SEGMENT 4/5 ENVIRONMENTS

GENERAL OFFICE/LARGE WORKGROUP

In this environment, these MFPs will typically

function as the primary document imagingsystem. It will most likely be located in ahallway or aisle amongst a number ofcubicles. It will most likely be connected tothe customers network and used as both aprinter and a copier, and possibly a faxmachine as well. These machines are alsooften used for scanning solutions such asScan-to-email, GlobalScan or DocumentMall.Security options such as User Codes,Network Authentication and EnhancedLocked Print may be found in certain

instances.

Environment Characteristics

Typically a shared output system whichmust accommodate a broad range ofapplications and be easy to use.

Usually no key operator, although oneperson may be assigned to replaceconsumables.

Generally requires print on demand and/orhost printing jobs be done in-house toreduce job turnaround time.

May employ multiple slower systems aspart of a decentralization strategy.

CENTRALIZED REPRODUCTION DEPARTMENT/IN-PLANT

Central Reproduction Departments(CRDs) are usually found in thebasements of large corporate locations,and handle all the copying/ printingneeds of the organization. Jobs aresubmitted in hardcopy or as electronicfiles accompanied by job tickets thatidentify all parameters of the job(quantity, covers/tabs, duplexing,finishing, etc.) along with the owner, adepartment code for charge-back, anddelivery instructions. The CRD itselfmay be company-owned, or run by athird party known as a Facilities Management firm which assumes ownership of the equipmentand personnel, and charges the company a per-click charge for every copy/print made. CRDsstill see a fair amount of copy volume, and as such they usually install Xerox DocuTech-calibersystems equipped with scanners and document feeders. As manufacturers of digitalcopier/printers have improved their throughput and media handling capabilities, this marketsegment has begun to see an influx of smaller, less expensive MFPs from Canon, Konica,Ricoh, and others. Products like the Ricoh D101 or D059 are being installed to offload small

jobs and/or handle incremental volumes that do not yet justify the purchase of anotherDocuTech. Some CRDs are also installing dedicated high-speed printers to exclusively handlegrowing print volumes.

Environment Characteristics

Copy and/or print jobs are sent to a centrallocation.

Run lengths are generally quite long.Jobs requiring covers and inserts, such as

manuals and books, are common.

Output systems are high speed, highvolume and it is not uncommon to findduplicating systems such as offset pressesin this environment.

Off-line finishing and binding are oftenrequired.

Document production charges are billed toindividual departments.

Data Centers

Data Centers are thosesuper-air-conditioned rooms that house thecorporations mainframe computers. Inaddition to being cold enough to store meat,

data centers and their IT staff are taskedwith keeping the entire networkinfrastructure running smoothly. As such,IT decision-makers take a keen interest inevery peripheral that is connected to thenetwork. Because the data center dealsalmost exclusively with digital data streams,they tend to gravitate to printer-centricsolutions and have little need for scanningand copying. IBM impact/dot matrixprinters dominated this market for a longtime. Printing onto pinwheel-fed perforated

paper, those printers would noisily churn out reams of sales, inventory, and internal logisticsreports, as well as variable data applications like customer invoices and monthly statementsgenerated by room-size AS/400 mainframe computers using a proprietary printer language.The development of a number of filters now allows the data center to replace those agingspecialized printers with modern printing technology, enabling sophisticated documents tobe printed onto cut-sheet paper and finished with the same ease as a PCL or PostScriptprint job. In this context they are often referred to as front-end solutions, and data centersare embracing them. Data centers are not limited to Fortune 500 corporations; think aboutthe volume of cable TV, telephone, water, electric, gas, and credit card bills andfinancial/bank statements sent to every home and business in the country every month.

The Segment 4/5 MFPs offer customers an exceptional level of system manageability andsecurity - from document creation through distribution and storage. As complete documentsolutions, both users and IT managers benefit from improved workflow and significant gains inproductivity.

