International Process Guide Dear Clients,

We would like to take this opportunity to thank you in choosing IntraGlobe for your relocation. Our years of experi-ence and dedicated staff will guide you step by step throughout the moving process. We now ask you to familiar-ize you with the procedures.

1. Reservation of Service In order to place a booking and commence the reservation process you must complete in full the contract our sales agent has provided. Make sure you have read, understood and signed all pages as well as have completed the credit card form.

2. Confirmation of the MoveUpon reception of your documents, the sales agent shall verify and enter the information onto our computer system. A confirmation will be issued along with the contact information of the agent(s) who shall be in charge of the logistics.

The supervisor agent shall be with you until the end. It is his role to guide you throughout the relocation process. Therefore you shall be communicating with this agent until the delivery of your goods has been completed.

The manager is the person who will oversee each and every relocation. He is the one to whom you will address for any questions or comments.

3. E-mail CommunicationIt is vital that you have an active e-mail account. All correspondence will be done via e-mail. We highly recommend that you verify your account frequently. As well, you may want to lower the setting on your Spam filter and/or check your junk mail from time to time.

4. Inventory FormThe supervisor agent shall send you an inventory form, which must be completed for customs purposes. Take note this document is merely an item list which takes into account all of the goods that are being shipped. The inventory form is not used for insurance purposes.

5. Documentation It is crucial that you complete all the forms and follow the instructions of your agent(s) in order for the process to be conducted smoothly. All of your information is kept confidential and shall only be divulged to the proper authorities.

6. Automobile Formalities Shipping a vehicle overseas can be a time consuming and complicated ordeal if the proper steps are not followed before-hand. Over the years customs officials have increased security measures in order to crack down on the shipping of stolen vehicles. At times, this process may cause delays and incur additional unforeseen costs such as demurrage at origin, roll up of the container at the port, storage and inspection fees. You must provide the original title of the vehicle and registration papers. Take note, the vehicle must be in good working order. The stowing of personal effects is strictly prohibited. We ask that you properly clean the vehicle and keep all fluid levels as well as fuel at no more than ¼ tank.

7. Settling Your Local Pick-Up If you have opted for point of origin services, the process shall be as follows: IntraGlobe will supply those services through a local agent in your area. That agent contact you to schedule the performance of the services listed in your contract. Examples of point of origin services can be packaging, crating, the secure wrapping of furniture and the eventual pick-up.

Please note the local agent is working on behalf of IntraGlobe. Therefore, any comments, paperwork and/or monetary exchange should be done directly with us.

8. Local Pick-Up ChargesThere are two options regarding the local pick-up. The firm rate is an amount previously evaluated by one of our agents, which takes into account the amount of time, manpower and packing materials needed to complete the service. The hourly rate is our most popular option where the client can control how the service will be performed. The client can choose partial packing or simply the loading of the goods. The hourly rate is a cost effective choice we offer our clients. Take note: seeing as we are an international mover, the hourly rate will vary from city to city. In most parts, the rate shall be at $90/hour but may vary between $60/hour to $120/hour. The season, availability of the movers as well as the day of the week are just some of the other factors that may affect the rate.

9. Preparation of Your ShipmentCareful planning and preparation will keep costs down and speed along the process. All of the items must be properly boxed or wrapped to ensure a damage free transport. Our local agent shall inspect the goods and complete the packing should it be required. Once the goods are picked up, the local agent shall deliver them to the terminal or place them into storage at a warehouse for future shipping.

10. Steps To Take Once The Shipment Has Been Picked UpOnce the shipment has left your location, you must regularly check your e-mail account and wait for further instructions from our agent(s).

11. The Bill of LadingThe bill of lading is the most important document for an overseas transport. It is with this document that you shall be able to clear customs. The bill of lading shall be issued once your goods are loaded onto the assigned vessel and set sail. IntraGlobe will telex release of the document to the destination agent upon reception of the final payment.

12. The Destination AgentA destination agent is assigned to every shipment. An agent can clear customs and assist with the delivery. We will forward the information of said agent who shall be

responsible to carry out the final instructions. If your contract did not include the customs clearance, the destination agent shall impose the fee. Depending on the host country, the rate varies from $150 - $300 USD.

13. Port Charges and THCEvery port and terminal across the globe charges for the use of the facility as well as the handling of the goods. If your contract did not include the port and terminal handling charges at your destination, you will be required to pay the fees to your destination agent prior to delivery.

14. Custom FormalitiesIn most countries, used household goods and personal effects are duty free. However, we urge you to contact the host embassy and review the policies prior to departure. In some cases, fees can be avoided if you submit the proper documents.

