Midsize companies lease SAP Business ByDesign and use it as they need it, this is
the idea behind software as a service and on-demand.
The software is hosted by SAP which means that SAP takes care of the daily IT
operations of maintaining and running the software so that your company can focus
on running its business. Even though the software is hosted by SAP, your company
can still configure and adapt it without the help of extensive and expensive IT
resources.
SAP Business ByDesign comes with significant built-in service and support
automation:
Enabling the software to maintain itself and remain responsive and fully operational.
Keeping midsize companies up to date with the latest business content needed to facilitate
compliance and to support customers, partners, and employees
Giving midsize companies access to high-quality IT, consulting, and support services as they need
them, and immediate access to SAPs service and support hotline and resources.
Thus, SAP Business ByDesign not only maximizes a companys competitive
advantage, but also comes with low risk and a predictable cost of ownership.

Most midsize companies operate with a mix of point solutions, spreadsheets, and
manual processes. Midsize companies are struggling with:
Increasing product and technology portfolios
Increasing globalization
Increasing operational complexity
With a resulting increasing pressure on financial resources, midsize companies are
looking for an integrated business solution that:
Meets their unique needs
Lowers operating costs
Is predictable, affordable, easy to use and adapt, and generates significant value
SAP Business ByDesign addresses these needs of midsize companies with the most
complete, adaptable on-demand business solution on the market today
This on-demand solution is an important component of SAPs successful and innovative
Portfolio for small and midsize enterprises, including SAP Business One and SAP
Business All-in-One.

SAP designed this software solution especially for midsized companies with the focus
on simplicity, flexibility, and productivity.
One of the most important design principles in SAP Business ByDesign is people
empowerment and the ease of use. SAP has done extensive research and testing with
end users in many several countries in order to address the specific requirements of
employees working for midsize companies
Only when employees and managers make the right decisions, focus on strategic as
opposed to routine tasks and collaborate with colleagues, business partners and
customer can a company achieve sustainable growth.
Collaboration features that enhance the way employees naturally work together as well
as connect employees to business partners such as customers, suppliers and partners
Another design principle is to provide each midsize company with the ability to adapt
its ByDesign system to adjust to business changes. Not only can the user interface be
personalized by each user, but key users can also add new fields to the UI.
Furthermore, midsize companies can go live with more applications of ByDesign over
time to meet their changing business needs.
Finally, midsize companies cannot afford to send employees on training classes to
learn new software, so SAP provides self-guided, self paced, context-sensitive learning
directly in ByDesign.

What is SAP Business ByDesign? It is SAPs on-demand solution for small and
medium-sized enterprises and is, in essence, an entire suite of business applications in
one package.

Role-based work centers with user personalization
What you see on your screen is called Home. SAP Business ByDesign software
consists of work centers. Work centers group together transactional, analytical, and
unstructured data into one single point of entry, so that you can focus on tasks in
your area of responsibility, as well as share tasks in a team.
Home is a control center consisting of a set of views that organize the user's
activities across work centers and beyond roles. You can personalize these views
and set up favorites.
This control center puts you in control of your business. SAP alerts you to matters
that require your immediate attention. Following the management by exception
paradigm, ByDesign pushes relevant information to users based on their roles and
responsibilities through the work centers.
You can manage your own workload using work lists, as well as collaborate across
departments using tasks and requests for clarification. Typical tasks such as leave
requests, time sheets, or purchasing can be done by each employee as a self-
service, increasing the overall efficiency for the company.

-
A key differentiator for successful midsize businesses is the ease and flexibility with
which they can analyze their business and operations, thereby accelerating the
speed with which they act. ByDesign offers comprehensive analytic capabilities at
the fingertips of each user.
Managers and employees are empowered to be proactive because relevant reports
are pushed directly to their home screen.
We refer to this as built-in analytics which consists of:
Pre-defined analytics content
Dashboards and reports based on SAP Business Objects
And Key user empowerment
Key users can add fields to the user interface or reports, as well as:
Create key performance indicator evaluations
Create queries and reports
Assign reports to work centers
With the Apple iPad you can create your own dashboards to compare historical chart
data. Apple applications sold separately in the Apple Store.