Below is an overview of these features in terms of functionality and benefits customers canexpect. You should be prepared to address functionality based on application needs wheneverinstalling, servicing or repairing a segment 4/5 MFP.

Next Generation Technology

The core design of the segment 4/5 MFPs represent a dramatic departure from older machines.Typically, MFPs require separate controller boards for each core function copy, print, andscan. This hardware approach has the following drawbacks:

Function upgrades are costly to purchase and time-consuming to install.Network applications may require the installation of multiple network interface cards (NICs).

By comparison, the controller boards for the Ricoh segment 4/5 MFPs core functions (copy,print, and scan) are combined onto the main controller board. This means that when a functionis added to the base model, it is done by adding software (in the form of SD Cards) notadditional controller boards. Additionally, only a NIC and/or Fax Option board is required;providing support for any application expansion.

Since the B064, these MFPs have featured Next Generation Technology. Next GenerationTechnology offers the following benefits:

Exceptionally competitive MFP pricing.Enables all applications to share hardware resources.Reduces installation time for each function.Enables seamless integration with Ricoh document solution software, e.g., DeskTopBinder

Main Unit Controller

The Ricoh Segment 4/5 MFPs employ powerful CPUs to be able to quickly process, or RIP(raster image process) scanned images. When connected to the network via the optionalScanner/Printer Kit (standard on SP models), this CPU is also used to process incoming data

streams from connected PCs. This robust processor provides the speed required to handlemultiple jobs in busy walk-up and shared networked environments.

Each unit ships with on-board RAM and a hard disk drive as standard equipment. The memoryprovides the virtual space to store data from high page count originals common to high volumeenvironments, and multiple inbound data streams when connected. RAM provides temporary

storage of files for printing or sending, and enables copying features like Scan Once/Print Many.The HDD stores data for a multitude of purposes, including address book information, fontpackages to speed printing and minimize network traffic, security-related functions such asStored Print and Locked Print modes, as well as for local document archival and print-ondemand needs with the ability to store thousands of documents for future print on demandrequirements. Additional RAM is included in the optional Scanner/Printer Kit, which boostsmemory on basic models.

Connect Copy/Connect Print Option

For very high volume environments, you can connect two devices to achieve output speeds of100 PPM to 180 PPM, which represents Segment 6 productivity at an exceptionally affordableacquisition point. The Connect Copy/Connect Print Option consists of:

Two connector boards one for each system.One connector cable that is 32 feet in length.Operating Instructions.

Once the connector boards are installed, the cable is plugged into the connector port on eachsystem. Users can access the Connect Copy/Printer Option only when needed when dualoperation is not required, users can still access the two devices as separate systems.

How Does It Work?

When users select the Connect Copy/Connect Print function:

The system used to apply the Connect Copy/Connect Print feature becomes the master unit.The system connected to it becomes the sub unit.

All features are selected from the master unit. The touch panel display of the sub unitchanges to indicate that the Connect Copy/Connect Print feature is in use.

Users place all originals (Connect Copy) in the document feeder of the master unit andapply any f inishing features.

Z-Folding Option

The versatile Z-Folding option (available for the B140, B246 and D052 series) was a great wayfor customers to reduce costly outsourcing and enhances an already powerful suite ofprofessional finishing options. Z-Folding automatically folds over-size documents within a set sothat they end up the same size as the main pages within the document. For example, aproposal may be 50 pages long, but pages 17 and 37 are spreadsheets/ design specs/drawingson 11" x 17", while the rest of the document is 8" x11". The Z-Fold option will fold those two11" x 17" pages so that they fit within the letter-sized document, which increases the readabilityand professional look of the document. LAN-Fax

This function enables users to transmit fax messages directly from the PC, bypassing thehardcopy/printing/scanning stage, which reduces the number of steps generally required tosend a fax message.

