EXCHANGE GATHERS IN JACKSONVILLE More than 600 attendees gathered at the 99th National Convention and 34th Symposium in Jacksonville, Florida, July 13-15, to share in fellowship and celebrate Exchange. Along with important business sessions and enjoyable meal events, invaluable educational seminars were offered throughout the convention, and awards were presented recognizing Exchange Club members for their accomplishments during the 2016/2017 administrative year. The 99th Convention of The National Exchange Club got underway Thursday morning at the Opening Session. Following the Presentation of the Colors by the Jacksonville Terry Parker High School Navy Junior ROTC Color Guard, the 2016/2017 Exchange Singers presented an inspirational rendition of the National Anthem. Attendees were welcomed by Florida District representative Gem Mann, and a special video message was provided by The Honorable Lenny Curry, Mayor of Jacksonville. Keynote speaker Bill King followed, explaining the Exchange Club of Rome, Georgia’s, outstanding program which includes a half-scale replica of the Tomb of the Unknowns. Mr. King graciously provided the keynote address in the absence of scheduled presenter Kaitlin Roig-DeBellis, who faced an emergency medical situation just prior to the event. Following awards recognition, 2016/2017 National President Elizabeth Grantham presented an inspirational address. She emphasized the importance of spreading Exchange and Unity for Service, and expressed thanks and recognition to those involved with bringing in 25 new clubs during the administrative year. She called on everyone to continue sharing pride in Exchange – pride in his or her own club, and pride in all the other wonderful things being done by fellow members across the country. The National Project Luncheon featured presenter Detective Rich Wistocki, a 27-year veteran of the Naperville Police Department. Detective Wistocki shared his work as an Internet Crimes Investigator and his passion for teaching parents how to parent their children while online. He has produced the “Keeping Our Kids Safe Online” parents presentation for the past 12 years in cooperation with the Exchange Club of Naperville, Illinois, and its Americanism initiative. Awards were also showcased, including the CARE Awards, Exchange Strong Club Giving Campaign recognition and the Parent Aide of the Year Award. Thursday afternoon’s Second Convention Session began with a Memorial Celebration conducted by Past National President Jim Brown. Attendees then heard the Annual Report of the NEC Foundation by President Ray Carlson, along with National Treasurer Jim Ruzon’s Report to the convention. Delegates considered two Proposed Amendments to the National Bylaws, as follows:

Proposed Amendment No.1 – Article IX (National Board of Directors), Section 2 – Adding the phrase “shall have been an Active member in good standing of an Exchange Club for a minimum of eight (8) years,” in the last sentence. Convention delegates approved an amendment changing eight years to five years. Proposed Amendment No. 1 passed, as amended. Article IX, Section 2, now reads:

ARTICLE IX National Board of Directors

RESOLVED that Article IX (National Board of Directors), Section 2, of the Bylaws of The National Exchange Club be amended by adding the phrase “shall have been an Active member in good standing of an Exchange Club for a minimum of eight (8) years,” following the first comma (,) in the last sentence of Section 2; so that Article IX, Section 2, as amended, shall read:

Section 2. The Regional Vice Presidents shall be elected by a majority vote of accredited and

voting delegates holding membership within the region to which they are to be elected at the an-

nual convention. Their term shall be for two (2) years. Regional Vice Presidents from even-num-bered regions shall be elected in even-numbered years. Regional Vice Presidents from odd-num-bered regions shall be elected in odd-numbered years. No Regional Vice President shall be elected to serve more than two consecutive two (2) year terms. All Regional Vice Presidents shall have served a full term as a District President, shall have been an Active member in good standing of an Exchange Club for a minimum of five (5) years, shall undergo training before their election on the responsibilities of a Regional Vice President, and live within and hold membership in a club within the region.

Proposed Amendment No. 2 – Article IX (National Board of Directors), Section 2 – Adding the phrase “shall have built and chartered a new Exchange Club or have been awarded a 10-member pin,” failed.

