My crystal ball is saying the real estate market for the first quarter of 2011 looks like being a fairly tough place. Anecdotally, activity in the last quarter of 2010 has been subdued in many areas of the state and building starts and finance approvals are also down, confirming this.

As always, there have been pockets that have managed to miss the pain but it would appear that they are few and far between.

Latest comments by the R.B.A. give some respite as they indicate that it is unlikely that we will see any further interest rate movements until at least the end of the first quarter, cold comfort to a degree I know, as much of the damage has already been done with recently released figures showing housing affordability in NSW currently at one of its lowest levels in years.

Even the weather seems to be against us at the moment with parts of the state experiencing floods and extreme weather events as I write this article; the long range forecast is for more of this all through summer. I guess we should be thankful we are not farmers, they have it even worse.

On the upside, rental demand remains strong with increased rents leading to higher returns in most areas. This will not only help our Property Management department profits but should see a continued influx of investors into the market chasing these attractive returns.

This next quarter will also see the introduction of the new Residential Tenancies legislation. As an industry I believe we need to talk to and educate our landlords as soon as possible in relation to these changes, before there is a quiet news week and some sensationalising journalists try to create panic for the sake of selling a couple of extra newspapers and we get left to deal with the paranoia.

EAC has run a series of seminars on this topic in recent times and will continue to update you as regulations are released and then tested at tribunal.

As Geoff Hunter demonstrates in his seminars, there are a number of positives for landlords in the new Act, it is not all bad, and we need to emphasise that to our clients before the scare stories start.

I believe the sales environment will stay tough in many areas, listings are down and look like remaining tight and now it seems as though prices are also dropping in certain areas. Managing vendor expectations will be of paramount importance in the coming months. All the good EAC agents will be practising their scripts and dialogues in role plays, I’m sure.

The upside for the good operators is that they tend to increase their market share in tough times and what doesn’t kill them will make them stronger.

Welcome to the first edition of From the Boardroom for 2011. This year will be another big year for the Co-operative where we will continue to look at ways the organisation can do some things better while continuing to innovate and add value to members.

I would like to take this opportunity to reflect on the many and varied achievements of 2010. These include:

• The purely agent centric eac.com.au web site provides a single place where members and agents can find out anything they want to know about EAC.

• The introduction of a new insurance service with OAMPS Insurance Brokers as its preferred supplier of insurance products including a PI insurance package that we believe is superior to others in the marketplace. The feedback from Members on the level of service being received and the number of policies being obtained by OAMPS has been very positive.

• EAC being named in the inaugural “Australia’s Top 100 Co-operatives, Credit Unions and Mutuals by Annual Turnover”.

• EAC re-entering the market with its own suite of real estate forms and agreements. The uptake of both our printed and eForms has exceeded our expectations and continues to grow.

• The re-launch of our Agency Practice Support service whereby EAC members are able to call and obtain advice on many of the issues that real estate practitioners face in the day to day operation of their business including compliance, agency agreements, etc.

• EAC Annual Planning Day at which we reviewed the operations of the Co-operative over the last twelve months, the Strategic Plan and the Budget for the new financial year. The Strategic Plan was updated with some forty items that we believe we can and need to do better at as well as some exciting new services that will further enhance the benefits derived from being a member of the Co-operative.

• The launch of a new realestateworld.com.au site with a new fresh look and feel. The new site includes several enhancements based on consumer and agent feedback.

• Discussions with the Real Estate Institute of Australia (REIA) with a view to obtaining representation at a national level for EAC Members. As a result of these discussions EAC Members now receive valuable real estate resources from the Real Estate Institute of Australia (REIA), including a weekly newsletter.

• The creation of a new position of Communications Co-ordinator to allow us to streamline and centralise the many different types of communication that that we send out both internally and externally.

• The extremely popular roadshows and industry update seminars conducted by EAC. The first round of seminars for 2011 starts in February.

• The implementation of a new Customer Relationship system to allow us to keep a better track of, and easily access, information about members and clients so that we can provide a higher level of service.

