Section - I

The Icfai School of Marketing Studies1.1 The Icfai UniversityThe Icfai University, constituted under Act No.16 of 2003 and recognized under Section 2(f) of the UGC Act, 1956, vide their letter No. F.9-26/2003 (CPP-I) dated July 22, 2005 (hereinafter referred to as the University) represents the multi-state network of universities, sponsored by the Institute of Chartered Financial Analysts of India (ICFAI) a non-profit educational society established in 1984 under the A.P. (Telangana Area) Public Societies Act 1350F (Act 1 of 1350F), with the objective of imparting training in finance and management to students, working executives and professionals in India.

The Icfai School of Marketing Studies (ISMS), established in 2004, is a constituent of the Icfai Academy, to promote quality education, research, training and consultancy in the marketing discipline.

1.2 Full-time MBA (Marketing) and MBA (Retail Management) Programs The Icfai School of Marketing Studies offers MBA (Marketing) and MBA (Retail Management) Programs on a two-year full-time at Hyderabad campus.

These programs are focused professional programs in Marketing Management and Retail Management designed for the benefit of students seeking career opportunities in the specific domain areas of Marketing and Retailing.

1.3 ISMS Operations

ISMS at Hyderabad is headed by a Director. ISMS focuses on quality education, conducts evaluation, provides adequate infrastructure, and maintains strict discipline on the campus. ISMS firmly believes in maintaining continuous industry interface and through this innovative process achieves 100% placement.

The entire operations at ISMS are broadly divided into four processes -

Admission: Admission process adopted by ISMS is quite rigorous to get the best students from the available aspirants. Academic background until graduation, scores achieved at any national competitive entrance examinations such as IBSAT, CAT, XAT, GMAT, ASMAT etc., and personal interviews are the measures used to select the candidates for admission to ISMS.

Teaching-Learning: This is a process through which the students acquire the desired knowledge in the domains of marketing and retail management matching to the expectations of the industry. To impart such value addition, the teaching learning process at ISMS is accomplished through competent core faculty, adjunct and visiting faculty drawn from industry to translate the ’the shop floor experience’ with live case studies to ‘class room teaching’. This innovative method of teaching learning process not only builds in the students the required fundamentals and conceptual clarity but also an understanding of the industry environment to enhance their employability.

Further to build a strong foundation in management knowledge, the students in the beginning of the program go through an innovative preparatory program which builds within them the basics of Quantitative Techniques, Accounting Concepts and Business Economics.

Stipendiary Assignment Program (SAP) is another innovative approach adopted by ISMS for building within the students the required communication and negotiation skills – the basic mantras to be successful managers. SAP also gives an opportunity to ‘earn-while-you-learn’.

After successful completion of the first year, the students are sent for a Summer Internship Programme (SIP) with an identified company where the students work for 16 weeks under the close supervision of an industry guide and a faculty guide. SIP gives an opportunity to the students to apply the basics of what they have learnt and equip themselves with better skills so that they can understand better the advanced subjects during the 3rd and 4th semesters. This also gives them an opportunity for doing effectively the Marketing Special Project (MSP) at the end of 4th semester.

The details of SIP, SAP and MSP are given in the relevant handbooks. ISMS also adopts Mentoring and Counseling to analyze the strengths and weaknesses of the students, build on their weaknesses and improve the strengths further towards achieving a successful career.

During the teaching-learning process, the students go through a specialized training program on soft-skills. They are also encouraged to participate in Extra Curricular Activities (ECA) and Co-Curricular Activities (CCA) to build within them a leadership quality with good communication skills and ultimately fructifying into a good personality as expected from the society at large.

Evaluation: ISMS adopts a total internal evaluation system. The details are given in the relevant section of the ISMS Student Regulations Handbook.

Placement: ISMS has established a good network and industry interface for effective placement of the students. ISMS continuously put its untiring efforts to see that ISMS students are not only placed in high profile companies but also with better perquisites along with their envisioned career growth.

1.4 The Academic Year

At ISMS, the academic year is divided into two semesters. Each semester is of 16-weeks duration. After completion of the first year the students undertake a 16–week Summer Internship Program (SIP). At the end of the fourth semester the students will also work on Marketing Special Project (MSP).

The semester-wise program consists of a prescribed set of courses. Each course is allotted 33 classroom sessions (for a 3 credit course) with each session with duration of 1 hour 15 minutes. One credit unit involves 14 hours of classroom instructions per semester. SIP is a 15 unit credit course, and the MSP is a 6 unit credit course (including 2 credit points for SAP).

1.5 The Student Handbook

Students are provided with the handbook(s) pertaining to the information on i) Students Regulations ii) Program Regulationsiii) SIP Guidelinesiv) MSP Guidelines v) SAP Guidelines

Though the Student Handbook covers all the information on academic policies, regulations, the students are advised to closely follow the information that is disseminated through Circulars and Handouts. The Circulars are displayed on the Students’ Notice Board.

