ABSTRACT As the growing use of computer system has been growing in every field in the present world, there is also a need for the use of software to keep the records of customers as well as the working staffs in a hotel. The use of software is important as it helps to keep the database of the customers and staffs of the hotel. Though variety of manual methods and techniques were implied to keep the records but that were all inefficient and there were most cases of losing of data and records. So with the perspective of keeping the records and database of customers and staffs, hotel management software is developed. The system is designed to facilitate the customers who come to visit the hotel to spend their holidays and vacations. The system will be beneficial for all the customers and the staffs of hotel.

1. INTRODUCTION The manual method of keeping records of resort has been in existence for many years and may not be as applicable as it was before because of the problem usually facing in managing the hotel including customer records, staffs records, income records, maintenance of resort and power management system. This makes the need of automatic/computer based management system with some limitations. Some of the limitations includes virus bug, system hang, misuse of data and records. 1.1 PROBLEM SPECIFICATION: - Rupakot Resort was dealing with a lot of data in registers. - Manual operation slowed the works. - Errors were regular. -Customers were complaining about bad management system and suggested computerized interface for services.

1.2 SOLUTION OUTLINE: The software was planned to be developed in 'Java' as front end for the user interface and 'Oracle' as back end to store the records. Software was proposed to provide the information of: a) Customer Services(food, accommodation & activities) b) room and table availability c) hotel management and departments Only authenticated users will be allowed to access the source and data whereas customers would be able to get the benefits of general data.

1.3 KEY BENEFITS: i) Automatic data registry ii) Faster billing and reports with no error iii) Job satisfaction for staff and service satisfaction for customers.

2. OBJECTIVES

- To develop a software which handles database, customer interaction, reports and staff privileges. - To develop software which decreases the labour cost and makes the system faster.

3. PROCEDURE:

3.1 PROJECT FLOW:

The Waterfall Model was adopted for the development of the Computer Based Hotel Management system. The model views the process of software development in five stages. The activities in one stage will be completed before moving to the other. Phases involved in the Waterfall Model are:

Requirement Analysis and DefinitionSystem and Software Design Implementation and testing System testing Maintenance Requirement Analysis and Definition: In this stage, the users (staff, customer, guest) of the system were consulted in order to establish the goals, requirements, and services that the end-user requires and expects from the system. This involved proper definition of scope and uniqueness of problem. The problem on which this project is based is the design and implementation of a computer based hotel management system that does not suffer the setbacks of the existing manual method of registry and service-provision. System and Software Design: The requirement specifications from the first phase were studied and a system design was prepared to help in specifying hardware and software requirements and also help in defining the overall system architecture. This includes the use of Data flow diagrams, Entity Diagrams.

Implementation and Testing: This stage involved the actual development of the system by developing the graphical user interface, implementing the client using "java" and creating the system database using "Oracle". System Testing: This is the stage after coding where every unit of the program was tested and integrated as a complete system in order to ensure the system works according to required specification. Maintenance: This is the final stage of development in which all necessary maintenance activities were carried out in order to see that the software continues to work even when there is a new development in the future.

3.2 PROJECT PLAN:The project was planned to start amidst the operation of resort and a junior manager was given the job to supervise the project along with the project head.

4. SOFTWARE AND HARDWARE REQUIREMENT

On user level, java is used with minimal graphics to accomplish simplicity. For storing the data and registering information, oracle is used.

5. BUDGET AND SCHEDULING

Hence the total costof the hotel management software is 97810.6. SUMMARY

With above procedures and measures the system project initiated with successful within two weeks after the estimated completion date with minor bugs that were debugged in one extra week.