Numerous communication-related awards, along with project and fundraising awards, Big “E” and National Services Awards, were also recognized at Convention Session 2. Friday’s events began with Convention Session 3, which included the Election of 2017/2018 National Officers and NEC Foundation At-Large Trustees. Executive Vice President Tracey Edwards also presented Exchange’s Annual Report to the convention. Simultaneously, the always popular silent auction was held for the NEC Foundation. The One Nation Under God Luncheon featured an outstanding presentation by Chad Schiel, President of the Exchange Club of San Clemente, California. Chad has a passion for helping children, young military families and veterans. At the young age of only 35, his story is a testament to God’s grace and loving humorous nature. Saturday’s Convention Session 4 featured the prestigious Youth of the Year and A.C.E. Awards. The 2017 Youth of the Year winner was Vismaya Kharkar, sponsored by the Rocky Mountain District and the Exchange Club of Salt Lake City, Utah. Curtis James “CJ” Miller was the 2017 A.C.E. winner. CJ was sponsored by the Michigan District and the Exchange Club of Detroit #1, Michigan. The NEC Foundation’s live auction was held, followed by an opportunity to “Bid from the Heart”, which allowed attendees to show support for Exchange at a level with which they were comfortable. Convention committee reports were presented, along with additional awards. National President Designate Phil Howard presented an exciting and motivational address. NEW CLUBS TO START OUT STRONG 2017/2018 guidelines will require starting a new club with 20 members. It has been proven that building new clubs with more members from its initial stages helps new clubs continue on with a stronger club. The club builders and members are in “recruiting mode” and should continue recruiting year round. Once the club has its Permanent Origination Meeting (P.O.M.) and is chartered with at least 20 members, the club will have another 30 days to recruit more charter members. In other words, any member to join 30 days after P.O.M. is also considered a charter member. This should be used as an incentive for recruiting. For example; start with 20 members and each member is to bring 1 new member in the next 30 days. This will double the club size -- resulting in a 40 member club! Use being a “charter member” as an incentive to join this new and exciting club! After 30 days have a celebration for ALL charter members! For more information on New Club Building or Recruiting, contact: [email protected]. EXCHANGE UNIVERSITY Exchange University is a valuable online training resource available to all Exchange Club members. Not only is this educational opportunity an important training tool designed to assist officers and directors in their leadership roles, it is also a requirement for many national awards, including:

Distinguished Club President Award

Distinguished Club Secretary Award

Distinguished Club Treasurer Award

Distinguished District Director Award

The submission of officer election reports each year (due by April 30) to National Headquarters, initiates the automatic enrollment of a club’s President, Secretary, Treasurer and District Directors. Please check your membership records to verify we have accurate email addresses for these individuals. Although these courses may be taken anytime throughout the year, completion of a course is required by August 1st if an officer desires to achieve any of the above awards. Courses are conducted online; each concludes with a multiple choice test. Certificates are mailed upon completion. Contact: [email protected]