Section – IIAcademic Regulations

2.1 PROVISIONAL ADMISSIONStudents, whose results for the award of basic degree have not been declared at the time of admission, are provisionally admitted to the MBA (Marketing) / MBA (Retail Management) Programs of ISMS. The admission is subject to their submitting proof of clearing the eligibility criterion for admission on or before 1st October 2009. The eligibility criterion for admission into ISMS is 50% or more marks in graduation with a minimum of 15 years education, either through 10+2+3 or 10+2+4 mode with English as the medium of instruction. For computing the marks secured in graduation (to ascertain if the student has secured 50% marks) the method followed by the University concerned will be taken into consideration.

All provisionally admitted students will have to necessarily submit the attested photocopies of graduation certificate (all Mark Sheets, as well as, the Provisional / Degree certificate) at ISMS on or before 1st October 2009.

If the student fails to submit proof of completion of graduation on or before 1st October 2009, his/her admission to the program stands canceled and the student will cease to be on the rolls of ISMS and will not be permitted to participate in any activity of ISMS.

2.2. Prescribed ProgramThe prescribed program consists of courses required to be completed by students in the requisite number of semesters as described in the Program Regulations.

2.3 REGISTRATION2.3.1 RegistrationRegistration is a mandatory formal reporting of a student at ISMS for each semester including SIP and MSP on the dates announced. All students should register with ISMS at the commencement of each semester on the specified date.

Students should note that completion of the registration process is crucial and a pre-requisite for all the academic processes in every semester. It is the first activity to be completed by a student on commencement of each semester / SIP / MSP.Registration to a semester is not permitted if:i) Student has dues outstanding to ISMS.ii) Student grade sheet in the preceding semester is withheld.iii) Student has an incomplete report in the preceding semester.iv) Student has been specifically asked to stay away for that semester.v) Student has failed to convert the provisional admission into a regular admission by the specified date.

2.3.2 Late RegistrationIn unusual circumstances when registration is delayed beyond the prescribed/notified date, the Centre Head, ISMS is vested with discretionary authority to permit late registration. A student’s request for late registration, if considered, will permit him/her to register on a day as decided by the Centre Head. Extension of time for registration will be granted at the discretion of the Centre Head taking into account the circumstances under which the extension is sought.

Students must apply for Late Registration (up to one week only) prior to the date of original registration in writing as per the specified format given at Annexure-I. Any application received after the specified date will not be processed and the student would not be allowed to register.

2.3.3 Amendment to RegistrationThe registration in a semester, when altered at the request of a student will be called an amended registration and will be covered by conditions listed as under:

i) Any time within one week from the beginning of semester III, a student may request the Centre Head, ISMS, for substitution of elective course(s) in which he/she has already registered with other course(s). (Ref. Annexure III b)

ii) If a student desires to withdraw from a course, he/she may submit a formal application for withdrawal from the course to Centre Head within four weeks from the beginning of the semester. (Ref. Annexure III a)

iii) In exceptional circumstances, a student may be permitted to completely withdraw from all the courses and drop the semester when the Centre Head is satisfied as to the genuineness of the circumstances. (Ref. Annexure III a)

iv) A student, who has come under the purview of academic counseling, ceases to have any initiative in the amendment of his original registration.

2.4 Student on the Rollsa) A student is considered to be on the rolls of ISMS for the semester when he/she

i) is duly registered in a semester,ii) has been permitted, after registration, to withdraw from the semester,iii) has been given prior permission to stay away for the semester,iv) has been asked to stay away from ISMS for the semester.

b) When a student, who has been permitted to stay away from ISMS for a semester or more comes back, his/her subsequent program would be normally governed by the academic structure and regulations in vogue then.

2.5 Struck Off the RollsWhen a student fails to register in a semester without prior permission to stay away, his/her name would be struck off from the Institute and he/she would no longer be a student of the Institute. His/her case will be automatically processed and the file will be closed. If, however, such a person, after his/her name has been struck off the rolls of the Institute, is permitted to come back, his/her case can be treated as in the clause 2.4.b above with the provision that all his/her previous records as a former student are revived under the current structure, regulations and schedule of fees.

2.6 Pre-requisite CoursesBefore a student can register for a course, he/she should have fulfilled the prerequisite conditions attached to the course. All courses offered in semesters I and II are prerequisite courses for registration in semesters III and IV. Students, who do not have valid letter grades in these pre-requisite courses, will not be permitted to register for semester III. Successful completion of the Summer Internship Program and securing a valid grade thereof is also a pre-requisite for registration in semester III.

2.7 Teaching and Evaluation The objective of classroom education is to kindle the curiosity of students, generate the habit of rational thinking, gear the mind to face unfamiliar situations and train them to be self dependent. While classroom instruction helps the students in the organization and correlation of facts, in comprehension of ideas and the creative use of knowledge, the faculty has the added responsibility to make the students search for knowledge and encourage them to use the facilities of the library, computer center and the environment to optimize their learning process. Self-study by the student would therefore be an important factor in the planned teaching and evaluation. The student is required to cooperate and respond to this challenge. Further details on Teaching and Evaluation are given in the Program Regulations Handbook.