Managing customer relations is a key challenge for any company. SAP Business
ByDesign Customer Relationship Management (CRM) supports three major strategies
to build and sustain customer relations and increase customer value:
Grow the Business
Stay Customer-Centric
Ensure Profitability
SAP Business ByDesign CRM provides the functions to deal with every aspect of
customer management from marketing through account and activity management, pre-
sales and sales to after-sales service and service desk management. SAP Business
ByDesign effectively combines front office and back office of the sales force into one
office. It ensures excellent customer interactions, putting the customers where they
should be at the center of your business.
Companies using SAP Business ByDesign benefit from five key capabilities:
First, effective marketing campaigns and lead management
Second, Account and Activity Management that covers the complete customer life cycle including 360
views of all interactions with one single customer
Third, a scalable range of after-sales service functions from service desk to service order
Fourth, flexible pricing management
And finally the fifth key capability is real-time decision support for fast reaction
12
-
To best support management decisions at midsized companies, SAP has fully
incorporated business analytics and performance management into SAP Business
ByDesign. SAP provides preconfigured analytics content such as model-based, ready-
to-run reports that are based on transactional data as well as key performance
indicators. Users have the reports at their fingertips, directly in their work centers. Each
user can personalize the standardized reports, or download them to a spreadsheet for
offline analysis.
Another important aspect of running a midsize company is to stay compliant with
changing laws and regulations. SAP Business ByDesign helps to enable a company to
be compliant with laws and regulations because it is pre-configured for each countrys
generally accepted accounting practices, applicable tax structures, and relevant labor
legislation.
Guided procedures help to ensure that business processes are performed as designed.
Frequent and automatic software updates ensure that financial books and governmental
reporting continue to meet regulatory standards
13
-
Whatever the business, and however companies approach this business, at the end
of the day the results are reflected in hard facts and figures. Companies need
smooth and reliable financial operations. Comprehensive up-to-date accounting data
and transparent financial reporting are crucial to ensure compliance.
SAP Business ByDesign provides the functions to deal with every aspect of financial
management from financial and managerial accounting to cash flow management.
Due to the integration, the financial portion of transactions performed in non-financial
applications (SCM, SRM, HCM, ) are reflected real time in financials ready for
profitability reporting.
Now I will highlight six capabilities in SAP Business ByDesign Financial
Management:
First: Working capital optimizations that are the combination of operational activities with the
analysis and/or planning of cash and liquidity. An example is the liquidity forecast, which considers
all invoices that were recorded in the system, and can also include manually recorded cash-in or
cash-out relevant transactions.
Second: Collaboration that extends beyond the boundaries of your company itself. For example,
the daily processing of incoming and outgoing bank statements is automated in SAP Business
ByDesign.
14
-
Third: Integrated and unified financial as well as management accounting. For example, material
consumption in logistics is valuated and recorded in real-time in the general ledger. This is also
possible for working hours recorded on projects, or services provided for a production order.
Fourth: Fast period closing with monitoring tools for the closing process. For example, users can
define their own closing cycles based on standardized content provided by SAP. They take
advantage of built-in consistency checks that ensure completeness and correct sequence of all
closing activities.
Fifth: Enhanced transparency includes support for compliance issues and parallel currency
valuations. For example, SAP Business ByDesign allows companies to record financial data
according to several generally accepted accounting procedures (so-called GAAPs) without
additional setup efforts. This reduces the time to close books and ensures compliance by
reducing risks often caused by manual intervention.
And finally, the sixth key capability: Automated, exception-based financial management. For
example, users define rules that trigger approval tasks whenever thresholds such as payment
amounts are exceeded

SAP Business ByDesign Human Resources Management provides flexible support
for human resources (HR) activities and ensures integration with other departments
such as financial accounting, procurement, and project management. Designed to
accommodate the way midsized companies work, SAP Business ByDesign supports
the core HR business processes of personnel administration, organizational
management, time and labor management, compensation management, and payroll
services.
A companys organizational structure as well as responsibilities and duties of
employees in the organizational units are maintained centrally in Organizational
Management. This provides a single, consistent view of the organization. In addition,
the organizational structure is the basis for automatic assignment of employee
access rights. SAP Business ByDesign organizational management provides the
flexibility for growth and change of organizational structures.
SAP Business ByDesign is an integrated solution which means HR data is available
to all your employees when they need it, across departments. The software has built-
in workflows and self-services for managers and employees that enable HR
administrators to better manage and complete their tasks.
16
-
The solution facilitates the efficient management of all employee-related tasks
associated with personnel administration as well as with time and labor
management, such as self services for time recording as well as the management of
working times and time accounts.
With compensation management the entire compensation process is mapped out to
ensure that pay structures are applied consistently across the company.
SAP Business ByDesign offers an interface to an outsourced payroll system. HR
professionals only have to control and supervise the transfer of payroll-related data
to that outsourced service. It gives them control and visibility of an in-house payroll
system, with the cost saving benefits of outsourcing
The solution allows employees to easily make their own address changes, record
their working time, submit expense reports or even make purchase requests as a
self-service. An automatic workflow supports the authorization process, so that the
responsible manager immediately receives notification of the employees request.

