Job Title: Marketing and Sales Administrative Assistant
Hours of Work: 21hrs/week (0.6 FTE) – across 3 – 5 days - timing can be flexible
Contract: Reviewed annually (12 months initially)

Background to the role:We are recruiting to an exciting new position to support a growing area of business within a dynamic, vibrant, forward thinking charity. This post has been created to be a first point of contact for clients that purchase our resources, training and school sessions, arrange the related logistics and administration. This includes liaising with trainers and those clients that book or attend our training on travel, logistics and other basic, essential information.
Basis Training is part of Basis Yorkshire, a charity that empowers women and young people to make positive choices, specifically young people who are being sexually exploited and female and transgender sexworkers. Basis Training products relate to these topics and help extend the impact of the charity by improving the work by other professionals around the country while at the same time generating an income for the charity, This role will play a vital support role for the Business Development Manager, who is responsible for the sales and marketing of Basis Training products for the charity.
Role Description (summary):Working closely with the Business Development Manager to coordinate the administrative and sales tasks, (including booking processes, arranging logistics, travel, printing information packs), and the provision of management information to the generation of income and raising awareness by Basis Training.

Main Responsibilities
First point of contact for sales enquiries via email and telephone calls about training, awareness raising workshops for schools and/or resources (DVDs)
Administration relating to training delivery , including confirmation and booking, including travel details with clients and trainers, coordination and production of relevant training packs and dispatch of resources
Liaison with trainers and/or Business Development Manager training material is up to date and produce these in Powerpoint and/or Word as required
Provide logistic support for in-house training events, including hospitality and equipment
Update training calendars with key event data Administer data input and undertake customer analysis , training
bookings and feedback based on current information management systems, including Lamplight database system and Excel
Administration of client invoicing, liaising with the Finance Manager and Business Development Manager, as required
Support the Business Development Manager to ensure marketing and communication material is up to date, including leaflets, website and social media (Facebook and Twitter)
Support the development of promotional marketing campaigns, including identifying new opportunities to promote Basis Training and to directly market based on desktop marketing research
Professional practice and development:
Operate within the values, policies and practices of the organisation Comply with client confidentiality principles, including relevant Basis
Yorkshire policies, specifically in relation to clients using any of the services of Basis Yorkshire as well as being responsible for the security of personal and confidential information in line with Data Protection regulation
Proactively work to continually improve the quality of the service, identifying where improvements could be made.
Participate in regular staff meetings, supervision and training. Support citywide procedures to safeguard children and vulnerable
adults (when applicable) Comply with the organisation’s Equal Opportunities policy and ensure
that this is reflected in all aspects of work. Evaluate own practice and identify areas of development by agreeing
appropriate objectives with line manager and as part of the appraisal process.