2.8 Minimum Academic RequirementsThe regulations concerning minimum academic requirements have been framed keeping in mind the educational philosophy at ISMS, which interlinks and at the same time distinguishes between the performance of a student in a single course and his/her overall cumulative performance. Accordingly, the objectives of this regulation are:

To ensure that the student meets minimum standards in majority of the courses pursued by him/her.

To alert the student on his/her performance at the end of every semester to enable him/her to improve in subsequent semesters and eventually attain graduation requirement in time.

2.8.1 The Minimum Letter Grade Requirement

In order to arrive at these letter grades, the total marks in a particular course for all the students pursuing the course are tabulated in a descending order. The performance of the student is analyzed in terms of the average, highest and lowest marks and dividing lines between the clusters of students. Gaps and dips between the clusters and the nature of the clusters will guide in drawing the dividing lines between the grades. In a normal class of large size, the C-band usually covers the average performance. Accordingly ‘grades’ are assigned as per clause 2.13

The minimum academic requirements to be fulfilled by the student at the end of every semester are:

i) The total number of grades D, E in each semester should not exceed three, of which the number of E grades should not exceed one.ii) The cumulative number of D and E grades secured by a student at the end of each semester should not exceed:

At the end of semester-I: Failure to meet the minimum requirements will bring a student under the purview of counseling (ref. 2.16). In such cases the student will receive a notice from ISMS and will have to undergo counseling sessions with the ISMS Centre Head/ Academic Coordinator. Progression to Semester-II is not restricted.

At the end of semester-II:

a) Failure to meet the minimum requirements will bring a student under the purview of counseling (ref. 2.l6). In such cases the student will receive a notice from ISMS and will have to undergo counseling sessions with the ISMS Centre Head/ Academic Coordinator.

b) Students with following GPA/CGPA or grade afflictions will not be permitted to register for semester III -

i) GPA / CGPA of less than 5.5 orii) Total cumulative number of D and E grades exceeding six oriii) 'E' grades exceeding two.

At the end of semester-III:a) Failure to meet the minimum academic requirement will bring the student under the purview of Academic Counseling Committee (ref. 2.l6).b) Student will not be eligible for placement assistance and would be considered as ‘out of placement’ process.

At the end of semester-IV: Student not meeting the minimum academic requirements will not graduate.

2.9 Make-up Policy

2.9.1 Internal Evaluation ComponentsIn case a student misses an evaluation component due to genuine reasons, he/she may be granted a make-up for that evaluation component by the course faculty. In granting a make-up, the faculty would judge the genuineness of the circumstances under which the student missed the component of evaluation. In this regard the decision of the faculty will be final. As far as possible the make-up would be held within a week of the corresponding evaluation.

2.9.2 Written ExaminationsTo appear for a make-up examination, the student has to apply for the same to the Centre Head of the ISMS with a recommendation from the faculty concerned justifying the genuineness of the case. Make-up Examinations can be permitted by Centre Head in exceptionally genuine cases only. The decision of the Centre Head in this regard would be final. The make-up in such cases would be held within 2 weeks of the completion of the last examination of the Main Examination schedule.

2.10 Unfair Practices

Students are prohibited from attempting to unfair practices during examinations, tests. The following items (inclusive but not exhaustive) would be reported as unfair practice(s).

Carrying any examination related material to the examination hall Copying from others, or allowing others to copy from one's paper Taking / gesturing or giving any kind of assistance Communicating with any person in or outside the examination hall Resorting to means to provide / obtain unfair advantage Behaving in an indisciplined manner Causing a nuisance or disturbance to other candidates etc.

If a student is found to be resorting to unfair practices he/she will be rusticated from the examination hall. The period of rustication will be decided by the Centre Head.

2.11 Elective Option

The details of elective options are provided in ‘Program Regulations’. The students have to apply for their elective options as per schedule. The offer of the elective is at the discretion of ISMS.

2.12 Attendance

The continuous evaluation system adopted at ISMS expects every student to be regular in attendance and complete all evaluation components and other tasks assigned to him/her in every course. Long periods of absence (except on medical grounds duly certified by a registered medical practitioner) and irregular attendance would invite suitable penal action. As such, students are advised not to remain absent without prior permission from the Centre Head. Seventy five (75) percent attendance is mandatory for all sessions of all courses. Students not meeting the minimum attendance level of 75% requirement in any individual course would not be permitted to appear in the examination of that particular course and will be awarded "Not Cleared" (NC) Report - see 2.13.3(d). In all such cases, students will have to repeat the course whenever it is offered next, as per the rules that govern such repetition (ref. 2.19).

However, when a student has not satisfied the minimum attendance criteria of 75% and above for a course, he/she can appeal and seek permission from the Centre Head, ISMS to appear in the examinations.

