EXSA welcomes you to this 2015 issue of the EXSA Diary and Portfolio of our members. We have also included the pull-out Calendar giving exhibition dates throughout the year throughout the country which we are sure you will find most useful.

EXSA continues to grow from strength to strength with lots of exciting projects planned for 2015. The new EXSA App will be produced for both Suppliers and Organisers and we are sure it will become a real “go-to” App for the entire industry. The EXSA Conference has been moved to a new time-slot in June and the programme has been formulated to encompass breakaway workshops where we can focus on our own sectors in the industry. A real must-attend for you all.

The Young Professionals Forum is brimming with ideas and will be leading several new initiatives. If you are under 35 get on board the YPF and help form YOUR industry going into the future!

2015 will see the launch of CEP Africa – our very own Professional Body formed in conjunction with SAACI and IFEA where we will focus on professionalising our members with certification programmes – as required by law now. The SASREA Act says you have to prove your competence. Now you can via CEP Africa! And then also focussing on skills development right across the industry. Taking into account the BEE Transformation Panel that EXSA sits on at the dti, skills development will form a big part of this forum too.

As with every Association, we look to our members to send us news and views and information about the industry. We put this out every two weeks in our newsletter “The EXSA Express”. I am often asked what are the benefits of joining the Association. First and foremost its credibility and networking with your fellow members and I always say – the more you put in – the more you get out. We are a publicity machine for the industry – the “go-to” peo-ple for our members - with our website, our newsletters, and soon our Apps. Get involved and you will reap the benefits. Our website gets an amazing number of hits – the Diary gets downloaded daily – and the click-throughs to our Patron Members is phenomenal. We also exhibit annually at Meetings Africa and Markex to broaden the reach of EXSA. We have close ties with Government, with all the Convention Bureaus and Tourism offices. We have excellent relationships with our international affiliates.

The EXSA office is always available with help and advice so please get in touch. We look forward to an excep-tional year for everyone involved in our industry.

MESSAGE 2015

Chairman’s Message 2014 in a nutshell can be summed up as being the most challenging year in the exhibition industry and the country. Businesses have been faced with difficult decision making, in tough economic and social conditions. Often the difficult times allow us to reflect and appreciate the better times, and learn from the lessons experienced.

It is clear that the business events industry including exhibitions has managed to adapt and sustain remarkable growth as opposed to other forms of marketing and communication formats.

Deep exploration of changing consumer behaviour and buying trends has led to an increase in the number of new exhibitions and visitors. South Africa has also become a targeted growth destination for the international business community and this has led to many opportunities and challenges for the local industry, allowing for growth and international exposure.

I think that the emerging business trend and theme for 2015 should be “Collaboration”. By combining our strengths and partnering to create innovative business, I believe that EXSA is primed to be the conduit to achieve this goal in the exhibition industry. EXSA is a member organization, and the members who derive the most value from their membership must get involved and collaborate.

We look forward to this input and collaboration in 2015.

Venue Forum Chair – Rachel Jowahir

The major shift in the industry, and it seems the future of the industry, has been international companies interests and buy-offs of local organisers and local shows. It shows that the local organisers have gained the respect and interest of the international exhibition organisers. For venues, we see a lot more competing shows coming into the market place. It has been an exciting year as you see shows that have been around for years doing the same thing suddenly realising that they need to up their game, thus creating better quality shows. The number of shows has doubled in the last year, which has been great for the venues, but could result in a fight for the organisers to retail to their exhibitors. I see a future of interesting and exciting new shows with organisers vying for the exhibitors’ attention and their share of the pie.

Organisers Forum Chair – Natalie Naude

This year has been an interesting and challenging one for the Organisers Forum. But despite tighter margins, clever use of reduced exhibition space and maximising every penny of marketing spend, face to face communication still rules. There are over 31,000 exhibitions held per year world-wide with 4.4 million exhibiting companies welcoming 260 million visitors. The EXSA members contribute over 231 exhibitions by 24 exhibition organisers, welcoming 4,5 million visitors annually. South Africa is becoming the Exhibition leader in Africa, with many regional or national offices preferring to be based on our soil whilst operating further north.

