under no circumstances are our teams to facilitate banking through personal accounts. The NMHA does reserve the right to audit the team finances at any time. All financial documentation encompassing the team would be required to be turned over to the NMHA Audit Team.

Opening a Bank Account

Teams should open a bank account as soon as possible once formed. Some local banks will offer low-fee Community Accounts. To set up the bank account, teams will need the following:

Banking Letter (available upon request) from the Divisional Director, Convenor or HL Manager Liaison.

A co-signor: Someone from the team who is not already a member of the coaching staff. Team cheques will require two signatures. Neither Head Coaches nor their spouse/partner are permitted to be a signing authority on team bank accounts.

Check the NMHA website for further policies on team bank accounts. The NMHA team banking procedure document is included in this document.

Important:

Bank accounts cannot be in the name of the NMHA or a sponsor.

Account names/team cheques need to include: NMHA DIVISION & TEAM LETTER – for example, Peewee B Team K

Do not use the NMHA’s address on the bank account. The address should be that of the Manager or Treasurer.

Accounts must be closed and cashed out (refunded) to parents at the end of the season, when all expenses are paid. Deadline: June 1.

ABM cards can be used on a deposit-only basis.

Budget Guidelines

1) Prepare a team plan and budget in consultation with the Head Coach (sample attached). An excel template is available from the Manager Liaison upon request. Have a meeting with the parents/guardians to outline the team’s plan and budget for the year. Submit a copy of your budget to the Manager Liaison after it has been presented and reviewed by the parents/guardians.

2) Prepare one Preliminary and one Interim Financial Statement for the parents/guardians (October and December is a good time for this). Also submit both to the NMHA House League Manager Liaison.

3) Prepare a Final Financial Statement for the parents/guardians at year-end. A copy is to be submitted to

the House League Manager Liaison.

Section 5 – ODMHA Policies

Obtaining Your Official Team Registration List

The NMHA Registrar will generate team lists as early as possible after teams are formed. All teams require an ‘official’ signed-off team list to participate in tournament and league games. The following steps are to be followed, with steps 1 and 2 being completed within 2 weeks of team formation.

1. Head Coach or Team Manager to complete Official Team List template as found on the NMHA website under Forms (http://www.nepeanhockey.on.ca/html/PoliciesAndForms.html). This list will contain:

i) Names and sweater numbers for all players on the team, identifying goaltenders, and any players who are referees.

ii) For each member of the coaching staff, including the trainer and manager, name, address, date of birth, and any applicable certification number (coach or trainer), and any other NMHA team for which the member may volunteer.

2. The Team Manager will send the completed template to the NMHA Registrar at [email protected], copying the Convenor and Divisional Director.

3. The NMHA Registrar will create the team list, and advise the Team Manager that it is ready for signatures.

4. The Team Manager will arrange for the team list to be signed by each player, as required, and will

submit a signed copy to the NMHA Registrar to keep on record.

Changes throughout the season (for example, player movement due to team balancing) require the NMHA Registrar to be notified, and an updated copy of the official roster will be issued. Anyone who will be on the ice or behind the bench must be listed for coverage under the Hockey Canada insurance policy. Each team covers 4 adults for house league and anyone above that number will have to pay an extra fee of $50 per additional person. The cost is to be included on the team budget.

Affiliated Players

Minor Affiliation Rules as Set out by the ODMHA

The highest-level district association in a district (geographical sub-division as defined by the Ottawa District Minor Hockey Association or, ODMHA) will be recognized as the top association within the district’s club system. All other minor hockey associations within a district will automatically receive the designation of club system. Players from within the association’s club system are permitted to affiliate to the higher level/category. The movement of players within a district’s club system will only be permitted in an upward movement as per the following examples:

A player may move up to a higher level i.e. Peewee to Bantam;

A player may move up to a higher classification i.e. “C” to “B” to “A” to “AA”;

A player is not permitted to play below, either at their age level or designated letter classification;

Players within a district are not permitted to move from association to association except to play at a higher level available within a specific district.

Minor Associations are permitted to select one (1) affiliation option. The available options are:

The NMHA has chosen the Club System. This provides no restrictions on player affiliation other than the movement must comply with the NMHA Affiliation Policy described in this section, be upward as described earlier, and that Hockey Canada’s regulations on dates must be followed. A letter from the ODMHA President stating that Nepean is a Club System can be obtained from the hockey office or the House League Manager Liaison.

General Affiliation Information

The purpose of affiliation is to the higher category team the opportunity to ice the maximum allowable roster for every game.