2.13 Grading

Grading a student at the end of each semester is by awarding letter grades from A through E depending upon his/her overall performance in the course and the relative performance of all students evaluated for that course.

2.13.2 Reports

Apart from the letter grades, certain events/facts are reported by suitable words. These reports are not to be considered as grades. The various reports listed below are elaborated subsequently.

2.13.3(a) No Show (NS) ReportAn event will be reported as ‘No Show’ under the following cases.i) Student has neither reported for registration on the specified date nor sought prior permission for late registration,ii) when reasons for request for late registration are found to be false/not genuine, Consequently, this leads to discontinuation from the program - see 2.13.3(g) a student has no show report in the subsequent Semester his/her name will be struck-off from the rolls (Ref. 2.5).

If the faculty finds a student to have not fulfilled some of the requirements of a course before the final deadline for transmitting the grade, and the faculty is satisfied that he/she is able to transmit some grade or report with or without this particular fulfillment, but at his/her discretion wishes to give the student an opportunity, he/she may within the deadline send a report ‘I’ and also inform the student of the same. It shall be the responsibility of the student to contact the faculty in time for replacement of the ‘I’ report within two weeks after the end of the semester; failing which the faculty will communicate whatever grade/report is possible for the student.

2.13.3I Grade Awaited (GA) Report

For some reason, the faculty has failed to evaluate a student on a project, assignment or any other component of evaluation on time, the faculty may recommend a ‘GA’ report for the student. In such a case,

it is the responsibility of the faculty to ensure that the evaluation is completed at the earliest and a suitable letter grade is recommended for the student.

A student may also get a ‘GA’ report if he/she has, due to a genuine personal reason, not been able to appear for the Mid-Semester or End-Semester Examination on the date scheduled and his/her request for make-up has been granted. In such a case the student should ensure that either:

i) He/she takes the make-up examination and converts the ‘GA’ report into a letter grade or, ii) He / she make an application to the Centre Head, ISMS to convert the ‘GA’ report to an ‘NC’

report.

Further, for any reason the grading of the student is withheld he/she may be awarded ‘GA’ report. When a “GA” report appears in the grade sheet of the student in the preceding semester, then he/she will not be allowed to register for the subsequent Semester until the student takes steps to convert the ‘GA’ report into a letter grade or an ‘NC’ report.

2.13.3(d) Not Cleared (NC) Report

If a student continues to remain registered in a course but gives the faculty inadequate opportunity to evaluate him/her by remaining absent from all evaluation components conducted by the faculty or by remaining absent from the mid-semester examinations and / or end-semester examinations for the course, the event will be reported as an ‘NC’. In addition to the above, if a student has not satisfied the minimum attendance criterion of 75% for the course and gets disqualified from attending mid-semester examinations or end-semester examinations, he/she will be given an ‘NC’ Report.

In all these cases, the student will have to repeat the course whenever it is offered in the subsequent semesters. The student in the subsequent registration will carry an ‘NCR’ (NC Repeat) against the grade/report for the course in the grade sheet/transcript.

If a student has an ‘NC’ report in a course, progression to the subsequent semester(s) is not restricted except when the course with the ‘NC’ report is a pre-requisite to a course in the subsequent semesters.

2.13.3 (e) Withdrawn (W) Report

A student may seek withdrawal from a course or from more than one course of a semester for any of the following reasons:

i) The student is unable to register for the course(s) for a genuine personal reason,ii) The student is unable to cope with the normal semester load and withdraws from the course(s) to

reduce his/her academic load for a particular semester.

Request for withdrawal should be made with the recommendations of the Centre Head, ISMS in the proforma given in Annexure II within two weeks of commencement of semester in case of (i) above and within four weeks of commencement of the semester / course in case of (ii). In such cases, the Grade Sheet / Transcript of the student will indicate ‘W’ (Withdrawn) against the course(s) from which the student has withdrawn his/her registration. The student will have to register for the course(s) in the next offering and obtain a valid letter grade. If the course with ‘W’ remark is a prerequisite course, registrations to course(s) of the subsequent semesters is possible only on obtaining a valid letter grade in the course with ‘W’ remark.

If the withdrawal is made after six weeks, the event will be reported as an ‘RC’ or ‘DP’ as the case may be. The ‘RC’ and ‘DP’ reports are detailed in the following paragraphs.

2. 13.3 (f) Registration Cancelled (RC) Report

Where a student’s registration for a program has to be cancelled this fact will be reported in the grade sheet as ‘RC’. An event will be reported as Registration Cancelled (RC) in the following cases:

i) Cancellation is recommended as a part of disciplinary action for resorting to unfair means during examination or breach of disciplinary unprofessional behavior (Ref. 2.10).

ii) A provisionally admitted student fails to submit the proof of graduation and/or does not satisfy the minimum eligibility requirements for admission within the prescribed time (Ref. 2.1).

iii) When he/she persistently and/or deliberately does not pay-off his/her dues.

iv) When a student gets more than the stipulated lower grades at the end of First Academic year.

