Introduction

Scope

The scope of this project, is to research and justify the acquirement of an adequate computer equipment integrated ( Hardware & Software )with the aim of improve and keep update the business process of Animal Adventures

Objective

The main objective of this project is implement the adequate computer system according with the necessity of Animal Adventure to create efficiency and effectivity mainly within sales activities creating an internal connection between the areas, capable to support each other at the minimum amount of time.

HardwareWhy to buy the right computer for our business

Today the world run as much fast as it can so is the technology. Computers are the most important tools in today business. It enable users to be quickly and efficient. As employees at all levels are asked to do many activities such as send and answer emails , manage a database of clients and suppliers. creates different types of documents, analyse sensitive data, create spreadsheets, access to internet.

Implementing the right hardware and software, is going to save a valuable time to the company and is going to be reflect in the productivity of the company directly in increases of sales and decreases of costs.

What features should have our Computer resource

Processor

A fast Central processor Unit ( CPU ), capable to execute different kind of tasks at the same time. In other words it has to be multi task at a minimum amount of time.

Memory/storage

Memory

Is well known as a RAM ( Random Access memory ) This memory allows the computer to work fast. The access to applications and programs occur in matter of seconds. A business computer should have as a minimum 1 GB. Today RAM memory could reach up to 4GB.

Storage

The storage of our business computer should be big enough, to handle jobs made by all members of our company without affect the productivity. we are talking about 160 GB up to 500 GB

Video/Audio

Video and audio may not be the most important. In Animal Adventure Project, Just a few people is required to have a high standard of video and audio, to enhance the nature of their tasks. We are talking about Material Market Developer and sales Representative.

Following I am presenting what it would be workstation computers.

● Microsoft 7 is provided as a operating system, but could be upgraded

Concern about software aspect

Problem arises from interview 1

According to the interview with our sales representative, we have identified an information system problem which needs to be solved as soon as possible in order to avoiding lose potential customers. The problem is actually relating to work efficiency and our sales representative needs a software update to allow him/her to send our poster to multiple email addresses. After the analysis we have given two options to solve this problem.

Firstly, download software called Bulk email from the website below: http://www.sendblaster.com. This software can help in designing our unique look and professional emails and easily manage our email marketing as well as our customer details. Secondly, we strongly recommend our sales representative to download an application called BUMP from the apple store. This software is very simple to operate and extremely popular among KIVI. Our sales representative can just save the poster in the phone album, when customers are interested, just shake the phone together and it will the poster will be automatically transmitted to the customer phon

Problems arises from interview 2

In order to perform a good job for our company, as managers we decide to make a computer software upgrade for our marketing materials developer. For a cost-saving consideration, marketing brochures can be done online at:

However, a software upgrade is necessary regarding to high definition marketing video. A software called Muvee Reveal (business edition) is desirable for this job. Also this software is capable for online video designs. This software will be purchased within one week and we will inform the developer as long as we get it.

Problem arises from interview 3

Recently we have received a complaint about our networking security issues from our Auckland branch manager. According to company policy and business information security considerations, we decide to upgrade our networking security systems.

● Firstly, we are going to install an antivirus software which is called Norton Ultimate PC Protection. it is worthy for the company to buy the business edition of the software, because we have various departments such as sales, marketing,

accounts and human resources, and we have the responsibility to protect our customers’ and staffs’ personal in

● formation.

Secondly, according to SPAM email messages, as you may not know that Windows mail has a function may help manage our Inbox to keep it free of unwanted email messages in the following ways:

*The junk email filter is designed to catch obvious unsolicited commercial email messages and move them to a special Junk email folder. Our staff can increase or decrease the protection level based on how much junk email we receive.

● We can move email messages from the Junk email folder back to our Inbox.

● We can block messages from specific email addresses by adding them to the Blocked Senders list.

● We can prevent the blocking of messages from specific email addresses by adding them to the Safe Senders list

NetworkProblem Arising from Interview 3

After having an interview with the Auckland Branch Manager of Animal Adventures Ltd we have addressed a few IT issues that have been distressing employees and slowing productivity.

After investigating the issue and analysing and comparing three top broadband providers, Slingshot, Telecom & Vodafone - I have decided on the Vodafone Broadband 5 business plan (http://www.vodafone.co.nz/business/broadband/).

The reason I have chosen this particular plan for Animal Adventures is I believe that it will suit up to 10 staff with a generous 200GB of high speed internet per month data allowance which will allow staff to view up to 280,000+ web pages per month that which for 10 people will be more than enough data.

I have also taken into account the company’s budget, the plan offers competitive prices with a monthly fee of $150+ GST per month for this plan,thus freeing up more budget for other business activities.

The plan will also continue at high speed if Animal Adventures Ltd ever go over the broadband data allowance cap, this will cost $1.78 + GST per GigaByte over the data allowance of 200GB - this is a handy facility for business that will ensure no productivity is lost from the broadband connection being slowed and is competitively priced.

It is well known that Vodafone broadband is among the top three performing companies in New Zealand for high speed broadband, making Vodafone an attractive choice for any business no matter what size.

The Broadband Business 5 Plan includes a free wireless modem, removing the need for excessive amounts of wires in the office space and enabling staff to connect their smart phones to the network.

In conclusion, after researching the other market competitors options for businesses network, I have found the Vodafone Business broadband 5 Plan to be the most economical & efficient option for Animal Adventures Ltd’s networking needs given the number of staff. I would suggest this plan to solve the networking problems covered in the interview with the Auckland Branch Manager for the Animal Adventures company. The implementation of this plan will improve the efficiency of workflow, ease staff tension from slow broadband speeds as discussed in the meeting, and staff will enjoy the benefits of wireless broadband access in the workplace removing excessive amount of cables and creating a tidier environment in the office.

Security SystemsProblem arise from interview 1

We had a interview with our sales representative. His feedback reflect two problem we should deal with. The first problem is our tours information is difficult to carry. It is not safe to carry much paper about our tour information. It is easy to lost one part of information about tours during the busy work. So we try to give every salesman one ipad to save all information about our tours in it. It have many advantages, such as salesman can easy to carry our products information and can easier show our plan to customers. Another problem is lots of our customer may upload their personal information in our official processor. This part have not much security to protect our customer information. We advise every department update their antivirus program. We recommend 360 safe, it has strong firewall and updating their virus reservoir every day. According to our Marketing Materials Developer, we should replace some hardware in our company. Old and low configuration of PC are easy to be hacked. It will lose much information and benefit in our company. So it is necessary to replace good PC and get a

Problem arises from interview 3

According to our Auckland branch manager report. We have two problem about networking security issues and SPAM email. For networking issues, we should tell staff do not open some email you do not know what is it. And only doing work things in company, stop opening some website without our company things. We will install 360 networking safe. It is worthy for company to buy it. We should protect all department stay away from virus. And we have responsibility to protect our customer personal information. Secondly, as our SPAM email. We can set up a computer program. It can segregate some email which is not useful for our company or some email you do not know at all. And we can find the id address, who always send us SPAM email, and we can add them into block list. They can not send us email anymore. To be our customer security, we should create a safe sender list, it is a special part, we will set up a specific email only our customers know.
