2|ASSOCIATIONS NOW SUPPLEMENT 7-8/2015
ISTORICALLY, associations have been a primary, authoritative source for specific industry knowledge and resources. Yet, somehow in a few short years, a technological revolution has radically changed all that. In today’s digital world, access to quality content that’s free and readily accessible poses a serious threat to traditional associa-tion business models. And, as massive transformation continues to tear at the fabric of our societal structures, “trust” has become a new form of currency. Associations are in a prime position to take full advantage of this strategic asset.
Although associations are exploring many paths and models, one worthy of consideration is the unparalleled access afforded to organizations who work with association management companies. Indeed, an AMC can provide new insights and access to resources currently just outside your reach.
OUR CHANGING WORLDRegardless of industry sector or IRS designation, association executives struggle to create organizational cul-tures equipped to handle today’s rate of change. Digital initiatives have dis-rupted the ways in which societies and associations engage and partner with their stakeholder groups. The need for ongoing innovation, talent manage-ment, and systems agility is a particu-larly confounding concern. How is it possible for associations to effectively compete, let alone grow and thrive in this crazy new reality?
Being prepared to take full advan-tage of the opportunities inherent in your association’s future depends on your ability to unlock potential. Sustaining your position as a trusted source requires urgent adoption of emerging tools and processes that are agile, interoperable, secure, and acces-sible. Technology can no longer be considered a support function; rather, it has become a foundational element underlying everything you offer.
What is your digital strategy? Is your association optimized for mobile? Are you providing curated content to your members? In a world where members have come to expect an
“Amazon-like” experience, it’s clear that, as business guru Marshall Gold-smith wrote, “what got you here won’t get you there.” Whether in need of full-service, project-based, or service-sector-specific partnerships, many organizations can benefit from the business acumen, efficiency, techno-logical expertise, and cost savings that AMCs can bring.
AMCS CAN “GET YOU THERE”Associations come in all shapes and sizes, with varying business models, financial reserves, and staff talent. Those with deep resources might have what it takes to navigate toward this new normal. For everyone else, however, I urge you to take a look at what the AMC model can bring to your organization.
Associations still largely retain a trusted role in innovation, problem solving, and social change. You are the domain experts. AMCs bring 21st-cen-tury association management expertise via a partnership model that augments your value proposition.
The 2015 Associations Now Guide to Association Management Companies was prepared with you in mind. We hope you will see it as a key to unlock the potential that awaits your organiza-tion in the future. Happy associating!

GROWTH
BY BRYAN OCHALLA
A GREAT AMC CAN HELP ASSOCIATION CLIENTS ACCELERATE GROWTH THROUGH NEW BUSINESS LINES, NEW MARKETS, AND NEW STRATEGIES. DON’T BE SATISFIED WITH THE STATUS QUO. LEARN HOW AN AMC CAN NURTURE YOUR ASSOCIATION TOWARD REALIZING THE FULL DEPTH OF ITS POTENTIAL.

6|ASSOCIATIONS NOW SUPPLEMENT 7-8/2015
on’t feel bad if “growth” is not the first thing that comes to mind when you think of
association management companies.Leslie Murphy, FASAE, CAE, president of Raybourn
Group International (RGI), understands the disconnect—to a point. After all, she admits, “when some clients hear the phrase ‘association management company,’ they translate ‘management’ into ‘maintaining.’”
In reality, though, AMCs aim for far more than maintain-ing the status quo for the associations that employ them.
Specifically, Murphy says, cream-of-the-crop AMCs teach their clients how to “operate more efficiently, effectively, and quickly,” as well as provide them with “creative new ideas for across-the-board growth.”
As for how they accomplish those feats, Murphy points out that client associations have access to the collective knowledge and expertise of RGI’s entire staff, not just those assigned to their client teams. Those staffers understand the latest trends, tools, and technologies, and they put all of that knowledge to use to develop and execute forward-thinking strategies that make growth possible.
Peter Houstle, CEO of Mariner Management and Market-ing LLC, seconds Murphy’s claims. “Between our staff and partners, we have experience in almost all aspects of associa-tion management, including governance, membership, edu-cation, finance, and technology,” Houstle says. “You name it, we’ve been there, done that.”