15. InvoicingThe final invoice shall be made once we acquire all of the documents from the shipping line and the total charges from our contractors. The invoice shall be adjusted according to the rates and terms as stated on the contract. The final invoice shall be reviewed by an accounting clerk who in turn will forward the information to a supervisor prior to issuing to the client. Any deposit and payment will be reflected and deducted from the final invoice.

16. Final PaymentWe ask that you pay the final invoice upon reception to avoid any delays. If the amount is less than $500, we will gladly accept a credit card payment to settle the balance. Should the balance due be greater, a wire transfer is the preferred payment. Take note, banks and financial institutions can hold payment for up to 5 days before they release the funds. 17. Demurrage and StorageWhen the shipment arrives at destination, there are only a few days for you to proceed with clearance of your cargo. All port fees, THC’s and customs clearance must be processed in a timely manner. Depending on the country and port of entry, a grace period of 2 to 10 days is granted. You may be subject to demurrage and/or storage charges for any delays beyond that.

18. InsuranceWe take great steps to ensure the safe arrival of your belongings; however we are at times at the mercy of conditions out of our control. You chose to ship the goods across the world and therefore they have value. Nothing is worse than having the goods arrive damaged. We strongly recommend you opt for an insurance coverage. There are several options which can offer land and maritime coverage at a premium to fit all budgets. Contact your agent who can explain the various coverage options available and offer you peace of mind.

19. ClaimsIf you have chosen the added insurance coverage, a policy has been drawn and you should have received an insurance certificate. That document has the contact information of the cargo claim adjuster who was selected in your destination country. He is the person who shall be in charge of the dossier. The adjuster shall monitor the situation and offer settlement on behalf of the insurance company should damage be reported. If you have not opted for the added coverage, then unfortunately no compensation shall be awarded.

Moving Tips

The important decision regarding which items you choose to ship abroad should be made with the consideration of certain factors:

The choice is easier if you have already purchased or rented residence over-

seas. If one knows the approximate size of the rooms and has a floor plan, it will

allow one to easily determine how smartly furniture and appliances will fit. Our

expert advice in this case would be to have you make certain that the delivery

into your residences will not cause any insurmountable problems due to, for

example, a piano, oversized entertainment center, or furniture. You should

consider hallway and stairway dimensions, as well as elevators / lifts that may

sometimes be too small to transport some large items.

The decision as to what to ship can often be more difficult for those individuals

who do not have definite housing arrangements already made. Make sure the

articles selected are not only desirable for your new home, but also worthwhile

to ship.

Everyone should know their rights with respect to customs regulations. Laws

are often subject to change. Information may be obtained from the

Consulate’s Office.

Other Considerations• Try to avoid a last minute rush. Moving overseas is complex and will take time to arrange. Generally a mover will need

4 weeks notice and you will require a similar timeframe for planning paperwork etc.

• Youwillneedtomeetwiththemoverspersonally;there isa lotto learn,sopleasedonotsubjugatethisresponsibilityto

nannies, maids, neighbors, etc. It may well require you to take a little time off work; however, most movers will schedule

meetings first thing in the morning or late afternoon to minimize disruption.

• Talk tootherexpatriate familiesor individualswhoeither liveorhave lived inyourdestinationcity. Theywillgiveyoua

valuable insight into local conditions and movers to use.

• Checkwiththeembassyofyourhostcountryforadviceonvisas,inoculationsandotherrequirements.

• Tryandattendacross-culturebriefingsothatyouareawareofthedifferencesbetweenyourhostcountryandyourown.

Culture shock, especially for spouses, is the single biggest reason for early termination of overseas assignments.

• Ensure that remuneration and benefits on offer are commensurate with maintaining a reasonable lifestyle in your host

country.Bearinmindhowdifferentthecostoflivingcanbeoverseas.

• Ifyouhaveafamily,tryandscheduleyourmoveduringschoolbreakstoensureyourchildrensettleinwell.

• Startorganizingyourmoveearly–disposeofunnecessaryitemsnotrequired.Thinkofitemsyouwillneedurgently(clothing/

papers/baby furniture, etc) and consider air freighting or taking these with you personally. Separate items that will not work

(electrical) or will not be suitable in your host country and earmark these for storage or to be left in your home.

Packing GuideOverseas PackingOne of the most critical aspects of an overseas move is the quality of the packing.

•At IntraGlobe, we choose our packing staff and the quality of our materials with infinite care. As specialists in international moving, all of our packing teams are fully trained and fully experienced in the delicate art of moving your valued possessions.•All packing takes place in your home using only the best available materials. When our packers arrive, the foreman will identify himself and take a short tour of the home with you to identify any particular items requiring special care and to agree on a schedule of packing that meets your needs, such as packing the beds last.

