General Information

An EzyReg Account currently allows you to:

� Print a Certificate of Registration (MR5) at no fee for one or multiple vehicles � Check the details of all your vehicles, including the number plate, vehicle type,

make, body type, registration expiry date and download a list of your vehicles � Set a common expiry date so that the vehicle registration falls due on the same day � Choose multiple vehicles with a common expiry date and register them all in one

transaction by paying with your credit card � Pay your light vehicle registration by monthly direct debit � Reprint a receipt for a previous transaction

Eligibility

South Australian licence or learner's permit holders or anyone with a registered vehicle can apply for an EzyReg Account.

Background

� An EzyReg Delegate and creating an EzyReg Account are two separate functions � There are existing EzyReg Delegates with a high number of fleet vehicles who

Service SA wish to transition to the EzyReg account for the purpose of registration renewals only. Delegates who wish to create an EzyReg account will still have access to EzyReg as they do currently.

What benefits could an EzyReg account provide to me as an EzyReg delegate?

Once your organisation has created an EzyReg account, you will have access to a number of functions not currently available as a delegate:

� The ability to set a common expiry date for all vehicles (or number of vehicles of your

choice) registered to your organisation, and register them all in one transaction paying with a credit card

� Download a list of your vehicles

� Print a Certificate of Registration for one or multiple vehicles at no cost

Any customer who has created an EzyReg account will be able to reprint a replacement Registration Details Certificate. (MR5) Certificates can be printed at any time during the vehicle’s current registration period. There is no cost to the customer for this service If you require a Registration Details Certificate from your customer and they are not in possession of it, you are able to direct them to create an EzyReg account and print one free of charge immediately. (Refer page 16 for instructions)

� No source documents required to be retained for any transactions processed via an EzyReg Account

Creating an EzyReg Account

Eligibility South Australian licence or learner's permit holders or anyone with a registered vehicle can apply for an EzyReg Account. Creating an Account

The easiest way for customers to access the EzyReg account set up page would be to direct them to enter “EzyReg Account” into their browser. Alternatively they can go to www.sa.gov.au/ezyreg and select the “Create an EzyReg account” link under EzyReg Account.

Customers will be required to select “Create an EzyReg Account” to begin the account set up process.

Customers will begin to enter their account details.

The security questions are another method of identifying a customer.

They can be used to verify the customer’s identity should they forget their password.

Please note: a valid e mail address is required to set up an account, and can only be used on one EzyReg account. If your customer does not have an email address or shares an email address with another person who also has an EzyReg account set up, advise them to visit any of the major email providers and create a new e mail account. For example: Gmail or Yahoo.

An email containing an ‘Activation code’ will be sent to the nominated email address. Customers are required to check their email account and input the activation code on the EzyReg screen (as shown below) and password (that they have previously selected). This must be done within 24 Hours or the customer will have to request a new activation code.

Once the email activation code and customer details have been validated, the customer is automatically logged in to their EzyReg Account ‘Home screen’.

If a customer cannot see their activation code email, it may have been blocked by their emails SPAM (junk) filter. Advise the customer to look in their ‘Junk mail’ folder. Make sure the customer adds EzyReg to their ‘safe senders’ list to allow future communications to be received

Once logged in, the following screen will appear.

Depending on the client type, the customer will need to select either ‘Confirm Individual’ or ‘Confirm Organisation’.

Once the customer has selected which client type they wish to confirm, EzyReg will step the customer through the process of confirming their identity.

Step 1 – Confirm Identity

Customers confirm their Licence/client number, surname and date of birth, then select “Next”

Step 2 – Verify Identity

Customers can verify their identity one of two ways:

1. Enter their Licence Card Identification number and their payment number from a recent vehicle registration renewal notice (registered in their name).

2. Or request a confirmation code to be posted to them

Customers may call 131084 asking for their payment number.

Confirming their identity

Option 1 - The customer must supply each of the following:

Licence Card Identification Number This is a unique number printed on the back of the learner’s permit, drivers licence and proof of age cards. (NOTE: EzyReg Account will accept the card audit number from any card that has been issued - current or expired. If the customer has a drivers licence AND a proof of age card, they may use EITHER of the codes).

Vehicle Payment Number

This is allocated to a vehicle when it is first registered. It is a 10 digit number and can be found at the top right hand side of the Application for Renewal of Registration and CTP form (MR8).

If a customer has their Licence Card Identification Number but is unsure of where to find their Vehicle Payment Number (and does not want to request a confirmation code online) they can contact 13 10 84.