RC has the following interpretations:

i) When it is clearly known that the student will be required to register again in the same course the event will be reported as ‘RRA’ (Required to Register Again).

ii) If an ‘RC’ amounts to discontinuation from the Program it will be reported as ‘DP’ (Discontinued from the Program).

iii) If the cancellation of registration is not reported either as ‘RRA’ or as ‘DP’ but is reported as ‘RC’, it does not necessarily mean that it is free from any constraint. The meaning of the constraint has to be construed from the context in which the ‘RC’ was reported.

2. 13.3 (g) Discontinued from the Program (DP) Report

An event will be reported as DP in the following cases:

i) Student after allotment of enrollment number has neither reported for registration / late registration nor sought prior permission for deferment.

ii) Student with an ‘RRA’ report has not registered in the subsequent semester.iii) Student communicates his/her inability to continue the program and withdraws from the

program.iv) Student with unacceptable CGPA and / or grade afflictions not registering for the courses

to remove these afflictions.v.) If the ‘RC’ amounts to discontinuation from the program

In all such cases, students will have to repeat the course whenever it is offered next time, as per the rules that govern such repetition (ref. 2.19).

However, when a student has not satisfied the minimum attendance criteria of 75% for a course, he/she can appeal and seek permission from the Centre Head for condonation.

2.14 Cumulative Grade Point Average (CGPA)

The Cumulative Grade Point Average (CGPA) describes aggregate performance of a student in all courses in which he/she is awarded letter grades, from semester I to the latest semester and it is computed as follows:

CGPA = U1G1 +U2G2 +U3G3+…

U1 + U2 + U3 +…

Where U1, U2, U3 …denote units associated with the courses taken by the students and G1, G2, G3… are the grade points of the letter grades awarded in the respective courses. The reports ‘NC’, ‘GA’, ‘RC’, ‘W’ and ‘I’ will not be considered for the calculation of CGPA.

2.15 Grade Sheet

A student’s grades, reports, CGPA and other pertinent information for a semester are given in the grade sheet.

Chronologically organized information from the grade sheet of a student with the necessary explanation constitutes his/her transcript, which is issued at the time he/she leaves the Institute or at an intermediate point, upon request.

While registration with the approval of the appropriate authority consistent with these regulations is a token of permission to pursue studies, the grade sheet is a complete record of the outcome of what was intended in the original/amended/revised registration. The various grades and reports in clauses 2.13.1 and 2.13.3 would be appropriately used to tally the grade sheet with the original/amended/revised registration. It would be evident that this tally between what was registered for and what was obtained in

terms of grades and reports will apply to all courses except for any course, which was originally registered for, but subsequently replaced by another course through substitution.

The tally is made on course basis at the conclusion of the semester to determine which of the courses have been cleared. A course is deemed to have been cleared if the student obtains a grade in the course. However, mere clearing of the prescribed courses on a course-by-course basis does not amount to fulfilling the requirements of graduation.

2.16 Academic Counseling Committee

Failure to meet even one of the minimum academic requirements enumerated above is called ‘an affliction’. Accumulating one or more afflictions will automatically place the student under the purview of the Academic Counseling Committee (ACC) or the designated authority. During the pendency of this purview, the student will lose all his/her options in regard to the various items permitted during the process of registration, namely, choice of electives, repetition of courses, departure from academic norms etc., and he/she will lose all options for amendment of registration i.e., substitution and withdrawal. However, the ACC have the right to revise the original registration. It should be the student’s objective to fulfill the minimum academic requirements and to go out of the purview of ACC.

2.17 Graduation Requirement prerogative

A student is deemed to have fulfilled the academic requirement of graduation for the program when he/she satisfies all the following conditions:i) Has cleared all courses prescribed in the Program with valid grades and completed the minimum

credit requirement as specified in the Program Regulationsii) Has obtained a minimum GPA/CGPA of 5.50 at the end of the Programiii) The cumulative number of D and E grades does not exceed 12 out which of the number of E

grades does not exceed 4.

A student is deemed to have become eligible for the Masters Degree if, in addition to satisfying the academic requirements of (i), (ii) and (iii) of clause 2.17 and he/she has:a) No outstanding dues against him/her to be paid to ISMS or any other affiliate/associate

organization of the institute, b) No case of indiscipline or unfair means pending against him.

2.18 CertificationProgram Completion Certificate

The students who have completed the Program and await the results will be given a Program Completion Certificate by ISMS. This certificate is valid till the date of declaration of results.

Provisional Certificate

Students who fulfill the graduation criteria will be given a provisional certificate along with transcript prior to the formal convocation.

The MBA Degree:

Students who fulfill the graduation criteria will be awarded the MBA degree from the University at the convocation.

