Proposal Overview.The objective of this proposal is to design and develop a website is to reflect the NGO image of “Gabungan Wawasan Generasi Felda” aka GWGF over the Internet. The solution proposed is a comprehensive solution to bring GWGF into the virtual cyber world. We propose the solution to broken down into 3 phases as listed below

Phase I : Corporate Website

Phase II : Community Portal

Phase III : Customer Relation Management (CRM)

The solution proposed is a package that provide GWGF the tools and equipment to cater for the public and your members.

Phase I consist Corporate Information Website. A web portal develop purely to provide information the NGO Operation, Organization and etc. The idea is to separate the community access system from corporate system. This part of the system shall be access by Media, and the Public at Large.

Phase II consists of an Interactive Portal to service GWGF members, the system shall be develop based on a Social Community System the enhance instructiveness of its members. The concept of the system works like facebook by deploying such solution we believe members shall actively communicate and interact , thus updating their profile and GWGF members database shall constantly be up-to-date. Optionally with XCHG expertise and experience GWGF may have the option to interact with FaceBook API to strengthen Promotion and Public Awareness towards GWGF initiatives.

Customer Service and Support

Recognizing that service is an important differentiator, organizations are increasingly turning to technology platforms to help them improve their clients’ experience while aiming to increase efficiency and minimize costs. [5] Even so, a 2009 study revealed that only 39% of corporate executives believe their employees have the right tools and authority to solve client problems.“. [6] The core for these applications has been and still is comprehensive call center solutions, including such features as intelligent call routing, computer telephone integration (CTI), and escalation capabilities.

Non-profit and Membership-based

Systems for non-profit and membership-based organizations help track constituents and their involvement in the organization. Capabilities typically include tracking the following: fund-raising, demographics, membership levels, membership directories, volunteering and communications with individuals.

Many include tools for identifying potential donors based on previous donations and participation. In light of the growth of social networking tools, there may be some overlap between social/community driven tools and non-profit/membership tools.

The site map Phase I proposed site map is drawn according to a Corporate web site requirement. We think there are still a few ways to improve it, especially when the web site is in development phase. The changes in development phase will discuss more upon the award of this project.

Overview of Phase II – Member Interactivity Portal via CMS

XCHG in-house Content Management System (CMS) solution that will help you build websites and other powerful online applications.

XCMS is used to power everything from simple, personal homepages to complex corporate web applications.

XCMS can be used to easily manage every aspect of your website, from adding content and images to updating a product catalog or taking online reservations.

The information based portal built through a an OpenSource Based CMS uses mySQL Database Structure and runs over a linux Platform to ensure quality and reliability.

This phase consists of a lot of integration with other system, Implementation of this phase shall take a longer time due to the different system involve currently in GWGF network.

The portal is equipped with basic CMS management tool call XCMS basic functionality such as member management, content update using WYSIWYG interface, Picture Gallery archive and the database shall contain all full information of GWGF to support the corporate portal.

The interface for the Interactive portal is develop based on required modules which shall be discuss in detail on what is truly required by GWGF, application

such as online registration, membership management, newsletter broadcast, member email broadcast is just some of the features which has been deployed in the engine script.

The portal’s engine develop can be integrated with other database application. As an example a user could check his or her status for loan application, outstanding amount of loan taken and etc.

XCMS application is built to cater for many types of users. It can also handle the access level of the user which mean the administrator of the system could allow or promote different managers or others administrator for other branched to handle the same database. Multiple languages can also be implemented.

At first glance, you will appreciate user interface improvements. The XCMS Administrator

is more refined and the main menu simplified. The global configuration was substantially

reworked for simpler presentation and greater control. An important improvement for our

international community is having XCMS's entire Administrator available in one's own

language using language.

XCMS administrators will find a number of improvements in ease of site management. A

single installer is available for all extension types, including languages.  The media

manager is improved visually and functionally. Images, documents, presentations, and

more, can now be stored. Other improvements include multi-delete capability, batch file

uploads, and an ability to view media in icon and list formats.

The core article manager is simpler. Gone are dual editor areas from XCMS 1.0. Now, a

single editor with a "Read More" button for separating the introduction from the full

article, supports a more natural writing process.

