Dear Exhibitor,
India Trade Promotion Organisation (ITPO) is organizing the 34thedition of its popular event, the
India International Trade Fair (IITF) in Pragati Maidan, New Delhi from November 14-27, 2014.
This is the largest integrated trade fair with both B2B and B2C components. It is one of the largesttrade fairs in the world both in terms of exhibitors and visitors participation and has evolved its
unique character as an iconic International event. It provides a great platform for trade and
industry for sourcing, finding buyers, business interactions, technology transfer opportunities, test
marketing and market access.
This Manual provides the exhibitors/participants comprehensive information regarding their
participation in IITF-2014, being organized by ITPO in Pragati Maidan, New Delhi along with the
Guidelines and Terms & Conditions for participation.
It contains forms for requisition of various services and facilities. Please read the Manual carefullyand return the completed REQUISITION FORMS for additional requirements before the deadlines
to avoid any inconvenience/disappointment and to enable us to serve you better. You may send
the requirements online as well.

at these gates to cut down the load at Gate No. 1.
Entry to Pragati Maidan can be closed at any time due to security reasons.

Public Safety Measures
The Exhibition Halls have standby electricity supply through DG
Sets.
Entry/Exit Gates in halls are equipped with emergency exit
lights.
In Halls 7, 8, 9,10,11,12 & 12, permanent DG Set standby supply
arrangements have been made which facilities standby power
for Hall lighting and automatically switches on within 30
seconds in the event of power failure.
Standby power supply from the mains is additionally made
available for every Exhibition hall to take care of any
power failure.
Special duty arrangements headed by a Senior Officer
are made for on the spot restoration of any fault in the
power supply system. Pressurised fire hydrants have been provided in the
entire Complex as a fire safety measure.
Fire extinguishers and fire guards are deployed in each
hall.
Security guards are deployed at entry points for crowd
control.
Delhi Police personnel are deployed for access control,
checking and security at entry points.
All baggages are scanned through Electronic Baggage
Scanners at gates.

TERMS & CONDITIONS FOR PARTICIPATION AND OTHER MISCELLANEOUS
GUIDELINES OF IITF 2014
Rights:- The India Trade Promotion Organisation reserves its all rights in connection with the IITF 2014.
A. How to book space for participation?
a) The booking of space will start on June 25th 2014 (Wednesday)b) The application form for booking of space is available on ITPOs website (www.iitf.in ). The
application form can also be down loaded.
c) 3% early bird discount to ITPOs members and 2.5% to non-ITPO members who will submit theirapplication with the full participation charges including service tax etc. by September 5, 2014
(Friday).
B. There are four kinds of participation:-
a) Private domestic companiesb) Government organizations including those who have Permanent Pavilion in Pragati Maidan
c) Foreign participants (National level participant / individual participant/group participation)
(Three types of application forms are available on our website in respect of above three types of
participants)
C. ONLINE SPACE BOOKING:
After careful perusal of terms & conditionsof participation of IITF 2014, application form available on
ITPOs website can be submitted online along with advance / full participation charges by way o f RTGs /
NEFT/ by bank transfer in favour of India Trade Promotion Organisation. A unique Exhibitor ID will be
given to each participant on receipt of their online application. Receipt of the fee by ITPO can be checked
by the applicant from the concerned ITPOs officer at the time of submission of relevant documents.
OFFLINE / PHYSICAL SPACE BOOKINGS ARE NOT ACCEPTED.
However, in exceptional case, assistance is available at ITPO in Fair ServicesII Division (Ground
Floor) for filling up application form.
D. SPACE ALLOCATION
Approval letter for participation would be issued with the following conditions compiled with:-
1. Allotment is done at regular intervals on the basis of choices of space made by applicant, paymentof minimum booking amount and certain criteria including turnover, loyalty etc.

2. The full payment should be made within 10 working days of allotment of a booth.
3. Payment of 100% participation charges, security deposit, service tax etc. entitles an applicant toget confirmation of allotment of space.
4. RTGs / participation fee etc. shall be accepted from the companys account only and not from theindividual person / persons accounts.
E. Payments procedures
(i) The advance booking amount shown in the guidelines as ADVANCE PAYMENT along with application form for
booking of space. (P-19)
(ii) Balance payment as per the advice of ITPO.
(iii) If the payment or any communication is not received by the indicated date, the allocated exhibition space will stand
cancelled. All payments are to be made through RTGS/NEFT/Bank transfer in favour of India TradePromotion Organisationpayable at New Delhi.
(iv) Foreign exhibitors can only send their participation fee through banking channels.
(v) Participating companies must remit payments by RTGs mode through company account only at the following

F. Refundable Security Deposit and Premium Charges if any:
Interest free Refundable Security deposit will be charged @ 10% on the payable participation charges from National Participants.
Stalls having more than one open side attract premium charges. Please note, no blocking of sides facing the opening of other
stalls will be allowed and it will be treated as violation. Accordingly, it will invite penal action as deemed fit by ITPO.
G. Possession of space:

