Beta-i Association is a non-profit organization focused on the promotion of entrepreneurship and innovation. We’re an independent, grassroots, collaborative, informal and passionate organization made of multidisciplinary and dynamic associates. Our aim is to contribute to a stronger culture and entrepreneurial ecosystem and to help startups grow and succeed. We base our activity in two main areas: events and acceleration programs. We’re responsible for events like Beta-Talk, TEDxEdges, Silicon Valley comes to Lisbon and SandBox Global Summit, and for accelerations programs like, Startup Weekend, Beta-Start (http://beta-start.com). We’re supported by various other organizations, and partner with a vast network of associates and volunteers.

Position Summary

The Events Project Manager (EPM) is responsible for coordinating the production & operations

of all main Beta-i events. The EPM will report to the Boar of Beta-i and to the chair of each

event, in articulation with the strategic task force and team of volunteers. The main event are

Beta-Talk, TEDxEdges and Silicon Valley comes to Lisbon, but will also give support to minor

events related to Beta-i acceleration programs like Startup Weekend, Beta-Start and

MassChallenge Europe.

Position responsibilities

1. Coordinate the event production of TEDxEdges 2012 and Silicon Valley comes to Lisbon 2012, including the coordination of the team of volunteers and facilitation of strategic task force meetings

2. Report to Beta-i Board to the Chair of each Event Strategic Task Force 3. Coordinate relations with all subcontractors and (in-kind) Sponsors & Partners 4. Attend and follow up on potential fundraising and partnership meetings 5. Coordinate all relevant Event areas like: communication & media, IT, websites,

curation 6. Support curators activities, by propose and following up on proposed speakers,

trainers, mentors 7. Secure proper budgeting and financial control of all events, support and articulate with

Beta-i CFO 8. Support the production of MassChallenge Europe events. 9. Coordinate volunteer groups to help organize events successfully 10. Prepare and participate in meetings with prospective and clients/ sponsors of events. 11. Track and analyze international Beta-i media exposure, including development of a

web/print clips archive. 12. Assist in the development of systems to manage incoming data, including user stories,

supporting quotes, and best practices. 13. Update and improve the Beta-i (and its events) stakeholders database and web sites. 14. Create/ Update the Beta-i database, including our press and staff pages as well as

other major changes to the public relations. 15. Research prospective media or speaking opportunities. 16. Respond to public inquiries as required; possibly interface with journalists and media. 17. Create draft press releases, community announcements, blog posts. 18. Support creative services contractors as needed. 19. Create support resources and seminars that help Beta-i build core skills including

volunteer recruiting, event organizing, fund-raising, communications, financial management and governance

Required Qualifications

● Graduated from university, from economics, management, marketing, engineering fields with some professional experience.

● Familiar with international world class events around innovation, creativity,

technology and entrepreneurship, like TED, and TEDx concept and willing to learn

everything about those kind of conferences.

● Exceptional verbal and written communication skills and interpersonal skills are a must.

● Experience working with or as part of large volunteer communities is a major plus, where most members will be working online.

● Experience editing with or using wiki-based or web2.0 collaborative software, or strong willingness to learn.

● Ideal candidate would have experience developing partnerships between not-for-profit organizations in a global context

● Comfort with a wide variety of communications tools is a must: for example, mailing lists, instant messaging, facebook and twitter.

● Interest in Beta-i and its entrepreneurship spirit spreading mission. ● Strong computer skills (Microsoft Office, Web applications, experience with design

software like Adobe Illustrator is a plus). ● Must be able to work well with people with a very wide diversity of demographic and

cultural characteristics. ● Must flourish in an environment that is highly transparent and collaborative and

sometimes ambiguous. ● Ability to commute to Beta-i offices in downtown Lisboa all working days of week. ● Pluses: project management experience (e.g. you have organized events, conferences,

etc), basic knowledge of marketing and design.

Salary: Fixed salary + productivity bonus + transportation and meals daily allowance.

Type: Full -Time Job.

supporting the growth and health of the Beta-i association and its community; able to

get things done through quality of interaction and persuasion rather than through

hierarchical power

● Effective organizer: Creates a range of opportunities/ approaches/ events that bring people together to strengthen the Beta-i events; willing to experiment with new ideas

● Data-driven: Is on top of the data about the events and their activities; subjects her/his own approaches and activities as well as those of the team to rigorous analysis; willing to stop doing things that prove to be ineffective based on the data

● Willing to travel: Periodic travel to engage Beta-i projects and attend national

conferences; (3-6 national/international trips per year)
