About College
Shri M D Shah Mahila College of Arts & Commerce was established in 1968. It was started with the aim
of providing educating facilities to girl students. The establishment of a women’s institute came as a
blessing to many worried parents who had to choose between sending their daughters to far - off places
and cutting short their education.
Shri M D Shah Mahila College of Arts & Commerce is perhaps the only institution in the suburbs of
Mumbai to offer education in four languages namely, Gujarati, English, Marathi and Hindi. From a mere
total count of 160 girl students in 1968 the number has grown up to 2500 in Degree College and nearly
6000 in Junior college.
The college offers courses in the faculties of Arts and Commerce with various discipline components.
Besides, it also runs several professional courses like BMS, BCA, BMM & BAFI and Certificate Courses
in Interior Designing, Fashion Designing, etc. Established in 1968, the college today offers Post-
graduation Degrees in Economics, Hindi and History as well as M. Com. The Management is thus
oriented towards making higher education accessible to the girl-child irrespective of any prevalent social
or economic problems. The institution is pro-actively engaged in curtailing several limitations that a girl
child faces in contemporary society in her attempts to educate herself.
PREFACE
Academic and Administrative Audit (AAA) is an essential tool to measure excellence in Higher Education. It can be
understood as a scientific and systematic method of reviewing the quality of academic process in the institution, an
adequate tool to measure the adequacy of academic input. It is related with the quality assurance and enhancing the
quality of academic activities in HEIs. It may also include evaluating the efficiency and effectiveness of the
administrative procedure wherein an assessment of policies, strategies & functions of the various administrative
departments, control of the overall administrative system etc. is evaluated.
The academic audit provides an opportunity for a regular strategic overview of a college’s teaching-learning
process. The process of academic audit involves three stages: self-study involving understanding the teaching-
learning process, peer review and evaluating the self-study and the peer review.
It enables opportunity to assess the following-
Is the teaching-learning process fulfilling the expectations of all the stakeholders?
Are adequate operating, administrative procedures and practices, systems, etc. in place?
Is the curriculum attuned to the requirements of the work environment?
The purpose of an academic audit is to encourage departments or programs to evaluate their “education quality
processes” – the key faculty activities required to produce, assure, and regularly improve the quality of
teaching and learning. An audit asks how faculty approach educational decision-making and how they organize
their work, using the resources available to them and working to provide a quality education in the best
interests of the discipline and student learning. The audit expects academic departments to-

PROMOTION OF QUALITY CULTURE
Quality enhancement is a continuous process and the promotion of quality culture is the main focus of
IQAC. It becomes a part of the institution’s system in realizing the goals of quality sustenance and
enhancement. The prime task of the IQAC is to develop a system for conscious, consistent and catalytic
improvement in the overall performance of institutions. For this, it will channelize all efforts and
measures of the institution towards promoting academic and administrative excellence.
The IQAC is a facilitative and participative apex unit of the institution. It has the potential to become a
tool for ushering in quality enhancement by working out a planned strategy to remove drawbacks and
enhance quality. The basic task of the IQAC is to –
Set up the documentation process in motion
Create awareness
Generate confidence
Evolve formats for information and data
Streamline the work schedule
Draft quality status reports
All the strategies are related to the improvement of academic, administrative, financial and other
related tasks. It is the duty of the IQAC to guide the institution in completion of the above mentioned
basic tasks. Enhancing the culture, production and execution of teaching-learning procedure is one of
the most important functions of IQAC. For imparting quality education, the IQAC should see that
modern methods of teaching and learning are introduced and there should be proper integration and
optimum utilization of the same. It is also responsible towards generating research ambience,
encouraging research outputs in staff and students; and expanding better services to all stakeholders
of the institution. Not only that, it is also the duty of the IQAC to ensure that such tasks are done
efficiently and in a progressive manner.
Thus, the IQAC develops a system for conscious and consistent improvement in the performance of the
institution so as to achieve quality. For the betterment of the same, a definite quality culture should be
developed among the persons, which will help them understand that the organization is for their survival
and betterment.

them to acquire knowledge about social issues apart from that which is imparted in the
classrooms. Such an activity provides opportunities to students to explore various sources of
knowledge. Thus it fosters a spirit of inquiry among students.
Weak and advanced learners are provided guidance about the techniques of paper writing. Weak
students are encouraged to discuss their difficulties. Topics that are difficult to understand are
explained in a simplistic manner. Methods for remembering complex and confusing topics are
devised. All these efforts contribute to improving the academic performance of the students in
general.