Inbound fax documents are stored in the systems SAF memory. Connected users can accessthe fax directly, or documents can be directed to a network folder or email address, where thefax administrator can forward the file to the appropriate recipient. Other highlights of the LANFax software include:

Cover Sheet Editor: Users can create personalized fax cover sheets that may contain thecompany logo, slogan, To, From, and Comments areas. Cover sheets can be edited andsaved to users PCs as a fixed form.

Address Book Import/Export: Data can be extracted from or poured into other LAN-Faxdrivers. This removes customer resistance to switching from existing LAN-Fax solutions toRicohs, as the primary task of manually re-entering address book entries is now automated.

Transmission Status: Transmission results can be checked via SmartDeviceMonitor orWeb Image Monitor, so users are assured faxes reached their destination.

Preview: Users can check how the document will appear on paper directly from theLAN-Fax driver.

Duplex Printing: Inbound fax documents can be printed on both sides of paper from theLAN-Fax driver, saving paper.

Simultaneous Save: Users can save the fax document as a TIFF file directly to adesignated folder on their PC while the system is sending the fax in one operation.

Wireless Faxing: If the MFP is connected to the network via the Wireless LAN option,faxing from the desktop can still be performed.

Fax Forwarding via Email: In addition to the inbound paperless fax to SAF/HDD, the RicohSegment 4/5 MFPs have the ability to forward all incoming faxes directly to anadministrators email address or folder, or you can program the MFP to forward faxes from

specific senders directly to designated receivers. Fax users can receive fax documentsanywhere, anytime, as long as a PC and Internet infrastructure are available.

Internet Fax (T.37)

Internet Faxing1 uses the Internet to communicate with other Internet Fax enabled devices,providing free faxing. The document is received and then printed. The communication is not realtime as traditional faxing or IP Faxing is. Internet Fax machines are identified and contacted byemail addresses rather than telephone numbers. Each Internet Fax has its own email address.

The main benefit of Internet Faxing is that there are no communication (phone) costs.

As when searching for email addresses, users can search for accurate fax numbers using thesame LDAP search function as Scan-to-Email. The company directory servers usually containprofiles of all contact data for each employee, so users can scroll through recipients by name,

email address, company name, or department, selecting only accurate, authorized recipients forfax transmissions.

Forwarding Faxes to Email1

Users can program the system to forward inbound faxes to receivers via email, so that they arenever out of reach no matter where they are in relation to the physical fax device. To enable thisfunction, a single receiver such as the system administrator is identified as the receiver of all

Ricoh software engineers developed RPCS for use in all Ricoh network output systems. Itsupports all models since the B064 series and is optimized for Windows clients and offers twokey advantages:

enabling easy access to all of the MFPs advanced finishing capabilities.

Why Does Anyone Need RPCS?

While printing devices particularly MFPs with sophisticated finishing capabilities arebecoming more common in the workgroup environment, typical PCL-type print driver designshave remained essentially unchanged. Additionally, with numerous output choices anddocument enhancement features to choose from, print drivers have become more complex,which can be frustrating for users. Some of the disadvantages of a print driver that has not kept

pace with technology include:

Setting up print jobs, especially complex ones, can be time-consuming.Complex driver interfaces can cause users to make output setting mistakes. Print jobs must

then be re-run, which is a drain on productivity and which leads to increased consumableand paper costs.

Exceptional Ease-of-Use

The RPCS driver user interface incorporates a series ofgraphic icons that make it easy for the user to select basicand advanced operations with ease. To initiate a print job,the user simply clicks on the icon of the feature he or shewishes to apply, such as duplexing or stapling. Users cancustomize the icon set by adding icons or changing existingicons, which makes setting up a print job essentially a oneclick operation. Additionally, users can create customsettings based on routine output jobs. This providesenhanced versatility in the workgroup environment.

Compatibility with DeskTopBinder (Batch Printing Requires RPCS Driver)

DeskTopBinder Lite allows users to collect stored images and application files, combine theminto one document, apply finishing selections (staple, covers, hole punch, etc.), and then outputthe file as one document.

