BEFORE YOU START

NOTE:Open the Chrome browser and enter chrome://settings/content . A window will appear. In the Pop-ups sectionchoose Allow all sites to show pop-ups and click Done.

If you are new to Analysis edition for OLAP… 

…and would like a good overview of its capabilities, we recommend that you complete Exercises 1 thru 11. These aredesigned to be followed in a sequential order with each exercise following on from the previous exercise. It will take~50 minutes.

Exercise 12 is optional.

For Exercise 13 you can skip all steps up to step 46 and start at step 47. This is because you can continue to use theworkspace that you created in the earlier exercises. Note that the screenshots and hierarchies will not be the same but

similar steps can still be performed. Exercise 13 will only take 5 minutes for you.

If you have some experience with Analysis edition for OLAP or only have 20 minutes of time…  

…then please jump straight to Exercise 13. In this exercise you will create a simple workspace with several crosstabsand charts and then dynamically create an analysis application using a powerful new feature that was introduced in BI4.1.

AN OVERVIEW OF ANALYSIS, EDITION FOR OLAP

In this exercise you will be introduced to Analysis, edition for OLAP. We will show you how to logon to the BILaunchpad and start Analysis, edition for OLAP. You will connect to a data source and we will then describe the mainareas of the application.

You are presented with the query view definition as defined in the BEx Query Designer, as shown on the next page.

The screen is divided into 4 main sections.

1)  Across the top are the toolbars. Top left is the “quick access” toolbar for all common actions such as Save,Load, Print, Undo, etc. The other toolbar tabs Analyze, Insert and Display are specific to Analysis, edition forOLAP.

2) On the left of the screen is the Task panel. This changes depending on the current task. Currently it is showingthe Data connections.

3) Next to the Task panel is the Layout panel. This shows the definition of the selected analysis. You can dragand drop hierarchies and measures from the Data Task panel into the Layout panel. You can also use a right-click context menu to perform navigational operations on the hierarchies and measures in the Layout panelincluding filtering, re-ordering, and swapping objects. You also can maintain hierarchy settings and sort themembers. The Layout panel duplicates functionality that is directly available on the crosstab or chart, but animportant difference is that the Layout panel also indicates the members that are part of the Background filter(also referred to as the ‘slice’ axis).

4) Finally the Analysis window contains the various analysis components (crosstabs and charts). You caninclude from 1 up to 4 components in an analysis window. Depending on the number of components, AnalysisOLAP will always resize the components to make the full use of the analysis window. In the screenshot above,one crosstab component has filled the analysis window.

If at any time during the following exercises you need to undo an action, click on the icon in the “quick

access” toolbar. You can undo/redo the previous 10 steps.

5. The values currentlyexceed the column widthsin the crosstab. Eachcolumn and row can beindividually resized bydragging the boundarybars in the crosstabheaders, but there is afaster way to resize allcolumns.

15. Because the Background area applies a filter, Analysis OLAP willautomatically open theFilter by member  taskpanel. We want to analyze2006. 

16. Uncheck the months for2005. The fast way to dothis is to click on 01.2005 then SHIFT-click on12.2005. Click OK. 

17. Notice that the Rows andColumns sections of theLayout panel display thehierarchy name but theBackground section showsthe members. This lets youimmediately see whatfilters are being used.Hover over the membersin the Background to seeall the filtered membersand the hierarchy name. 

NEW IN BI 4.1: Drag barshave been added so you canresize the Task panel, Layout panel plus the Columns,Rows and Background sections. 

18. The Sales organization and Sold-to party hierarchies currently showboth the key and text foreach member. We willchange this for both to justshow the text. 

19. Right-click on Salesorganization either in theLayout panel or in thecrosstab. Choose Displayas > Text. 

20. Repeat for Sold-to party. 

21. Save your workspace by clicking on the icon. 22. Feel free to explore adding and removing hierarchies; drag them around the Layout panel and crosstab.

EXERCISE 3  –  STEPS

1. Analysis, edition for OLAPhas three types ofcalculations; “quick calcs”,dynamic calculations andcustom calculations. Wewill start with “quick calcs”. 

