Welcome to the New E-Way Quote Management ProcessInitiated In 2001, Schneider Electric introduced EQM in Canada to aid Canadian distributors in their ability to quickly and accurately quote projects to serve the small projects needs. Later, the EQM Rebate function was introduced to allow distributors the flexibility to supply merchandise most commonly associated with a small project from their inventory at local competitive market price levels

To consistently offer our mutual customers superior products and solutions at a competitive market level — Via SPE Conversion / Drop Ship or rebated through local inventory — to meet our customers’ needs.

This document is intended to help you achieve this objective. If you have questions beyond this document, please direct them to your local Schneider Electric team. We’re here to help you be as successful as possible!

What is E-Way Quote Management (EQM)?EQM is a tool designed to help the distributor enhance their customer service by offering their customers superior Schneider Electric products for small projects at competitive levels. This is accomplished via two distinct transaction modes: SPE Conversion drop-ship / SPE Rebate (SPE-R).

•SPE Conversion / drop-ship transaction mode allows distribution to quote, negotiate and drop ship a project to a customer

•The Rebate transaction mode allows distribution to quote, negotiate, and ship a project to the customer using products from their local inventory

Benefits of the EQM SPE Conversion / drop-ship Transaction Mode•Higher level of efficiency through specialized tools and resources

•Increased focus on people by delivering specialized training in conjunction with the Schneider Electric distributor learning center

•Improved customer service by providing a take-off of small projects quickly and independent of Schneider Electric personnel

•Enhanced image of your location’s technical ability and value added capabilities by providing prompt take-off services

•Ability to provide a competitive price to your customer in an expedited manner

•Pull-through of complementary merchandise by offering complete bill of materials (BOMs)

Benefits of the EQM Rebate SPE-R Transaction ModeIn addition to the benefits listed above, the additional benefits of the EQM Rebate transaction mode are:

•The ability to provide superior customer service by providing equipment to your customer the same day from your local inventory

•Pull-through of complementary merchandise based on your ability to fill orders from stock

•More diverse inventory, through access to Schneider Electric exclusive inventory reports

•More EQM Rebate orders translate to additional through stock rebates

What is the Definition of a Small Project as Processed through EQM?At Schneider Electric, a small project job, by definition, shall be a complete electrical distribution or control system with a main service rating of 800amps or below and associated merchandise. Projects coming directly from end-users will be rejected unless previously authorized by your Industry sales rep. This typically includes merchandise such as distribution transformers, heavy duty and general duty safety switches, Nema and IEC motor controls, and enclosed breakers. In some areas, it may also include switchboards and/or motor control centers. In other areas, as defined by the published Local Market Parameters, it may be used for motor control for a one-time OEM order while a Customer Price Agreement = CPA is being arranged.

Exceptions to the above are handled on a case by case basis.

Items that are normally on quotes:

•Safety Switch• Enclosed circuit breaker• Metercentre• Loadcentre• Lighting and power distribution panelboard• Dry-type transformer• Manual motor starter• Magnetic motor starter• Lighting contactor• Miscellaneous control products •Switchboards in specific authorized area only

Quotation containing the following equipment will be quoted and process by your local Schneider Electric sales office:

•Switchgear• Motor control centres MCC’S• Bus Duct• Enclosed drives VFD’s• Soft-start motor starters• Any items not recognized by the EQM program

EQM Rebate Process Guidelines

Minimum Project RequirementsEQM Rebate is reserved for a one-time negotiation of a complete electrical distribution or control system. The total negotiated net price must be greater than $750.00 for the project to be eligible for processing a rebate request. Any exceptions must be managed through the SPE authorizer to gain approval.

The one-time negotiation typically consists of a combination of products. The negotiation should not consist of one single part number or type of equipment. Multiple rebate requests for the same project, or one rebate request for multiple projects, are not permitted. Any exceptions must be managed through the local Schneider Electric SPE authorizer to gain approval.

Supplying the Small Project from the Distributor’s StockWhen the order is received, you will supply the entire bill of material out of your stock using the 80/20 rule (80 percent should be regularly stocked at the distributor’s location; 20 percent can be brought into stock to supplement what is needed for a particular project). Be aware that special items brought into stock to complete the bill of material are subject to restocking fees, the basis of which is the original into-stock price.

Returning Items Not Stocked in Schneider Electric Distribution CentersSpecialty items that are not stocked at Schneider Electric distribution centers may or may not be returnable, depending on the item. It is important to check returnability status prior to ordering any specialty product.

If the item is returnable and meets the Schneider Electric terms and conditions, but is not stocked at a Schneider Electric distribution center, an additional fee (equal to 25 percent of the into-stock price you paid for that item) will be charged to return that product to the Schneider Electric plant of manufacture.