(i) Bulk bare space by government organizations including department, PSUs, statutory bodies and cooperatives will
be handed over on or after November 9,2014.
(ii) Bare space will be given from November 10, 2014 onwards
(iii) Constructed stalls/booths from November 10, 2014 onwards
(iv) Display arrangements by all exhibitors to be completed by November 12, 2014 positively.
H. Sale of goods by participants:
(i) Exhibitors are prohibited not to sell any goods in which trading of any form is banned/restricted/ limited/prohibited
endangered species by a Parliamentary Act or by State Laws or by international conventions.
(ii) ITPO will not be a party to any dispute arising out of any quality problems or otherwise between the customers and
the exhibitors. If ITPO is put to any loss for the acts of omission and / or commission of / by the participant, the
same shall be made good/indemnified by such participant.
2. CONSTRUCTION AND DECORATION
a) Shell Scheme:
ITPO will provide a built-up booth constructed with prefab system with a height of 2.4 mtr (see guidelines of
Architectural/Engineering Division on page No.-30) with fascia writing, carpet, one table, four chairs, one power point and seven
spotlights (stand lighting up to 1 KW) in a booth of 15 sq.mtrs). Each panel will be of 1 mtr wide with white board. Regarding
outdoor space, only 25 per cent of the outdoor area can be covered mainly for office purpose. For any area covered beyond 25
percent of the space, 50 percent extra participation fee is payable. Open space is to be used for display only. Exhibitors must not
obstruct passages. Fire hose, MCPs, Panel Boards, cable terminals for phone connection, outlets for electricity and water must
not be obstructed failing which suitable penalty as deemed fit by ITPO shall be levied.

b) Construction of Booth in Bare Space and Open Space:
Exhibitors who book bare space or open space will abide by the architectural guidelines prescribed by ITPO and obtain prior
approval for layout and interior design of stalls from the Arch. Division before October 21, 2014. Thereafter, they are required to
submit the plan approved by Architect Division to IITF Unit by October 31, 2014. The layout Plan will be prepared keeping in
view public safety, free access to public facilities & conveniences, safety to ITPO property etc, failing which possession of space
will not be allowed. Cable terminals for telephone connections, outlets for electricity and water and convenience to fellow exhibitors
must not be obstructed. In case the height of stall is required beyond 2.40 mtr (only for logo/feature), the same requires approval
of Architect Division, failing which penalty shall be levied as deemed fit by ITPO. No mezzanine floor is permitted in the stall in
any case.

Dependency on the layout/ plans so approved and the opening to the stall more than one side would determine the premium
charges as applicable for 2 side or 3 side or 4 side open stand.
c) Unauthorised Occupation:Any unauthorized occupation of any space both inside the hall including passages and outside
will attract confiscation of exhibits and penalty as appropriately to be decided by the competent authority. Rear spaces of stalls
shall not be used for storage or any other purposes. These shall be considered as unauthorized occupation and heavy penalty
shall be levied by ITPO. Moreover, any deviation in the products display i.e., other than the products mentioned in their applicationwill be treated as unauthorized and such violation will invite penalisation including shutting down the stall. No refunds of
participation fee, security deposit etc., are admissible in the circumstances.
d) Stall alteration:
(i) No alteration of the size or position of an exhibitors stall is permitted.(ii) ITPO reserves the right to modify the layouts of stall sites and gangways.(iii) Usage of nails, pins, racks, screws, or any such material on the panel walls of the built up stall is prohibited.(iv) The facia for bare space/shell space will be allowed as per the name given in the Application Form only.
e) Passage:Exhibits must not obstruct passages. Public passages and gangways should be left clear. No hindrances, protrusionof exhibits shall be permitted, otherwise, it will attract penalty for the participant whose goods/products are found obstructing
passages/gangways etc.
f) Subletting:ITPO will have the right to close the stall and impose penalty, as may be deemed appropriate by the competent
authority, if the allotted stall has been sub-let to another party.
3. SECURITY
a) General Security:
While ITPO will make the general security arrangements, participants will be responsible for the security of their exhibits and
stalls. They may engage authorised Security Agencies for the security of their exhibits in coordination with Security Division of
ITPO. List of exhibits should be verified and certified by Security Agency/Security Guards before handing over to them on daily
basis as ITPO does not take any responsibility for thefts etc. Security Guards deployed during exhibition and non exhibition hours
must be in possession of ITPO photo I Cards and their details be made available to IITF unit well in advance. No Security Guard
without pass will be allowed to stay inside Pragati Maidan.
b) Insurance:
Participants will insure their exhibits and display materials against loss, damage, theft, fire or any cause whatsoever. They will
also obtain third party insurance cover for construction period, fair period and dismantling period.
c) Product liability insurance:
Exhibitors are advised to insure against claim arising out of body injury and/or property damage. An exhibitor shall produce tothe ITPO, on demand, certificates of insurance.
d) Damage to Exhibition Areas:
Exhibitors are required to indemnify ITPO against any claim made against them in respect of damage to Exhibition Halls, structure
or property caused by exhibitors, stall, exhibits or staff or by Agents acting on the Exhibitors behalf.
d) Prohibited Items :
The following items are strictly prohibited inside the Pragati Maidan:-
i)Match box, cigarette, lighter, gas lighter, arms and ammunition, sword or knife.
ii)Candles, incense sticks, hurricane lamp, stove, welding machine or iron cutter emitting sparks,

