LOCAL CHAPTER ADMINISTRATORSWHERE DO I START?

Congratulations on your role as the local chapter administrator for your BDPA chapter. This is an awesome role with a lot of great tools to empower your chapter in engaging your members, communicating with your constituents, and sharing information relative to your BDPA chapter. In addition to managing your local website, as the local chapter administrator, you will be the focal point for: electronic communications sent from the National BDPA website to your members; management of the document library for your local chapter; and managing the look and feel of your local chapters’ online presence.

So let’s get started!

First, log into your BDPA account on the National BDPA website entering your username and password.

After signing in, your My BDPA menu will be presented as shown below, click the “Groups” link.

Signon to the system with your user name and password.

Select Groups from the right navigation bar.

The Groups Link takes you to the Groups you have administrative rights to.

Once in My Groups, you may see multiple groups based on your permissions in the system. The groups that have a small person icon are groups that you are an administrator for. The gold star designates your primary group.

Select the group you are interested in administering by clicking on the name (normally your chapter name).

You are now looking at your chapter’s landing page or home page layout.

You should see a gray bar across the page that says ‘Group Admin Options, Change Homepage Layout, and Resource Manager’

Change Homepage Layout – is used to modify the look and feel of your chapters landing page or home page. This is totally customizable per chapter but at a minimum, should conform to the published Home page guidelines.

Resource Manager – is used to manage photos and files that are used for the homepages. All documents need to be uploaded before inserting them to a page.

Select Group Admin Options

The following list of options will display: Content Management; Calendar Management; Photo Management; Blog Management; Forum Management; Member Management and Member Communication.

Now, let’s drill deeper into each of the submenu options.

CONTENT MANAGEMENT Homepages Options – allow you to edit the landing page of the local site. Group Homepage Layout – allow you to edit the web-parts that you would like to see on the

page. Custom pages – allow you to add as many pages as you like to your local site. File Library – allow you to create folders and files that can be used for collaboration with

members of the local site.

SNAPSHOT – CHEAT SHEETFrom this menu, you can perform multiple actions regarding your chapter.

This section is not designed to be a website development lesson. It is an overview of functionality.

Content Management section is used to development the web pages of your local site.

Homepages Options – allow you to edit the landing page of your chapter.

The Group Short Description will appear when a visitor hovers over your local chapter

Upload a file - In order to add a photo or attach a file to the homepage you will need to upload that data prior to inserting it onto the page.

The homepage welcome text is the section where you add the text for your home page. You can add tables/rows to the space to divide the content into sections for clarity. You can edit the font sizes and color just as you do in word.

Group Homepage Layout

Allow you to edit the web-parts that you would like to see on the page.

The sections can be added or removed from the layout.

Or you can move the sections on the page to either side.

Custom pages

Allow you to add as many pages as you like to your local site. They will have the same web-parts as the homepage layout.

You can have as many pages as you like.

Links to the additional pages can be linked from the home page by added a hyperlink.

Visitors can also be directed to that page by providing the URL.

You can also determine if the group page can appear in the menu.

File Library

Allows you to create folders and files that can be used for collaboration with members of the local site.

Edit permissions can be added to contributors and or viewers.

CALENDAR MANAGEMENT View Dates & Events – allow you to see all dates and events created in the local calendar. Add a New Date – allow you to add a date to the local calendar. Add a New Event – allow you to add an event to the local calendar including RSVP and

payment information.

Calendar Management section is used to add, update and delete dates and events on the local calendar.

View Dates and Events

You can view all of the dates and events that were created for local calendar.

They can be scheduled to appear on the calendar at a certain time.

Events can be monitored for RSVP and attendance.

Add a Date to the Calendar

Dates can be added with the start and end times and a short description to the calendar.

Add an Event to the Calendar

Events can be added with the start and end times along with RSVP and payment options for the event.

Events can be added to the calendar at any time.

The start and end dates and times along with detail description and instructions for the event are included.

RSVP options are available that allows you to register and track event attendees.

Directions can also be included by selecting the map.

Reoccurrence settings are also available for events.

Events can be added and hidden from view until needed.

Events can be activated and inactivated when needed.

PHOTO MANAGEMENT Manage Photo Albums – allow you to manage your photo albums. View All Photos – allow you to view all photos. View Pending Photos – allow you to view photos that are pending approval (Orange circle). View Accepted Photos – allow you to view photos that have been approved (Green circle). View Rejected Photos – allow you to view photos that have been rejected (Red circle).

Photo Management – this section is used to manage photo albums, view and approve all photos posted by members.

Photo Gallery

Can add and delete photos. Can view all photos at once. Select photos that should be

added to an album.

Upload photos

Photos can be uploaded to the gallery from any file folder.

Photo captions and tagging are also available.

A multi-file upload applet is also available.

Manage Albums

Photo albums are used to sort photos based on an event or group page. You can rotate albums throughout your pages.

Please Note:Files must be in JPG, GIF, or PNG image format. Additionally the images must be in standard RGB Color (CMYK images are not web compliant and are not an acceptable color format).

File Size Restrictions: No single file or batch upload larger than 30MB.

Personal Photo Album: Images will be uploaded to your personal page and visible to other community members. You may manage photos uploaded to your personal photo album at any time.

Group Photo Album: Images are posted on the group homepage you have selected. If you are a group administrator, or if the particular group allows images to be posted without review, then your uploaded images will be visible immediately. Otherwise they will need to be approved before being visible to other members.

Photo Approval

The local admin can determine if all images uploaded to the photo section should be approved first or not.

If the setting is set to request approval first, the admin will get a message requesting approval for images.

This page is used view pending photos and to accept or reject photos.

Images that are uploaded via the photo management section are separate from images uploaded via the Resource Manager. The photos uploaded to the resource manager are used as images that are part of the web page not part of the photo album.

Blog Management and Forum Management TBD (We haven’t found anyone using these capabilities so do not have any information on them as of yet).

MEMBER MANAGEMENT View Current Member – allow you to view all active members of the chapter. View Pending Member – allow you to view any members who have requested to join the

chapter. View Membership Log – allow you to view actions members have taken in your chapter. Export Group Members – allow you to export the active members of your chapter into a CSV

file.

Member Management – This section allows you to view current members and pending members. View membership log and export group members.

View current member

This is a view of all of the active members of your chapter.

You search for a member using first or last name.

You will need to be connected to each member in order to access their member profiles.

View Pending member

This is a view of members who has requested to join your member group.

All BDPA members across the chapters can request to join your group.

However, this does not make them a primary member of your chapter. It only allows them to access your group site information.

View Membership Log allows you to view member activities within your chapter.

Export Group Members

This option exports all the data of your Active members into a CSV file that can be saved to Excel.

Several fields are available including: Web_Site_Member_ID, Is_Member?, Email_Address, Title, First_Name, Last_Name, Organization, Primary_City, Primary_Postal_Code, Primary_Phone, Date_Membership_Expires, Primary_Address_1, & Member_Type

Member Connections – you can instant message or email members of your local group.

Message group

Is the same as instant message within a system.

When you message the group, a notification will appear on the member’s profile.

Members will have to sign on to the system and read the message from their profile page.

Email all group members

This option allows you to email all members of your group active or not.

Members will receive an email to the email account specified on their profile.

You can only email the members of your local group.

MEMBER CONNECTIONS Message Group – allow you to send an “instant message” to all group members. Email All Group Members – allow you to send an email to all chapter members, active or not.