BENCH STRENGTH AND BEYONDOne of the main benefits tied to “having a bench from which to draw talent”—as Jodi Araujo, CEM, entre-preneurial industry segment leader at Association Headquarters, puts it—is that it enables AMCs to scale their staffing models depending on a client’s budget, timeline, and other factors.
“Our business is built on the ability to customize and adjust staffing based on the needs of our clients,” Murphy adds. So, if an association decides it wants to launch a new program or service, “we leverage and secure the staffing required to make that initia-tive a success.” And because new programs typically require a high level of initial support, AMCs “can provide a specialized startup team to launch the program and then adjust staffing levels accordingly,” Murphy says.
In other words, the AMC model offers client associations “maximum flexibility and bang for their buck,” she says, in large part because “highly qualified specialists can be accessed on an as-needed basis.”
That flexibility also allows clients to take on new initiatives “without building and sustaining all the infra-structure and consequent fixed costs” that tend to go hand in hand with such efforts, says Houstle. On the flip side, it can allow them to “move out of that initiative without incurring the poten-tial termination costs, both financial and human, that often come with, ‘Oops, that was a mistake.’”
GENERAL GROWTH STRATEGIESHow AMCs help client associations grow depends on a number of factors, such as “the type of growth sought, where the client is relative to those growth goals, the resources the client can bring to the effort, and the actual potential for growth in the area under consideration,” Houstle says.
Still, there are a few general ways in which AMCs work to make this happen, regardless of situation.
One of them, Murphy says, is that they ensure a strong foundation is in place at the client association before moving any specific initiatives forward. That’s important, she adds, because “if an association lacks the fundamental structures or processes
ASSOCIATIONS NOW SUPPLEMENT 7-8/2015|7
needed to serve their members, attempts at significant growth or change will crumble.”
With a solid platform in place, the next step is to pinpoint the client’s “true, unique value proposition,” Murphy says. Doing this helps both entities “identify new markets and growth opportunities that are vital to their continued success and member satisfaction.”
Also important to an AMC putting an association on the path toward growth: partnering with its board. Murphy says engaging and educating an association’s board is vital to n identify opportunities, desired
outcomes, needed resources, evaluation measures, and a realistic timeframe for results
n clearly communicate with members, business partners, and other key stakeholders so they understand why a decision was made and how it will affect them
n evaluate outcomes and metrics, recommending midcourse corrections if needed
n counsel board leaders about potentially negative impacts from major operational or policy changes without full consideration of ramifications that could result. This is key because “change and
growth of any kind take time,” says Murphy. “Developing a new business line or tapping into new markets may not happen in one year or one leader’s term.”

5 QUALITIES TO LOOK FOR IN AN AMC Here are a handful of attributes to keep an eye out for if you want to call on the services of an AMC to help develop new business lines or tap into new markets:
COMMITMENT. You want any AMC you work with to “be a true partner both now and in the future,” says Leslie Murphy, FASAE, CAE, president of Ray-bourn Group International.
EXPERTISE. If you’re to have any hope of turning what seems like a good idea into an actual, successful initiative, expertise is a must, says Peter Houstle, CEO of Mariner Management and Marketing LLC. Such efforts are most likely to work out if you come in with “a clear, evidence-based idea regarding the opportunity.”
FLEXIBILITY. In particular, Murphy says, you should search for an AMC that “is willing and able to customize staffing and other support” to your specific needs.
GUIDANCE. This is especially important, according to Houstle, if you aren’t crystal clear about what you’re looking to do when you approach potential AMC partners. In such cases, he suggests looking for one “that can bring the kind of guidance needed to assess opportunities and has the capacity to support growth in a variety of areas.”
RESULTS. Look for AMCs that can point to “measurable, quantifiable results demonstrating success across several growth targets,” says Jodi Araujo, CEM, entrepreneurial industry segment leader at Association Headquarters.

