CREATING EFFECTIVE SLIDES

Develop the message and text for each slide first, then move on

to graphics and special effects

Effective slides can be created by:

1. Writing Readable Content

2. Modifying Graphics for Slides

3. Selecting Design Elements

1. WRITING READABLE CONTENT

When writing content for text slides, keep the message short and

simple:

Limit each slide to one thought, concept, or idea

Limit the content to about 40 words

Write bulleted phrases rather than long sentences

Phrase list items in parallel grammatical form to facilitate quick

reading

Use the active voice

Include short informative titles

2. MODIFYING GRAPHICS FOR

SLIDES

One can create effective presentations visuals by following these

guidelines:

Reduce the detail

Avoid repetition

Shorten numbers

Limit data

Highlight key points

Adjust the size and design

Also pay close attention to the design elements such as:

A. Color

B. Background Design and Artwork C. Fonts and Type Style

A. COLOR

Critical design element which grabs the viewer’s attention,

emphasizes important ideas, creates contrast, and isolates slide

elements

Make the slide more attractive

Stimulate various emotions:

Ex:

Excitement: warm colors - Red, Orange

Relaxed and receptive environment -Blue limit the choice of color to a few compatible ones and do not

switch back and forth from very dark to very bright

B. BACKGROUND DESIGN AND

ARTWORK

There are two layers of graphic design:

Background : It is the equivalent of paper in a printed report

and normally stays the same from slide to slide

Foreground : it contains the unique text and graphicelements that make up each individual slide

 Avoid :

cluttered and flashy backgrounds and go for subtle and

simple ones

Business Communication Today

Page 12: Final Wac Reframe

In the foreground, artwork can be functional or decorative

Functional artwork includes photos, technical drawings, charts

and other visual elements containing information that is part of the message

Decorative artwork is there simply to enhance the look of the

slides and is least important

Use clip art only if it makes the presentation more effective and

compelling

C. FONTS AND TYPE STYLE

When selecting fonts and type styles for slides, follow these

guidelines:

Avoid scripts or decorative fonts

Limit your fonts to one or two per slide

Avoid italicized type because it is difficult to read when

projected

Avoid all-capitalized words and phrases

Allow extra white space between lines of text

Be consistent with fonts, type styles, colors, and sizes

ACHIEVING DESIGNING

CONSISTENCY

Audiences start to assign meaning to visual elements beginning

with the first slide

Most important information in red and bold

Be consistent in layout Date and company logo in the same location

Slide master

Predefined layout

The less the readers have to work to interpret your slide design,

the more attention they can pay

Too much of simplicity can make the slides dull and lifeless so

add carefully planned animations to keep the audience involved

ADDING ANIMATION AND SPECIAL

EFFECTS

One can add vitality to the slides by adding :

Sound

Animation

Video clips

Transition effects

Hyperlinks

These effects should be in harmony with the message and

should create an impact on the audience

Animation and special effects can be grouped into four

categories:

Business Communication Today

1• FUNCTIONAL ANIMATION

2• TRANSITIONS AND BUILDS

3 • HYPERLINK AND ACTION BUTTONS

4• MULTIMEDIA ELEMENTS

Page 17: Final Wac Reframe

1. FUNCTIONAL ANIMATION

Animated elements can be either functional or decorative

For instance , having each bullet point fly in from the left side of

the screen does not add any functional value to the communication

Rather, a highlight arrow that moves around the screen to

emphasize specific points can be an effective use of animation

2. TRANSITIONS AND BUILDS

Transitions control how one slide replaces another on screen

Builds control the release of text , graphics, and other elements

on individual slides

Transition effects should be subtle and consistent

Exaggerated transition effects can disrupt the flow of thepresentation

3. HYPERLINK AND ACTION BUTTONS

A hyperlink instructs the computer to jump to another slide in your

presentation, to a website or to another program entirely

Hyperlinks either can be simple underlined text or can be assignedto action buttons, which are a variety of preprogrammed hyperlink

icons available in PowerPoint

4. MULTIMEDIA ELEMENTS

Audio or video clips are an effective way to convey a message

Video clips can add memorable, engaging content to the

presentations, as long as they are relevant, interesting and brief

PRACTICING YOUR DELIVERY

Can you present your material naturally, without reading your

slides word by word?

Is the equipment working-and do you know how to work it?

Is your timing on track?

Can you easily pronounce all the words you plan to use?

CONTINUED…

Have you decided how you are going to introduce your slides?

Have you anticipated likely questions and objections?

Does your message come through clearly?

GIVING PRESENTATION ONLINE

Consider sending preview study materials ahead of time

Keep your content and your presentation of it as simple as

possible

Ask for feedback frequently

Consider the viewing experience from the audience’s side

Improve any sections of your presentation that might be slow or

difficult

Business Communication Today

Page 28: Final Wac Reframe

Make sure your audience can receive the sort of content you intend

to use.

Allow plenty of time for everyone to get connected and familiar

with the screen they’re viewing.

Consider assigning a moderator to host the event and handle the

software.

Engage the audience frequently.