Once files have been selected and merged into one document, users can apply headers andfooters, page numbers, and finishing selections. If required, these output settings can be savedas a Custom Setting in the RPCS driver interface, which eliminates the need to repeatedly setup recurring output jobs.

RPCS Basic Operation Once the RPCS Print Driver is installed, basic print jobs are a breeze.Users simply click on the icon that represents the desired output result to send the job to theMFP.

Creep Adjustment An MFP with the optionalProduction Booklet Maker has the ability to make thickbooklets, up to 30 sheets (120 pages) with optionalfinishing.

A byproduct of the production of thick booklets is thatsheets closest to the center of the book can be difficultto read if the text along the inside margins gets tooclose to the spine binding area.

RPCS Creep Adjustment shifts the content that is to beplaced on inner pages toward the outer margins tomake booklets easier to read and avoid image cut-off.

Unauthorized Copy Control consists of two functions:

1. Mask Type for Copying1 is a standard RPCS feature that embeds a masking pattern and

message within the original printout. If copies are made, either on the Ricoh or competitivedigital systems, the embedded message appears.

2. Data Security for Copying2, also standard in the RPCS driver, is similar to Mask Type forCopying in that it will embed patterns and text within the original printout. However, if copiesare made on a Ricoh Aficio device equipped with the Copy Data Security Unit, they will begrayed out, leaving only a 0.16 (4mm) margin of masking pattern. Otherwise, theembedded messages appear as on Mask Type for Copying.

Hold Print

Beginning with the B246, Hold Print temporarily holds multiple print files in memory until the filesare selected for print (by User ID) from the control panel, perhaps at the end of the day.

Released files are automatically erased from memory. Also called a Virtual Mailbox, Hold Printreplaces the need for a physical mailbox. In essence, each user on the network has their owntray based on their User ID, e.g., John Smith. In fact, the implementation of a User ID forstorage, access and selection of Hold Print jobs is new functionality designed to improveusability and security.

Who Needs It?

Hold Print is ideal for any organization that wishes to maintain the privacy of print output inshared network environments, perhaps in human resources or the legal department. Since onlythe creator of the file can initiate printing (from the control panel), passersby cannot view or pickup pages sitting on the output tray. Organizations with centralized printing also have a concernover data being accidentally erased by a device being turned off, deleting stored jobs. Hold Print

jobs are stored in non-volatile memory, thus are safe in environments where there is openaccess to the system.

How does the MFP do it?

Hold Print is configured within the Properties screen of the printer driver. The user clicksDetails (RPCS and PCL6) and then enters a User ID. The print job is started from theapplication, e.g., Word, and the Hold Print job is sent to the device and stored. From the control

panel, the user presses Printer, Print Jobs, then Hold Print Job List to display a list of storedfiles. Most importantly, Hold Print allows the user to select a file stored in memory by his or herUser ID. The job the user wishes to print is then selected. Pressing Print opens a confirmationscreen; press Yes and the Hold Print file is printed.

*Applications with their own drivers, such as PageMaker, do not support this function.

Stored Print

Also added with the B246, Stored Print is similar in functionality to Hold Print (see previouspage) only Stored Print files are not deleted after printed out, and passwords can be set toincrease security. Files, along with any special settings, are retained for future printing. So, for

example, a user can quickly access files, perhaps manuals, price lists, brochures, and otherfrequently requested documents, by simply selecting the file from the control panel; there is noneed to boot-up a computer.

Connectivity

The Ricoh Segment 4/5 MFPs offer several ways to connect to a customers existing datanetwork.

10/100 BaseTX (standard): The most common networking protocol is Ethernet, and theprinter configurations are ready to connect right into the network. Data is transmitted ateither 10 or 100 megabits per second (Mbps), depending upon the speed of the network.Jobs are stored in a print queue, and are processed on a first-in, first-out basis.