PERSPECTIVE
AMCs have a big-picture view on how new technology can move associations forward, and they can guide asso-ciations toward seeing that bigger picture, one where operational func-tions can be integrated and enhanced through a broader digital strategy. As associations move away from tradi-tional ways of approaching IT, they’ll need expert staff or AMCs to lead the way toward a new model where IT is not just a department but rather a function of membership, marketing, communications, and other areas.
AMCs, with their experience and connections with IT firms, “have much more depth of knowledge and exposure than a typical standalone organization,” says Michele Jerome, MPA, CAE, senior vice president of operations at Coulter. “We evaluate technology from multiple angles—from the user/client perspective,
evaluating ease of use for clients; and from an internal vision perspective, deter-mining how it compares in terms of cost and operations to other solutions.”
Jerome’s company pulls from a wide pool of solutions to meet each client’s needs and determine how to best integrate technologies to serve the specific mis-sions of each association. “We work with so many different platforms, and we are always looking for the latest and greatest,” she says.
In addition, AMCs can offer perspective on using technology to attract members and “engage new sectors of membership,” says Freed. “Technology is a natural point of interest for young members.”
SMOOTH TRANSITIONSUpgrading from an old to a new IT system can be easier if the personnel leading the changeover are familiar with the systems—typically the case when an AMC is at the helm. Jerome has converted dozens of clients to a few systems in which Coulter is deeply experienced.
AMCs can also offer proficiency and a calming influence during an upgrade. Recalls Jerome: “We brought in one client within the past year that had a complete piecemeal solution—a customer relationship management system, a separate system for events, another platform for electronic marketing materi-als—and all were disjointed from the association website. But we were able to move everything over into one system … very quickly. Now the client has a more streamlined system, better data, happier and more connected members, and a much more attractive website.” The best part: “The entire new system costs less than the sum of the old systems.”
re you moving your association for-
ward in the digital world, or are you
stuck using old databases and piece-
meal software programs to carry
out your membership, meetings,
communications, and financial func-
tions? Implementing a comprehen-
sive digital strategy that incorporates
the latest technology systems that
fit within your budget is a critical
challenge for successful associations.
Hiring the right staff to manage this
investment is equally imperative.
While some associations rely on
in-house staff to manage technol-
ogy, others outsource IT functions to
association management companies
(AMCs), which can offer both scale
and experience. “Technology is con-
stantly changing. You want folks who
are outward-facing and thinking of
what’s coming next, or your associa-
tion is at risk of becoming irrel-
evant,” says Andy Freed, president of
Virtual, Inc.
Some associations find that AMCs
can offer a next-generation solution
that fits well within their overarch-
ing digital strategies, managed by
expert staff for a reasonable price,
along with a number of additional
advantages.
ASSOCIATIONS NOW SUPPLEMENT 7-8/2015|11
Often, associations can take off running once a transition to the new technology is complete, since AMCs “already have the systems figured out,” says Patricia Troy, IOM, CAE, presi-dent of Next Wave Group LLC. “There is no learning curve; we know what the system is capable of.”
EXPERIENCE AND TRAININGWhile some standalone associations hire experienced IT staff, AMCs have the advantage of bigger staffs with a multitude of IT experience, who possess a wide range of expertise in designing technology solutions.
“Organizations sometimes get locked into a way of doing things and avoid changing with the times. An association may have had the same employee on administrative staff for 20 years, and that person simply may not be current,” Troy explains. “Fortunately, it’s a pretty easy fix—we can take an association’s database and accounting system and get them up to speed very quickly.”
and we’re fortunate that we’ve been involved with many groups that are driving that change.”
In addition, technologies that promote engagement among mem-bers will be essential for associations in the future, says Jerome. “You will need to be able to enable members to share their knowledge and to allow stakeholders to connect and share resources regardless of geographic location,” she says.
Kate O’Donnell, vice president of brand strategy at Coulter, agrees that online communities are becom-ing essential for associations. Several Coulter clients have adopted leading community solutions that allow users to engage, collaborate, and share ideas to achieve specific business objectives.
AMCs that follow the trends allow their client associations to rest easy knowing their partner will educate them on need-to-know information for the future.