(iii)Items banned under Wild Life Protection Act are prohibited for display/sale in the premises of Pragati Maidan. They
are:-
Plant products/derivatives as indicated in Schedule VI of Wildlife (Protection) Act, 1972.
Molluscan shells/derivatives/handicraft items as included in Schedule 1 & IV of Wildlife (Protection) Act,
1972. Coelenterates as included in Schedule 1 of wildlife (Protection) Act, 1972.
Fishes as included in Schedule 1 of Wildlife (Protection) Act, 1972.
Any wild animal & its derivatives etc.
(iv)Selling/display/sampling of alcoholic beverages/wine/liquor/hard drinks are prohibited without the prior
approval of the authorities concerned.
(v)No gas cylinder will be allowed for filling up of balloons or demonstration of any product unless proper
certification has been obtained from the controller of explosive and proper permission is taken from DCP (New
Delhi.), Delhi Police who are responsible for security during the IITF well in advance.
For inflated balloons, only outdoor space can be booked. Exhibitors are NOT allowed to use inflated suits/air bags worn by
humans to publicise their products inside/outside the halls
f) Fire Prevention:
(i) Cooking is prohibited inside the exhibition halls. Halogen and other floodlights are not permitted.
(ii) Use of fire hazard material like thatch, dry grass and other inflammable materials is not permitted. All materials
used in the construction of stalls and displays are to be fully fire proof and should comply with all other local
regulations.
(iii) Electrical wiring under carpets is a potential fire risk. Wherever this is unavoidable, adequate precautions should be
taken by covering the wiring by wooden ramps. Wiring under carpet should not have joints.
(iv) Arrangements of fire extinguishers in State pavilions will be the responsibility of the respective Pavilion In-Charge.
All exhibitors shall keep and maintain fire-fighting equipment (at least 1 ABC type portable fire extinguishers in eachstall of 12/15 sq. mtr.) within their stalls as per safety regulations. However, fire extinguishers can be provided by
ITPO on payment basis subject to submission of a requisition with payment by 14th October, 2014 to Security
Division, ITPO.
(v) All electrical joints must be fully insulated and MCB be used to prevent over loading.
g) Parking, entry & exit of vehicles:-
(i) Parking is not allowed inside Pragati Maidan for any participant visitor etc . Pay & Park will be made available at
Bhairon Road Parking lot on firstcome- first- served basis. Other paid parkings are also available on Purana
Quila Road, Delhi Zoo India Gate, Metro Station, High Court etc.
(ii) Parking is not allowed anywhere outside Gate Nos. 1 & 2 on Bhairon Road and Gate Nos. 3, 4, 5, 6,7 & 8 onMathura Road.
(iii) Vehicles parked at unauthorized places will be towed away by Delhi Traffic Police at the cost and risk of participant.
(iv) Entry of cars/trucks/lorries to Pragati Maidan during build-up period and exhibition period will be strictly regulated
on the basis of valid entry permits issued by ITPO. See the Annexure of order forms for entry & exit of
vehicles.(P-58)
h) Fair Guide of IITF2014
All the participants (Domestic and Foreign) are required to submit the details of their constituents/individual participants
in the prescribed format not later than October 24, 2014. The information can also be intermitted online. The information shall
be printed in the Fair Guide of IITF2014.

i) Miscellaneous :-
(i) Storage of empty boxes or cartons behind the stalls and outside the hall/hanger/in open space is prohibited. If
found, it will be confiscated and removed and disposed of at the expense and risk of the participants. Heavy penaltyshall also be levied by ITPO
(ii) No unauthorized porters will be used by any participant. Unauthorized labour along with goods is liable to beimpounded by Security personnel/Delhi Police.
(iii) No ticketed/sponsored and or freefunctions will be held in front of any stall to attract crowd to prevent blockageof roads/passages etc.
(iv) No celebrity shall be invited to any hall without prior permission from ITPO and without intimation toDelhi Police/Security personnel two days before the function.
(v) Participants and their staff inside the stall will be under obligation to produce their badges as and when asked bythe security staff of ITPO or Delhi Police. Staff found without badges will be evicted from stalls.
(vi) ITPO will provide facility of authorised Packers and Tempos at Gate No. 1 upto exhibition hall forcarrying material. Only exhibitors and other concerned officials with valid I Card will be allowed tocarry material inside the gates.

I. STATUTORY COMPLIANCE:
a) Value Added Tax (VAT):
It may be noted by all exhibitors that registration under Section 16A of the Delhi Value Added Tax Act is a Mandatory beforecommencing any business during the exhibition. A casual dealer is required to inform the Department of Trade and Taxes at-least
three days before the commencement of business in Delhi. While three days is the outer limit to apply for registration as a casual
dealer, there is no lower limit for the purpose. Temporary office of VAT Authority will function from Mezzanine floor of Hall No. 5
from November 1, 2014.
b) Performance licence:
Traditionally, ITPO organizes cultural shows in designated theatres/auditoria. ITPO will designate locations where
promotional/marketing show can be organized by an exhibitor with prior permission of ITPO. Any exhibitor intending to organize
any entertainment/marketing show even in its own allotted space, would require prior permission from ITPO and Delhi Police. In
either case, the exhibitor has to get performance licence from the authorities concerned two days before the function.
c) Copy Right Licence:
All necessary licences for using Copyright material from the relevant Copyright Societies e.g. the Phonographic Performance Ltd.
and the IPRS etc. shall be obtained and a copy of the same shall be made available to ITPO on demand. Anybody found infringing
Copyright Act shall be personally liable to pay the penalty and indemnify ITPO for such infringements.
d) Noise Level:
Use of loud speakers for playing music, making announcements and other promotional means for attracting visitors is strictly
prohibited. If cordless mike is used for promotional purposes, the exhibitors will ensure that no nuisance/disturbance is caused
to other exhibitors and annoyance to the visitors and the sound level is not allowed to exceed 70 decibels.
e)No Smoking Zone:
Smoking at Pragati Maidan premises/Exhibition ground/Halls is strictly prohibited. Violation would attract penalty as per law in
force.
f) Food & Beverage outlets:
Only the authorized persons/company will be allowed to operate food and beverage outlet/kiosk. Sale of eatable/beverage of any
kind inside the hall is strictly prohibited. No exhibitor is allowed to make any arrangements of food/beverage kiosk inside the hall.
Nobody is allowed to put up any ad hoc/temporary kiosk without the permission of ITPO. Anybody found selling food packets etc.
will be liable for punitive action by the competent authority.
g) Cleanliness and Maintenance:
The participants will be responsible for cleanliness and maintenance of their stalls. Cleaning of common passages/areas will be
arranged by ITPO. Participants will be responsible for removal of empties, waste material by November12 , 2014. No empties or
wooden material shall be allowed to be kept behind the partitions of stall. If a participant is allotted a full hall, the cleanliness of
the entire hall will be the responsibility of that participant.
h)Attendance at the stand:
No stand should be left unattended during the exhibition hours. For management of the stall of minimum size 15 sqm, only 3
persons will be permitted at any given time.
The participants will not carry out any activity, which in the opinion of ITPO amounts to nuisance or annoyance. ITPO, shall have
the right to take remedial action as deemed fit.

