I would like to take this opportunity to say what a great job the management and staff of the Renmark Hotel did during the recent National Conference of the Association of the Independent Retirees held at the conference centre in Renmark.The delegates and members from all over Australia were very impressed with the friendliness and professionalism shown by all involved from the manager down to the youngest waitress. confirmationA booking is confirmed by signing the terms & conditions form and forwarding the requested deposit after menu and beverage requirements have been agreed upon. Upon clearance of the payment a confirmation letter will be sent to you and your function booking will be confirmed. If the deposit and registration form are not received, management reserves the right to cancel the tentative booking and allocate the space to another client.A deposit is calculated at $500.00 or 20% of the estimated function food charge, whichever is greater. Deposits can be paid by credit card, cash, eftpos or cheque. We accept American Express, Diners, Bankcard, MasterCard and Visa.

paymentThe terms and conditions form signatory is liable for payment of all charges associated with the function. Company or personal cheque cannot be accepted less than seven (7) days prior to the event. Full payment for the function must be made prior to the conclusion of the function unless other arrangements have been made.

cancellationNotification of cancellation must be in writing to receive a refund of any prior monies paid.If you decide to cancel your function, the following conditions apply:• Notice of 30 days or more prior to the function, deposit will be refunded in

final function detailsInformation regarding room set-up, menu and audio visual equipment is required fourteen (14) days prior to the function:• Up to 100 guests – the confirmed number of guests attending the function

• 101 to 200 guests – the confirmed number of guests attending the function is required by noon eight (8) days prior to the event for catering and billing purposes.

• More than 200 guests – the confirmed number of guests attending the function is required by noon twelve (12) days prior to the event for catering and billing purposes.

Should a confirmed number not be received by seven (7) days before a function the attendance indicated in the Terms & Conditions form will be taken as final and will be charged accordingly.

entertainmentThe Functions Manager must be informed if external entertainment is to be sourced by the client and provide details of style and requirements, power required etc, of the entertainment. Any external entertainment, sourced by the client, must be informed of Renmark Hotel policies and procedure regarding noise levels and time frames as per entertainment section of “Client Responsibilities”. Venue access & availabilityThe venue hire allows you early access to the function room prior to your function, depending on other functions booked. It is the responsibility of the client to advise the Functions Manager of any additional access requirements.function roomsFunction Rooms that are booked for exhibitors and/ or displays will be charged at full rates in accordance with the current room hire charge rates.The client must submit plans for exhibition and all other set-ups produced by outside contractors and must obtain approval by the Functions Manager thirty (30) days prior to the function.All functions must operate within recognised Fire Safety Regulations.

deliveriesDeliveries must be clearly marked and should be made to our Reception in the Hotel section of the complex. Please advise our Functions Manager in advance of any goods that will be delivered to the Hotel.

foodSection 3.2.2 of the Food Safety Act does not allow food stuffs, not fully prepared and cooked on the Renmark Hotel premises, to be consumed at any function. Externally prepared foods may be accepted, by negotiation, but full contact details of the producer must be supplied. All externally prepared foodstuffs will be tested, as per the Food Safety Act requirements, on delivery and will be rejected should full compliance not be met. Externally prepared wedding cakes will be accepted provided full contact details of the producer are supplied. The Renmark Hotel accepts no accountability or responsibility for any product supplied by a third party.

responsible service of alcoholAll guests must adhere to current laws of the Liquor Licensing Act 1997. Any function that will have guests under the age of eighteen (18) must be accompanied by parents or guardians. Minors (guests under the age of 18) are not permitted on the licensed premises after midnight, as per Liquor licensing Act 1997, and must vacate the premises.Responsible service of alcohol• The Renmark Hotel management and staff actively support the responsible

service of alcohol.• The Renmark Hotel and staff are obligated by law to abide by all relevant

legislation relating to service and supply of liquor, and this is reinforced and practised in daily operations.

• Management and staff of The Renmark Hotel are trained in the responsible service and supply of alcohol, and a register and copy of the statements of attainment of all staff are kept at the venue.

minors• Minors will not be permitted to enter premises unless exempt under the

Liquor Licensing Act 1997 or must be accompanied by an adult or guardian. Additionally, minors will not be served alcohol. Minors are not permitted on licensed premises after 12 midnight and must vacate the premises.

Service of alcohol will be refused to any person who cannot produce appropriate evidence of age. Staff are trained in the acceptable evidence of age. Only the following types of ID will be accepted where there is any doubt that a person is under 18:• A current driver’s licence or learner’s permit (valid with photo)• A current passport (from any country-valid with photo)• An Australian government-issued proof of age card (18+ card)• Foreign driver’s licence with photo and date of birth of licence holder. Where

a foreign driver’s licence is not written in English, an international drivers permit issued in the foreign country of origin and including a photo of the license holder and translation) must be presented with the foreign driver’s licence.

Anyone obtaining alcoholic beverages for consumption by minors will be removed from the premises. Management will support staff that practice and enforce ID checking.

unduly intoxicated and disorderly patrons• Licensing laws prohibit liquor supply to disorderly, unduly intoxicated and

underage persons.• Patrons showing signs of undue intoxication or disorderly behaviour will

be refused service and will be asked to leave the premises. The Renmark Hotel will not tolerate any harassment of patrons or staff of any kind and offending patrons will be asked to leave the premises. Management support staff refusing service for unduly intoxicated patrons.

The Renmark Hotel does not accept responsibility for damage, or loss of, any client’s property left in the premises. Please advise the functions department when anything is being delivered prior to your event and safe storage will be arranged.Any damage caused to the hotel property fittings during a function is the financial responsibility of the client. Use of walls for display material and nails, staples or tape attachment to floors or ceiling is not permitted.entertainment• We can access entertainment for you if required or you may engage your

own. We would appreciate you supplying details of the style of entertainment you have booked but reserve the right to reject the selected entertainment should it be deemed inappropriate. Hotel Management must be informed of any additional equipment to be used as part of the entertainment, specifically but not exclusive to smoke making machines. The client will be liable for any costs incurred by the Hotel should the fire alarm system be activated through any actions by entertainment contractors.

• Noise levels from entertainment in any area are not to exceed 8Dba above ambient room noise and the client will be responsible for adhering to any request from Hotel Management to reduce noise levels. Any entertainment sub contractors engaged by the client are to be made aware of the noise level requirements before the function and must adhere to any request from Hotel Management to reduce noise levels.

• It is a requirement of the Renmark Hotel’s Liquor License that the noise levels are reduced to 4Dba above ambient room noise after midnight. All entertainment is to terminate at 1.00am unless by prior arrangement.

• Renmark Hotel Security personnel will be required at all 21st birthdays or at any other event Management deems necessary. A charge of $35.00 per hour, per security member, will be incurred by the client for such events.

annulment of agreementShould Renmark Hotel be prevented from implementing its services due to circumstances beyond its control (such as power failures, fire, flooding, natural disasters, strikes or acts of god) the said agreement or service will be made null and void at the discretion of Hotel Management.