FOCUS ON MEMBERSIn addition to expertise and access, AMCs offer cost savings on technol-ogy due to the quantity discounts they command. “Since we bring almost 20 nonprofits to the table with our clients, we get group pricing,” says Jerome. “And those savings are passed on to our clients.”
What’s more, association staff may benefit from the guidance of AMCs in adopting a more digital mindset in planning and budgeting for all depart-ments in the years to come.
Perhaps most important, associa-tion members stand to benefit when AMCs assist in technology planning. Often the new IT solutions make interactions between members easier. Cost may have prohibited associations from upgrading and adopting new sys-tems in the past, but Freed notes that the tech landscape is changing rapidly: “Technology that was once unafford-able may now be in reach.”
christine umbrell is a freelance writer based in Herndon, Virginia. Email: [email protected]
AMCs prioritize continuing educa-tion on new IT solutions to stay cur-rent. “Training is an intrinsic part of the process,” says Troy. At Next Wave, for instance, staff frequently partici-pate in training such as ASAE’s yearly tech conference, vendor-sponsored courses, Lynda.com training, and TED conferences.
CURRENT AND CUTTING-EDGE OFFERINGSBecause AMCs typically have a number of staff focused on technol-ogy—and because they have increased exposure to several industries—AMC employees may possess insiders’ knowledge on the technology solu-tions that will become essential in two to five years. They can point associa-tions in the right direction when tech-nological advances come to market.
For example, “associations will need to have a comprehensive mobile strategy,” predicts Freed. “We are seeing growing importance of mobile technology—it’s changing everything,

PREPPING TOMORROW’S PROFESSIONALS
How exactly are they doing this? Management firm AMC Source is a good case in point, as it has used a few different tactics to attract younger professionals in recent years.
Take the company’s brand-new headquarters. According to president and executive director Greg-ory Brooks, the space was designed with the next generation in mind. “We wanted to develop a space that would appeal to early-career professionals as well as mid-career and more senior ones and would allow all of them to collaborate with and learn from each other,” Brooks says.
AMC Source also employs a mentoring program that helps prepare its entry-level hires for future stints as executive directors or other high-level positions.
In particular, it has early-career staffers “work-ing in the trenches” with their more experienced colleagues on a regular basis. Sometimes that means participating in conference calls and other virtual meetings, while at others it means traveling to or hosting relevant leadership confabs at AMC Source’s offices.
Shadowing also may occur at the client level. “For example, we have a master’s-level early-career professional who will be shadowing a member for one of the groups we manage to become more famil-iar with the industry,” Brooks says.
Not only do these efforts provide the employees with a bit of on-the-job training and education, but they also “allow the boards we work with to become familiar with the people who are likely to be their future representatives,” says AMC Source co-owner Debbie Nolan, IOM, CAE.
“We want our clients to feel comfortable with and have confidence in not only our senior-level folks but our mid- and early-career folks, too,” she adds. “So, we shepherd them by having them work on specific projects, especially in the beginning when we’re still developing a relationship with a particular association.”
AMC Source, like many other AMCs, also makes use of various professional-development and training tools to help fledgling staffers “learn the major domains related to association management,” Brooks says.
Fernley & Fernley, Inc., uses some of the same methods to get its less-experienced executive-direc-tors-in-training up to speed, says Taylor Fernley, president and CEO. He points to “bringing young leaders into the fold earlier in the process” and “accelerating their internal training schedule” as particularly worthwhile and important endeavors.
By now, it should surprise no one in or out of the business world to hear that baby boomers are leaving the workplace in droves, and they will continue to do so for some time to come.
In fact, this exodus isn’t likely to stop until at least 2030, which is when the last of the men and women who were born between 1946 and 1964 will hit retirement age.
Between now and then, and possibly even beyond, companies and organizations of all shapes and sizes are going to have to replace a lot of employees—many of whom currently are occupying their corner offices.
One way associations can respond to this so-called leadership vacuum is to partner with association management companies. After all, a large part of AMCs’ operations is focused on cultivating the younger women and men who will serve as their clients’ “executives of the future.”