Affiliate players are the property of the lower category teams on which they have been registered. Each time the higher category team wishes to use a player, they must obtain permission of the Head Coach of the lower category team.

Each player has a maximum of 10 (ten) games as an affiliate, total for all teams. Only regular season and playoff games count toward this limit. Tournament games do not count.

Goaltenders are only counted towards the limit, when they play in the game. Sitting as backup does not count as an affiliated game.

Teams and players will be advised when a player approaches the limit by the Affiliations Director.

Teams participating in out of Branch tournaments would be well advised to verify the in Branch regulations of the Branch to which they are traveling.

New for 2014: NMHA House League Affiliation Policy

What follows is the NMHA policy for affiliation within House League. This policy does not supersede any reporting requirements for affiliates as mandated by the NMHA. The NMHA supports affiliation as a means for players to develop their skills by playing for a higher level team. However, in a recreational league, it is important to balance player development and League parity. The general rules for affiliating players are outlined in Hockey Canada Regulation E and ODMHA Rules and Regulations, Section 8.0 and Appendix B. The NMHA policy fits within these rules, but it has been made more restrictive to meet the needs of a large House League organization.

Skaters will be able to affiliate “up” in age or category or both age and category.

o For example a Peewee “B” skater will be able to affiliate to a Peewee “A” team, or a Peewee “B” skater may affiliate to a Peewee “A” team, a Bantam “B” team or a Bantam “A” team.

The affiliation of House “A” skaters to higher-age House “B” teams is not permitted.

o For example a house Atom “A” skater cannot affiliate to a house Peewee “B” team.

The number of skaters used in a game cannot exceed the number of skaters on the official team roster.

o For example, a team with 15 skaters on their official roster cannot dress more than 15 skaters including affiliates.

Goaltenders are the exception to this policy.

Failure to comply with this policy will result in sanctions against the offending team, up to and including loss of points in the standings and suspension of the head coach.

Requesting & Reporting an Affiliate

The following process will be followed when an affiliate is requested.

1. Requests for affiliation will be made to the Divisional Director, Convenor and Affiliations Director at [email protected] (Dawn Demers), as well as Head Coach of affiliate’s teams (if a specific player is being requested)

Do not make affiliation requests directly to players and/or their families. It is critical that the proper process be followed to ensure the eligibility of the player so that coaches, teams and players will not incur sanctions as a result of player ineligibility.

2. Requesting coaches will be informed of the player’s availability and eligibility.

3. Affiliated players used by a higher division/category team, shall be designated on the official game sheet by the symbol “A/P” after their name on the players line-up or roster.

4. Important: Every affiliation must be communicated to the Divisional Director, Convenor and the Affiliations Director via [email protected] as follows:

There remains a requirement to notify and obtain agreement from the affiliate's regular coaching staff each time of your intention to use a player; this ensures that suspensions and other issues are known and respected. To this end the following guidelines must be followed: Where there is an event conflict, the following schedule of event priorities should be used.

The team with the highest event priority will take precedence.

Where the event priorities are the same, the player’s regular team will take precedence. 1. League or playoff game 2. Out-of-town tournament (where roster is depleted) 3. In-town tournament game 4. Practice 5. Exhibition game 6. Off-ice team event

Similarly, coaches using affiliated players must notify the affiliate's regular coaching staff following a game should injuries or suspensions occur. Team officials must respect this policy and make no effort to discourage affiliated players from participating with affiliated teams as a result of its implementation.

Team Travel

A travel permit must be filled out and signed by the NMHA President, or designate, for any trip outside the Ottawa District. These forms are available on the ODMHA website via the NMHA website. Teams travelling to the USA will require the regular travel permit as well as the US permit, found on the NMHA website under Forms at http://www.nepeanhockey.on.ca/html/PoliciesAndForms.html. The permit may be filled in and forwarded via email to the President and/or District Chair to sign. They will sign it and send it back to the requesting team. If a parent/guardian does not go on a trip with their child, have a Permission to Travel form signed by the parent/guardian. Forms can be obtained from the NMHA website or the House League Manager Liaison upon request.

Remind families about medical coverage particularly when travelling to the U.S. (it is inexpensive and very worthwhile). They should be sure that the insurance policy covers playing a sport such as hockey.