2. For “quick calcs” to work,they require two measures(Key Figures) to beselected. Click on Returnsvalue in the crosstabcolumn header thenCTRL-click on Incoming

orders value in thecrosstab column header.

3. Right-click on Incomingorders value and chooseCalculation > PercentageShare.

4. Notice a new column isadded to the crosstab.This calculation tells us foreach customer whatpercentage of their orderswas returned.

5. The position of anymember can be changedto suit your analysis. Clickand drag the Billing value column so it is to the rightof the new calculationcolumn.

6. The new calculationcolumn contains acalculator icon. Click on

the icon.7. The Calculation task

panel appears on the left.This is where calculationscan be created and edited.While “quick calcs” justuse two measures and oneoperator, customcalculations can use manymeasures and operators.

8. Click on Function to seethe various calculationfunctions that areavailable.

9. For now we will simply

rename our calculation. Inthe Name field enter %Returns then click OK.

10. Dynamic calculations (alsoknown as list calculations)operate with a singlemeasure. They are calleddynamic calculationsbecause the resultdynamically changes asthe number of members

changes.11. Right-click on % Returns 

in the crosstab columnheader.

12. Select Dynamiccalculation > RankNumber  

13. A new column appearsshowing the rank numberfor each member with 1representing the largestnumber.

14. Save your workspace by clicking on the icon. 15. Feel free to reorder members and add new “quick calcs” and dynamic calculations.

In this exercise you are introduced to Conditional Formatting, also known as “exception highlighting”. We show howyou can change the colour or symbols displayed in a cell depending on the cell’s value.

1. Conditional formatting(also known as exceptionhighlighting) allows you todefine rules and bringattention to cells whichsatisfy those rules. Theyhighlight cells whosevalues are not typical.

2. Right-click on % Returns in the crosstab columnheader.

3. Choose ConditionalFormatting > New….

4. The ConditionalFormatting task panel iswhere we define theexception rules. We aregoing to add a classic“traffic light” rule. 

5. Optionally enter a namefor the conditionalformatting (e.g. % Returns)

6. Choose the color Green(6) 

7. Use the option Less Than and enter 5 as the value.

8. Click Add.

13. Click Add.14. Finally choose the color

Red (2) 15. Use the option Greater

Than and enter 10 as thevalue.

16. Click Add.17. Click OK.

NEW IN BI 4.1: Conditionalformatting defined in the QueryDesigner is now displayed in Analysis OLAP. Additionally anew “Display” shelf is availablethat allows the highestconditional formatting alertlevel to bubble up to the rowand column headers.

Conditional formatting can alsobe based on one measure butapplied to another measure.

18. Save your workspace by clicking on the icon. 19. Feel free to add conditional formatting to other measures. Our example used the Cell Background format

but what happens if you change this to Value or Symbol?

8. We are going to replaceSold-to party in the Rowswith Material GroupHierarchie. We could dragand drop as before but thistime we will use the Swapwith option.

9. Right-click on Sold-toparty in the Rows sectionof the Layout panel andchoose Swap with >Material > Material GroupHierarchie.

10. Your crosstab should nowlook something like this.

11. There are two membersthat we want to remove.The first is Not AssignedMaterial.

12. If you expand NotAssigned Material you

will see that it representsseveral material items. Weare not interested in any ofthese so we are going toremove the entire branch.

13. Right-click on NotAssigned Material andchoose Remove.

14. The second member that we want to remove is Material groups. However, try to remove it using the sametechnique that we just used for Not Assigned Material and see what happens.

15. When you remove a member, you also remove all of its child members. In the case of Material groups removing it will also remove Speedy, Casing and all the other members leaving nothing left on the crosstab.We want to keep all those members… we just don’t want to see Material groups.

16. Material GroupHierarchie represents ahierarchy of members andMaterial groups is at thefirst level. So we are goingto hide the first level.