ASSOCIATIONS NOW SUPPLEMENT 7-8/2015|15
THE RULES OF ATTRACTION
Also key to aiding associations in responding to the wave of baby boomer retirements is the fact that AMCs “have a unique attractiveness to younger professionals,” says Bran-don Robinson, CAE, vice president of association management at Eisenman & Associates.
That appeal comes from a variety of places, he says, most notably the ability of AMCs to accelerate the career growth of “green” execs and to provide them with experience in a wide array of areas.
Or, as Fernley puts it, AMCs entice executives-in-training by promising to expose them to “a multitude of opportunities to learn and grow in a multi-client environment otherwise not available in the standalone struc-ture.” AMCs also expose them to a broad base of volunteers and in-house executive directors “versus the one in the typical standalone environment.”
Working in AMCs, this next generation of association leaders get opportunities “to move around and learn about different industries and market sectors without having to change jobs,” Robinson says, noting that “younger professionals seem to be more apt to change jobs.”
A TWO-WAY (OR THREE-WAY?) STREET
That’s not to suggest AMCs—and the associations that hire them—get nothing in return from the young professionals who eventually will replace retiring baby boomers. On the contrary, these next-generation lead-ers “add a lot of great energy and ideas to our organizations, for starters,” Brooks says.
He points to how younger AMC employees are helping more mature ones—and the association executives they wind up working with, too—when it comes to all things technolog-ical. “Social media, especially. That’s really helped us improve communica-tion between our organization and
our clients, between our clients and their members, between members, and between our clients’ staff and the board members,” Brooks says. “We listen to and very much rely on the younger generation for their thoughts and opinions in these areas.”
Lynda Patterson, FASAE, CAE, president and owner of Association Management Partners & Executive Directors, sees the learning going both ways between generations. “The future generations offer so many exciting ways to ‘associate’ that we have never had the chance to experi-ence or to experiment with, while the ‘older’ generations are embrac-ing technology and reminding the younger generation of the value of in-
person connections as well as picking up the phone,” she says.
The incoming executives who are filling the shoes of their outgoing pre-decessors are bringing about change in other areas of the AMC business and association industry, too, Patter-son says. A handful of the most impor-tant areas of change, in her mind, are leadership development, member engagement, and even value proposi-tion. Each of those areas, along with many others, are “[taking] on new meanings with the generational shift in the workplace,” she says.

The rate of change in today’s world is unprecedented. Professionals who believe they know it all and needn’t com-mit to ongoing personal development will find themselves coughing in the dust of those who work to stay on top of current knowledge and practices. No matter what level of staff, our AMC is committed to providing education that will maintain the highest degree of professionalism and knowledge in all aspects of association management. We can then share that knowledge with our client associations. They expect us to be experts in association management—that’s why they hired us.

You wouldn’t trust your body’s health to someone who isn’t a trained medical professional. Likewise, associations are dynamic living entities and need the support of knowledge-able professionals to be healthy and vibrant. Old rules of member engagement, communications, professional development, advocacy, and event planning no longer apply—and the new ones are constantly changing. Today more than ever, an AMC that wants to keep up with its as-sociations’ changing needs must be firmly committed to staff development and training in every core area.
ROBIN LOKERMAN GROUP PRESIDENTMCI GROUP SINGAPORE
Professional development is critical for a global company like MCI. Finding talent with association management ex-perience is difficult outside the U.S. and Europe, so we hire curious talent whom we can train and develop. The MCI Institute is our training platform, with more than 100 online courses, as well as three annual weeklong MCI Academies. For our association management training we partner with ASAE and use the curriculum of the International Certifi-cate in Association Management.
How does professional development for your staff drive value for your AMC’s client associations?
DAVE WENHOLD, CAE, PLCCEOKAUTTER WENHOLD MANAGEMENT GROUP ALTAMONTE SPRINGS, FLORIDA
Most of the associations we represent require some form of professional development for their members and value that continuing education. They should demand the same from their AMC because it allows the AMC to be on the cut-ting edge of innovation. Our team holds a variety of certifi-cations and includes everything in the alphabet soup (CAE, PLC, PHR, CMP, CPA, and so on). We also attend other development opportunities to gather new and innovative ideas that help our clients. Professional development is the cornerstone to success for any association or AMC.