Alumni pursuing higher education are invited to share their experiences with the students. Besides,
those who have enrolled for other courses are called upon to guide students about the same as well

Ms. Geeta Patil participated in the faculty development programme on ‘Statistical Analysis for
social Science Researchers organized by IQAC & Department of Psychology of Maniben
Nanawati Women’s college, sponsored by ICSSR Western regional Centre.
The staff Ms. Geeta Patil & Mr. Amitabh Seth tried and applied for admission to the Ph.d program
at University of Mumbai,
Mr. Amitabh Seth applied for Minor Research Project to the UGC
The department began the certificate course in the academic year 2015-16 “Academic &
Behavioural Concerns of School Children”, for students.
More Community based activity –
Visit to Assisi Bhavan & Visit to halfway homes were organized as a part of community based
activity where students collected some money and donated to Assisi Bhavan, an old age home.
They also entertained the inmates there by performing some cultural programme. Whereas during
visit to half way home students donated fruits to inmates and spend some quality time with them.
The counseling cell run by the department was made open to the parents and relatives of the
students as well as neighboring community.
Organizing Workshops & Seminars –
Seminar on Ageing Gracefully was organized for staff & students.
Students were also send to participate in the two day seminar on “Love and relationship in the
Modern Era” organized by Mind Mandala in collaboration with D’Souza Foundation at National
College

Students are briefed on various careers after BA Psychology. They are also been given the
requirements to join along with the address. As there is demand by students to organize a
workshop on Decision Making, it was planned in month of September but now got postponed for
second semester.
Department has started sending students for aptitude testing & according to their aptitudes students
are send for further education or certificate diploma courses.
From 2018-19 batch two students completed their ECC diploma while doing BA final year.

Skill Development Programme can be arranged
Certificate course on Financial Markets & Stock Exchanges.
Certificate course on Financial Markets & Stock Exchanges was conducted for students in the month of January 2017 for a duration of 30 hours with 47 students benefited from the course. After competition of the course the participants were awarded certificates. The Course was conducted in collaboration with BSE, Broker’s Forum.
Self-Employment Workshop
The department has conducted one day workshop for students on "Self-employment" to enhance the employability capacity in them. The beneficiaries of the program were the students from BA II and III classes. An eminent personality Mrs. Jagrutiben Shah was invited to demonstrate before our participants how to make paper ornaments, envelopes and decorate them so that they can earn money even while studying.

One day National Level Seminar The Department of Economics has organized National Level Seminar on “Impact of GST on Indian Economy”. Dr M. I Patel graced the function as chief-guest and key speaker. Dr Jitendra Sangavi, CA Kevin Shah, CA Bhikibhai Shah and CA Mahendra Turakhia were the eminent resource persons of the seminar. There were more than 25 papers presented by research scholars in the seminar. One day International Conference The Department of Economics in collaboration with JJTU and SPDT Skills Development Centre, has organized One day Multidisciplinary International Conference on “Innovation in Education” on 28 April 2018 in Surajba hall. Delegates from foreign university and 150 teacher participants from all over the country were participated in the conference. The Vice-Chancellor of JJTU Prof. Tiberewalla graced the conference. The Keynote address was delivered by Dr. Mohan I Patel, President Janseva Samiti. Dr. Deepa Sharma, Principal of the college welcomed the dignitaries on the desk. The Conference focused on various areas of innovation in the field of education.

Training program in collaboration with techno serve- The department has organized Training program for students in collaboration with techno serve-business solutions. 37 students of our college form commerce stream have completed 100 hours of training course on personal effectiveness, communication and career readiness, they are also undergone individual counselling during this program. 12 students have got placements in different companies after training. Based on the opportunities and suggestions the following steps were taken by the department:
Can have some certificate course
1) The department recognized the need for training / certificate course on Presentation skills
& Academic English. A proposal for certificate course to improve students’ in oral skills was
planned.
Can inculcate research aptitude among students by organizing Research paper reading
competition
2) The department started a Read On programme intending to inculcate reading habit in
students. Students read literary pieces and discussed in separate sessions organized throughout the
year.
Can start foreign language learning classes for students
3) English itself is a huge challenge instead of focussing on foreign languages it was decided to
devote attention to the LSRW skills in English.
Can organize more National level seminars and workshops
4) The department sent a proposal to UGC for sponsoring a National Seminar. Tentatively
the theme was to conduct it on expressions in short–stories post the 1950s.

