IQMH’s Centre for Proficiency Testing is recruiting: Senior Administrative Assistant

The Institute for Quality Management in Healthcare (IQMH) is a provider of world class medical laboratory proficiency testing, accreditation and education programs. Wholly owned by the Ontario Medical Association (OMA), IQMH is a not-for-profit organization dedicated to increase the quality infra-structure in the medical diagnostic field through its three centers: Center for Proficiency Testing, Centre for Accreditation, and Centre for Education. Our clients are composed of national and international players in the medical diagnostic testing sector.

The Center for Proficiency Testing, which is an ISO/IEC 17043:2010 proficiency testing provider, is now hiring a Senior Administrative Assistant.

Job SummarySenior Administrative Assistant will be accountable to Associate Director, Centre for Proficiency Testing to provide administrative and secretarial support to proficiency testing (PT) staff, the Professional Advisory Committee, and Scientific Committees.

Responsibilities and Duties• Provide support to the Associate Director, Manager and Consultant Technologists for ongoing projects and

initiatives.

• Provide administrative support for Scientific Committees:

• (IQMH has 10 Scientific Committees. Approximate number of committee meetings in a year is 30):

• Coordinate committee membership activities including correspondence, access to portal, current membership lists, continuing education credits, etc.

• Schedule internal and external meetings, conference calls, appointments

• Develop agendas, post approved agendas, relevant documentation, briefing notes and reports prior to meetings

• Take meeting minutes, prepare and post records of meetings, conference calls, and ad hoc subcommittee meetings. Arrange travel and catering for meetings.

• Update IQMH electronic calendars and project files to document all meeting and committee events.

• Administer program for payment of honoraria, professional fees and reimbursement of travel expenses.

• Provide administrative support for the monthly PT staff meetings; schedule meetings, take minutes and finalize records.

• Assist Consultant Technologists in the preparation and retention of participant correspondence

• Ensure processes and procedures related to Senior Administrative Assistant responsibilities are maintained as current, including Master templates.

• In collaboration with Consultant Technologists, send, collate and retain subcontractor evaluation documentation.

Qualifications• Minimum 2 years of post secondary education in an administrative assistance program or equivalent.

• Five (5) years of experience as a Senior Administrative Assistant.

• Excellent computer skills (MS Office environment )

• Familiarity with the medical scientific terminology

• Able to type minimum 60 WPM with 90% accuracy

• Excellent oral and written communication, interpersonal skills

• Fluency in oral and written French is an asset.

• Knowledge and understanding of quality management systems

• Team player committed to collaborative approach, as well as ability to work independently

• Well organized; project management skills are an asset.

World Accreditation Day 2018: June 9

June 9, 2018 marks World Accreditation Day (#WAD2018) a global initiative, jointly established by the International Laboratory Accreditation Cooperation (ILAC) and International Accreditation Forum (IAF), to raise awareness of the importance of accreditation.

IQMH and World Accreditation Day

Since the inception of our accreditation program in 2000, IQMH has accredited 317 medical facilities. IQMH is internationally-recognized as a competent provider of ISO 15189 accreditation as a signatory (Mutual Recognition Arrangement [MRA]) of ILAC and its Asia Pacific Laboratory Accreditation Cooperation (APLAC). IQMH issues accreditation certificates within the MRA under its ISO 15189 Plus™ banner which means facilities and patients can rely on medical laboratory test results that are recognized around the globe. IQMH-accredited laboratories should be proud of their important contribution to laboratory quality improvement, and we encourage all accredited facilities to celebrate World Accreditation Day.

This year’s theme focuses on how accreditation delivers a safer world.

The expectation of safe workplaces, safe products, safe transport, safe food, in fact all aspects of our lives is universally shared. Statistics however show that the expectation is not being matched by the reality. Closing this gap is a vital consideration for government, regulators and businesses, aiming to keep people safer in their work, their domestic life, their journeys and all other parts of their lives.

As in previous years, the day will be celebrated across the world with the hosting of major national events, seminars, and press and media coverage, to provide the opportunity to explore how accreditation can help deliver a safer world and to support businesses, government and regulators to find standards, conformity assessment and accreditation tools to support them in this goal.

Discordant Findings Investigation follow-up process updated

In support of continual improvement, the process to obtain additional information in discordant findings investigations (DFI) has been changed to simplify communication between IQMH and participants. Commencing with the 2018 proficiency testing surveys, if the DFI is incomplete or insufficient information was provided to determine the root cause(s), additional information may be requested. The original contact person and the approver (if information available) will receive an email with a request to review and complete a DFI follow-up form. This form will be posted on their laboratory’s home page in QView.™

Protection from Risk — Practical Solutions is a one-day seminar to learn with peers exactly how to integrate an effective risk management program into an existing or brand new quality management system.

Participants will work with the instructor to understand the ISO and IQMH requirements. They explore in detail two tools for evaluating risk: the severity/probability grid and the failure-modes-effects-analysis tool, and work with peers to compare those tools for advantages and disadvantages. Participants will clearly understand exactly how risk interrelates to a quality management system; and understand what IQMH teams will expect on assessment. To tie it all together, participants write a policy for risk management.

CMLTO Voluntary Roster Criteria updated

At its November 2017 meeting, the College of Medical Laboratory Technologists of Ontario (CMLTO) Council approved updated minimum criteria for medical laboratory assistants and medical laboratory technicians to be included on the CMLTO Voluntary Roster of Registered Medical Laboratory Technicians, effective April 1, 2018.