• The transfer of all our servers to a new data centre to allow us to provide better business continuity and a higher level of service.

From a personal perspective, it was encouraging to see the Co-operative return to a profitable position this financial year. The planning and hard work put in by the Board and the team at EAC is now beginning to be realised. On the back of this result, the Co-operative is poised to deliver another profit this financial year. This profit, while larger than last year, will not be at the expense of member services. If anything, we have expanded our service offerings while continuing to focus on driving efficiency across the organisation.

I think that 2011 will be a challenging year for the industry on the business front as a result of the current economic and market conditions, as well as from a compliance perspective due to the changes to the Residential Tenancies Act. Remember though that your Co-operative is here to assist you with these challenges and any others that you may face - if you need assistance you only have to call.

All the best in the coming year and as always we welcome any feedback you might have to help us make our products and services more beneficial to your office. Ultimately, we are about service, not profit at the expense of the industry.

Eye On The IndustryThe Year Ahead at EAC

As reported in this year’s Annual Report in 2010, EAC advanced its stated objective to return the Co-operative to profit while expanding and enhancing its portfolio of goods and services for its members.

However, of paramount importance to the Co-operative is to ensure that it maintains its standards of delivering exceptional service to its members on an ongoing basis and in this regard it undertook two significant projects in the past 12 months – an upgraded Disaster Recovery platform and an upgrade to its Customer Relationship Management program.

Disaster Recovery

Following two significant electricity outages in the past few years (due to external factors) EAC installed a power generator to overcome any power disruption. Recognising the critical need for members to maintain communication with EAC for all their data requirements and the limitations inherent with utilising a generator, Board and Management resolved to move its client services infrastructure into a Managed Data Centre.

To achieve this solution EAC engaged the services of Brennan IT, a national IT service company that carries certification from every major vendor of IT equipment and specialises in deploying and maintaining virtualisation services.

As a result of this undertaking, Brennan IT now hosts EAC’s servers relating to its member services at its Data Centre in the Sydney CBD with replication of the services occurring in its Brisbane Data Centre.

The solution was not only cost effective, as Brennan is constantly upgrading its equipment/service (avoiding the need for EAC to increase its own infrastructure) but utilises a national network that allows us to provide a secure, private connection anywhere in Australia.

Customer Relationship Management

To further ensure its goal of maintaining appropriate interaction with all its members/customers EAC implemented an upgrade to its Customer Relationship Management (CRM) software.

The new Sage CRM software will enable all EAC personnel, and in particular its Account Managers, to better organise, automate and synchronise business processes including all sales activities, marketing, customer service and technical support.

Most importantly, this new software will ensure that should for any reason any of its internal staff, or external Account Managers be absent, we will be able to seamlessly follow up any members “work in progress” requests or requirements. Further, we will be able to instantly report where any work or request is up to at any given time.

EAC Printing Services

EAC revamped its print infrastructure and can now deliver all real estate related printing requests at a highly competitive rate with a much faster turnaround than ever before. In most cases, EAC Printing Services will be able to provide better pricing than other well known real estate industry printers, and, in addition, provide the customer service for which we are renowned.

The Year Ahead – Operational Developments

As reported in the 2010 Annual Report the likely developments in the operations of the Co-operative in the year ahead are: • The Board and Management will continue to look at ways to develop its suite of goods and services offered to meet the needs of its members. In particular, we will look towards the area of information technology to deliver services that will benefit members and reduce costs. We will look to work with members to develop services and systems which allow a greater control by members of their business overheads and at the same time assisting members in meeting their legislative compliance responsibilities; • To meet the future needs of the Co-operative the Board is considering a move to new premises as the current premises in Villawood are no longer suitable to the Co-operative’s operations. Should this proceed, top of mind will be to ensure that such a move enhances the asset value of the Co-operative for its members; • The further development of EAC’s Agency Practice Support service. This service will be of particular benefit with the forthcoming introduction of the new Residential Tenancies Act and Regulation. In this regard, EAC has been working to ensure all its property management related forms (both electronic and printed) meet the requirements of the new legislation in time for its introduction on 31st January 2011.