Special Events

If you are planning a Special Event that needs your team to be insured off-ice, please fill out the Special Event Request Special Event Request Form, and send it to Hockey Eastern Ontario (HEO). You only need this when you are requested it from the person you are renting from. Section 6 – Game Related Information and Reporting

League Information

Game Sheets

Game sheets are provided free of charge from your Divisional Director/Convenor for all league games. Additional game sheets can be purchased at the hockey office for $0.60 each. The home team is responsible to see that the game sheet is made out in plenty of time to give the opposing team the opportunity to fill their section out before game time. Names can be printed, or labels made. Game sheet labels can be generated and printed off your home computer. Avery template #5163/#8163 works well. The home team is responsible to obtain the white copy of the game sheet after the game and ensure the league receives it. It can be handed in to the hockey office during office hours, or slid under the door if the office is closed. The Head Coach needs to check the game sheet after the game for any suspensions of players or coaches. The suspensions must be reported to the Suspensions Director, the Divisional Director and/or Convenor, and it is the Head Coach’s responsibility to ensure that the suspension is served.

Suspensions

All suspensions must be reported as indicated below within 24 hours of the suspension.

The Ottawa District Minor Hockey Association has developed a Code of Discipline (CoD) that must be

adhered to by all Associations within the District. The CoD is published in an ODMHA handbook and

directory which is usually available shortly after the season starts. A copy of this handbook will be provided

to each team. The CoD is also posted on-line at http://www.odmha.on.ca/documents Team staff should

become familiar with the CoD, as the responsibility for ensuring it is followed rests ultimately with the head

coach and team officials.

All suspensions must be reported to the Suspensions Director at [email protected]

immediately along with the Convenor and Divisional Director. Game sheets showing the offence must also

be scanned and emailed in to the Suspensions Director. If teams are unsure as to whether an infraction is

suspendable, it should be reported to err on the side of caution. Any infraction over a 2-minute minor

penalty must be reported. Infractions which may incur a suspension include:

misconducts (M), game misconducts (GM), gross misconducts (GRM), and match penalties (MP).

Reporting a Suspension

1. Notify: Immediately notify the Suspensions Director at [email protected] and the

Divisional Director & Convenor of the suspension.

2. Game Sheet: Provide a scanned copy or picture of the game sheet showing the infraction.

3. Suspension reporting will be done online by the Divisional Directors through the suspension reporting database, found on the home page of the NMHA website. All suspendable infractions against players and team officials will be entered into the database. The suspension reporting database will determine the minimum suspensions (if any) and notify all applicable discipline representatives.

4. Suspensions served must also be entered in on the game sheet and in the database. On the game

sheet, suspended players name should be crossed off the game sheet with the words “Susp” written beside the player’s name. At the bottom of the game sheet, under the Suspensions section, please ensure the player’s name is written, along with the number of games served / number of games

suspended, for example, 1 of 2, or 2 of 2. Referees will validate this by initialing the score sheet. It is important to note that the score sheet is the ‘official record’ of the game, and proves that a player has served a suspension.

It is the Head Coach’s responsibility to ensure suspensions are served. A player under suspension who

appears in a game results in an automatic 5-game suspension for the Head Coach under ODMHA

regulations. Appeals of suspensions should be submitted to the hockey office along with a fee of $100 per

player. If you win your appeal, half the fee will be returned to the team. Note that any suspension remains

in effect until an appeal is heard.

Section 7 – Risk and Safety There are a number of basic safety practices that must be followed:

Each Coach will ensure that, under no circumstances, will a player be allowed on the bench without his or her equipment (this is an insurance stipulation that is mandatory). Injured players that want to be on the bench must wear their equipment.

It is required that Coaches wear helmets at practice or whenever on the ice (see ODMHA Helmet Regulation).

Adhesive tape, stickers or paint should not be put on the player’s helmet or goalie’s mask.

Remember to complete an accident report whenever a player is injured and return it to the hockey office immediately.

We are all responsible if we don’t play safe. There is a Risk and Safety Manual in the Hockey Office should you require further information.

Dressing Room Security

Ensure that dressing rooms are locked during all games and practices to avoid theft. Also, ask players not to bring valuables to the arena. At some rinks, teams will be expected to leave car keys in order to obtain the dressing room key. The Team Manager, or designated parent, should always have the dressing room unlocked promptly after the game or practice so that the players can go directly in and avoid any potential problems in the hallway. Also, someone should ensure that the cleanliness of the room. The condition of the dressing room should be checked before it is occupied by your team, as well as after all players have left. Look for articles left behind, and make sure there is no damage. Any damage to a dressing room should be reported to the rink attendant immediately. This is good public relations for the NMHA. The Risk and Safety Director of Hockey Eastern Ontario (HEO) has stressed the need for supervision of dressing rooms while players are in attendance before, during and after games or practices. Due to the need to ensure player safety and reduce the potential for player injuries in the dressing room while changing, HEO has adopted the following policy to be followed by all Coaching staff during the hockey season. Team Officials are responsible for the safety and welfare of their players at ALL times during any sanctioned event. This definitely includes while players are changing in the dressing rooms both prior to and after on-ice activities. HEO covers this repeatedly in all clinics, and it is specifically addressed in the Respect in Sport course, given that supervision is the single most effective method of prevention when it comes to conduct-based issues. It is stressed to every volunteer to practice the “two-deep” method of supervision which means having at least 2 adults (who have taken Respect in Sport or Speak Out) providing supervision at all times during the sanctioned event. This not only protects the players, but also the Team Officials. The NMHA has adopted this policy and will adhere to it for the hockey season. If an incident occurs and proper supervision was not provided, this may result in sanctions against the individuals involved up to and including suspension.