2.19 Repeating a Course

A student who is still in the process of completing the requirements of the program, may at his/her own option, repeat a course which he/she has already cleared with the intention of improving his/her grade. Students with academic afflictions such as ‘NC’/’RC’ reports will also have to repeat courses to convert the academic afflictions to valid letter grades. In such cases the following conditions shall be followed:

1. Note that the desired course, which the student desires to repeat, is part of the current program.

2. See to it that the course does not clash with other courses. 3. Note that he/she has paid the specified fee.4. Note that he/she shall attend all classes and evaluation components. 5. Apply for it in the prescribed format given at Annexure-II.

2.20 Summer Term

ISMS may offer a special Summer Term in order to provide an opportunity for students to repeat courses. The Summer Term provides for a special accelerated pace and requires that the number of courses in which any student is permitted to register cannot be more than three. While the conditions that apply for repetition of courses as described above would continue to remain, the additional rules and regulations governing the offer of the Summer Term are as under:

i) Registration for the Summer Term is open to all students of ISMS who wish to repeat courses with an intention of improving their grades of the earlier semesters or to eliminate academic afflictions

ii) The decision of whether or not to offer the Summer Term in a particular academic year will vest with ISMS

iii) ISMS reserves the right to offer/reject the application for registration to a particular course or substitute the courses applied for by other courses based on the past academic track record of the students, and availability of infrastructure. In other words, it is not mandatory for ISMS to offer such courses as requested for by the students

iv) Students should ensure that the course that they wish to repeat does not clash with their other academic schedule

v) Students who register for the Summer Term will be evaluated as per the schedule and scheme prescribed. The revised grades of the students will have the remark ’NC Repeat’ or ‘Grade Repeat’, (as the case may be) against the courses in the final transcript

vi) Summer Term facility will not be given to students with an ‘RC’ report arising due to disciplinary action

vii) Students, who are interested in availing the benefit of the Summer Term, should apply in the specified format given in Annexure IV, on or before the stipulated date. The Summer Term flexibility available in the system is not part of a regular semester and is offered with a separate Course Repetition Fee outside the Total Program Fee.

The specific details regarding offer of the Summer Term will be advised to students, at an appropriate

time.

2.21 Cancellation of Provisional AdmissionIf a provisionally admitted student of the Class of 2011 fails to submit proof of completion of graduation on or before 1st October 2009, the student’s admission to the program would stand canceled with immediate effect. Such a student can apply for refund of fees enclosing the “No Dues Certificate”, as per the specified format given at Annexure-V. The fee refund permissible in such cases is 75% of tuition fee paid and caution deposit (after adjusting for dues, if any). The application for the refund of fee is to be submitted on or before 1st October 2009. The students’ applications received for refund after 1st

October 2009 will not be considered for refund of tuition fee and no correspondence on the subject will be entertained.

All students are advised to make note of 1st October 2009 as the last date for submission of proof of graduation.

Section – IIIFinancial Aid and Regulations

3.1 Payment of FeesISMS expects prompt payment of fees and other charges. If payment is not made on time, ISMS may impose penalties which may inter-alia include: not permitting registration into the succeeding semester, withholding grade sheets, transcripts and/or fine etc. Schedule of fees payable is given at Appendix-B. The payment schedule for each semester is given with the admission letter to each student. The fee presently charged for course repetition, summer term, duplicate grade sheets, additional copies of transcripts etc. are also given at Appendix-A. Each component of fee payable for the program is as under:

3.1.a. Admission FeeStudents who are provisionally admitted into the MBA programs of ISMS are required to pay a nonrefundable admission fee of Rs.5, 000/-. This fee is to be paid by all selected students at the time of the Final Interview process.

3.1.b. Tuition FeeThe tuition fee for the two year MBA program is payable in six installments as per the schedule given in Appendix-A. Students will be permitted to register/appear for examinations of that Semester only on payment of the installment fees.

3.2 Scholarships

3.2.1 Merit Scholarship

ISMS recognizes the academic performance of the students and offers Merit Scholarships for the students based on the academic performance in every Semester. The details of Merit Scholarship and its disbursal on progressive basis during the program are given in Appendix-C.

The total number of merit scholarships is subject to a ceiling limit of 10% of the strength of the class.

3.2.2. Terms and Conditions

a) The Scholarships will be applicable only for the Tuition Fee Payments and not for any other fees i.e., Admission Fee, Student Activities Fee, ISMSAS Membership Fee, etc.

b) Students are advised to note that the performance in only credit courses will be considered for award of merit scholarships. Grades awarded for SIP and MSP are considered for computation of CGPA but not considered for award of merit scholarship.

c) CGPA is based on the grades awarded on the basis of total marks obtained in Internal Evaluations, Mid-Semester and End-Semester Examinations. The marks awarded for Non-Credit courses will not be considered for computation of CGPA.

d) The students will have to maintain the required level of attendance as stipulated in academic regulations to be eligible to get the fee concessions.

e) The scholarship will stand withdrawn prospectively in case the student is found to have resorted to unfair means in examinations, repeating a course or unprofessional behavior at the Icfai School of Marketing Studies and is subjected to any disciplinary action.