34th CAP SYMPOSIUM A SUCCESS! The 2017 National Exchange Club Annual Child Abuse Prevention Symposium was held in Jacksonville, FL, in conjunction with the National Exchange Club Convention. More than 80 people attended, representing 31 Exchange CAP Centers. Symposium attendees express deep appreciation to the NEC Board of Directors and the NEC Foundation Board of Trustees for their dedication to our CAP Center Network, as demonstrated in their financial commitment to support Symposium and nearly $26,000 awarded in scholarships to centers! The NEC Foundation sponsored the cost of this event in the amount of approximately $50,000. Comments and evaluations were overwhelmingly positive. Many additional remarks expressed the value in networking opportunities and sharing between participants. The Symposium Opening Session with Detective Rich Wistocki was very well received. He shared valuable information and strategies on protecting our children from predators using “sexting” and the Internet to manipulate and assault. He was also the featured speaker for the National Project Luncheon. Many CAP Centers and Exchange Clubs expressed great interest in bringing Detective Wistocki to their communities. Participants attended workshops with topics, such as: “Fundraising and Board Development”, “Behind Closed Doors – The Silent Victims of Domestic Violence”, “Family Engagement Strategies”, “Exchange Parent Aide – Recognizing the Value and Dignity of all Families”, “Common Ground for Protecting and Strengthening Families”, “Infant Mental Health”, “Mental Health Issues in Families”, and “Lost Connections: How Children Get Their Negative Labels”. The CAP Symposium provided an excellent opportunity for CAP Centers to be involved with Exchange leadership and the many Exchange Club members attending the annual NEC Convention. The speakers, workshops and networking were invaluable. Frequent comments heard throughout the week were: “This has been a great event” and “Thank you for this wonderful opportunity!” Contact: [email protected] LILIA ANGARITA – EXCHANGE PARENT AIDE OF THE YEAR This year’s Exchange Parent Aide of the Year Award recipient, Lilia Angarita, has worked as a volunteer parent aide for more than 16 years, working with 720 families and over 2,000 children. She demonstrates empathy, compassion and openness, and diligently works to develop trusting relationships with families. She is a fierce advocate for families and changes their lives for generations, creating healthy family traditions that are passed down instead of child abuse and neglect. The Exchange Parent Aide of the Year Award has been developed to recognize the outstanding efforts of our parent aids across the country. Their selfless service has made a difference in the lives of children and families. The award seeks to honor a Parent Aide that has gone above and beyond expectations in engaging challenging families, and using creativity in accessing and developing resources for families. Ms. Angarita is a stellar example of the Exchange Parent Aide in action. Contact: [email protected] EXCEL CLUB MANAGEMENT Exchange Excel and Junior Excel Club dues billing occurs each year on October 1. Exchange Mentors/Advisors are encouraged to see that adjustments are made for graduates before October 1. As with traditional clubs,

13

member dues cover the period until the next billing. Clubs find it easier to make Excel membership adjustments by dropping and adding members consecutively at the beginning of the school year as new members join the club. Contact: [email protected]. MAKE PAYING DUES EASY FOR YOUR MEMBERS! Would your members like to pay their dues electronically or by credit card? The National Exchange Club is committed to providing the best customer service to its local clubs. To help achieve this ongoing mission, the NEC would like to inform clubs of a few ways that may be used to collect dues payments from members. Authorize.net Payment Gateway Accept payments anywhere! Authorize.net is a safe, secure website that allows clubs to accept credit card and electronic check payments. This service will allow the club to automatically bill its members and better maintain its membership roster. There is a set-up fee, in addition to monthly costs. There is also a fee per transaction and a batch fee. The club should first create an account with the Authorize.net website by entering the club’s name, billing address, phone number, and bank account information. Members have the option of either paying with a credit card or through direct withdraw. Members can indicate the amount and frequency of their automatic payments. Credit Card Readers for Smartphones and Tablets PayPal Here, Intuit Go Payment, and Square are examples of credit card readers for smartphones and tablets that can be utilized by club treasurers to collect credit card payments from members. After downloading the credit card reader app of choice to their phone or tablet, the club treasurer will enter the club’s bank account information. Most services will send a free credit card reader to the given mailing address when the app is installed. The reader fits into the headphone jack of the smartphone or tablet. To accept payments, open the app and enter the amount that the member pays for dues, then swipe his or her credit card. The payment will be transferred to the club’s bank account. There is a fee on each transaction. ACH Payment Transfers ACH payments, which take the place of writing paper checks, are automatic transfers of money from one bank account to another. Most banks offer ACH transfers. On the ACH transactions section of club’s online banking account, the club treasurer should enter the name and bank account information for each member. Each member will indicate to the club treasurer the amount and frequency of this automatic payment for his or her dues to the club. Please contact your bank should you need any assistance.

IMPORTANT INFORMATION ABOUT PAYING CLUB AND DISTRICT ACCOUNTS As a reminder, clubs and districts may pay their NEC balances online easily by following this link: http://www.nationalexchangeclub.org/pay/ Please note that this link is different than that which was used previously. Should you have any questions, please contact: [email protected].