i) Exit Permit & Vacation of stall:
Stalls are to be vacated within two days of the close of the Fair, i.e.by 29th November evening. The post-fair exit will be through
Gate no. 1 only. No exhibits/cases/display material etc. will be allowed to be taken out of Pragati Maidan without Exit Permit
which will be issued by the Hall Master/Sector officer on production of No Dues Certificateissued by the FSII Division /Central
Facilitation centre. Participants who fail to vacate the space will be liable to pay penalty to ITPO as deemed fit by ITPO and the
ITPO shall have the right to remove the exhibits/materials etc. of participants at the risk and cost of participants.
Storage of exhibits in the open area will not be permitted after the close of the Fair and will attract penal rent as deemed fit by
ITPO.
j) Dress Code:
The IITF is a businessoriented international event to be attended by domestic as well as overseas business personnel and
visitors. It is, therefore, necessary that hosts/hostesses and presenters, who often promote different products and services on
behalf of the exhibitors, be decently attired, keeping in view the law of the land and Indias cultural ethos.
k) Violation of rules:
In the event of violation of these rules, ITPO shall have the right to close down the stall of the participant immediately and norefund of participation charges , security deposit etc., would be considered.
l) Force Majeure:
ITPO will endeavour to ensure the supply of the services, but if the supply of such services is not within the control of the ITPO,
then no exhibitor is entitled for any damage incurred due to failure of services.
m) Interpretation: The decision of CMD, ITPO or his/her nominee shall be final and binding on the participant about the rules
and regulations.
n) Disputes:
Disputes, if any arising out of participation in this fair shall fall within the jurisdiction of the courts of Delhi/New Delhi. ITPO
reserves the right to allot space on the basis of criteria decided by the Management.
J) GUIDELINES FOR SPACE ALLOCATION IN IITF 2014
1. ADVANCE BOOKING AMOUNT FOR DOMESTIC PPARTICIPANTS / FOREIGN PARTICIPANTS:-
Domestic private sector individual participants can book the space by personal contact for booking of more than 80 sq. mtrs. of
space. However, booking of space online is mandatory. For making advance payment, may please follow the guidelines as
under:-

2. PROCESSING OF APPLICATION FOR DOMESTIC PARTICIPANTS REQUIRING LESS THAN 80 SQ. MTRS. SPACE.
The processing of the application would be computerised where the criteria to allocate a particular location would include the
turnover of the company, size of area booked and loyalty. The various steps for getting a location from the layout of booths
uploaded on the Website in a hall relevant to the product category of a company would be as follows:
a) Read carefully the instructions where different categories of products are listed for display in specific halls
b) Open the application meant for domestic participantsc) Look for the hall in which your product category falls.(P- 8 & 9)
3. MAKING PAYMENT AND MAKING CHOICE OF LOCATION BY DOMESTIC PARTICIPANTS SREQUIRING LESS THAN
80 SQ. MTRS. SPACE.
Take a print out of the application filled online and make payment of advance booking/full amount by RTGS/NEFT in favour of
India Trade Promotion Organisation, New Delhi.
- Fill the application online and make Full payment/ Advance payment by RTGS/NEFT/Bank transfer and enter payment
details in the Application Form before submitting the Application online
- After receipt of the full payment/ booking amount, the application would be considered active.
- Choice of Location: You can make choice of five locations.
- Allotment of space: There would be computerized processing of applications. The applicants for each location would be
assigned priorities on following criteria, inter alia:-
(i) Turnover of the company on a letter head of C.A. duly signed & stamped.(ii) Size of the space to be booked.
(iii) Loyalty (past participation in IITF)(iv) The prospective participant/ company can book more than one location in the hall. Allotment would be madedepending upon weightage/ranking system. However, at the first instance, only one stall will be allocated tothe participant. The allocation of more than one stall to the same company will only be considered after the3rdallotment . This is being done to encourage participation by more companies. This in any way will notrestrict the participant for applying bigger space for displaying their products in the hall meant for the products
(v) When the stalls are being allotted either two-sides open, three-sides open or island space, the participant is notentitled to close any side as it will affect the merchandise of the stall.
(vi) The prospective participant is allowed to make the five choices anywhere in the hall as per product display.(vii) In the section Home appliances/ Home Decor ( Hall No. 1R ) companies having annual turnover of less than
Rs. 5 crore, will be allotted minimum bookable area , with single-side opening stall only.
The participant intends to take more than 80 sq. mtrs. of space can contact ITPO directly giving option of space that includes
more than one block in the layout plan. The contact can be made by E-mail, Fax followed by telephone for reserving space of
area more than 80 sq. mtrs. by any individual private sector participant for its own products only.
The locations in halls for domestic participants have been divided into A, B and C as shown on website and layout in different
colours. Application for most prominent space at category A and B shall be accepted by the software only if the cumulative
weightage of various parameters of a participants exceed a specific cut off mark decided by ITPO until 2ndAllotment. All applicants
can apply for category C stalls fromthe date of the opening of the booking and for all stalls for category A, B and C left un-
booked after September 4, 2014.
The choice made for a location would be considered by ITPO only after receipt of advance booking amount or full amount
required for the area to be booked. Further one company can make 5 choices of locations. The priority for each location would
be processed on the basis of weightage criteria and the first three priorities generated for each location would be put on the
Website on the day of the allotment followed by E-mail to the participants which get first three priorities. The tentative schedule