Accident & Insurance Information – Hockey Canada Injury Report

Hockey Canada has a program of General Liability and Accidental Medical Treatment insurance which are described in the booklet Safety Requires Teamwork. It is strongly recommended that team officials read this booklet. It should be noted that the insurance provides coverage for registered players and team officials for certain limited medical/dental and disability claims. It is not a comprehensive medical or disability policy and will not pay complete medical expenses or loss of wages in the event of a disabling injury.

Whenever an accident occurs, a Hockey Canada Injury Report must be filled out no matter how minor the injury. Please remember to do this and return it to the NMHA hockey office within 48 hours. Also include a copy of the game sheet (where appropriate).

Please read the guidelines set out by the ODMHA.

Hockey Canada Injury Reports must be submitted within 90 days of the date of injury in order for a claim for expenses to be made. The Hockey Canada Insurance program is the secondary insurer - this means that a claim must be submitted first to any other plan available through an employer or independent provider.

Helmet Regulation

Hockey Canada, our national governing body, has a safety rule for all on-ice people at practices. Approved helmets are mandatory!! Coaches, assistant coaches, trainers, managers, and any parent volunteers must wear a helmet. There are no exceptions to this rule. Specifically, the ODMHA regulation is as follows: 13.0 Helmet Regulations

Effective September 1st, 1999, any coach, trainer, assistant coach or volunteer who is on the ice at practice must wear a CSA approved hockey helmet affixed and securely fastened to their head.

1. First Offence - Any on-ice participant found to be in violation of this regulation will be given a

warning by a person in authority. This warning may be verbal or written, and shall be reported to the District Chairperson

2. Second Offence - An automatic suspension from all hockey activities until a formal hearing is held by the District’s Discipline and Appeals Committee.

3. Third Offence - An automatic suspension from all hockey activities until a formal hearing is held by the ODMHA Discipline and Appeals Committee.

Goaltenders are required to wear commercially available neck protectors and throat protectors (commonly referred as "cow catchers") at all levels in the ODMHA, unless the goaltender’s helmet is equipped with a Type 3 facial protector distinguishable by a blue sticker bearing the CSA certification mark.

Only approved stickers supplied by the helmet manufacturer can be affixed to helmets. The team must be able to provide proof from the manufacturer that they are approved upon request.

All helmets require ear protection.

Emergency Response / Action Plan (EAP)

Each team should implement an Emergency Action Plan (EAP). The EAP consists of three (3) designated people who will have specific roles in case of emergency. These roles are explained in the following pages. Alternates will be needed in case of absence. The EAP needs to be completed and returned to the Hockey Office by the end of November. The team will maintain an Emergency Sheet with Emergency numbers which will be carried to all games and practices. The three individuals in the EAP are:

Person in Charge

The Person in Charge would normally be the Trainer on an individual with the most specialized training in injury care. The duties of this person include:

Initially take control and assess the situation with the injured player.

Instruct the player to lay still.

Instruct the bystanders to move away from the injured player.

Not to move the player or remove any equipment.

Evaluate the injury situation. This could be as simple as a sprained finger or as serious as an unconscious player. Determine the extent of the injury and the need for an ambulance or further medical care.

If an ambulance is not required, determine the best action would be to remove the player from the ice surface.

If an ambulance is required, signal the Call Person, give a brief description of the injury and instruct them to call an ambulance.

Once the call is made, carefully observe the player for any changes in condition remembering to stay calm and reassure the player until medical services arrive.

Throughout the situation always keep an even tone in your voice.

Call Person

This person is responsible for making the call when emergency services are required. This person should be someone who is normally present at all games and practices. This person should not be responsible for the bench and typically watches from the stands. The Call Person’s responsibilities include:

Knowing the location of emergency telephones or pay phones in all facilities that the team uses.