One of the more significant functional improvements are search engine friendly URLs,

easily implemented within the global configuration. With SEF URLs in place, system

Overview of Phase III – Customer Relation Management (CRM)

What is CRM? CRM is short for Customer Relationship Management.

CRM is a broad term that describes methods used by companies to manage their relationships with customers, including the acquisition, storage and analysis of customer information. The aim of CRM is to create added value for both customers and suppliers on the basis of long-term business relationships. Within a well-implemented CRM system (software or otherwise) the customer relationship is strengthened at all customer touchpoints and tailored to the customer in order to increase loyalty and decrease defection.

Briefly discuss your needs with our Developer and Designer. Based on the information you provide, our we will supply you with a rough estimate. Please note that this is not a final quote, but only an estimate of the time and type of work involved in creating your desired site.

XCHG Technology will provide you with a precise quote after a more thorough information gathering process.

Project portalYou will be required to pay the balance up to 50% of the revised total cost of project, and a project portal username and password will be provided to you. If, for any reason, you choose to terminate the website development process during the design phase, XCHG Technology will keep the 50% deposit. If you decide to terminate the project after the design phase has been completed (i.e. during the production phase), you will be obliged to submit the full payment as outlined in the quote.

Project portal is a web application where you can login and communicate with our assigned project leader anytime. You can check your project schedule, share / create task, share calendar, and even check the Gantt chart. The project portal is where you track your project progress, approve changes and communicate with us.

Concept designUpon your written approval of the proposal XCHG Tech’s design team will create an initial concept designs. The concept will include a sample web page (or multiple pages, depending on the nature of the site) with general marketing, branding, navigational and layout ideas. Concept designs will serve as potential directions in which our team will further develop the site.

The files will be presented in sample website, and will be delivered no later than 10 business days following approval of the proposal. All subsequent revisions during the design phase will be delivered within 10 business days following receipt of the mobilization fee

Professional SEO serviceSearch engine optimization (SEO) is the process of improving the volume and quality of traffic to a web site from search engines via "natural" ("organic" or "algorithmic") search results.

SEO efforts may involve a site's coding, presentation, and structure, as well as fixing problems that could prevent search engine indexing programs from fully spidering a site.

Effective SEO may require changes to the HTML source code of a site, SEO tactics will be incorporated into all XCHG Technology web site development and design to make sure the web site is "search engine friendly".

Email hostingEmail address is included with our hosting plan. If you are hosting with other party, you may have the email hosting from the third party.your approval to proceed.

Website productionBased on the approved concept and direction from our design team, our programmers will begin production of your site. During this phase all coding will be implemented.

Please note that revisions will be possible through project portal at this stage, however, the amount of changes need to be acceptable. In special cases, when more complex coding is involved, longer production period than proposed will be required.

In these instances, you will be notified of the estimated production time. In order to have your new site launched as soon as possible, we advise you to submit your final payment during this period.

Site launchAfter production is complete – and upon payment of your balance – your site will be launched within 48 hours. Any problems or technical issues will be dealt with immediately.

MaintenanceXCHG Technology provides a four-week testing period after the site launch. During this time any technical issues will be resolved at no cost. After this period, XCHG Technology’s obligations under the contract will be deemed fulfilled and the contract concluded. The web project portal will remain open for customer to update us for any changes.

Additional site changesAny changes to the website following the testing stage and conclusion of the contract will be charged separately. XCHG Technology offers a hosting and maintenance package which will accommodate basic changes to the site (text and project photos) at any time.

Agreement for Web Site Development This Website Development Agreement (“Agreement”) is made as of the Acceptance Date between XCHG Technology (“Design Firm”) and (The “Client”): Gabungan Wawasan Generasi Felda (“GWGF”)

DESCRIPTION OF PROJECT AND PROCESS

1. XCHG Technology reg.no.001459715-U , referred to here as "Design Firm", will plan, design, and code a web site for the individual or corporation named above, referred to in this document as "Client", to the specifications in the attached SITE SPECIFICATION.

2. The estimate included here covers only that which is described in the SITE SPECIFICATION. Additional work will result in additional charges. Additional work is defined as the addition of pages, graphics, or other significant features, any graphic, page design, or actual page requiring more than two rounds of revisions, revisions to text content provided ready for publication, changes to elements which have been finalized, or significant changes in plan, scope, or direction of project. In this case, Client will be provided with a written CHANGE ORDER including an estimate for the additional work.