The development and enhancements of staff skills and ensuring that safety measures are strongly adhered to, confirms that South Africa is viewed as a serious leader in the Event industry. Organisers are taking the lead in bringing geo-located exhibitions to South Africa and the interest from International companies instills confidence in our industry The Organisers have faced increased overhead costs whilst having to keep their costs to their clients below inflation. This has resulted in creative flair with strong sustainable elements incorporated into their business models.

I think that the fragmented interest of the Organisers in the Association is mainly due to our busy schedules. However, mini research shows that EXSA is a much needed association fulfilling the needs of the majority of its organiser members. The emphasis of 2015 would be to recruit the young professionals into our Forum allowing for some new ideas and perhaps a fresh approach to exhibitions in South Africa.

Young Professionals Forum Chair – Cara Nortman

The EXSA Young Professional Forum was formed in the latter months of 2013 and the members met to establish the road ahead. This year we hosted a number of formal meetings, educational talks and social get-togethers. From Hot Seat sessions to Pub Quizzes with a few formal meetings in between, we created our brand, defined our objectives, gleaned wisdom from our industry stalwarts, and most importantly developed some great relationships.

Thank you to all the YPs who attended our meetings and social functions. This is an industry of smart, passionate, work-hard-play-hard individuals and it’s been awesome collaborating as a group this year. We’ve got some exciting projects in the pipeline for 2015 so look forward to sharing them with you in the new year.

Suppliers Forum Chairman – Andrew Gibbs

I wish to thank the all of the Suppliers companies and the individuals who have contributed to and supported the EXSA Supplier’s Forum over the last year. It’s a celebration of the culmination of a very busy and productive year for the exhibition and event industry and in particular for the EXSA Supplier’s Forum.

I am sure that the Suppliers Forum will become even stronger during 2015, both from the individuals point of view as well as from contributing companies.

Our industry is growing. EXSA takes the stewardship of these contributors very seriously in putting them to work to the benefit our industry. We meet on a regular basis throughout the year and we always welcome any notes, pointers, phone calls and visits from our industry peers and we appreciate the hours of service provided by the many professionals who attend and serve the Forum, as well as those who assist in many other ways.

It is good to be associated with the EXSA Supplier’s Forum and to know and realise that there is ample room for growth and improvement, inspired and spurred on through technological influences and advancements. Watch this space for the new EXSA App!

Two prominent industry members have been hitting the headlines with their prestigious appointments to two leading international associations in the event and exhibition industry.

SOUTH AFRICANSMAKING HEADLINE NEWS

Craig Newman, CEO of the Johannesburg Expo Centre and long-standing EXSA member, was elected as a member of the main Board of Directors of UFI, The Global Association of the Exhibition Industry at the UFI Congress held in Columbia in October 2014. He was also appointed onto the UFI Executive Committee by the main Board of Directors of UFI. “This is a great accolade for Craig and for South Africa” said EXSA Chair, Brad Alder. UFI, The Global Association of the Exhibition Industry, is the association of trade show organisers, fairground owners, national and international associations of the exhibition industry, and its partners. As of 2014, it has more than 600 members from 85 countries.

“On behalf of the UFI President I convey our sincere congratulations to Craig Newman, and wish him every success during his mandate as a member of the Board and have no doubt that he will represent Africa with distinction,” says Paul Woodward, Managing Director, UFI. As a privileged forum for dialogue, UFI’s main goal is to represent, promote and support its members and the exhibition industry worldwide. The UFI plays the role of an efficient networking platform where professionals of the exhibition industry can exchange ideas, experiences, studies and research. It also offers educational training opportunities through a variety of professional seminars, continuously enhancing the skills of the industry’s professionals.