5. ONLINE INFORMATION : The applicant can check online the following after logging on website with their Unique ID.

If there is change in the date of allotment it would be publicised on the WEBSITE (www.iitf.in). An E-mail would be received
by the participants if they get first three priority numbers for one or more of the choices made for locations. The balance payment
can be made within 10 days of the allotment date. The applicants can also view their priority if it is within first three for any of
the locations opted for by going on the WEBSITE. If the balance payment is not received within 10 days from the date of allotment
by the first priority applicant then after 10 days that place would be shown available to the participant with 2nd and 3rd priority
for that location on the 10th day of computerized allotment. Only 3 priorities for each location would be generated. After 10 days
the 2nd and 3rd priority participants can make the payment and the space goes to the participants that makes payment first from
the second and third priority companies. An e-mail would be sent confirming allotment of space which can also be seen by logging
on the site. In case of a tie the company that applied first (advance payment date shall be considered as date of payment) or
makes full payment shall get priority. If still there is a tie then a committee would decide the allocation.
6. WHERE TO SEND THE DOCUMENTS:-
Payment by way of bank to bank transfer in case of foreign participants and by RTGs /NEFT for domestic participants from the
account of the applicant (Company, for which the application is being made) for advance and balance payment should be made.

7. MODE OF PAYMENT
- The payment can be made by foreign participants by bank transfer in ITPO account given in the application form. The
payment by domestic participants can be made by RTGs/NEFT as indicated in the application form.
Domestic Participants:
1. The payment by cheque or Demand Draft in favour of ITPO, New Delhi can be accepted from domestic
Government participants.
2. Private Sector domestic participants must pay by RTGS/NEFT/Bank Transfer only from the applicant
companys Bank account
Foreign Participants:-
Payment from foreign participants by Bank transfer in ITPO, New Delhi account in Citi Bank is the only acceptable mode of
payment.
8. Refund of advance/full participation charges and cancellation of participation.
(i) Allotment will be done taking into account the five choices the participant has indicated in the
online application form.

(ii) In the event of none of the choices being available, the applicant can make three fresh choices
from the available vacant stalls so that their chances of getting the stall increases till they get
location of their choice.
(iii) In case applicant gets space of their choice but does not make full payment within 10 working
days of the allotment then their allotment for that location will be cancelled and shown asavailable on website for next allotment. They can however, make a new online application.
The refund procedure is as follows:-
(A) Full Refund :
(i) There is a change in the venue and date of an event and due to this theapplicant is unable to participate
(ii) In case of force majeure where the applicant is unable to participate due to thecircumstance over which they have no control.
(B) When applicant does not get the location of their choice and no allotment of any
space has been made then they are entitled to get full refund of the advance or
full participation charges till that date after deduction of Rs. 1,000/- as
processing fees.
(C ) When allotment has been made for a specific stall:-
(i) Deduction of Rs. 5,000/- if the allotment has been made more than 90 days from the
starting day of the event and company does not pay the balance amount or withdrawsparticipation.
(ii) Deduction of Rs. 10,000/- if the allotment has been made 45 to 89 days from the startingday of the event and company does not pay the balance amount or withdraws
participation.
(iii) In case the allotment has been made less than 44 days from the starting day of the eventand the applicant does not make full payment during the stipulated time or withdraws
participation then an amount of 50% of the minimum advance booking amount or Rs.
25,000/- whichever is lower will be deducted, subject to the condition that the net area of
the hall is fully sold, if not then the total paid amount by the applicant will be forfeited.
(iv) If the documents submitted by the applicant are found forged/ fake after allotment of thestall, the allotment shall be cancelled forthwith & all amounts deposited by the applicantshall be forfeited. Such parties shall also be kept in black-list for a period of five years

On conclusion of the fair, all exhibitors are reqired to remove their exhibits latest by November29, 2014 before 6.00 p.m. positively, failing which exhibits will be removed by any empanelledAgency of ITPO at the cost and risk of the exhibitor.

K. IMPORTANT NOTES:
All the participants are advised to take comprehensive insurance coverage for their exhibits during transit
currency of the fair till exhibits are removed from the ITPO premises.

