Renowned for it’s stunning panoramic gulf views, The Presidential Ballroom

is nothing short of magnificent. Located on the Penthouse level of the hotel,

its floor -to-ceiling windows invite your guests to drink in one of the most

romantic views on the Suncoast. The Presidential Ballroom is an incredible

venue that accommodates up to 100 guests for a seated affair or a cocktail

reception.

An intimate venue with a wall of windows, The Palm Room offers the

Minimum purchase of catering is required on a per day basis. When minimum purchase in Food & Beverage is met or exceeded, the use of the function space is FREE.

A) A $500.00 non-refundable deposit is due at the time of booking, along with a signed Contract (Attachment B), Rooms/Banquet Agreement

(Attachment C), Function Room Costs breakdown (Attachment A), and deposit agreement (Attachment D). B) A $1,000.00 non-refundable deposit is due 180 days prior to the function date will be required. Please refer to Attachment D and Attachment

A for amount of additional deposit due based on function room that is being reserved. C) Full payment on guaranteed number of guests is required fourteen (14) days prior to the function on all food and beverage requirements. The

final payment will also include all state sales taxes and gratuities. Checks not accepted for final payment. D) The deposits outlined in Attachment A, Attachment B and Attachment D of this banquet agreement will be applied to the final bill. The

balance will be due in full 14 days prior to the function as listed in C in this agreement. All deposits that are made become nonrefundable and become liquidated damages in case of cancellation. Deposits are to be made by the date as outlined on Attachment D. The client acknowledges that payments will be made before or by such dates as outlined in Attachment D. It is the client’s responsibility to make the required payments by the dates shown and client is aware by this agreement that no other notices or phone calls will be made to the client to remind them that the payments as outlined in Attachment D are due. Failure for the client to make the required payments by the due date will constitute that the client wishes to no longer have the function at this hotel and the hotel reserves the right to automatically cancel the function and all deposits on file become the hotel’s property. The forfeited deposits become liquidated damages for the cancelled function. Deposits made for a specific function date may not be applied towards another future date should the client cancel.

E) Event Parking Special Rate $10 per vehicle, this only applies to guests who are not staying at the hotel

How do we get a marriage license?

Getting married in St. Pete Beach is easy. Simply obtain a marriage license from the office of the Clerk of Circuit Court in the Pinellas County Courthouse.

Hours are Monday through Friday from 8:00 am to 5:00 pm, with the exception of federal holidays. No appointment is necessary. You’ll need both parties present, your social security numbers and a valid photo ID for each of you, such as a driver's license, state ID card, government or military ID or passport. No blood tests or witnesses are required. There is a 3-day waiting period for this license. If both the bride- and groom-to-be attend the recommended marriage class, the fee is reduced and there is no waiting period for the license. If the couple are from out of state or not U.S. citizens, the fee will be higher and there is no waiting period for the license. The license comes with a 60-day expiration date. After the ceremony, the license must be mailed to the courthouse, where it is recorded. Approximately 2-3 weeks following the receipt of the license it is mailed back to the couple as proof of the marriage. Where can my guests park? There is a event special parking fee of $10 for any guests who are not staying at the resort

Airport Transportation Options? Unfortunately we do not offer an airport transportation shuttle. We do however recommend Bats Taxi (727-367-3702) and Super Shuttle (727-572-1111 ) for your transportation needs.

What other fees are there? Nothing! It’s food, bar, tax, tip. Optional charges include ceremony chairs, chair covers and sashes, overlays and an arch with tax and service charge.

Is there an extra fee for a bartender to take cash? No

Can we upgrade the packages? Definitely

Can we have a tasting? Absolutely. We need a two week notice, to arrange this with your chef. We will also need your tasting selections back two weeks prior. Tastings can be done Monday-Friday between 11 am—5 pm

Do kids get a discount? Kids under 3 are free when eating from the buffet. Kids between 3-11 can eat off of your buffet for $27.00 or get chicken fingers & fries or burgers & fries for $24.00 which also includes all they can drink beverages.

Do under-agers get one? If you have a bar we reduce your package price by the cost of the inclusive bar and add $10 all they can drink non-alcoholic beverages.

How do we feed vendors? Vendors can get the minor prices, if you offer them the buffet. Some vendors have it in their contracts to feed them and others do not so keep this in mind while budgeting. We also offer Vendor Meals if you would like to offer a burger and fries or a Turkey Sandwich with kettle chips for $24.00.

Can we bring in our own catering, why? Unfortunately no, this is because we have contracts with our food and liquor vendors so we can’t violate our contracts.

Can we take home any food and/or alcohol from our package that has not been used? Unfortunately no, due to food safety laws there is to be no food or beverages taken out of the event space.

Who do we make the checks out to? The Grand Plaza.

How can we pay final payment? Cash, Debit or Credit Cards. The last payment cannot be paid with a check, unless it is a certified check.

Is there a free room for the bride and groom, why? Unfortunately no, due to the special rates associated with your event we can not offer a free room for the bride and groom.

What time is check in and check out? Check in is at 4 pm and check out is at 11 am.