ATR: On February 11th, 2017 (12 DC students and 3 teachers) visitedSnehaSagar orphanage as part of
Share – A-Moment during the English Week.
The Audit suggested the following:
Focus on learning outcomes
ATR: The English week is a week long programme intended to encourage students to transform syllabus
related learning in a competitive atmosphere in events like essay writing, poetry recitation, constructing a
picture and so on. Opportunities are also developed to expose students to literary discourses.

Based on the weakness and opportunities the following steps were taken by the department:
Faculty members & students need to undertake extension work & field work for social causes
ATR: The students of the department have been trained for an e-teach programme by Bombay
Community Public Trust (BCPT). Under this programme students will teach in Municipal schools
and NGO run educational institutes.
Must ensure greater contribution & participation of alumni
ATR: The department plans to invite Alumni for Experience sharing sessions
Sign MOUs with other institutions for student exchange programs
Ensure enrolment of students from other states & also who are disabled –inclusive approach
ATR: 14 physically and LD students studying in UG programs are supported by the teachers with
extra coaching and alternative evaluation schemes.
Additional help needs to be extended to the students for their course material, notes

and notes via student’swatsapp group. In addition the teachers have uploaded study material on the

1) Ms Anagha Shingade is pursuing Ph.D from S.N.D.T Women’s University from 2018-19

4) To search for various institutes and companies that can provide funding for Research
4) Workshop on coaching mentoring to students for competitive exams will be conducted in the month of January

5) Workshop will be conducted on vocational courses internship & placement in month of Feb 2020
6) Information about Incubation Centre was given to the students and were encouraged to enroll for the courses

Audit Report of the Administrative Office – 2017-18
An audit of the Administrative Office was conducted on 19th June 2018 for the
academic year 2017-18. The Committee puts forward the following
observations for future action:
Strengths
1. Inward Register is maintained
2. Register for stationary and purchases is maintained
3. Separate cash book for General Receipts and for UGC fund is maintained.
4. Separate cash book for self-financing programme is also there.
5. TC and Bonafide Certificate counter foils is maintained.
6. The details of scholarships received by the students from Government is
maintained
Suggested Areas for Improvement 1. A site map may be displayed at the entrance of the office.
2. Name of each counter may be provided.
3. Purchase order Register is maintained but can be improved by putting in more
details of vendors
4. Dead stock is maintained but is not upto date due to major repairs and
renovations going in the college
5. Register for fee collection needs to be maintained properly for regular and self-
financing programs
6. Admission Register is maintained but needs to be improved with day
todayaccurate admission position
7. The details of scholarships and fellowships available and distributed should be

displayed at prominent places to inform the students.
Following issues were under progress/ not addressed-
1. The site map to be displayed at the entrance of the office is planned but not
displayed due to major renovation and repairs.
2. Name of each counter is not provided due to renovation.
3. Dead stock is maintained but is not upto date due to major repairs and
renovations going in the college
4. Although service provided to students is improved, more work needs to be done
in the area
5. Online admission process needs to be further improved
6. Issues of results still occur due to multiple constraints but should be addressed

7. Details of posts sanctioned from time to time and the details of staff who are working in each
such post is maintained.
8. Register for stationary and purchases is maintained well.
9. Dispatch Register is properly maintained
10. Quotation register is maintained
11. Separate cash book for General Receipts and for UGC fund is maintained.
12. Admission Register is maintained properly for regular and self-financing programs.
Suggested Areas for Improvement 1) Although a separate office for Self-financing courses is there, better place and storage should
be provided
2) Dead stock is maintained but is not upto date due to major repairs and renovations going in
the college
3) Scholarships, Educational concessions/installment facility should be documented in Register
or e-copy.
4) Although a detail of scholarships received by the students from Government is maintained
the details of donations for fees received by Non-government agencies should be maintained
properly.
5) Results’ issues have been addressed but still can be done with proactive approach and
promptness.
6) More diversification of work portfolio and hands-on training among office staff required.

AAA CONCLUSION
On the basis of the audits conducted and /or arranged by the IQAC, the analysis highlights at the
following conclusion –
The institution has a healthy and constructive practice of auditing the academic and
administrative departments annually.
Variation in the auditing process – internal audit, intradepartmental audit and external audit -
of the academic audits is again a good practice.
Majority of the Departments have worked on the suggestions & taken appropriate actions.
The overall results of the audits show a steady improvement in the way in which the teaching
–learning process is executed and the administrative functioning works. However, the
following pointers must be adhered to-
Active learning with practical application of theory should be encouraged
Departments should work collaboratively
Departments should collect data to find out students’ need.
Departments should continually and consciously strive to improve teaching and
learning.
Faculty should seek out good practices in comparable departments and institutions
and adapt the best to their own circumstances
