    Warehouse

    What is warehouse ?y A warehouse is a commercial

    building for storage of goods.

    Who uses them?y Warehouse are used bymanufacturers , importers

    ,exporters ,wholesalers ,

    customs ,transport businesses

    etc.

    Where are they?y They are usually large plain

    building in industrial areas of

    cities and towns.

    How do they work?y They usually have loading docks

    to load and unload goods fromtruck . Sometimes warehousesload and unload goods directlyfrom Railways , Airports andSeaports. They often haveMaterials Handling Equipment formoving goods , which are usuallyplaced on pallets or loaded intoracks.

    y Stored goods can include any

    raw materials , packing materials, spare parts , components , orfinished goods associated withagriculture , manufacturing , orcommerce.

    Premises

    Premises should be of suitable size and construction to facilitate cleaning ,maintenance and orderly , segregated storage. Storage areas must be designed to

    provide adequate

    Lightening

    Ventilation

    Temperature & Humidity

    Sanitation Space

    Equipment

    Security

    FMCG & PHARMA raw materials to be kept separately to avoid cross

    contamination.

    Incoming goods should be physically or electronically separated from goodsawaiting distribution until approved by the responsible person.

    Segregated area must be provided for the holding and storage of returned and

    rejected goods prior to a decision on further action.

    A separate , designed area should be provided for the assembly of customer orders.

    Security

    Storage areas should be provided with security to prevent

    theft or unauthorized entry.

    Maintain a control log of who may enter the facility.

    Establish system for controlling access to the facility (

    Including all entrances & Exits).

    Temperature and Humidity All temperature controlled products must be stored at

    appropriate conditions as stated on the label of the product.

    The temperature of all storage areas should be regularlymonitored.

    Controlled temperature storage areas should be equippedwith recorders and devices which indicate when the specific

    temperature range has not been maintained.

    A written procedure ( SOP ) must specify the action to be

    taken when this occurs , control should be adequate to ensure

    that all parts of the storage area are kept within the specified

    temperature range.

    Should always be a back up system in case main system fails

    ( Disaster / Recovery or Business Continuity Plan )

    The humidity of all storage areas should be regularly

    monitored using recorders and devices which document

    the humidity measures.

    Establish a normal operating baseline of humidity if no

    specific value is required.

    Records of temperature and humidity in all storage areas

    should be reviewed and retained by a designated

    responsible person.

    If the product specification require a specific humidity , awritten procedure ( SOP ) must specify the action to be

    taken when the specified humidity range has not been

    maintained.

    Equipment

    There should be a documented

    planned preventive maintenance

    program in place.

    Recording and control equipment

    should be calibrated and checked at

    defined intervals by appropriate

    methods.

    Alarm set-points should be checked on

    periodic intervals.

    A computerized system used for stock

    control / distribution should be

    validated

    Person

    The organization chart should be inplace.

    There should be sufficient numbers ofstaff.

    There should be clearly defined jobdescriptions.

    Personnel should be trained in relation togood storage and distribution practicesand to the duties assigned to them

    The current training records should be inplace.

    The trainer should have established andapproved qualifications.

    Sanitation A written sanitation program should be in

    place indicating the frequency andmethod of cleaning the facility.

    Storage areas should be cleaned andaccumulated waste removed at regularintervals.

    A pest control program should be inplace.

    Smoking , eating & drinking should bepermitted only in segregated areas , andnot in those areas used for the storageand handling of goods

    Spills and leakages involving chemicalproducts must be promptly cleaned-upand rendered safe in accordance with therelevant health and safety requirementsfor the product.

    Adequate toilet and changing facilitiesshould be provided , and they should besegregated from the main storage andorder assembly areas.

    Receipt of Incoming Goods

    It should be carried out according toapproved adequate SOP.

    Visually examine for identity against therelevant suppliers documentation.

    Sub-divide according to batch numbersif more than one batch.

    Reject product if damage or otherwiseunfit for use.

    Handle high security materials ( control

    drugs , high value items , productsrequiring a specific storage temperature.

    Confirm with signature that receivinggoods are as specified by supplier or ifnot provided adequate comments.

    Assembling Orders & Issuing

    Goods It should be carried out according toapproved adequate ( SOP ).

    Pick up goods according to formaldispatch documents.

    Assemble complete order.

    Visually examine for damage.

    Confirm by signing the properlyassembled order.

    Prepare adequate shipping package to

    protect any damage of goods , sealpack and provide relevantidentification.

    The temperature sensitive items mustbe transported by appropriatespecialized means ( Isolated Packing)

    Packing for Transportation

    Product should be packed in such away that :y The identification of the product is not

    lost

    y The product does not contaminate and isnot contaminated by other products ormaterials.

    y Adequate precautions are taken againstspillage and breakage.

    y Product requiring controlled temperaturestorage should be provided withinsulated packs.

    y There should be in place documentedevidence that the insulated packsensured adequate transport conditions

    with regards.

    Transportation

    Product should be transported insuch a way that :y The safety , identify , strength , quality and purity of

    the product is not lost

    y The product is not contaminated other products ormaterials.

    y Adequate precaution are taken against spillage orbreakage.

    y The product and its package are not subjected tounacceptable degrees of heat , cold , light , moistureor other adverse influences nor to attack by microorganism or pest.

    y Drug products requiring controlled temperaturestorage by appropriate specialized means or shouldbe packed with adequate insulation

    y Documents should be provided to cover allshipments . These documents should include asminimum : Name of Product Quantity of the Product Special Storage and Handling instructions ( If Required )