“I am honoured by this appointment from the UFI and relish the incredible opportunity to make a meaningful contribution to this forum,” added Craig.

Nina Freysen-Pretorius was elected as President of the International Congress and Convention Association (ICCA) at the association’s Annual General Assembly held in Antalya, Turkey in November 2014.

EXSA member Freysen-Pretorius, owner of Durban, Cape Town and Johannesburg based The Conference Company, has been second vice-president of ICCA since October 2010. She is the immediate past president of the Southern African Association of the Conference Industry (SAACI).

She says her election as president of ICCA is truly an honour. “Over the years I have come to understand how ICCA works, why it works and what it takes to make it work. I am committed to ICCA and to the President’s position. I am also lucky enough to have the support of my country, South Africa, with our National Convention Bureau confirming that it would support a secretariat.

ICCA represents the main specialists in organising, transporting and accommodating international meetings and events, and comprises almost 1 000 member companies and organisations in over 90 countries worldwide. It specialises in the international association meetings sector, offering unrivalled data, communication channels, and business development opportunities.

MATERIALS: Consider using fabric graphics on the stand, which can be reused for future events.

MANUFACTUREAsk questions about the manufacturing and origin of materials before making a purchasing decision.

ENERGY: Opt for energy-efficient technology on your stand such as LED lighting, and switch your AV and lights off at the end of each day. This will reduce your energy consumption.

MODULAR DESIGN: This makes it easier to re-build the stand, and, if necessary, to create different configurations to fit different spaces.

DURABLE: The more robust the design, the better it will last over multiple builds.

EASY TO DIS-ASSEMBLE AND RE-ASSEMBLE: If the stand can be taken apart and put back together easily, you improve your chances of re-using it without damaging the structure.

LIGHTWEIGHT AND PACKS SMALL: This makes transporting the stand for rebuilds easier, more cost-effective and more carbon-effective – as less petrol will be needed for smaller, lighter loads.

WALK THE TALK: If you plan to have an eco-savvy exhibition stand ensure that you implement green practices in your offices going forward. Set up recycling stations within the offices; make use of Skype sessions for meetings; and use LED lighting in the office.

THE EXSA SUPPLIER’S FORUM 2014 REFLECTIONS…I would like to take this opportunity to thank the stalwarts of this Forum for their consistent attendance and support at our meetings in 2014. It is a pity that the numbers for attendance to these meetings has not increased and that participation from the youth within EXSA has not been forthcoming. I am forced to stop and ask “why”? Attendance and input to the Supplier’s Forum is purely voluntary. We all have busy schedules, some of us are business owners with large

operational facilities to oversee – the industry will never be any different – however we still take and make the time to attend, participate, engage, problem-solve at our meetings.The Forum is an important arm and facet to EXSA and the industry and the time is ripe for recognition.

On reflection, perhaps it is time for change within the Forum and I would like to put forward a legacy for the Supplier’s Forum, for the new

blood that will take over during 2015 and the years ahead. We are all aware of the extent to which social platforms and social influence can drive real world actions. Perhaps there is a lesson in that, to utilise social media to reach out and drive action in our industry. Today’s person is a victim of his or her own success - we are living longer than people did in the past due to advances in healthcare and technology but our behavioural factors put us at risk of chronic diseases. The fact that we are living longer allows us more opportunity to engage with the younger participants in our industry, to share, educate and nurture and in this way, I have discovered this year that the Forum should focus forward on value, not activity, with fresh perspective on existing problems and becoming part of the solution.

The coming of age of a range of technologies, such as social media, is creating real time data and allowing greater engagement and empowerment for industry participants. We require metamorphosis in order to instill an influx of involvement and participation. We cannot keep doing things the same way and expect a better result. Furthermore, the rate at which technology will evolve in the next 20 years, means that today, whilst contemplating policy and intervention, the parameters of tomorrow need to be considered. Great leaders feel most energized when they can add massive value to the community they are working with, or the world at large.