Option 2 – Request a confirmation code

If the customer does NOT have a Licence Card Identification Number, Vehicle Payment Number or if the vehicle is registered in the name of a body corporate, the customer can request a confirmation code online and a unique code will be mailed to their postal address (see below). This code, once received, will be sufficient to verify a customer’s identity.

Note: If a customer does not have a licence card identification number, or their vehicle is registered in the name of a body corporate, EzyReg Account will default to ‘YES – Request a confirmation code’

If all the details are correct, and the customer is able to verify their identity the following screen will appear with the message ‘Your identity has been confirmed. Please see below for a list of services available to you.’

Replacement MR5A

Any customer who has created an EzyReg account will be able to reprint a replacement Registration Details Certificate. (MR5A)

Certificates can be printed at any time during the vehicle’s current registration period. There is no cost to the customer for this service.

To print any current Registration Details Certificate, customers will need to be logged into their EzyReg account. From their main menu (Shown below) they select ‘Vehicle List’.

A list of their currently registered vehicles will display:

Customers will select ‘Details’ and the vehicle particulars will display:

123456ENG Here customers will be able to do a few select transactions, they can put their vehicle onto monthly direct debit, renew their vehicle registration or they can download and print off their RDC.

The ‘View Past Payments function will list ALL payments made (through any channel) within the last 5 years, and allows customers to view and print their tax invoice for each payment made.

When customers click on ‘Request and expiry reminder’ it will take them to the enotice site where they can subscribe to receive e mail or text reminders

The Registration Details Certificate is a one sided form (for ease of printing) divided in to three sections. The three sections are: Registered owner/operator; Application for transfer of registration; and a Disposal Notice.

This form will be acceptable to transfer the ownership of the vehicle, however current policy and procedures still apply (E.g. It must be an original signature and it must be the current certificate).

Should a customer require a replacement MR5A they should be instructed to log in to their EzyReg account and print a Registration Details Certificate (MR5A) themselves. This is free of charge and the customer can print unlimited copies. The ‘print an MR5A’ function will still be available even if a Notice of Disposal has been lodged against the vehicle (provided the customer is still the current owner).

Should a customer present to a Customer Service Centre and request the same service, they must fill in the ‘application for a replacement registration details certificate’ (MR15) and pay a level 2 administration fee.

Bulk Fleet Renewals A new bulk vehicle registration renewal facility has been introduced for use via the EzyReg Account online system. This will enable customers to renew the registration of more than one vehicle at a time and will be a more efficient way for large fleet owners to manage the registration of their vehicles.

To access the bulk renewal function, customers will select ‘Renew Registrations’ from their ‘My EzyReg Account Services’ screen after logging into their EzyReg account:

EzyReg will then display all vehicles registered to the customer. If the customer has a large fleet, there is the option to display 20, 50, 100 or all. Customers can unhide vehicles expired over 12 months or sort using various options.

The customer would then select the vehicle/s that they wish to renew. On the following screen (below), customers select their options for ICT and the period they wish to renew.

Note if there is a payment method is already stored in the customer’s account, it will display this as an option for payment. Registrations can be removed from this screen.

If there are no payment methods saved on the customer’s account they can enter their card details here. A Payment Summary screen displays with the functionality to view and print both receipt/tax invoice and MR5A.

Manage Common Expiry Dates

Customers now have the ability to choose common expiry dates for the vehicles that are registered in their name. To access this function customers select ‘Manage Common Expiry Dates’ from the ‘My EzyReg Account Services’ screen.

There is now no longer a requirement for customers with large fleets to apply to have their vehicles added to a common expiry date. Customers with more than one joint client number will first need to select the client record of the vehicles that they wish to amend.

Customers can then select from an existing Common Expiry Date (CED) list, OR select a date and month using the calendar. Once a date is chosen and the user selects ‘Add’ the vehicles will be updated to show they are now on a common expiry date.

Once a new CED is selected the customer selects ‘Add’. The next time that the customer renews the registration, it will be calculated from the current expiry date to the new CED in the following period.

Viewing EzyReg Payment History

A Payment history is available in the ‘Maintain my EzyReg account’ tab under the ‘My Account Tab’ it only lists the payments made through the EzyReg account.

This listing is different to the payment history in the ‘My Account’ tab as it will only show receipts or Tax invoices for Direct Debit payments or Registration renewals transacted through the EzyReg account functionality. It will also allow customers to print the MR5A associated with each transaction free of charge.
