book your reading teacher assigned.

How do we create a FORMAL tone?

What is TONE?

The overall attitude a writer projects toward the reader and the subject matter.

Sentence structure, formality and specificity of vocabulary, and neatness all contribute to a letter's tone.

to know all about your date:

Business Letter in Block Style

(notice that you don’t indent at all in a block style business letter)

1. Margins: the space around your letter.

1. Go to the “Page Layout” tab.

2. Select “Margins” from the command ribbon.

3. Select “Normal” to get 1 inch margins.

2. You need your own address.

This part goes in the “heading”

section.

Underneath your address, put the date.

Skip four lines.

3. Put your organization’s address in the “inside address” section.

Double space.

Business Letter Openings

• When You Don't Have a Contact Person– If you don't have a contact person at the

organization, you could either leave off the salutation and start with the first paragraph of your letter or use a general salutation.

• General Salutations for Business Letters– Dear Hiring Manager– To whom it may concern– Dear Human Resources Manager– Dear Sir or Madam

5. Body: State your purpose

for writing this letter. Be

formal and polite; the

organization is doing YOU a

favor by sending you the information.

You may or may not have more than one paragraph. If you do, between each paragraph, be sure to double space.

Four spaces after the closing

Then your name. In between the closing and your name, that is where you would sign your name.

Business Letter Closings• Sincerely, Regards, Yours Truly, and Yours

Sincerely - Are the simplest and most useful letter closings to use in a formal business setting. These are appropriate in almost all instances and are excellent ways to close a cover letter, or an inquiry.

• Best Regards, Cordially, and Yours Respectfully - The letter closings fill the need for something slightly more personal. These are appropriate once you have some knowledge of the person to whom you are writing.