ISMS reserves the right to amend, modify, delete or expand these terms and conditions. The decision of ISMS is final and binding on the students.

3.4 Hospitalization Expenses ReimbursementThe Guidelines for contribution under Hospitalization Expenses Reimbursement Scheme are placed at Appendix-A.

3.5 Contribution to Student Activity Fund and Hospitalization ExpensesStudents are encouraged to take initiative in activities like participation in competitions organized by other Business Schools, cultural events, valedictory functions, etc. These activities will be organized by a committee consisting of students and faculty and will be under the overall guidance of the Centre Head . Students of the Class of 2011 are required to contribute Rs.20,000/- to the Student Activity Fund. It is utilized to finance student activities including special classes for development of soft skills, placement brochure/placement related activities, participation in competitions, picnics, cultural events, welcome and valedictory functions etc. It is also utilized to reimburse hospitalization expenses up to Rs.1,00,000/- due to illness and accidents during their course of study. The payment of Rs.20,000/- to be paid in two equal parts of Rs.10,000 /-each and paid along with the II and IV installments respectively.

3.6 ISMSAS Membership FeeAll ISMS students are eligible to seek membership in the Alumni Society (ISMSAS), a society formed for the benefit of ISMS Alumni. The membership entitles the students to participate in seminars, workshops and conferences organized by the ISMSAS and participate in the local chapter activities. The membership fee of Rs.10,000/- is payable to ISMSAS along with the sixth installment of the tuition fee. After completion of MBA program requirements, students will automatically be eligible for membership in ISMSAS. ISMSAS Membership application given at Annexure X.

3.7 Late Payment of Fee/FinesAll students are expected to pay the fees as per the announced schedule. Students who fail to do so have to seek written permission for late payment giving the committed date for payment. Such students will be charged a late payment fee of Rs.10/- per day for the first one-week, and Rs.100/- per day thereafter. The late payment fee/fine should also be remitted along with the fee installment payable.

The late payment beyond one month of the original scheduled date of payment will not be entertained under normal circumstances.

Wherever the last date for payment of fee coincides with the date of registration in any semester, registration of the student will be provisional till the extended date permitted for late registration. The provisional registration of the student who fails to pay the fee and fine within the extended time period allowed to him/her will be canceled with immediate effect and the student will no longer be on the rolls of ISMS.

3.8 Course Repetition FeeStudents registering for course as course repetition will have to remit the course repetition fee as given in Appendix B. The fee will have to be deposited on the date of registration for the course.

3.9 Fee for Duplicate Copies of Grade Sheets / TranscriptsStudents who request duplicate copies of their Grade Sheets/Transcripts will have to apply for the same along with a fee of Rs.50/- per additional copy of grade sheet and Rs.200/- per additional copy of transcript as per specified format given at Annexure-VI.

3.10 Fee for Duplicate Copies of Degree CertificateStudents who request duplicate Degree Certificate will have to apply as per specified format given at Annexure-VII along with prescribed fee and an indemnity bond on Rs.100/- non-judicial stamp paper in the prescribed format given at Annexure-VIII.

3.11 No Dues CertificateIn the following cases submission of the library cards and identity card is required for obtaining a ‘No Dues Certificate’.

At the end of SIP and MSP students are required to obtain the ‘No Dues Certificate’ from the SIP/MSP organization and submit the same at ISMS.

3.12 Refund Policy

i.) Admission Fee

The students who have been granted provisional admission pending their fulfillment of eligibility criteria and have to subsequently withdraw from the course due to non-fulfillment of the stipulated eligibility criteria for admission are refunded 75 percent of the tution fee only. The students who are asked to withdraw from the course either due to poor attendance or securing more than the permissible ‘D’ and ‘E’ grades, or both, during any semester of the program are not eligible for any refund of the fee already paid. However such students can claim refund of the amount paid towards Alumni Association.

ii.) First installmentThe last date for payment of first installment of tuition fee is June 1st 2009. Students withdrawing after paying the first installment of tuition fee will be eligible for refund as follows:

Those students who withdraw from the program on or before June 15th 2009 are eligible for 50% refund (without interest) of the first installment of the fee in July 2009.

iii.)Non Eligibility criteriaIf a provisionally admitted student fails to submit proof of completion of graduation by 1st October 2009 or does not score the minimum eligibility marks in graduation, his/her admission to the program would stand canceled with immediate effect. Such a student can apply for refund of fees enclosing the ‘No Dues Certificate’ from ISMS, along with proof of failure in graduation. The fee refund permissible in such cases is 75% of tuition fee paid (after adjusting for dues, if any). The format for applying for refund of Tuition Fee under non-eligibility criteria is given in Annexure V.

Section –IVGeneral Regulations

4.1 Address and Name changesIn case of a change in permanent address, students are required to incorporate the same in the Registration Cards to be filled by them at the beginning of every Semester. If a change is contemplated in the middle of any semester, students can forward an application in the specified proforma given at Annexure-XI for change of address, name to ISMS. Students who wish to change any part of their name must provide official documentation supporting the requested change.