USB 2.0 Interface (standard): Installed into the PCI slot of the main print controller board,this option allows users to connect to the MFP using the latest high-speed USB cablingmedia for plug-and-play printing at speeds up to 480 Mbps (including Macintosh).

IEEE 1284 Parallel Port (optional): This interface is used to connect a single PC to thedevice for peer-to-peer printing applications.

IEEE 1394 Interface (optional): This high speed option, IP over 1394, uses TCP/IP for printand scan functionality (requires SmartDeviceMonitor for Client v5.0 or later). Datatransmission speeds are up to 400 Mbps.

IEEE 802.11b Wireless LAN Interface (optional): The Ricoh Segment 4/5 MFP can beconfigured with industry leading wireless connectivity technology. This option allowsworkstations and laptops to print to the MFP without direct cabling. Two antennae areconnected to an access point, which relays data to the device from any computer equippedwith the proper hardware and firmware to transmit data in a wireless environment. Datatransmission speeds are as fast as 11 Mbps, and the distance from the nearest access pointat that speed is 459.3 feet, (distance rises to up to 1,312.3 feet as data transmission slowsto 1 Mbps). The Wireless LAN Interface supports both Windows and Macintosh operatingsystems, and offers 64- or 128-bit encryption to protect data traveling through the airwaves.

Bluetooth Interface (optional): Bluetooth is a technology standard designed to supportwireless communications over shorter distances, up to approximately 32.8 feet at speeds upto 1 Mbps. This technology is also employed by personal data assistants (PDAs) such as

Palm and Handspring that allow users to beam data to each other. This low cost, low-powerconnectivity alternative could be a good fit for companies with traveling executives that needaccess to printers in various offices without cabling or copying data to diskette.

1000BaseT (Gigabit Ethernet) Interface (Optional, starting with the B246 Series):High-speed Ethernet which transmits data at 1,000 megabits per second.

Printer-only Version Throughput Features

Listed below are some of the system capabilities that are enabled by the G126/G148s versatilepaper supply:

Automatic PrintRotation

In the event the paper orientation selected by the user in the driver is notavailable to the system, the G126/G148 will turn the image 90 whenwriting it to the drum in order to match the orientation of paper that isavailable to it. This mode eliminates the need to dedicate a paper source Letter-R paper, and prevents the system from stopping if a user selects anorientation not loaded in the machine.

Automatic PaperSelection

Eliminates printing errors and waste by selecting the proper size paper asfunction of the size of the electronic original.

Automatic TraySwitching/Active PaperReloading

Enables the printer to switch to another source loaded with the same sizestock after the primary tray has been depleted. This allows the system tomaximize uptime and remain productive. Users can choose which sourceare eligible for ATS functionality, preventing special stocks, (colored orpre-punched papers, for example), from being pulled into normal job

streams.Users may refill depleted paper sources while the system remains inoperation. This reduces downtime as the printer never needs to stopcompletely to refill paper supplies.

Chaptering Users may program the G126/G148 to begin each new section or chapterof a document on the right hand page of duplexed sets in stead of on therear side of left hand page. This eliminates the need for users to insertblank pages into files in order to have chapter pages appear on the righthand page of finished document sets.

Front and/or BackCovers

Users can program the G126/G148 to pull stocks from multiple papersources into a single job stream to eliminate manual collation and createmore professional looking documents. Covers may be printed or left blank

Covers can be pulled from internal paper sources if the optional InterposeTray is not attached.

Sample Print Users can request the G126/G148 to produce a sample set through thedriver to be certain that all features have been programmed correctly prioto committing the printer to a lengthy print run.

Stackless Duplexing The G126/G148 duplexes 5.5 x 8.5 to 11 x 17 stocks from 17 34 lb.Bond. Stackless refers to the process in which two-sided pages arecreated one sheet at a time as they travel through and are rerouted througthe systems paper path.
