Hewlett-Packard Enterprise (HPE) was founded in 1939
and is one of the leading technology companies in the
world. The company has around 330 000 employees
worldwide. HPE is structured in business units and
so-called “Route to markets”. There is a high diversity
from High End Servers, PC’s and Printers to professional
services such as business process outsourcing, financial
services and consulting. Invoices are issued from HPE’s
ERP-systems, which are mainly SAP-based. Invoices are
very different and range from highly detailed with many
line items to one item invoices, making it difficult to have
one standardized invoice structure. The diversity in the
many different content- and layout requirements from
various customers in various countries, in addition to
time spent on administering invoices, was a problem that
led HPE to implement Pagero’s e-invoicing services.
“Of course, you can say that if you send a standard
structured file like XML or EDIFACT – why do you need
a company like Pagero? The fact is that there are no
standard structured files for us, since in almost every
case we need adjustments based on customer or country
specific requirements and this is something which is very
time consuming,” says Mr. Thomas Bonwetsch, Program
Manager, EMEA eInvoicing Program Direct Accounts, HPE.
“Since HPE is huge and the individual business units have
different setups, we were happy to be able to use the
PDF-based process that Pagero has offered to us, which
is an impressive solution that gave us more freedom in
the solutions per business unit. The Pagero approach,
translating HPE invoice data into an internal and very
extensive Pagero XML has provided a high flexibility
coping with any final target format.”
All legal and tax requirements fulfilled
“We are currently active in 23 EMEA countries, with
another 5 onboarding during the next few months. This
entails a broad variety of legal and tax requirements, as
well as a number of customer specific layout wishes,”
Mr. Bonwetsch says.
“With the help of Pagero, we have been able to fulfill
every tax and legal requirement in every country. The
bandwidth is huge between highly standardized and
easy procedure countries like Finland and Sweden, down
to very complex countries like Italy or Spain. Especially
in terms of Government projects, the requirements are
very challenging except for where there exists a PEPPOL
environment like in Austria or Norway,” Mr. Bonwetsch says.
“The environmental aspect of e-invoicing is also extremely
important to HPE and we even have an own organization
devoted to reducing our environmental impact in any way
we that we can.”

Meeting HPE requests since 2008
The Hewlett-Packard Enterprise and Pagero cooperation
started in 2008, when the Swedish government
introduced requirements for e-invoicing. Pagero helped
HPE connect to a number of governmental entities.
In a short time, HPE received an increased number of
customer demands for e-invoice.
Working together has meant a steady learning curve
for both parties, where Pagero has been able to come
up with solutions to the complex challenges that
Hewlett-Packard Enterprise had and developing new
technical solutions along the way in order to do so.
“When Pagero was selected to provide e-invoicing services
to HPE in Sweden, we knew we had a good solution that
would cover all requirements in scope,” says Mr. Thom
Birkeland, Vice President R&D, Pagero. “At that time we
had started our venture to other Nordic countries, and
were doing research on the remainder of the EMEA
region. The timing was good as HPE soon enough
needed e-invoicing services in more countries by the
month, and shared Pagero’s interest in making sure
technical, service, and compliance requirements were
met in all markets.”

Increasing e-invoice ratio and time savings – from 7 days to a few hours
“With Pagero, HPE has eliminated the risk of invoice errors, as wrongly entered
fi eld information in invoices lead to rejected or stopped invoices that we can
edit straight away. Overall, the invoice turnaround has been reduced – within
a few hours (depending of course on customer fl ow), we know if an invoice
has been successfully sub-mitted or rejected. In the paper world, this process
would take 7 days or more in comparison,” Mr. Bonwetsch says.
“Working with Pagero and implementing their services is easy. Their solutions
are fl exible and none of the problems that HPE has faced have been related to
Pagero, but rather from very diverse customer requirements and a disharmonized
market in Europe.”
“Within one year, the number of customer requests and projects we are dealing
with has increased signifi cantly. Just to give you a number – in the past 12 months
the number of customer projects has increased by 250%. We have almost 3000
customers in our project database, not all of which have been implemented yet,
but at least 1800 so far,” explains Mr. Bonwetsch.
“A high and steady increasing number of customers are receiving electronic
invoices throughout EMEA, and within the last 3 years, HPE’s number of
electronic invoice transactions has increased by more than 500%. It is thereby
evident that e-invoicing is becoming more and more a state of the art business,
and this defi nitely shows the growing importance of e-invoicing and the impact
that Pagero’s services have had to our company,” Mr. Bonwetsch says.
