Yesterday and TodayMany of us work with distributed

teams. Whether people are working from home, another building , a far away city, or across the ocean, our business demands we communicate better than ever before. Traditionally this has meant a combination of travel fo r face to face , co- locat ion , speakerphones, instant message clients, screen share programs, and video.

Effect ive communica t ion i s important in many fields. Project m a n a g e m e n t a n d s o f t w a r e development are no exceptions. The ‘Agile’ style of project management goes so far as to list face to face communication as one of it’s twelve principles. But that was written in 2001.

Today new tools are emerging to assist in solving the distributed team puzzle. Perhaps the word ‘Today’ is not accurate, because they were developed in 2005.

New visual environments provide a richer context for team communication. We explore a variety of platforms, but go beyond to include human skills as well.

About Agile Project Managementand Software DevelopmentWhat is Agile?

So what is ‘Agile’? Agile is a term used to describe a set of project management methods that re more efficient than what has been used in the past. Agile was originally created with software development projects in mind, but has grown beyond to yield it’s benefits for many endeavors.

But there is a catch.

Agile benefits from face to face communication. In fact, that is even listed ad one of the twelve principles in the Agile Manifesto. Yet in today’s landscape few teams are in the sam building. A survey by AgileBil of his 300 of his students found 75% work in distributed teams. This includes work at home, other buildings, and team members oceans away. In addition, many classes are delivered in online format. When it is possible for people to work together they move. When they can travel they travel. Yet this does not cover every day of a team’s operation. We need tools to tide us over between trips.

A new generation of tools has emerged to add a ‘spatial context’ of rooms and venues to our traditional online meetings. Even after 5 years of experience, research continues into the best ways to work together using these new tools As Agile was 10 years ago when it was new, these tools continue to evolve rapidly as people

gain experience. Welcome to the cutting edge.

ScrumS c r u m f e a t u re s t w o w e e k

iterations or ‘sprints’ where the team focuses on high quality code. It may not have all the features for your entire release or project, but the subset it includes is very high quality. The team demonstrates the product so far to the stakeholders and uses any feedback t o i m p ro v e t h e p ro d u c t . A ‘retrospective’ or ‘Lessons Learned’ session helps the team tune and adjust their process to do better every two weeks.

S c r u m i n c l u d e s s o m e k e y meetings such as estimation, release planning, sprint planning, a 15 minute daily ‘stand up’ meeting, a sprint review, and finally the demo and retrospective. This is in addition to any collaboration team members do to analyze or accomplish their work. This makes i t c lear we need good communication tools for today’s distributed teams.

KanbanKanban is a system where there is

less emphasis on the two week demo, and more on cycle time. A task board shows the work as it moves from waiting, to in progress, to done. The key is to not do too much at once. Focus on a few things and complete

them. Then come back for more. This is called ‘Limit Work in Progress’.

LeanLean borrows some sounds

principles form manufacturing and applies it to software. Work by Mary and Tom Poppendieck documents how seven concepts can apply to software.

Technical QualityAgile works well for projects

beyond software. But for software d e v e l o p m e n t p r o j e c t s m o r e techniques rely on close collaboration, ranging from pair programming, to analysis of requirements and user stories, prioritization of requirements, and helping each other to get the project done. Agile methods plus collaborative tools can make the most of your global talent.

Mr. Feenan is a Project Management Certified (PMP) Project Manager and Business analyst with over 20 years in the IT sector, where he has worked in both the private and public sectors. Most recently Mr. Feenan has started a new educational co-operative institution called the Rockcliffe University Consortium. Valerie Hill, a school librarian in Lewisville I.S.D. received her doctoral degree from the Texas Woman's University's School of Library and Information Studies. She is a National Writing Project trainer with interests that include children's literature, storytelling, multi-media, human-computer interaction, and emerging technology tools that impact libraries. Her research area is immersive learning environments and virtual worlds. A graduate of the University of Washington's Certificate in Virtual Worlds, Ms. Hill continues to work with the UW virtual world colleagues, ALA, TLA, TCEA, and ISTE through virtual world projects, presentations and machinima production.

Renee Brock-Richmond

Zinnia is an artist, instructor, and superhero as an arts advocate promoting the importance of creative education and community participation in the arts that are active and inclusive. She is active in the non profit commons organization, and is a graduate of the University of Washington’s Certificate in Virtual Worlds program (class of 2009). This venue is easy to use. It is web based. It runs a check on your computer and browser’s environment and gives you guidance on how to get your machine ready for the program. Venues are pre-built or can be customized.

It is easy to use your camera controls to get the proper view. You can also easily raise your hand to get people’s attention.

One of the best features of this platform is the ability to view other attendee’s social media profiles by clicking on their avatar.

Sococo

Simple, yet SpatialHaving a ‘Spatial Context’ to show

who is working together on what is a key benefit to these new collaborative environments. But in some cases, the rich 3d interface can be overwhelming.

The Simplest thing that could possibly work

Sococo represents an attractive balance between ease of use and visual cues. These cues form the basis of spatial collaborate but in Sococo are shown symbolically instead using heavy graphics. On the ‘micro level’ we we can

dots. Look for subtle decorations on the dot “Avatar” and see if you can spot how Sococo illustrates these conditions.

