    BOYS & GIRLS CLUBS OF TAMPA BAY

    EXECUTIVE COMMITTEE MEETING MINUTES

    STEINBRENNER METRO OFFICE

    October 11, 2012

    Members Present:Karl Brandes, Lynn Dumais, Joe Garcia, Luis Garcia, Eddie Gomez, Greg Hearing, VicHolcomb, Scott Jacobsen, Shelley Kolseth, Chris Roederer, Marc Spencer.

    Others Present:Brad Baumgardner, Brenda Browning, Chris Letsos, Debbie McCarthy, Cassandra Thomas.

    Chairman Greg Hearing called the meeting to order at 12:15 pm.

    Consent Items:Minutes of the August 9, 2012 meeting and the September 2012 Financial Report were

    provided to the members for their review prior to the meeting. A Motion to approve theMinutes was made by Joe Garcia, second by Vic Holcomb. Motion passed. A Motion wasmade by Vic Holcomb to approve the July Financial Report, second by Eddie Gomez. Motionpassed.

    Strategy Report:

    Scott Jacobsen reported a meeting was held on Tuesday of the Board Development Committeeand looked at who was in the mix to join the board. Reggie Daniels will be taking a tourtoday. Its an ongoing process of finding new board members. Scott provided a list ofmarketing/advertising firms and asked if anyone knew anyone. Good report on the boarddues, most have paid. We still have a couple of people he will be talking to about attendance.Letter will go out with contributions by board members on meeting their commitments.

    Development Report:

    Cassandra reported that our website is under development and should launch on November12th. On Steak Dinner, we have raised over $160K and have 37 tables filled. Billboards areup around the city with our sponsors logos.

    Vic spoke about the Great Futures Breakfast on December 11th

    at the Tampa Bay Forum.The Captains Reception was held last night at the Tampa Club. Jeff & Penny Vinik attendedand seemed have a good time. We have 84 of the 85 tables filled.

    Brenda reported that the Yankees Luncheon will be held on March 21, 2013 at the TampaConvention Center since the Marriott was not available on the date needed. Letters have beensent for advanced ticket sales. All tickets will go on sale to the public on December 12th.CapTrust has signed to be a lead sponsor for the next 3 years. PWC is in their final year oftheir 3 year contract and interested in continuing their lead sponsorship.

    Chris reported that we held Kids Day on September 22nd

    at the Smith Salesian Club with over400 kids attending. Today is Day of Caring and Publix employees will be at our Plant CityClub repainting and doing touch up work.

    On September 27th, The Bob Blanchard Endowment Fund Event was held at the Columbia

    Restaurant. Bob hopes to raise $250K for the Lacoochee new building.

    We can expect reduction next year with the OJP. Chris is seeing cuts across the board onFederal funding.

    Presidents Report:

    Brad stated that Grants are becoming more focused and we have challenges ahead, we needprivate donations, buses and building repairs.

    Oscar stated we need to analyze our bus size and we could save half the price with somethingsmaller.

    Brad reported that the YMCA is looking at our Interbay location and hell keep us posted onthat.

    Greg asked for the board for insight on a December reception or a board and staff event atLuptons Boggy Bottom Ranch. Most stated theyd prefer the weekend since so much was

    going on during the week.

    Brad thanked Chris Roederer for hosting a wine & bourbon tasting at his house. It was a funevent.

    Brad spoke about funds available for non-profits from the BP Oil Spill and asked for directionfrom the board on whether to proceed. There was discussion on if and how it impacted us.Some member have a moral problem with it, others say its about calculation and there forthose that apply and meet the criteria. Brad stated that Dan Hevias firm does that type ofwork and they would work on contingency and donate back to us. Brad has received severalcalls saying we should look into it. It was decided to take this matter to the full board. Bradwill talk to Dan and see if he can make a presentation at the next board meeting in November.

    Greg closed the meeting at 1:15 pm and an Executive Session was held.