The distributor assumes the risk associated with the returns of these specialty items if you do not choose to take the returned items back into your own inventory.

When Should the Rebate be Processed? As soon as the project has been completed (the material has been delivered to the customer and you have actually invoiced the customer), you can then process the rebate request.

Minimum Rebate AmountThe rebated amount (the difference between the distributor’s into-stock price and the negotiated net price) should be greater than $100 on the majority of transactions:

•Transactional costs exist for both Schneider Electric and the distributor to process rebates. When the cost is less than $100, Schneider Electric and our distributor incur more cost to process the transaction than the actual cost of the rebated amount

•Any exceptions must be managed through the SPE authorizer for approval

Maximum Rebate AmountThe rebated amount (difference between the distributor’s Into-stock price and the negotiated net price) must be less than $50,000.

EQM Rebate ProcessThere are six steps for the distributor to transact an opportunity via EQM Rebate:

1. The distributor uses EQM to generate a quote/BOM based on customer requirements

2. The Quote/BOM is submitted electronically to Schneider Electric for review of BOM and competitive market pricing

3. The Quote/BOM is authorized and returned to the distributor

4. The distributor supplies product from stock

5. After the job has shipped in its entirety and the distributor has invoiced the customer, the distributor requests rebate via EQM for the difference between stock prices and negotiated net price. We recommend submitting rebates in a timely and regularly scheduled fashion, and include the distributor invoice number on the rebate submission

6. Credit is automatically issued to distributor. The credit memo is mailed from Schneider Electric the next business day

Auditing Procedures – EQM Rebate ProcessWhen you agree to participate in the EQM program, you agree that Schneider Electric reserves the right to request invoices and perform an audit of the rebate process (with reasonable notice) at any time. If invoices cannot be supplied, the participating distributor will be invoiced the rebate amount. The rebates will be audited to verify that stock has been purchased to support the rebates. (Audit notification is identical to that associated with the Schneider Electric CPA program.)

Important: Be sure to guard against automatic rebates using a Schneider Electric Customer Pricing Agreement CPA on products that are shipped as part of an EQM Rebate Transaction, as this is considered “double dipping.”

Customer Pricing Agreements CPA's vs. E-Way Quote ManagementIf an existing customer already has a Customer Pricing Agreement CPA with Schneider Electric, their pricing should never be negotiated using the EQM tool to undercut CPA pricing. If it is determined that this occurred, the distributor’s participation in the program may be terminated.

If an existing CPA customer is not competitive with market levels, the CPA should be reviewed with the Schneider Electric team to determine if price revisions are appropriate. EQM should not be used to bypass this process.

EQM proposals should:•Be sold to one unique end customer at one location.

•Be sold to a customer within the distributor’s authorized trade region.

•Contain a valid proposal name that describes what & where the product is being used. Always include SPE or SPE-R before the job name to identify the type of transaction

•Include an accurate customer ID.

•Have a bill of material that accurately represents the customer’s request. For example, the bill of material should contain the appropriate product families and complementary quantities (i.e., panelboard spaces should align with matching breaker quantities).

EQM shall not be used to:•Undercut any existing CPA business

Exception to the rule when we will accept a rebate:

• Project with complimentary products

• The project value must be equal or greater than $2,500

Note: On project below the $2500 value, you may send in a Rebate request only for a group of items that are not part of the CPA.

•As a means to transact repetitive product purchase opportunities for a given customer

•Quote pricing to a customer when previously established CPA pricing for the customer exists at another distributor account

•Undercut a distributor’s authorized into-stock pricing on an item or product

•Transact rebates for product not stocked by the distributor

•Sell product to unauthorized resellers

Schneider Electric reserves the right to request invoices and perform an audit of the rebate process, with reasonable notice, at any time.

Any exceptions to the above requirements must be coordinated through the local Schneider Electric SPE Authorizer. Observance of the above guidelines will be monitored by the local Schneider Electric SPE authorizer on a monthly basis. Schneider Electric reserves the right to terminate the distributor’s access to EQM Rebate and/or the EQM tool if these guidelines are not observed.

