University AssemblyUniversity Assembly

University Assembly will meet four times a year.

President Azziz is head of the faculty & Executive Chair of the University Senate.

Calling a meeting of the University Assembly: ◦ The President, Chair of University Senate, or majority

of the University Senate Representatives may call a meeting of the University Assembly.

 University Assembly will vote as a body: ◦ Electing 4 at-large delegates & Officers◦ On all changes to the by-laws of the University

Senate ◦ On any academic or structural policies affecting more

than one College or the General Faculty◦ On any other matter that the University Senate

deems worthy of the attention of the University Assembly

University SenateUniversity Senate

The University Assembly will elect the 4 at-large members.

The number of delegates elected to the University Senate from each college will be based on the following:

◦ 1-20 faculty, one representative ◦ 20-99 faculty, two representatives ◦ 100-199 faculty, three representatives ◦ 200-299 faculty, four representatives ◦ 300-399 faculty, five representatives; etc

College delegates need to make sure that at least one of their delegates is in attendance at every University Senate meeting..

Libraries are treated as a College for purposes of shared governance, with an internal governance like other Colleges and appropriate representation on the University Senate

Undergraduate student government graduate student government, staff government, and the University Senate committee of part-time faculty members will each send one delegate, who will be ex-officio and non-voting.

Colleges with no primary appointment faculty would elect one delegate who will be ex-officio and non-voting

The Executive Committee meets monthly to discuss issues of importance to the University and sets the dates agendas for the Senate Meetings

• Election Procedures:

• Elections for officers and at-large positions are electronic, and will occur in April of each year.

• The Governance & Communications Committee will oversee the conduct & validation of secure elections.

• Each college may nominate up to to 12 candidates: 4 each for Vice-Chair/Secretary/Treasurer and at-large Senator

• Any individual faculty member may independently stand for election to any of these positions.

• Each nominee must submit 1. biosketch, 2. summary statement about qualifications < 250 words, 3. contact information, 4. photo.

• Alternates are the next highest votes in descending order• Tie votes-runoff election will be held within 2 weeks

DutiesDuties

Duties: Senators

Senators will represent the faculty at all Senate & Assembly meetings.

The executive Committee will assign a Senator to liaison with each of the UFS Committees to attend as ex-officio & non-voting to ensure communication between the senate and its committees

• Senators term of office is 2 years. Senators may hold their offices for 3 consecutive terms. After a 6 year period of service, the individual is ineligible for 1 year, before being able to serve again.

• Election & Rotation: Each year, half of the allotted Senators will rotate off and Senators will be elected by each College with of 2/4 Senators elected at-large.

• If a College has only 1 representative, the College will determine when the Senator will be elected to a 2 year term.

• Each College, including Colleges without primary appointment faculty will have the option to elect up to 2 members to serve on all committees except the Executive Committee.

• Committee members term of office is 2 years, or until a replacement is elected.

• Election & Rotation: Each year, half of the allotted Senators will rotate off and Senators will be elected/re-elected by each College.

• Committee members may be reelected for 3 consecutive terms. After a 6 year period of service, the individual is ineligible for 1 year, before being able to serve again.

Duties-Committee Members

Members of each committee will elect a chair from among their members.

It is the Chair’s responsibility to provide monthly reports to the UFS Chair as well as an ‘end of the year’ report to the Senate.

It is routine for the Committee chair to give reports to the UFS at monthly meetings.

The UFS Chair may invite any committee chair to give a report to the senate/executive committee as needed.

The Chair shall announce meetings in advance for other senators to attend, if desired.

GRU UFS- The first Year: Working the ‘kinks’ out-> see amendment to UFS Bylaws Executive summary of UFS Meetings crafted by Chair and distributed

to Senators for dissemination to their College faculty to ensure transparency & facilitate communication of Senate activities to faculty

Addressed issues brought to UFS promptly-> typically at next meeting (Parking/security/IT/academic schedule/calendar)

GRU Showcase-> highlighting new/innovative programs& initiatives on campus

University Ombudsman & University Advocate positions are being utilized by faculty

Committees are active and productive New Faculty Orientation Outstanding Faculty Awards & Retiree recognition

GRU UFS-Moving Forward: Streamline process of updating website with meeting

agendas/minutes/times GRU ‘UFS 101; Introduction to the Senate for new