4.2 Conduct RegulationsStudents are subject to disciplinary action when they violate rules and regulations. Some of the possible violations are:

Obstruction or disruption of teaching, administration, seminars, class discussions, and other activities of ISMS.

Permitting unauthorized entry or use of ISMS facilities by outsiders. Disorderly/obscene conduct or expression. Forgery, alteration or misuse of ISMS documents. Use of unfair means in any of the evaluations. Damage/pilferage of ISMS properties Absenteeism beyond the permissible limit.

The above list is indicative and not exhaustive. In all such cases, ISMS, at its sole discretion shall determine the punishment commensurate with the actual violation, which may even include rustication of the student from the program.

4.3 LibraryEvery student will be issued 2 Library cards, each card will entitle the student to borrow one book from the library for a period not exceeding 7 days. And if the period of 7 days is exceeded, a fine will be collected from the student. In case the books are lost then the student has to deposit the cost of the book(s) lost, at the library.

Eating, drinking, talking in the library are not permitted. Mutilating and/or defacing library books, journals and other material by highlighting, underlining, writing, removing pages, or otherwise damaging the library material may result in disciplinary action.

4.4 Use of TelephoneThe telephone facility at ISMS is for official use only and not for use by students.

4.5 Use of InternetThe Internet facility is to be used by students judiciously as per the guidelines issued by the ISMS and purely for academic interests. Students are advised not to misuse this facility.

4.6 Use of Photocopying Facility

The photocopying facility is provided at ISMS only for official purposes. However, students can use the photocopying facility at the ISMS only with permission.

4.7 Prohibition of Use of Cell phone / PagerUsing cell phone/pager in the classroom and during examinations is strictly prohibited.

4.8 Prohibition of SmokingAll ISMS premises are declared as “No-Smoking Zones”. Smoking within the premises invites severe penalties.

4.9 Sexual harassment and Code of Conduct

All forms of sexual harassment will be viewed seriously by ISMS. The punishment for sexual harassment is summary removal from the course. Students of ISMS must conduct themselves in such a manner so as not to lower the prestige of the institution.

Students of ISMS should not engage themselves in any controversy or conflict with general public.

Guidelines for Contribution under Hospitalization Expenses Reimbursement Scheme

1. The student who has paid Contribution to Hospital Expenses Reimbursement Scheme for the academic year is eligible for this scheme.

2. The students can avail the facility of Hospital Expenses Reimbursement for a maximum amount of Rs. 1,00,000/- during their course of study.

3. There should be a minimum admission of 24 hrs and a documentary proof stating the period of admission, the diagnosis undergone and the treatment provided should be specified clearly.

4. The Hospital Expenses Reimbursement Scheme for the students of ISMS covers all emergency cases like:

a. Road accidents with poly trauma.b. Head Injuriesc. Surgeries for appendicitis intestinal obstruction, abdominal trauma etc.d. Pyrexia for exocentric fever, Malaria, Ac. Gastroenteritis, viral fever, Pyrexia of

unknown origin.

5. The student will have to make the payment to the hospitals initially and later submit the claim with original bills for reimbursement.

6. False or exaggerated claims found if any, will make the student ineligible for the Hospitalization Expenses Reimbursement Scheme.

7. All the bills prior to admission and one week after discharge will not be accepted.

The Hospital Expenses Reimbursement Scheme does not apply for cases like:

o Chronic diseases like Sinusitis, Headache, Backache, Tuberculosis, Diabetes, Choleystitis, Rhinitis, Suppurutive otitis media, Skin conditions, Chronic Bronchitis, Hemorrhoids etc.

WHEREAS the Student had pursued the MBA Program of the University during the period ___________to__________

WHEREAS the student upon successfully completing the MBA Program had been given the MBA Degree certificate by the University

WHEREAS the student has lost/misplaced the post-graduation certificate given by the University and has approached them for issuance of a duplicate MBA Degree certificate

WHEREAS the student has lodged a complaint with the police station having jurisdiction over the area and obtained the ‘non-traceable certificate’ from the authorized police station (copies of this ‘non-traceable certificate are enclosed)

WHEREAS the University has considered the request of the student and has agreed to issue a MBA Degree certificate in duplicate upon the student executing an indemnity bond in favor of the University.

WHEREAS in compliance of the requirement of the University the student has come forward to execute an indemnity bond in favor of the University

NOW THEREFORE THIS INDEMNITY BOND WITNESSETH AS FOLLOWS:

In consideration of the University issuing a MBA Degree certificate in duplicate to the student, the student agrees to indemnify the University and keep it indemnified and harmless from and against any loss, damage, liability and expense (including attorney’s fee and costs) incurred by the University due to any claim, action, suit initiated by any third party on account of the MBA Degree certificate in duplicate being issued by the University to the student upon payment of the prescribed fee for the purpose.