Residential Tenancies Act and Regulation 2010

“Must Read” information for Principals, Property Managers and Licensees in Charge.

The long anticipated outcome of the NSW Government’s review of residential tenancies law has finally arrived with the announcement that the Residential Tenancies Act and Regulations 2010 will commence on Monday 31st January 2011.

The following article was prepared prior to the release of the Office of Fair Trading “Information Pack” which was due early January 2011. Practitioners should ensure that they obtain a copy if they don’t already have one.

Geoff Hunter, EAC’s Industry Liaison and Compliance advisor, together with our training partners at Think Real Estate have recently conducted some 30 specialist training sessions around NSW to assist practitioners prepare for the changes.

Given that this was the first major overhaul of the 1987 legislation, the changes, as expected, are extensive and for the most part, not difficult to implement. There are, however, significant details.

Principals should ensure that all property management staff are fully trained on the essentials and are competent to implement the changes in office procedures.

The following checklist contains the absolutely “MUST KNOW” details to begin the change process. Use this list as the basis for “Q and A” discussions in your office.

With 2010 over in the blink of an eye and the Co-operative moving into the second half of its 50 year anniversary, future planning has been foremost with the EAC management team to further enhance the EAC brand and build on our existing membership base.

Several projects are on the table to concentrate our sales and marketing initiatives in the New Year with the aim of building our membership numbers and increasing our various products’ market share in what is being predicted as a tough year for the real estate industry as a whole;

1. Enhance the positioning of the Estate Agents Co-operatives brand in the industry to highlight our core services,productsandbenefitstomembershipby:

• Working with a growing number of high profile industry suppliers to further provide quality goods and services at a discounted rate to our members.

• Providing significant discounts to members in relation to EAC products and services such as real estate forms, stationery, training, printing, website hosting and design as well as free agency practice support.

• Releasing several new data related initiatives in the first quarter of 2011 that is aimed at increasing participation in Red Square subscription and membership packages.

• Conducting a series of bi-annual industry information road shows that are free to members. The first of these road shows featuring property management issues is scheduled to commence at the end of January 2011.

• Increasing the level of promotion of these benefits, services and products throughout industry related publications, events and trade shows throughout 2011.

• Increasing the number of providers uploading to the site in the first quarter of 2011. This will greatly enhance the content of the site and allow regions previously lighter in content to benefit from site consumer marketing.

• A refresh of broadcast area for the recent TV and Radio consumer advertising campaign featuring Wendell Sailor.

• Several publication specific consumer competitions.

• Increase the ability of agents to promote their offices via agent banner advertising on the search pages of realestateworld.com.au.

• Source additional areas, where invited by offices prepared to take back control of their advertising spend, to launch a realestateworld.com.au publication adding to our existing publications across major rural and metropolitan regions across NSW.

With these and other sales & marketing initiatives all planned to commence in the first quarter of 2011, I envisage a dramatic increase in EAC’s customer base during the year. This I feel will be mainly due to an increasing number of offices taking advantage of the new and existing products and services on offer at a rate not able to be matched by providers without the industry’s needs in mind. This, all in a year when office spending will be more scrutinised than ever.

Changes to the Real Estate Forms

EAC has completed its review of the New Residential Tenancy Agreement according to the Residential Tenancies Act and Regulations 2010. These new forms must be used from Monday, 31st January 2011. Social Media Marketing Tips to Generate REAL Leads

The major source of new business in real estate comes from referrals and this hasn’t changed with the advent of social media.

Good marketing rules still apply and your best business will still come from your friends and existing networks and databases.

Many of you will already have a Facebook page and possibly a Twitter account, but how many sales leads are you generating from these social media networks?

The success lies in how you do it. One of the biggest mistakes made by marketers is using social media as a ‘hard sell’ channel, rather than using it for online prospecting and relationship building.