Requirements for EQM Access

EQM SPE Program Guide Drop Ship Transaction Mode:1. The distributor must ensure that the their IT System is compatible with the EQM software. (Appendix A)

2. The distributor should complete the EQM Transaction Mode Participation Form, SPE Conversion/Drop Ship, Drop Ship Transaction Mode section (Appendix B)

3. The distributor should complete the EQM Business Plan, which, at a minimum, details target customers, sales plans, inventory plans, training needs, and quotation follow-up procedures (Appendix C)

4. The distributor should appoint an EQM champion who will be trained and serve as the branch expert on the Schneider Electric E-Way Quote Management software. This individual will also be responsible for the take-off, quotation development, and Special Price Determination (SPD) of all small projects that qualify under their territories defined Local Market Parameters

5. The distributor should appoint an EQM back-up person that will be trained to serve in the same capacity as the champion if that individual is unavailable for any reason (vacation, sickness, training, etc.). This individual may be at the same location or another authorized EQM location

6. The EQM champion and back-up must complete the minimum competency and training requirements (Appendix D)

7. The distributor should participate in an annual EQM Process review with the local Schneider Electric team to insure that the above requirements are being met

EQM SPE-R Rebate Transaction Mode:In addition to the above EQM Drop Ship Transaction Mode requirements:

1. The distributor should complete the EQM Transaction Mode Participation Form, Rebate Transaction Mode section (Appendix B)

2. The distributor should carry adequate inventory to meet local small project market requirements as determined by the local Schneider Electric team

3. The distributor should submit an inventory report twice annually and do AIM reviews to ensure that the branch has adequate inventory to meet local small project market requirements

4. The distributor should appoint an EQM Rebate champion who will be trained and serve as the branch expert on the Schneider Electric EQM Rebate process

5. The distributor should appoint an EQM Rebate back-up person that will be trained to serve in the same capacity as the champion if that individual is unavailable for any reason (vacation, sickness, training, etc.). This individual may be at the same location or another authorized EQM location

6. The distributor should agree to participate in an annual EQM Rebate process review to insure that the above requirements are being met

7. The distributor should submit rebate requests only after the complete bill of material has been shipped to the customer and the customer has been invoiced

Inventory to Support the EQM ProcessParticipating distributors must carry a minimum inventory, determined by the local Schneider Electric management team to qualify for the program. Here are the various inventory reports offered by Schneider Electric:

Assisted Inventory Management (AIM) ReportThis report lists what catalog numbers you are buying from Schneider Electric, how often, and how many you have in stock. It recommends Order Point/Order Quantity settings for your inventory management system. This report also highlights products in obsolescence.

Small Project Inventory ReportThis report recommends the catalog numbers and quantities associated with being a strong small project distributor in your specific market.

To run any of the above reports, please send a copy of your on-hand/on-order report for all Schneider Electric SKUs to your local Schneider Electric Channel Manager for processing and to schedule an inventory review session.

Getting Started With the New EQM Process1. Complete the EQM transaction mode participation form and submit it to your local Schneider Electric

Regional Channel Manager. A version of this document for reference only can be found in Appendix B on page 15. The electronic version of this form can be accessed in Channel Guide under “Resources”

2. Complete your inventory report (in .xls or .txt format, including Schneider Electric catalog number, quantity on hand, and quantity on order), and send it to your local Schneider Electric Channel Manager to schedule and complete an inventory review session and establish adequate inventory levels to support the EQM process.

You will have 30 days from the time you tell your local Schneider Electric representative that you want to participate in the EQM Process, during which time your branch can continue to use the EQM software and submit rebates. If after 30 days you still have not completed the EQM transaction mode participation form and completed the inventory review, your access to the EQM tool and associated drop-ship and rebate transactions may be suspended until this criteria is met.

Notification of EQM Process ParticipationOnce your branch has been authorized to participate in the EQM Process, the distributor branch manager will receive an e-mail from the local Schneider Electric team confirming participation.

Registration for the EQM / SPE ProgramIf you do not have a My Schneider Electric log-in ID, access the My Schneider Electric website, then click on “Register” under the login box. Follow the registration process through the four steps. You will need your location’s five digit account number to proceed. Complete filling in the registration process and submit.

* Please note: The My Schneider Electric administrator from your branch will need to approve your request. The final step is to take the required training for the access areas that you have requested in order to get your “D number” or username.

If you already have a My Schneider Electric login ID, click on MY PROFILE, and then REQUEST ACCESS FOR ADDITIONAL FUNCTIONALITY. Find your 5-digit account number under QUOTE MANAGEMENT and then click SUBMIT.

Termination of EQM Process ParticipationParticipation in the Schneider Electric EQM Process is subject to termination for an individual distributor branch or chain if Schneider Electric determines any, some, or all of following to be true:

•Failure to meet any of the guidelines listed in this document

•Failure to maintain a good credit standing with Schneider Electric

•Failure to meet any of the requirements and/or goals of the annual business plan as agreed upon by Schneider Electric and the distributor

•Fiscal irresponsibility in resolving claims

•Inappropriate use of the EQM Process to quote a CPA customer

•Failure to stock the appropriate inventory or participate in inventory review sessions to support the EQM Process

•Distributor decision to no longer participate in the EQM Process

Schneider Electric reserves the right to discontinue the EQM Process at any time.
