Dear Member

Have you ever wondered about getting more involved in running your club but didn’t know how to go about it? If so then now is your chance. The AGM will take place on December 3rd and we need new volunteers to sit on the club’s Management Committee, which meets 6 times a year, in order to replace those whose term has expired. We will need to elect a new Commodore and Vice Commodore plus additional committee members, some of whom we hope would take responsibility for a particular role or function.

Following on to this note is a summary of the various roles which need to be carried out in order for the club to continue to thrive. The last 2 years under our current Commodore have been very active and very successful, resulting in our new changing rooms and the start of RHSC Sailability. Lessons learned during that period lead us to believe that the club will benefit from having well defined roles as set out in order to spread the workload, which otherwise all gravitates to the Commodore. Your skills in helping to bring this about would be invaluable. We are particularly keen to encourage more women and people of working age onto the committee.

RHSC is a Community Amateur Sports Club (CASC) and our ability to continue enjoying our sporting and social activities depends entirely on the voluntary input of ourselves as club members. If you are able to help with this then we are keen to hear from you.

Committee Structure with Defined Roles

Role Responsibilities

*The President Figurehead and elder statesman.

*Commodore (Chair)

Under normal circumstances has overall responsibility for the setting of standards and objectives and the performance of the management committee in meeting agreed standards and objectives. Responsible for the governance of the club’s affairs.

*Vice Commodore (Vice Chair)

Supports the Commodore (Chair) Responsible for club’s compliance with Health and Safety including updating of Health and Safety Policy and Risk Assessments

*Rear Commodore Cruisers (Cruiser Sailing Matters)

Manages Cruiser sailing. Maintains a list of skippers and crews interested in cruiser sailing. Produces Sailing Instructions, Notices of Race as required together with Risk Assessments. Liaises with other Sailing Clubs, the RYA and the Harbour Master. Calls Cruiser Meeting as required to ensure that what is proposed is agreed.

Ensures that the Clubs Marks are properly positioned and have the agreement of the MMO. Arranges placement of potential crew for training on suitable boats. Deals with enquiries relating to cruiser sailing in Rye Bay. Attends Fisheries Liaison Meetings called by Cinque Port Training Area covering the Lydd & Hythe Firing Ranges.

*Rear Commodore Dinghies (Dinghy Sailing Matters)

Produce all year round dinghy sailing programme and upload to the internet Organise weekend racing. Monitor numbers of dinghy racers Organise some 3 main annual taster sessions, PTBO, Pirate Fun Day and RHSC Regatta/Flotilla (suggestion) and others as required. Uploading racing results to Sailwave Contact for dinghy enquiries Oversee regular dinghy meetings Oversee Rescue Boat Coxswain

*Rear Commodore House (Club House Matters) Social Secretary (Social Event Organiser) Bar Secretary

Oversee maintenance of club house Responsibility for Flood Plan Oversee Cleaning Contractor Oversee JMB Waste collection Create a maintenance plan Ensure Food Hygiene Compliance standards are met. Maintenance of equipment in galley and the BBQ Responsible for ordering paper towels , loo rolls liquid soap etc Oversees the Social group Chairs social group meetings Create list of seasonal social events to publish on the internet Organise all year round social events Makes returns to the Treasurer Oversee the running of the bar and ensure bar roster is in place, stock check is carried out and bar stock replenished on an ad hoc basis. On a quarterly basis completes a stock check and submits bar accounts to the Treasurer so that the progress of the bar can be monitored. Responsible for ensuring that the gross margin meets the requirement of the Management

Committee. Keeps a record of the boats berthed in the boat park and their owners name. Advises the Membership Secretary of all changes so that any fees due may be collected. Oversees club boat maintenance team Oversees rescue boat maintenance and yearly service Oversees Carey Marsh maintenance and yearly service

Honorary Secretary (Club Secretary)

Arranging meetings and circulating the agenda Taking and circulating the minutes Ensuring appropriate club records are kept Storing club trophies and getting them engraved as required by cruiser and dinghy leads Hire of the clubhouse Ensuring club rules and legalities are followed

Honorary Treasurer (Finance)

Maintains the Club’s accounts as required in the Rules & Regulations. Ensures that the insurance arrangements of the Club are up to date. Provides forecasts as required to guide the Management Committee.

Membership Secretary (Club Membership)

Responsible for collecting subscription, entrance, berthing and Harbour Dues from members and keeping records up to date. Deals with non-payment as provided in the Rules & Regulations. Produces List of Members from time to time so that the Bar Secretary’s records meet current regulations and the committee are up to date.

An invitation to join Hastings and St Leonards Sailing Club for a day’s racing

On Sunday 15th October Hastings and St Leonards Sailing Club has a one day handicap event, the Battle of Hastings Handicap. It is three races, first one at 11:00 with lunch between the second and third race. If any RHSC members would like to join them they would be most welcome. On Saturday 14th October they have a Topper Open, again starting at 11:00. For further details of this event please visit www.hastingssc.org

First Evening Supper with a talk on the Mary Stanford Disaster of 1928 by Laton Frewen

44 people enjoyed a supper of Fish Pie with French Apple Tart and cream to follow. After supper Laton Frewen gave an illustrated talk on the Mary Stamford Lifeboat Disaster. It was both interesting and moving and delivered in his usual professional way. It was a thoroughly good evening and made a profit of more that £300 for Rye Harbour Sailing Club.

Last Taster Sails of the Season

On Saturday 21st October we shall be holding our last dinghy taster sailing session of the season which will be combined with RHSC Sailability Day. HW is at 13:00 so you will need to arrive at 11:00 to register and get kitted out with a buoyancy aid. If we cannot sail because of the weather you can learn some sailing theory with the help of an experienced skipper and some RYA videos There will be a BBQ with food available to buy as well as teas coffee and cakes. The bar will be open. You will need to bring warm clothes and a waterproof jacket. There is no charge for the sail but if you are able to, a donation towards our fund for the RHSC Refurbishment Project would be appreciated. Everyone is welcome. A Charity Auction and Dinner to be held at The George in Rye

A Charity Auction Dinner is being held at The George in Rye on Friday 24 November in aid of RHSC Sailability, a charity helping people with disabilities experience the fun and freedom of sailing. Everyone is welcome. Arrive at the George in Rye at 6.30pm and enjoy a complimentary glass of wine in the Benson room whilst listening to the sounds of The Rye Bay Crew Band. The meal will be served in the elegant main ballroom and afterwards Kevin Wall, from The Rye Auction Galleries, will preside over the auction where 49 lots will go under the hammer! Please see the 3 course menu and a catalogue of donations below. Tickets cost £28.50. Safety Boat At present we have a small group of volunteers who are able to help man the safety boat. We desperately need more. If you have power boat 2 or Day Skipper qualifications and would be able to do at least one or possibly two duties during the season please send your details to me at [email protected] If you do not have the qualifications but would be willing to come as crew you would be most welcome. Once I have a list I shall arrange a day when we you can get familiarized with the RIB and launch, recovery and manoeuvering.
