Accommodation

Accommodation is available at the Village Hotel, Swansea on a bed and breakfast basis for those who have pre-booked during registration only. Please check your registration to confirm the nights you have booked. If you have not booked accommodation, please book directly with the venue, or at alternative local hotels.

Guest names and details have been passed onto the hotel as part of a group booking. No reservation details are needed on arrival.

If you are checking into your hotel accommodation on Monday 15 April, you can collect your keys from the Hub Café vicinity, near the IOP registration desk from 15:40 – 16:10. If you are checking in outside of this time and date, please collect your keys from the main hotel reception desk.

Registration will be located just outside the foyer area, and will be open during the following times:

On arrival, each attendee will receive a delegate pack which will include a printed programme*, delegate list*, a pen and pad and conference badge.

*pre requested during registration only

Please wear your badge at all times because this will help with security, catering and enable you to identify your fellow delegates. Replacement badges can be issued at the registration desk at a cost of £2.50 each.

Payment

The organiser reserves the right to refuse admission to any participants who has failed to pay their registration fee in full prior to the start of the event.

Notice board

A notice board will be placed near the registration desk. Participants should check the board for the latest programme updates and conference information.

The conference dinner will consist of a 3 course meal, held in the Inspiration Suite.

Presenter instructions

Oral presentations:

The session room is equipped with the following audio-visual equipment:

• LCD (screen and projector) • Microphone and PA system • Laser pointer • PC/Laptop • Stationary

Speakers are requested to bring their presentation on a USB memory stick in either Office 2010 powerpoint or .pdf format and preload it onto the PC/laptop located in the lecture theatre. Speakers should save their presentation into the appropriate pre-named session folders pre-set on the desktop and files should be saved by speakers surname and initial.

To optimise compatibility, particularly for the inclusion of multimedia components, speakers should include the original files so that it can be re-embedded if necessary. Direct connection of personal laptops (with set up in the

break prior to the corresponding session) is an acceptable, but not preferred alternative. Mac users should ensure that they bring the correct connection cable (VGA) with them.

Poster presentations

Posters will be on display in Inspiration Suite 2 and the foyer area with dedicated poster sessions as scheduled in the programme.

Presenters with an odd poster number should present in the Monday poster session. Presenters with an even poster number should present in the Tuesday poster session.

Please note that during poster sessions, authors should stand close to their boards to answer questions and facilitate discussions on their work. If you are presenting a poster please ensure that you display your poster on the board number that matches your poster number in the programme.

Posters must be no larger than A0 in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. If your poster does not fit within these dimensions, we cannot guarantee it will be displayed. Fixing material will be supplied.

All posters can be mounted from 15:40 on Monday 15 April and removed by 11:00 on Thursday 18 April. Fixing material will be supplied.

Conference APP

The conference has its own dedicated conference mobile app with information related to the programme, exhibitors and sponsors. There will also be daily notifications to keep you up do date with the conference schedule.

Dietary requirements

Participants with special dietary requirements are asked to notify the conference office by email prior to their arrival if they have not already done so when registering. Those with special dietary requirements other than vegetarian are asked to make themselves known to the catering team. It will not be possible to provide an alternative menu unless prior notification has been received.

Safety and emergency evacuation procedures

In the event of an emergency evacuation, please follow the fire exits to the assembly points.

Security

Do not leave your belongings or valuables unattended at any time, abandoned bags maybe removed by personnel.

Smoking

Smoking is not permitted anywhere within the building. If you wish to smoke, please do so outside the building.

First aid

Any incidents requiring First Aid assistance should be reported in the first instance to a member of the venue management team, reception or an usher.

General information

• Britain's currency is the pound sterling (£). Credit cards - especially Visa and Mastercard - are widely accepted in restaurants, bars, cafés and shops. American Express and Diners Club cards are less commonly accepted. There are plenty of cash machines (also known as cashpoints or ATMs) available on the campus.

• Value-added tax (VAT) is a 20% sales tax levied on most goods and services except basic food items, books and children's clothing. Restaurants must, by law, include VAT in their menu prices. If you are travelling for leisure or business purposes, you may be eligible for a VAT refund. The VAT refund scheme is called the Retail Export Scheme or Tax-Free Shopping.

• Electricity – British electrical standards are 50Hz 230 volts, so some North American and European electrical devices may require converters; all require plug adapters.

• Telephone - If you're visiting the UK from abroad, the UK dialling code is +44 (which replaces the 0). • Emergencies - Visitors should be aware of their personal safety. Call 999 for the emergency services

(police, fire and ambulance) which is a free call from any phone. You can also call 112 for non-life threatening assistance and to report crimes. To report non-urgent crime, call the police on 101 from within the UK.