First, Product Development helps to accelerate time to market of new products, and to
ensure quality right from the start. Using ByDesigns Project Management Functionality,
all stakeholders can be brought together to design the product and define the related
production process and quality assurance activities.
In particular:
Product Definition supports to streamline product portfolio and production, meet customer requirements
in delivered product and to reduce Product Master management effort allows you to specify the product
that you have sold to your customer and ensures that you build the product exactly as it was specified.
This is particularly relevant when your company offers products that come in many variants or when it
offers custom-built products described by detailed customer requirements. You can define lean
possible product variants by product properties, product models and product specifications and reuse
them.
Product properties describe the features a product can have.
Product models describe the possible variations of a product.
Product specifications describe individual customer requirements or products variants. You can create
product specifications within SAP Business ByDesign or import them from an external system.
19
-
The Product Engineering capabilities ensures that designs of your product (including
drawings, descriptions, 3D representations) can be managed in SAP Business
ByDesign so that you can prepare the production of the product. This includes
consistent maintenance of material master data, production bills of material (PBoMs)
and other prerequisites for production. This is particularly relevant when your
company has a focus on engineering with frequent changes of a product or a high
rate of handovers from engineering to production.
You can create product designs from scratch or import them into SAP Business ByDesign from your
external engineering system. In SAP Business ByDesign you can maintain them in order to match
production capabilities.
When released, product designs can be handed over to production and a production bill of material
is generated automatically.
Materials can be assigned to product designs or to the associated production bill of material.
Production models are generated from the production bill of materials, providing the basis for
production.