3. The process for the creation of visuals, such as graphics and page designs, consists of Design Firm providing drafts and asking for feedback from Client; the feedback is then used to produce another draft. This estimate assumes that 2 rounds of this process for each design element will suffice.

4. Text content will be provided by Client as final drafts ready for publication and in digital form. Graphic content will be provided by Client in an orderly manner and clearly labeled as to desired use on site.

5. To maintain our portfolio credentials, and the integrity of any applicable copyrights, Design Firm shall be entitled to place an unobtrusive credit with a hypertext link ("Web Site Design by…") in the footer on each page of the web site. Design Firm is also entitled to reproduce samples of Client’s web site in our portfolio and in any marketing materials.

6. Design Firm may use qualified subcontractors under our supervision for any or all work on this project.

ESTIMATE AND PAYMENT ARRANGEMENTS

7. Design Firm estimates that the cost for producing the site described in Phase I will be as mention in the Proposal

8. Payment shall be made as follows:A deposit of 50% of estimated total which, is due upon signing of this Agreement, before work begins;

The final 50% payment (adjusted again for changes in estimate if necessary) is due upon completion of site as specified, before site is published on the Internet.

9. If the production process takes longer than 60 days, billing will switch to semi-monthly and will be based on hours expended, while still honoring this estimate, with invoices sent mid-month and at month's end.

10. In the event of the cancellation of this assignment, or any delay of more than 90 days, we will invoice you for the greater of either: (1) all work completed up to the date of notification, based upon the percentage of the project finished, including expenses; or (2) 20% of the agreed-upon estimate plus expenses, and this contract shall be considered fulfilled by Design Firm. All incomplete work will remain the property of Design Firm. All payments already made will first be applied to these charges.

OTHER LEGAL AGREEMENTS

11. Design Firm will maintain the confidentiality of Client’s source materials, technical and marketing plans and all other sensitive information.

12. Design Firm and Client agree that any dispute arising out of this Agreement shall first be resolved by mediation, if possible. This contract was entered into in Malaysia , and any necessary arbitration or litigation will take place in this county.

13. Copyright to web documents produced by Design Firm for Client, including page designs, their source code, and the unique assembly of these elements which constitutes a web site, shall be retained by Design Firm. Design Firm agrees not to use these page designs, or significant recognizable portions of them, as part of any other published work. Upon full payment of all invoices due, Client is fully licensed to use and freely reproduce these products for his own purposes; however, this license may not be re-sold or transferred to any third party. Secondary materials created by Design Firm during production, including drafts, plans, graphic source files, and templates, remain the sole property of Design Firm.

14. Client is solely responsible for the editorial content of the material included on its website. Accordingly, Client agrees that it will defend and indemnify (hold harmless) Design Firm from any suit, demand, or claim resulting from the editorial content of the website.

15. Client represents to Design Firm and unconditionally guarantees that any elements of text, graphics, photos, designs, trademarks, or other artwork furnished to Design Firm for inclusion in Client’s web site are owned by Client, or that Client has permission from the rightful owner to use each of these elements, and will hold harmless, protect and defend Design Firm and its subcontractors from any claim or suit arising from the use of such elements furnished by the Client.

16. Design Firm will set up web hosting for Client with a professional hosting company known to be reliable. However, Design Firm makes no guarantees as to minimum "uptime", nor shall Design Firm be held responsible for any direct, indirect, special or consequential damages resulting from possible lapses in hosting services. Such possible damages include any lost profits or business interruption or loss of digital data.

17. Design Firm will not be liable to Client or to any third party for any damages arising from the use of web site.

18. If any provision of this agreement shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from this agreement and shall not affect the validity and enforceability of any remaining provisions.

19. To be valid, this Agreement must be signed within 30 days of Acknowledgement of receiving date, and be accompanied by a deposit check of the amount specified above.

20. To be valid, this Agreement must have an attached SITE SPECIFICATION document, initialed and dated by Design Firm and Client.

21. This Agreement may have attachments consisting of one or more initialed and dated CHANGE ORDERS, whose terms shall become part of this contract.