Participants areadvised not to sublet their stalls allocated and also not to display exhibits other than
mentioned in the application form. (In case of violation, no refund/adjustment of participation charges will
be made and stall/booth shall be shut down).
Participants should not indulge in violation of patent and trade mark rights.
ITPO has undertaken extensive publicity campaign to generate wide visitorship to this event. However, the
exact business visitorship cannot be guaranteed.
Possession of space will be given only on receipt of full payment including refundable security deposit for
electricity & power load charges, water charges and other dues etc.
Stands should be according to the architectural guidelines enclosed in the Exhibitor ManualIITF 2014.
Any violation may attract heavy penalty including shut down of stand by ITPO.
Safety Measures should be adhered to strictly as per guidelines enclosed. Passages to be kept clean and
Fire & Emergency Exits to be kept free from any hindrance. Each participant/Stall holder to have Fire
Extinguisher kept in their Stall/Pavilion.
Entry to Pragati Maidan could be closed at 5.30pm or before in case of heavy rush / security concern.
Ticket Sale Windows will be closed at 4.00 pm on week days and 2.00 pm on weekends. Vehicles carrying exhibits are allowed only before 7.00 am or after 8.30 pm. All entry/exit of vehicles to
and from Pragati Maidan will be from Gate 1 or as notified only after producing Entry/Exit Material Slip duly
signed by the officer/department concerned along with proper identification. The exhibitor or their
representative (s) with photo badge must accompany the vehicle. The vehicle will have to pass through
Mobile Cargo Scanner and will be checked by Delhi Police/security personal.
Due to security concern, onlyBar Coded I-Card with photographissued by the Fair ServicesII Division will
be allowed for entry into Pragati Maidan. Bar Corded I-card holders are advised to carry other personal
identification also with them.
All the participants may kindly note that all necessary licenses for using Copyright material (like live
performances, playing recorded music/songs etc.) shall be obtained from the relevant Copyright Societies
i.e. the Phonographic Performance Ltd., (Address G-11, Ground Floor, Nizamuddin West, New Delhi-
110013) and the Indian Performance Rights Society, (address-208 Golden Chambers, 2ndfloor, New Andheri
Link Road, Andheri West, Mumbai400053) etc., and a copy of the same shall be kept for perusal of ITPO.
Anybody found infringing Copyright Act shall be personally liable to pay the penalty and indemnify ITPO for
such infringements.
Entry to halls will be closed after they reach maximum holding area of the hall.
It is mandatory for participants taking bare space to ensure that fire retardant material is used while
constructing their stall. NOC is to be taken from Delhi Fire Services Dept. and Inspector Electrical. No gas
cylinders or cylinders carrying CNG, Hydrogen, LPG etc., will be allowed unless certified by the GovernmentAgency concerned. The exhibitors will be responsible for the safety and security of their stall & exhibits
24X7 during the tenure of the fair. They may leave a guard or their representative in the night, but only
such guards will be allowed to stay who are in possession of bar-coded photo identity cards.
Security Agencies will not allow any exhibitor/employee/representative/guard to stay inside the hall
without photo identity card.
ITPO halls will remain open 24X7 for replenishment of goods and exhibits and cleaning and maintenance.
All the terms and conditions & other guidelines mentioned in this exhibitors manual will be applicable to
all participating State Pavilions/UTs/Ministries/Foreign exhibitors/Pvt. Cos./Cooperatives/Government
Deptts/PSUs/Statutory bodies/etc., collectively as well as to their individual participants/constituents etc.

L. SECURITY
For Exhibitors/Service/Car-park/Entry of goods
1. All exhibitors participating in India International Trade Fair must collect Material Entry Slips
from IITF Unit for their trucks/trailers/containers by which they shall be bringing theirexhibits/cargo for the exhibition. These permits should be collected well in advance andissued to cargo vehicles in triplicate with complete information filled in.
2. Depending upon the space booked by them, they should collect sufficient Material EntrySlips from (IITF Unit) which should contain details of their Stall No./ Hall No./ date of arrivalof goods. They must fill the registration number of the vehicle and the name of the driverof the vehicle by which they dispatch their goods to Pragati Maidan. The Slips must be dulysigned and stamped by the Exhibitor with name and mobile number.
3. No Material Entry Slip should be handed over to the drivers by the exhibitors without filling
in the registration number of the vehicle and the names of the drivers and number ofpersons accompanying the goods.
4. The Material Entry Slip issued by IITF Unit completed in all respects should be handedover to the driver of the vehicle at the point of dispatch or should be handed over to him bythe exhibitor outside the Gate No. 1 of Pragati Maidan.
5. All vehicles of exhibitors carrying their goods and exhibits on November 12 and 13 will firstdirectly report to Parking at Bhairon Road and will not be parked anywhere on MathuraRoad, Bhairon Road or Ring Road. No vehicle will report directly to gate No. 1 of PragatiMaidan.
6. They will show their Material Entry Slip and collect a token of the serial number from ITPOofficial present at Bhairon Road parking.
7. The vehicles will be parked in their order of seniority on the basis of arrival token numberallotted to them
8. These vehicles will be dispatched in the same sequence from parking to Gate No. 1 ofPragati Maidan at Bhairon Road. They shall be then allowed entry on the basis of MaterialEntry Slip issued to them by the exhibitor.
9. The driver will produce his driving license and identity card to establish his identity asavailable in Material Entry Slip.
10. The trucks/containers of foreign exhibitors which have to undergo custom clearance willbe checked and inspected at the place designated for them for scanning through the cargoscanner.
11. Trucks of all other exhibitors entering Gate No. 1 will go through the cargo scanner andwill be allowed directly upto the hall through the service lane. This can be a long waitingperiod for scanning and vehicles may have to wait for 24 hours when scanning is stopped.