SAP Business ByDesign supports project management so that project-oriented
companies can manage and control their business. The benefit lies in the integration
with related business areas such as sales, procurement, human resources, and
financials through the entire project life cycle.
There are ten key business capabilities of integrated project management in the SAP
Business ByDesign Solution:
Project structures are flexible, scalable projects ranging from simple cost collectors to complex,
full-scope projects that require a project hierarchy consisting of phases, tasks, and milestones.
Different types of projects can be managed, such as internal projects for Marketing as well as
customer projects
It supports the entire life cycle of a project: From structuring, scheduling, planning, staffing, and
executing to the closing of projects in financials. Interactive graphical views, for example in the
Gantt chart and Work Breakdown Structure, ensure easy use of the software.
Project Management offers a lean resource management that enables a search in human
resources for project staffing based on skills and availability.
Project procurement supports the project manager to order third-party support, such as
consulting services, directly from the project. Related purchase requests and orders can be tracked
from within the project, including details and document flow.
21
-
Change management of projects is supported with snapshots and baselines. Snapshots
represent the state of a project at a certain point in time and are used for documentation and trend
analysis, for example the Milestone Trend Analysis report. Baselines represent the agreed project
plan and can be submitted for approval to the responsible line manager. Deviations between the
operative project and its baseline can be continuously tracked using dedicated reports.
A dedicated work center for project team members facilitates collaboration within and across
project teams, such as the sharing of documents and other project-related information.
Project staff can record their own time and expenses directly in SAP Business ByDesign and
post them to the project. The project manager receives a notification and can choose to approve or
reject the time and expenses before they are posted to financials. .
The solution integrates sales quotes and sales orders with project management allowing the
billing of time and expenses to be recorded against a customer project. Invoices can be created on
a time and materials basis, a fixed-price basis, or a combination of both.
And finally powerful analytics which provide transparency on the project progress and deviations
as well as project costs and revenues rounds out the business capabilities in project management.
22
-
The goal of midsize companies is to strengthen the relationships with suppliers, and
improve procurement processes to reduce costs and turn suppliers into a competitive
advantage
SAP Business ByDesign facilitates the collaboration between midsized companies
and their suppliers, automates purchasing processes, and enables midsized
companies to continuously assess the effectiveness of their procurement activities
and supplier relationships which ultimately help to control costs. Processes can be
aligned with metrics to maintain a reliable supply at the lowest cost, while insuring
quality and quantity. The solution allows employees to perform self-service
procurement to streamline operations.
Five benefits of Supplier Relationship Management:
First, Increase purchasing efficiency with managed automated processes
Second, Empower people with exception-based decision support
Third, Internal and external collaboration empowered by advanced communication technologies
Fourth, Effective supplier base management strengthens the relationship through the complete
supplier lifecycle
And finally, the fifth: Improvement of visibility through integration of compelling analysis capabilities
for operational and strategic procurement
23
-
Midsized companies respond quickly to changing markets when they have an
efficient supply chain. SAP Business ByDesign enables them to increase
collaboration with customers and suppliers, and to gain maximum insight into their
business.
SAP Business ByDesign integrates the supply chain through capabilities in the areas
of Product Development, Supply Chain Setup Management, Supply Chain Planning
and Control, as well as Warehousing and Manufacturing Execution. These
capabilities enable the management of production, quality assurance, deliveries and
returns, physical inventory and includes tracking and tracing. It synchronizes supply
execution data, such as work in process and inventory postings with financials.
SAP Business ByDesign Supply Chain Management (SCM) enables manufacturing
companies to design and produce products that meet their customers requirements
and high expectations of quality, while maximizing production and logistics efficiency
through the automation of processes.
Three highlights in the area of SCM are: product development, supply chain
modeling, and supply and demand planning and control.
24
-
First, Product Development helps to accelerate time to market of new products,
facilitating consistency between customer requirements, product designs, and
delivered products. Product designs, imported from external engineering systems,
can be managed by engineers before handover to production. Product requirements
can be defined by engineers and sales representatives and used as the basis for all
steps in a lean make-to-order scenario.
Second Supply Chain Modeling - SAP Business ByDesign provides flexibility in
modeling supply chain and master data, enabling a clear view of the distribution
network to customers, as well as the layout of production and warehouse, and
material flow. Using scalable production models that combine both the bill of
operations and bill of material enable business process transparency between
production planning and execution.
Third, Supply and demand planning and control optimizes the material flow. The
exception-driven approach facilitates the planning and consolidation of procurement
requirements, creation of feasible production plans, and determination and
confirmation of realistic delivery dates. The solution allows for the definition and
maintenance of individual customer requirements and product variants, and supports
drop shipment and stock transfer processes.

Enhancements can be simply added on to the solution or integrated into SAP
Business ByDesign. To enable partners to drive these kinds of solution extensions
we must allow them to work with the same entities that SAP uses for their own
Business ByDesign core development. To achieve this, we have focused on two key
principles: On-Demand Readiness & Developer Productivity.
To enhance Developer productivity, SAP offers a development environment that
significantly reduces effort and complexity, featuring an easy to use scripting
language ABSL (Advanced Business Scripting Language). Various additional
accelerators are available (e.g. Business object persistency generation; workflow
task generation; UI wizards) that simplify the creation of standard development
entities. The ByDesign studio development environment is based on Microsoft Visual
Studio, a UI designer with embedded Silverlight controls and Crystal report wizard.
The on-demand readiness consists of a complete hosted development environment.
Partners do not need their own IT infrastructure to develop and deliver add-on
solutions for ByDesign customers.
Partners offer their solution for sale in the SAP Store which has a comprehensive
commercial platform as a backbone.
31
-
Best fit for companies who want the benefits of large-scale business management
applications without the need for a large IT infrastructure.

Shorten the learning curve by helping your colleagues learn how to use the solution
as they work with it. Training built into their work center replaces the traditional
classroom approach. All users access training content tailored to their work tasks in
the learning center, where they can plan and run their own training, meaning they
can learn on their own pace, independent of company training schedules. As a
keyuser, you can adapt and add training content to meet your companys needs.
Built-in Help supports users as they work with the solution. It consists of primary help
and a help center. Primary help delivers on-screen explanations whenever the
mouse moves over a screen or a screen element. The help center contains more
detailed content that enables users to understand and work with the solution. For
example, a quick guide provides access to all information about a specific topic. As
a keyuser, you can add your own content to the help center to support your users
with company or industry-specific information.
After listening to this recording, I encourage you to explore and learn more about
SAPs Business ByDesign solution by accessing the help and learning modules in
the product itself and the community resources in the Business Center. To access