Carrying a list of emergency numbers both for local and any out-of-town locations. For out-of-town locations, verify if 911 services are available. The Call Person should have a list of emergency numbers in their possession at all times or use the one in the team’s First Aid kit. These numbers must include: Police; Fire; Ambulance; Hospitals and General Emergency. If the Call Person does not have a cellular phone or if cellular service is not available, then ensure that they have change for the pay phone.

Awareness of the best route to and the location of the facility that the team is using.

Communicating with the Person in Charge to determine and assist with emergency help and notification.

When making an emergency call, please remember:

Always speak calmly and clearly.

State to the dispatcher that this is a medical emergency.

State your location, name, arena and its address.

Give an explanation of the emergency (e.g. is the person conscious or unconscious, is there any bleeding, is respiration normal etc.).

Give the dispatcher the telephone number from which you are calling in case they require further information or have someone wait by the phone.

Provide the dispatcher the best route to the facility or enlist the help of someone that could give directions.

Ask for an estimated time of arrival for the ambulance.

Remain on the line until you are certain that the dispatcher has all the necessary information and your call is transferred.

Report back to the Person in Charge to confirm that the call has been placed and the estimated time of arrival of the ambulance.

Control Person

The Control Person is responsible for controlling the crowd and other participants to ensure that the EAP is executed effectively. The Control Person’s responsibilities include:

Ensuring that team-mates and other participants and spectators are not in the way of the Person in Charge and the injured player.

Informing the Officials, Opponents and Arena staff of your EAP.

Ensuring that there is a proper room to attend to the player if it requested by the Person in Charge or Emergency Personnel.

Ensuring that the route for the ambulance to reach the injured is clear and available and them directing them to the injured player.

Seeking highly-trained medical personnel (e.g. doctor or nurse) if the Person in Charge feels that the injury is serious and needs immediate attention and cannot wait for the ambulance to arrive. This can be done by a loudspeaker or by having arena staff ask throughout the facility.

Exhibition Games

Organizing teams must provide and pay for on-ice officials and timekeepers for exhibition games. Payment is made directly to the referees, in cash, 10 minutes before the game. Please try to have the correct amounts for each individual official as indicated by the schedule on the following pages and can be found at www.nmharefs.com under Pay Rates. Include the assigning fee with the “referees” payment.

To request referees and/or timekeepers, please have your Divisional Director or Convenor contact the Referee and Timekeeper Assigner. NOTE: If the officials do not show, please advise the referee and timekeeper assigner directly.

Section 9 – Other Information

Special Events & Year End Party

In some cases a Special Event Request must be completed for team events where the team needs to be covered under Hockey Canada insurance. Such instances may include team facility rentals where the facility is requesting proof of insurance. Hockey Canada has a list of events that are approved. The Special Event Request List can be found on the NMHA website. Insurance coverage for each event is for registered participants only. Many facilities have their own insurance (amusement centres as an example). Examples of activities approved include dry land training, some fundraising activities, bottle drives, and bingos. Notes and conditions are provided for each approved activity. Examples of activities not approved are parent-player hockey games, dunk tanks, and car rallies. The events & parties are the fun part of the season. Consider holding events at community field house, a sport complex, a restaurant, or amusement centre. Don’t forget gifts & awards for year-end!

Souvenirs

The NMHA office has a large selection of souvenirs. Most teams buy pins for tournaments against teams outside of the NMHA. When ordering souvenirs from the office by team there is a discount.

Publicity for Teams

You can highlight tournament successes as well as seasonal play along with a team picture. The Barrhaven Independent and other neighbourhood papers welcome articles from minor hockey. Also, you can post on the NMHA website. Send team news & photos to the House League Manager Liaison.

Parents and Players Game

Parent/player hockey games are not permitted as parents and players will not be insured by the CHA.

Raffles

Here are the steps required to hold a raffle for team fundraising.

Fill out the required City of Ottawa application form;

Create a mock-up of the ticket minus the license number;

Contact the NMHA Accountant, Warren MacDonald and Gail Wistaff. Two authorized NMHA officials will have to sign it.

Take the signed application, ticket mock-up and application fee cheque (issued by NMHA on their gaming account) to:

Bylaw Services Assistant 101 Centrepointe Drive, 3rd Floor

Have the draw, disperse the prize(s);

Fill in the proceeds form;

Provide the proceeds form and a team cheque for the proceeds to the NMHA office for deposit into the NMHA gaming account;

Once the city confirms that they have your proceeds and approve it, NMHA will issue a payment cheque to the team less the City of Ottawa license fee and a $10 NMHA fee.