12. The exhibitors or their representatives with photo badges must be present at Gate No. 1with their original allotment letter to identify the vehicle and the goods before entry.
13. Immediately after unloading the exhibits/goods at their respective halls, the exhibitors will
ensure that empty cartons, wooden boxes and packing material are reloaded into theempty trucks and sent out of Pragati Maidan.
14. No cartons/empty boxes will be allowed to be stored anywhere inside & outside the halls/behind booths or open spaces inside Pragati Maidan.
15. The restrictions on entry timings imposed by Delhi Police or Delhi Traffic Police will bebinding upon on all exhibitors and have to be obeyed
16. Exhibitors must use commercial vehicles for ferrying of goods. No private vehicle/cars willbe allowed inside Pragati Maidan during the construction period due to long queues oftrucks and tempos.
17. During construction period, parking will be available only at Bhairon Road paid parking.

ARCHITECTURAL, SECURITY AND ENGINEERING
GUIDELINES FOR EXHIBITORS
A. BARE SPACE
1. The layout and interior designs of stalls will be done by Exhibitors, who book bare space in IITF, keeping in view the
public safety, free access to public facilities and conveniences, safety to ITPO property and convenience to fellow
exhibitors.
2. The exhibitors must inspect the space allotted and make note of salient features like location of columns, fire safety
equipment, main electricity distribution board, arrangement for water supply/disposal, arrangement for compressed air
supply, service, entry/exit doors and approach to toilets etc. The stand layout must take into account all such features
as per the participants requirement. The participants whose stalls are next to any fire fighting equipments must make
themselves abreast with the use of fire safety equipments.
3. The exhibitor will prepare the designs of their stands keeping in view the guidelines mentioned in succeeding paragraphs.
Inflammable material should not be used in the stalls and in case it is unavoidable, fire retardant point should be applied
on such material.
4. Clear access to main electrical distribution boards, emergency exits, stair cases, service doors, public conveniences and
fire safety equipments must be ensured. Adequate working space must be provided in front of main electrical distribution
boards and fire safety equipment for easy operation.
5. In case of walk-through stands, appropriately demarcated passages shall be planned. Passages are to be kept free of
any display aids/exhibits.
6. The exhibitor will submit drawing in compliance of the norms. The permissible height of the stand construction is 2.5m
and display aid/ light structure at 3.0m. 0nly. Features like logo/branding in bigger stalls can go uptil the height of 4.0m.
7. Stand construction should be independent of the walls, columns and roof of the halls.
8. No buntings/hangings allowed inside the halls.
9. Fire-safety implements are available in exhibition halls. Every participants should keep a portable fire extinguish in his
stall.
10. Use of fire hazard materials like thatch, dry grass and other similar inflammable material is not permitted. Only fire-
retardant materials should be used for construction and decoration of booths. In case, fire retardant material is not used,
fire retardant paint will be used as all the surfaces and no objection certificate taken from Delhi Fire Services by the
participant.
11. Fire prevention measure should be adopted as per National Building Code of India.
12. Installing fire-fighting equipment in all the pavilions and training the pavilion staff in fire-fighting drill/evacuation of the
public in case of any contingency.

13. Ensuring that all exit doors to the pavilion are as wide as possible and kept open at all times to ensure ease of evacuation.
The exit doors need to be marked in prominent and bold letters in Hindi & English and all pavilion staff must be aware
of that location.
14. All exit signs of the pavilion should have a separate system of power with battery back up and properly displayed.
15. Ensure keeping 4 meter width passage inside the display of pavilion.
16. Emergency lighting must be installed in all the pavilions to guard against grid failure which is becoming a routine
occurrence. It has to be remembered that darkness can create panic and stampede with disastrous consequences.
17. All pavilion staff must carry torches and have access to first-aid equipment, including oxygen and life support medicines.
18. For surveillance, close circuit T.V. Cameras may be installed at strategic locations.
19. No gas stove and other equipments using live flame are permitted for the purpose of any demonstration.
20. 3 phase/1 phase power requirement for display/operation of machine need to be forwarded to GM at least 30 days
before the start of the event.
21. The sound level is to be regulated in the interest of all other users and visitors. The sound level should not exceed 70
decibel due to use of any sound and music system in stalls.
22. Only spot lights are to be used for stall lighting. Halogen and flood lights are not to be used.
23. All precautionary measures towards safety of workers inside Pragati Maidan/Halls will be the exhibitors responsibility.
24. Sound engineering practice should be employed for work of electrical wiring from the main switches to the lights and
other fixtures.
25. All electrical wiring work will be carried out only by the licensed electrical contractors.
26. Each stall should have an adequately rated switch fuse unit, MCB or cut-out to enable isolation in case of anyemergency/overloading.
27. Electrical wiring under the carpets are potential fire risks. Wherever these are unavoidable, adequate precaution should
be taken by covering these wiring with wooden ramps. Wiring with joints should not be provided under the carpet.
28. The electrical equipments installed must be earthed as per Indian Electricity Rules 1956 amended up-to-date. Connection
may be made to the nearest ITPO main earth lead.
29. Power factor improvement capacitor should be provided with the connected equipment wherever motor of 5 HP or above
are used.
30. The exhibitor should not draw electric power in excess of the requirement projected to ITPO and released by ITPO for
the purpose.
31. Re-sale or supply of electricity to third-party is not permitted.
32. The exhibitor will be liable to restore or pay restoration charges, if any, on account of damage to ITPO property.
33. The organizer/exhibitor will submit the layout plan to Architect unit through IITF unit at least 15 days before the start
of the event. Possession of bare space shall not be given, unless the layout plan is approved by the Architect
Unit.
34. The exhibitor will ensure removal of the packing boxes, unused display aids, handling equipments from the hall before
opening of the exhibition. The exhibitor must remove all excess trash from the premises.
35. The organizer/exhibitor must remove all abandoned material/trash from the premises after close of the fair. If the
exhibitor leaves behind such items, it will result in exhibitor being billed for removal and disposal of the same.