• Allofthematerialsthatweutilizearespecificallydesignedtoprotectyoureffectswhileintransit.Forexample,allfurniture is packed in 6ply wax Kraft paper blankets. A layer of corrugated cardboard on top of the blankets additionally protects any polished furniture.• Wehaveawiderangeofcartonsavailablerangingfrombook,china,lampshade,partsboxes,picture,andlinentolayflat wardrobes. In addition, we will use upright wardrobes for hanging clothing for sea or road moves.• Fragileitemssuchaschina,glassandornamentsareindividuallywrappedineither“bubblepack”,acid-freetissuepaper or white paper (depending on the item) and then packed in double wall export cartons.• Anyitemrequiringspecialistcaresuchasantiquesorpaintingswillbepackedininternalwoodencratesmeasuredexactly to fit and protect the individual items.

A Smooth Move Is In The Preparation• Startcollectingnewspaperspriortoyourmove. (Use newspaper only on glazed, non-porous ceramics, glassware and metal objects. Do not use on porcelain!)• Gotothegrocerystoreorotherconvenienceshopsandaskiftheyhavecratesorboxesthatyoucanuse.• Make sure your boxes are strong enough to support the weight of other boxes being stacked on top of them in the moving van.• Letgo.Ifyouhaven’twornitinover2years,youprobablyneverwill.Ifit’sreallydusty,broken,ormissingpieces,throwitout, donate it or have a garage sale.

Start Packing Yesterday• Packasmuchasyoucanasearlyasyoucan.Thinkofwhatyouusedailyorweekly.Nowstartpackinginthereverseorder.• Packsimilaritemstogether.Thiswayyouavoidrunningaroundtheentirehouseduringtheunpackingprocess.• Tapealloftheseamsofyourboxes.• Distributeweightevenlyamongsttheboxes.Keepboxesunder50lbseach.• Don’toverstuffboxes;leavesomeextraroomatthetop.• Packheavyitemsinsmallboxes.Tapethebottomswell.• Wrapbreakablesinnewspaper,bubblewrap,clothes,ortowels.Fortheeco-conscience–packwithpopcorn.

Sweat the Details• Label the boxes as you pack with where they belong in your new home. Write FRAGILE in large type on boxes that contain breakables and valuables. Keep those boxes apart from the rest, so they can be loaded when appropriate. You may want to leave lamps, china, artwork and other fragile items for professional movers to pack.• Tapecordsunderneathallelectricalappliancesandremovealllightbulbsfromlamps.•Tapewilldamagefurnituresoavoidusingit.Professionalmoversusebeltedstrapstocloseunrulydoorsanddrawers.Try cotton package string if you must do it yourself.• Coverfurniturewithblanketsortowelstopreventagainstnicksandscrapes.Wrapglassesandtumblersindividually(firstwith a sheet of tissue and then with normal paper). Store and transport them upright in a box padded with lots of bubble wrap or newspaper.• Besuretoseparatevaluableitemssuchasjewelry,coinsandcameraequipment.Handletheirtransferyourself(asafety deposit box can be purchased if you’re concerned about losing things.)• Collecttallimportantdocumentspriortopacking;andputthemsomewheresafeoraskatrustedrelativetoholdthemfor you until the move is complete.• Savespace.Leavesomeclothesinyourbureauorchestdrawers,butmakesureit’sunlockedthough(itmaybenecessary to open the drawers to get a better grip while moving.)• Coverthecornersofyourpaintingswithseverallayersofclingfilmandwrapthewholelotinbubblewrap.Afterwards,cover them with thick wrapping material and place it in a picture box.

Insurance ProtectionAlthough our agents work very hard to ensure your belongings arrive safely, we would like to bring to your attention the Warsaw convention, which governs and may limit the liability of the carriers in the event of loss and/or damage. In most cases, the real values of your goods are not covered by the carrier’s liability. We recommend you take advantage of the excellent insurance coverage we have available through a maritime consortium insurance group.

Once a reservation for your move has been made, you must decide on a dollar amount to insure the value of your contents.

Our representative will issue an insurance certificate from our maritime insurance group.

The agent will then remit the insurance certificate to you before the departure of your goods. In the unfortunate event that an accident occurs, you will have the coverage and necessary documentation ready to settle the claim directly with the insurance group.

The following types of coverage are available. They all provide coverage in the event of fire, water damage and / or theft but our“fragileitem”policiesalsocoverbreakablessuchaschinaandglassware.

Insurance A: All risks but excluding breakages, premium 2.5% of destination replacement value.

InsuranceB:Allrisksprofessionallypackedonly,includingbreakage,premium3.5%ofdestinationreplacementvalue.

The minimum value to insure for a 20ft. container is $15,000.The minimum value to insure for a 40ft. container is $25,000.