Can we get an early check in or late check out? You may request an early check in or late check out at the front desk, if they can accommodate you they will do it without question. We suggested requesting this at least 48 hours prior. Early Check in is not guaranteed and based upon availability.

Does the hotel have a shuttle service? We do not but we do have phone numbers for the super shuttle or taxies in the area at your request and our concierge can arrange this for you.

Is there any way to get all the rooms on the same floor? We can not promise all rooms will be on the same floor but you may request it.

How do we get our group code & when will it be available? One you are able to book rooms you will receive an email with your personal group code to access your discounted room rates. Group codes will be available no sooner than 11 months from the date of your function.

How can my guests make hotel room reservations? Whether you’ve chosen to block rooms or not, reservations can be made by calling 727-360-1811 or 800-448-0901 or online at www.grandplazaflorida.com. We accept American Express, Visa, MasterCard and Discover.

What are your ceremony location options?

We offer two outdoor ceremony locations directly on the beach. One faces the north side and has an unabridged view of the water. The other is on the south side and also includes sand dunes to add to the texture. Ceremony site location may be used for ½ hour for ceremony and photos. You also have the option of holding your ceremony within your event room.

Are there any charges to use the beach? The chair and arch rentals are an additional fee, but if you don’t use either then the site is free. We will provide a sand ceremony table, program tables, DJ table and extension cord free of charge..

Are there limitations on decorations? No, as long as the integrity of the trees and arches are not damaged.

Can we decorate the arch? Certainly! You may decorate the arch however you would like. The florist is a great resource for helping with this.

Can we bring in our own arch/chairs? Unfortunately we can not allow outside chairs and arches. In the event that another party needs to use that side of the beach unexpectedly it protects you and your property as well as our property. For insurance purposes it protects us as well.

What happens if it rains?

In the event of inclement weather, a decision regarding moving your ceremony location to your event room indoors will be decided by your wedding coordinator. We would bring you into the ballrooms on the dance floor, still providing you with a beautiful backdrop.

Can we use flower petals in the sand? Absolutely. They must be real flowers to protect the birds

Can we use sparklers? Yes, you may use sparklers outside only.

When do the chairs and arch outside get set up? If you have a morning function your chairs and arch should be up no later than 9 am. If it’s a an afternoon then no later than 4:00 pm. Special requests are allowed.

What are the dimensions of the arch? The Bamboo arch is available for $300.00 and is 7’ high, 8’ wide and 5’ deep. The white arch is 8’ by 3.5’ and about 1 ½’ deep with lattice down the sides for $150.00. It’s a big wooden arch that is white.

Who should we set up a rehearsal with? Your coordinator will handle all of your rehearsal preparations. We will hold this the day/afternoon before the wedding.

How long is the aisle: There is 102 feet total. From the stairs to the base of the aisle there is 30 feet. From the first tree to the 3rd tree there is 17 feet. From the third tree to the last two trees where the ceremony takes place there is 55 feet.

Sound on the Beach: Have a DJ do that

How big are the tables? We offer two table sizes, one is 60” for 8-10 people or 72” for 10-12 people.

How big is the cake table? 36” in diameter

What are your centerpieces? A square mirrored plate with either a fishbowl or short flat bowl that has sand and shells in it. You can place either on our complimentary square mirrors

What are the dimensions of the centerpieces: There are two shapes. One looks much like a fishbowl that is 7 inches high with a 5 inch opening at the top. The other is short and flatter and is about 4.5 inches high with a 7.5 inch opening at the top.

What time can we get in to decorate the room? If there is no function you have the entire day. If there is a function prior to yours that same day you can decorate from 4:00 pm on. If you have a morning function you can come in as early as 8:30-9:00 am.

What time should the vendors come? Cake should be here 1 ½ - 2 hours prior. DJ about 1 hour prior. Flowers at any time. Hair dressers as early as possible. Photographers usually 1 hour prior. Officiants need to arrive at least a ½ hour prior to the ceremony.

Can we provide our own music? We do not provide any audio or av needs. All music and audio equipment must be provided by the vendor.

What color are the napkins? White, Ivory, Silver, Black, Chocolate, Gold, Orange, Purple, Lavender, Eggplant, Navy Blue, Royal Blue, Periwinkle, Turquoise, Willow, Red, Fuchsia, Light Pink, Mint, Coral and Yellow.

Chair Sashes - (Organza) $ 1.00 each. Available in Black, Chocolate, Fuchsia, Gold, Ivory, Lavender, Navy Blue, Mint, Coral, Silver, Turquoise, White, Willow, Baby Maize Yellow, Periwinkle, Pink, Red, Plum, Royal Blue

Can we give alcohol as gifts for our guests? Unfortunately you may not give away alcohol as wedding gifts during the reception but you are more than welcome to include them in your welcome bags for guests to receive upon check in.

What is included in the Resort Fee? The resort fee includes a beach cabana or beach chair with umbrella for two, usage of our beach activities and toys—please see cabana hut for options and to rent, parking for one vehicle per room, Wi-Fi, pool and beach towels, use of business center, concierge services, unlimited local and toll free telephone calls, 24 hour coffee and tea in the vending plaza, in-room security safe, and use of our sister property facilities—The Beachcomber Resort, located at 6200 Gulf Blvd.