Choose and co-ordinate your social media

Your online channels have to appear seamless with your branding. There is no point having a blog that has no branding identifying you. You can have the best information on your blog, but it needs to convert to leads. Make sure your Twitter, Facebook and blogs are consistent with your branding and have links back to your website and/or contact information. Another important aspect is to choose your social networks – you don’t need to be on all. The best solution is to push your blog or communication to a select few, for example, your Facebook page and Twitter account, to drive people back to your content ‘hub’.

Content

Content for social media is very important. There is no point tweeting constantly without penetration. Your ‘followers’ will see you as a spammer and ‘unfollow’ you. You need targeted, well-written content to engage followers and position you as a market leader who knows exactly what is happening in your marketplace. This content needs to follow a structure, be regular, consistent and, most importantly, engage with users directly.

Excellent website

It is all very well to have social media driving traffic to your website, but what then? Your website is your virtual office so treat it in the same way. You greet your clients as they enter the door and direct them to the salesperson, property manager or other person that can help them. Your website has to do the same thing. It has to lead your visitor to the right person (page) to give them the information they need to fulfil their need – list their property, buy a property, get their investment property managed.

‘Daring to be different’! Our local critics are still in awe! After our first four years, we didn’t have a traditional window display, and now, by genuine default, we find ourselves with a street frontage office, and have conceded to displaying just 8 rotating token window displays, with the proven knowledge that people research their real estate needs differently to years gone by. We do see one of the biggest parts to our successes was focusing on ‘individual, professional service, every time’. People don’t care how much you know, until they know how much you care. Love the people who already love you and your service, and wonderful things follow. We do not cold call, at all.

How has being a member of the Co operative helped your business?

Every aspect of being a full member of EAC and using all the services offered has been wonderful, from front end customer support right throughout to back end I.T support. EAC designed, host, update, fine tune, and maintain our web site. Nothing is ever a problem and requests get done. We get the second biggest amount of internet traffic from our EAC web site. That speaks loud volumes…

In your opinion, what is the best feature of Red Square?

We have been tempted to dabble with other service providers of real estate data and information available in the market place, but we have always kept our full Red Square subscription, and always ended up relying on Red Square data and information to get us across the line. Vendors are continually impressed by our information we have at hand.

Where do you see yourself and Tamworth City Real Estate in 5 years?

Our focus is to double our rent role (we didn’t buy our rent role) and in 5 years time, we envisage Tamworth City Real Estate to still be a happy, helpful, successful boutique agency doing what we know and do best.

M ost EAC offices will be familiar with the voice of Allison Gurry as she is the first line of customer service behind the Red Square 1300 number and more recently the EAC switchboard. Allison is one of the new guard employed by the co-operative last year and is now an integral team member responsible

for first impressions. I thought I would ask her some questions to give you all a better insight to “the voice behind the phone.”

Q: What were you doing job wise before working with EAC?

I was previously employed in a reception role at a family owned Sydney based company.

Q: What are your usual daily tasks as Client Liaison?

I primarily manage the main reception and help desk incoming customer calls. I also attend to any IT clerical duties and coordinate Red Square Data product training in Sydney and Wollongong.

Q: Give an example, without naming names, of an interesting situation you have had to deal with on the phone since appointed to your position.

Several weeks ago, I received a call from a Nun wanting to book a Church Mass for the following Sunday! Unless EAC has changed its business model and I have not been informed I had to explain that she had the wrong number...

Q: What motivates you to come to work every day?

The thought of all the things I have yet to accomplish and the means to do it with, motivates me to come to work every day.

Q: What sort of hobbies or activities do you like to participate in after work hours?

As my partner is on the wrestling circuit, I tend to gravitate in those circles. I also prefer outdoor activities such as morning boot camp at Liverpool. If I’m relaxing at home I can be found watching movies of which my recent favourites are Harry Potter and the Hangover.

Q: What sort of music do you listen to?

Being a gen Y Girl I am a big fan of the Indie Rock scene with favourite bands of note being Kisschassy and Bullet for my Valentine.

Q: Where do you see yourself in 5 years?

My friends tease me about being a Stepford wife in training! Like most girls I want to be married with a nice house and a couple of young ones. Time will tell.