36. In case of violation of any guidelines specified above or specified by any other law enforcing agency, ITPO reserves the
right to close the stand/stall/pavilion and/or levy a fine as decided by the committee of ITPO Officers or any other Law
Enforcing Agency and/or get the construction removed at the risk and cost of the organizer/exhibitor.
37. The movement of the exhibition material on the roads inside Pragati Maidan should be ensured in accordance with rules
and regulations specified by Security Division of ITPO. Movement will be allowed only for authorized vehicles of exhibitors
on prior intimation and only before and after Exhibition.
38. No material will be allowed to be taken out of Pragati Maidan without out passes issued by ITPO authorities. No
cylinders, inflammable material, gas/kerosene stove, petrol, diesel or kerosene will be allowed inside ITPO
39. In case of any dispute or difference of opinion, the decision of CMD, ITPO would be final and binding.
B. SHELL SCHEME
1. Additional display aids/furniture may be procured from the construction/decoration companies appointed by ITPO on
payment as per approved rates displayed on their Website.
2. Fire hazard materials like thatch, dry grass and other similar inflammable material are not permitted to be kept inside
the stands.
3. No gas stove and other implements using live flame are to be used for the purpose of any demonstration.
4. Extension of electrical wiring from power/light plug for multiple use is not permitted.
5. The sound level inside the hall/stand/pavilion is to be regulated for the general comfort of all exhibitors and visitors.
The sound level should not exceed 70 decibel.
6. Nailing on the partition walls is not allowed. Cost for damage to partition panels on account of nailing etc. Would be
recoverable from the participants.
7. Participants must refrain from altering the shell stands on their own.
8. In case of any dispute or difference of opinion, the decision of CMD, ITPO would be final and binding.
The imposition of penalty for non-compliance/deviation from the approved drawings is given below:
a) Non-compliance/deviation from the approved drawing shall attract a penalty of 10% of the total rental charges.
b) Encroachments in the passage area, floating in nature shall be treated as non-compliance of ITPOs guidelines. In case,
encroachments are not removed, even after the notice of the Hall Master, a penalty will be imposed. The above penaltieswill be as per the decision of a Committee of ITPO Officials.
*Note: After paying above penalty the design/drawing has still to be as per approval of Architectural Division, ITPO.
ENGINEERING GUIDELINES FOR EXHIBITORS:
The rear area behind stalls is essentially service area from where power lines and other service lines are drawn. These
areas must remain accessible to the maintenance services staff round the clock. No material/packing cases should be
stored by any of the exhibitors in that area. In the event of any untoward incident as a result of storage of such like
materials, the concerned exhibitors will be solely held responsible and liable to pay all the damages as determined by
ITPO besides other penal action. The decision of ITPO shall be final and binding on the defaulting exhibitors.

None of the power outlets/distribution boxes, fire hydrants and other service outlets shall be covered by the exhibitors
for any exhibition purpose/otherwise. These should remain easily accessible to the maintenance staff for attending to
complaints/emergencies.
APPROVED CONDITIONS FOR SETTING UP STATE PAVILION,
GOVT. DEPARTMENTS, MINISTRIES AND PRIVATE PARTIES ETC.
FOR STATES PAVILIONS:
1. No passage should be less than 4.0 mtrs.
2. Proper traffic flow should be ensured.
3. Direct access to all the electrical panels and services like toilets etc.
4. Provision of sufficient no. of fire safety equipments like fire extinguishers and emergency exitshaving direct access and lit up sign boards of emergency exits to ensure public safety.
5. Provision of sufficient no. of emergency lights to ensure safe public movement in case of
power failure.
6. Structural stability certificate in respect of temporary construction / addition & alteration /
facade elements from qualified structural engineer to be submitted to ITPO before taking up
construction at site.
7. Only fire proof/retardant material should be used for construction & decoration.
8. Open Setbacks around the pavilion is meant for movement of fire tenders in case of any
emergency. Therefore, it is essential that these Setbacks are left totally free of obstruction,levels and temporary blockades.
9. The facade elements should not go beyond the height of the permanent structure of the
pavilion and your adjacent pavilion.
10.NOC from Delhi Fire Service and License from Additional Commi8ssioner of Police (Licensing)
Delhi Police will be taken directly.
11.No F & B stall permitted in the pavilion premises.
12.Compliance to all Engineering and Architectural guidelines.
13.Compliance to all detailed guidelines shall be confirmed before starting of the construction.
14.For any violation ITPO shall free to take punitive action including disconnection of electricaland water supply.
15.Joint inspection of Committee of ITPO Officers and representative of State Pavilion on 8 th&
12thNovember.

B. Electricity charges

2. Electrical work for bare space will be carried out by participant through their ownlicensed electrical contractor (License issued by government agency) up to ITPO

3. Minimum requirement to be paid for 12 Hrs each day.*Other then the Electrical load required for spot light/plug point @ 1.0 KW/12 sq.mtr forstand lighting entitlement.**Dismantling period load requirement is restricted to two days i.e. up to 6.00 pm of 29 thNov., 2014. If the requirement is beyond Nov. 29th, 6.00 pm, then a special request hasto be made to the ITPO.***Certain Products like food, fish aquarium & ice crme need electricity for 24 hours.
Hence power supply will be charged double the tariff.
