SERVICE REQUIREMENTS

Bottle prices include garnishes, ice and glasses.

Unopened full bottles of liquor may be returned for a 60% rebate. Wine, beer and sodas are not returnable.

BARTENDER $200 per 3-hour minimum; $35 each hour thereafter.

SERVER All Receptions will require a Labor Charge of $200

for 3-hours and $35 each hour thereafter. One (1) Server required for 50 guests.

CHEF Chef to carve or prepare $200 per 2-hour minimum; $35 each hour thereafter.

No food and beverage of any kind will be permitted to be brought into the hotel by the patron or any of the patron’s guests or invitees.

The Florida Liquor Commission regulates the sale and service of alcoholic beverages.

The Hotel, as a licensee, is responsible for the administration of these regulations, including service in Hospitality Suites.

Florida Law requires that the service of all alcoholic beverages discontinue between the hours of 2:00 A.M. and 6:00 A.M. daily.

HOSPITALITY AGREEMENT All reservations and agreements are made upon, and are subject to, the rules and regulations of the Hotel, and the following conditions: GUARANTEE POLICY Ten (10) working days prior to all food functions, the Hotel requires the customer to submit an expected number of guests for each scheduled event. The expected number of guests cannot be reduced by more than 10% at the time the Hotel receives the guaranteed number of guests. The guaranteed number of guests for all food functions must be submitted to the Catering Department by Noon, three (3) business days prior to the date of the function. If the guarantee is not received by the cut off date/time, the Hotel will assume that the “expected” (exp) number of guests noted at the top of the banquet event order or the expected number of guests submitted to Catering ten (10) working days prior to the event as the guarantee. The guarantee becomes the minimum number of guests used in calculating the amount to be charged and the maximum number for food preparation. Should the actual number of guests in attendance of the event exceed the guarantee; the customer will be charged for that number of guests.

CANCELATION POLICY When cancelling an event, a notice must be submitted to the hotel in writing, up to 10 business days prior to the event in which case no penalty will apply. If the cancellation is within 10 business days of the event, the client will be responsible for 100% of the estimated Food and Beverage (Per BEO).

REBATE POLICY The Walt Disney World Swan and Dolphin will credit your account for 60% of any unopened liquor purchased through Room Service. Rebates will be applicable to sealed bottles of liquor only. Soda, water, beer and wine will not be rebated. A Room Service representative must receive and sign for unopened bottles of liquor for credit to be issued. DAMAGE AND NOISE Patrons agree to be responsible and reimburse the Walt Disney World Swan and Dolphin for any damage done by patron or patron’s guests to the Hotel. No function shall begin past 9:30 P.M. All functions must end by 12 midnight. Noise must be kept to a minimum. The Hotel reserves the right to end any event should noise violation or damage to its’ property occur. SIGNS AND BANNERS The Hotel has the following policy with respect to signs in hospitality suites and meeting areas: The Hotel reserves the right to approve all signage. All signs must be professionally printed. No signs are allowed on the guest room levels, elevators and main lobby areas of the Hotel or building exterior. Printed signs outside function rooms on the ballroom level only should be free standing or on an easel. The Hotel will assist in placing all signs and banners. Depending on labor and equipment involved, a charge for services will apply. PRICES The prices herein are subject to increase in the event costs of food, beverages, or other costs of operation increase at the time of the function. Patron grants the right to the Hotel to increase such prices or to make reasonable substitutions on the menu with prior written notice to the patron, providing, however, patron shall have the right to terminate this agreement within seven (7) days after such written notice from the Walt Disney World Swan and/or Dolphin. TAX All federal, state and municipal taxes which may be imposed or be applicable to this agreement and to the services rendered by the Hotel are in addition to the prices herein agreed upon, and the patron agrees to pay for them separately.

HOSPITALITY AGREEMENT Cont’d SERVICE CHARGE All items are subject to a twenty-three percent (25%) service charge and six one-half percent (6.5%) sales tax. Service charge is based on all items set up in the room. MINIMUM REQUIRED FEE A Minimum Fee of $200 is required for all events. HOSPITALITY ROOMS Hospitality rooms are assigned as reserved by the Hotel. You will be advised of your specific room assignment upon check-in. Suite capacities shall be strictly enforced. In some cases approval from main group may be required. A.M. events require check-in day prior. PRESIDENTIAL SUITES The General Manager or Hotel Manager must approve all functions in Presidential Suites. Furniture removal is prohibited. Suite capacities shall be strictly enforced. FOOD AND DRUG ADMINISTRATION CODES All food items are cooked to the recommended FDA Food Code temperatures, unless otherwise requested. Consuming raw or undercooked meats, seafood, shellfish, or eggs may increase your risk of food borne illness. We are happy to discuss with you and attempt to accommodate any dietary or special needs diets. AUDIO VISUAL All Audio Visual items will be charged by Presentation Services Audio Visual at current published prices plus negotiated Service Charge and 6.5% State Tax. ELECTRICAL ITEMS/POWER All Electrical Items/Power will be charged by GES at current published prices plus 6.5% State Tax. All power needed for buffet support is to be billed to the Contact’s Master Account. DAMAGES Group agrees that it is responsible for any damage caused by attendees, contractors or agents to Hotel or Hotel property, including guest rooms or suites used for any hospitality or food service events by and will fully indemnify hotel for all costs incurred in the repair or replacement of property damaged, including any and all revenue lost due to loss of use during repair of suite(s).