17. Right-click on MaterialGroup Hierarchie either inthe Layout panel or in thecrosstab.

18. Select Show levels >Level 01.

19. As Level 01 is alreadychecked, selecting it willuncheck it, thus hidingLevel 01.

20. This is the result… exactlywhat we want.

21. Save your workspace by clicking on the icon. 22. Right-click on any hierarchy in the Layout panel and feel free to explore the various options in the context

menu.

VISUALIZING DATA WITH CHARTS

This exercise is all about charts. We show how to add a chart, specify its location and how to use the zoom control todictate exactly what is drawn. We change some chart properties and demonstrate our innovative “focused analysis”feature.

EXERCISE 6  –  STEPS

1. Charts are a very usefulaid to quickly understanddata and spot trends oroutliers.

2. Click anywhere on theAnalysis 2 crosstab toselect it.

3. To add a chart click on theInsert toolbar tab.

4. Click on the line charticon.

5. To give the line chart more

space, click on its title barand drag it over the bottomcrosstab until it ishighlighted grey. This willswap the position of thechart and the lowercrosstab.

6. Notice that the line chartcontains a zoom control atthe top. This is a thumbnail representation of all

the data in the chart. Thearea with the white background in the zoomcontrol at the left indicateswhat is currently beingcharted. The white areacan be resized anddragged to any part of thezoom control giving youcomplete control of what ischarted.

7. Drag the right hand bar inthe zoom control all the

way across to the right sothat all the data is charted.

8. Visualization immediately lets us see that Motherboard is the best-selling item with sales increasingthroughout the year and peaking towards Christmas. Notice also that as this is a manufacturing plant,production ceases for two months during the summer for annual vacation, servicing and retooling.

9. Although it is easy to see the trend line for Motherboard, the other lines are clustered together and are lesseasy to read. To resolve this problem Analysis, edition for OLAP, has an innovative feature called Focused Analysis.

10. When a chart is added to a worksheet it is automatically linked to the selected crosstab. You can see fromthe name in the title bar of the chart that it is linked to the Analysis 2 crosstab.

11. Click anywhere on theright-hand crosstab toselect it.

12. Click on the Display toolbar tab then click onFocused Analysis.Focused analysis is nowenabled.

13. Click on Speedy in the rowheading of the crosstab.This will select the wholerow.

14. Notice what happened tothe chart?

15. Try clicking on other rowheadings.

16. You can also chart arange. Click and drag toselect the range of cellsfrom Harddrive Terminal /01.2005 to Motherboard /03.2005.

17. Right-click anywhere onthe line chart. Choose Pie.

18. Crosstabs and charts havetheir own properties. Tochange these click on the

icon at the extreme leftside. This will display the

Properties panel for thepie chart.

19. Change the Style toShadow.

20. Click Apply.

21. Click on the icon toreturn to the Data panel.

NEW IN BI 4.1: We haveintroduced the Waterfall chartin the Other Charts menu.

22. Save your workspace by clicking on the icon. 23. Explore the different chart types and try selecting a different range of data in the crosstab. Also try resizing

the zoom control and change its position.

1. Click on Sheet 2, at thebottom of the analysiswindow, to navigate to anew sheet.

2. Click on Insert a newanalysis in the middle ofthe sheet.

3. SAP BW queries oftenhave prompts (also calledvariables). These are usedto narrow the datadisplayed to just what isrequired.

4. At the start of theseexercises we ignored theprompt dialog. To changethe prompt values click onthe Prompts icon in theData panel.

5. We are going to specifyvalues for CalendarMonth/Year  andDistribution channel.

7. Enter the Start and Endvalues as 01.2006 and12.2006 respectively. Youcan enter these manually

or click on the icon touse the Member Selector.

8. Click on Distributionchannel in the Promptsdialog.

1. Analysis, edition for OLAP, allows you to create workspaces with many different analyses connected todifferent data sources from a variety of different providers. Each sheet in the workspace can contain up to 4crosstabs or charts and you can have as many sheets as you want.

2. There are several techniques to help with organizing large workspaces such as using the crosstab and chartProperties to give them meaningful names and grouping related analyses onto the same sheets. You canalso rename sheets.

3. Right-click on the tab forSheet 2 and chooseRename.