When you have been instrumental in inspiring others to do the same, the rewards are endless. Through the required changes and reinvention, I see the future EXSA Supplier’s Forum asking: How am I adding value? Furthermore,

how do we become more valuable together as a Forum?

Value is added not only to the topics on hand and extracted from the very tasks, but also from the relationships and bonds formed. There are many ways that working with an industry peer in this way will increase the value that both can contribute. It ignites a spark. We pack a punch together and the value is greatly enhanced. How can we create opportunities for this to happen within our Forum as well as externally?

It is an in-out-and-around approach to adding value that will help us to explore the impact of this exchange between talent and organisation. When the exchange is balanced, the output can be incredible.

It would be beneficial if topics and activities discussed in the realm of the Forum meetings were applied to projects in which attendees take what they have learned in the meeting and use it to add value to businesses and other organisations. The reaction from the attendees and the organisations that they serve to certain of the topics on the Agenda has been overwhelmingly positive and one is left to reflect on the fact that should there have been increased participation and social media involvement, the effects and results would have been far more reaching instead of the current status, which is somewhat “containerised”. I am a firm believer in belly to belly contact, so the gathering of the clans is still an integral part of the Forum, but imagine the results if we went viral as well!

Let technology be the legacy of the Association’s future moving ahead.

At present each Forum meeting has the necessary formalities associated with a Forum and a formal Agenda is prepared for each meeting on various relevant topics. The adoption of previous minutes and matters arising are addressed. Then the business of the Forum begins.

OCCUPATIONAL HEALTH, SAFETY & SECURITY:2014 has seen much discussion and heated debate on matters pertaining to Occupational Health, Safety & Security. There is a complete lack of consistency from one exhibition or event to another, from one venue to another with regards to the Health and Safety Rules and Regulations. The Suppliers Forum is adamant that ‘’Jan Trap en sy maat’’ who is building a stand at an exhibition or event, should be subjected to the same stringent processes that the industry suppliers experience. As suppliers, we have to present a Safety File for every set up, we have to have our Public Liability and Workers Compensation/Letter of Good Standing documentation up to date. We have to assess tools, ladders, scaffolding, safety equipment. ‘’Jan Trap’’, however, gets away with it all and this practice has to end.

Similarly, Exhibitors who are building their own stands are given access to do so with no Health and Safety parameters in place – in some cases, the Organisers appear reluctant to approach exhibitors in this respect for fear of losing their participation.

Discussions in the Forum have resulted in the Handbook on OH&S being drawn up and this is subsequently in the revision stage. The objective is for the Handbook to be presented

and hopefully, utilised for all venues. The Forum is fighting for consistency across the board and fair treatment for all. Our Forum members have witnessed situations on site where containers are used to create double-storey structures with no handrails in place – we have to question why this was allowed. A Forum member put in an official complaint to the Safety Officer on duty and nothing came of this. Yet on another event, the graphic applicator was thrown out of the hall because he did not have a hard hat on whilst using a 9ft ladder!

Some Forum members feel that certain suppliers are targeted on OH&S issues over other suppliers and this is also called into question.

The EXSA Supplier’s Forum members have no issue with the fact that we require OH&S rules and regulations. Safety is paramount even when you are in the business of temporary architecture. What we are united on is the fact that consistency is required across the board, instead of the current situation where rules are being bent and overlooked. In this instance, if an incident occurs with an exhibitor or Jan Trap wannabe stand builder, this will impact adversely on every supplier in the exhibition and event industry and would not be fair as we are compliant and spend a lot of money on ensuring our compliance.

It was in one of the Forum meetings that the issue of Spiral Staircases being condemned was mentioned and discussed – this was through the sharing of information, which is productive for our industry. Information is regularly shared and often incidents are prevented as a result,

which is a positive affirmation for the EXSA Supplier’s Forum.

As a spin off to OH&S matters, build-up times have subsequently been called into question as they are being decreased substantially, which has a direct impact on Safety. We are a relatively small industry and we service a large audience. When we have restricted build up and breakdown times, particularly when major events are running concurrently, we are dicing with disaster. Budgets are always tight – 2014 has seen the effects of budget constraints in our industry.

Whilst we are very sensitive to this and the fact that Organisers are compelled to watch their bottom line this often results in restrictions to the set up times for the exhibition. It is crucial to emphasize that we can only perform as well as the consideration of time afforded to us. Safety for our crew has to be prioritised. Without our crew, we cannot operate.

EXHIBITION STAND JUDGING:There were many EXSA Supplier members who were not satisfied with the process of the stand judging in 2013 and in this regard, the entire judging process was changed for 2014 with phenomenal and successful results.

Let us ask ourselves what is our objective for exhibition stand Judging? It is to award fair due to DESIGN EXCELLENCE in our industry.

The highlight of the EXSA calendar is the EXSA Industry Awards Evening – the “Oscars” of the industry. An event where our industry gets together under one roof to witness the results of the year’s selection process. It is a highly competitive and charged environment, yet when an award is allocated where the majority deemed this not to be worthy, there is consensus and unity. So we decided to review the way the judging worked.

Previously at the end of the year, the stand builders would meet and go through the various entries and votes would then be allocated to each stand. Doug Rix from DK Design has tirelessly and voluntarily been arranging and driving the judging process on his own for many years and EXSA and the Forum is truly thankful to Doug for his dedication, for taking the task on and running with the initiative.

As our industry grows, so too should we grow and further to an industry meeting regarding stand judging, the participating EXSA members requested changes to the process to take effect. The fee to have an exhibition stand judged was subsequently

increased to eliminate submissions of unworthy designs. A judging committee was then formed and the judging process led by Monique Placido at GL Events/Oasys.

The process of judging was streamlined and quarterly design review meetings were held with the judging committee to assess the submitted designs in a formal and professional setting, in order to eliminate a backlog in the latter part of the year. The selected designs were accumulated for the final review.

Dropbox has been utilised as the medium for uploading and sharing the submitted designs with the committee and this technology was used in the final judging selection process.

The final review meeting was held at The Kitchen Bar at Design Quarter where the briefing for the final judging process took place. The culmination of the selection process was conducted by independent judges, Anita Bloom (Inspire Trade Expo), Dave Nemeth (Design Trend Forecaster) and four representatives from the UJ FADA Department, as well as internal industry judges, with invitations also sent out to EXSA stand designer members to participate in the final selection. The scores were then collated and averaged and the finalists subsequently, selected to be announced at the Awards evening.

Note: Monique at GL Events/Oasys will not be able to offer her time in 2015 due to her career progression within GL Events/Oasys. A meeting to determine the committee and procedures for 2015 and beyond was held on 28 November, 2014. Details will be sent out to EXSA members.

EXSA’S WEBSITE AND DIGITAL MEDIA STATS:Every Forum Meeting, the EXSA office reports back on the statistics pertaining to the EXSA website, Facebook and Twitter. The visits to the EXSA website are phenomenal and have originated in the main from China, USA and South Africa, with an average of over 3 minutes spent per visit to our site. EXSA has experienced some criticism by certain members this year – some members have suggested that the marketing strategy should be revisited. Perhaps a survey could be compiled to be sent to all members for their input. I know that we are looking at putting an EXSA App together and this will be driven by the EXSA office with input from the Young Professionals Forum.

In closing and on behalf of EXSA, I wish to thank all the suppliers, companies, and individuals who have contributed to and supported the EXSA Supplier’s Forum during 2014. I hope that the Forum will become even stronger, both from the individuals point of view as well as from contributing companies. EXSA takes the stewardship of these contributors very seriously in putting them to work to benefit our industry. The EXSA Supplier’s Forum appreciates the hours of service provided by the professionals who attend and serve the Forum, as well as those who assist in many other ways.

We need to move forward on technology and use technology to advance the Association.