Tech TipsClick on the room you would like

to visit. click on a screen to share or view. Click on the TV icon at the top middle to watch shared content, or see if anyone is broadcasting from their camera. To speak click on the microphone icon near the top left of

the screen. During the conference, you should simply communicate with text if you do not have headphones.

Like most platforms, a headset or ear-buds are important to provide good sound quality, both for you, and e v e n m o r e t h e o t h e r p e o p l e participating in the meeting. This eliminates feedback and reduces background noise.

Sococo Tech NotesThis program has many features.   In order to access

Sococo you MUST ensure that Agile Bill has your email address.  Once he has that he will send you an invitation to Sococo and you can install the program.   The log in for Sococo looks rather like a messenger log in but once you are in the program you will see there is a HUGE difference.

FeaturesVOIP, text chat, video, screen sharing, web sharing, are

a few of the main features.When you log in you will be in the Sococo lobby  DO

NOT remain there,   this will ensure that the log in area is not clogged up and preventing others from logging in.  You will see a ‘floor plan’ with many other available rooms please go to the Conference room indicated for the Presentation.   You can do so easily simply by double clicking on the room you wish to enter.  If you are not going to be present for a bit you can enter the ‘afk’ room.

AvatarA person is represented by a ‘bobble head’ avatar in

Sococo.  You can personalize your bobble head by giving it your favorite color if you wish!  Simply by observing the avatar you can see who is talking, who has the ability to hear and speak as well as what screen they happen to be looking at.  The bobble head will be wearing a head set if the person can hear, a microphone if they can speak and will flash if the person is actually speaking.  You will see a little hand moving if the person is talking and the bobble head will have eyes if the person is looking at one of the screens lined up along the wall in the room.   Multiple people can look at each screen that is being used and you

can see what screen is being looked at because the screen will have a ‘dot’ on it.  The screen is represented by a white rectangle along the wall of the conference room.

User InterfaceThe listen and voice buttons are on the top right hand

corner of the screen.  If you wish to show yourself on video you will find the button for that along there as well.  The text chat window is on the right hand side, you can also privately text with some one by choosing that option on their avatar.   When you enter Sococo do not be scared t o c l i c k t h e buttons along the top of the screen, if something gets o d d y o u c a n always shout for help.

Voice Over IPVoip over VenueGen is ‘location’

based and in stereo, which can take a while to get used to.  If your avatar is not facing the speaker, you will hear the speaker from either the left or the right side.  As well, if you are too far away..you will hear the speaker with less volume.

Voice controls are found on the bottom r ight of the screen in VenueGen, the icon is a head set.  With the VenueGen controls you can specify which microphone and headset // speakers you wish to use.

VenueGen Tech NotesChat:  The chat window is located on the lower mid

section of your screen, identified with a chat bubble

AvatarVenueGen provides a wide range of options to animate

your Avatar, at first this can be quite distracting, however as a speaker you may wish to take the time to familiarize yourself with the animation options.   I equate the avatar animations to the emoticons one uses while in an instant messenger.  At first they are fun and silly, but as you get used to them they can be valuable expressing personality, emphasising statements and holding the attention of your audience.

The avatar animations are found in tabs on the right hand side of your screen.

Top Right:    Avatar Mirror - with this you can see the facial expressions your Avatar is using.

Middle Right:   In this tab you will see two rows of graphs, the top one tell you how expressive your avatar will be, the second row indicates how relaxed or formal you are.  I prefer to set my animations on high..and my attitude to relaxed.

Lower Middle Right:   Here you will see a set of animations that you can choose to use or not.  Give a high five or express laughter, even boredom (which will not be needed in this conference (wink))..  The trick is not to get distracted by all of these because they even though they can be a lot of fun, they can also be valuable drawing the attention of your audience into an animated and immersive experience.

Moving aroundView: Think of your left mouse button as your neck,

holding the left mouse button down and dragging the mouse will move the direction you are looking, just like turning your head does in the physical world.

Walking:   Walking is very simple in VenueGen, you simply click on the ground to where it is you wish to go.

Direction:   keyboard keys are used to change the direction you are facing.

Interacting with ObjectsTo sit down or use a screen you simply right click on

the object to access and select the action from the menu.

Special VenuesJibe

Jibe is a high performance environment rich in programming tools. Industry standard modeling tools can be combined with programs in C#, Boo (like Python) and Javascript to create custom settings and simulations. Yet to the user it seems as simple as clicking on your browser to step into the simulation.

Jibe renders many object on the client, which means most server lag is a thing of the past. The client engine is designed for high performance games with rich graphics and high portability. The default avatars that come with Jibe are simple (to save rendering cost) but still have a sense of motion (animation) which is important in relating figures to participants.

Usage NotesTo start a Jibe based venue simply click on it’s URL.

This will start a thin web plugin (the Unity3d runtime, which will download if necessary). You will choose an avatar and name before you can continue to load the scene. If you cursor is inside the scene window you can move your avatar using familiar cursor keys. An optional plugin for sound is available (Vivox (tm)). The chat window can be used to type messages to all people in the area. Other

interactions may be custom programmed for the selected environment.

TerfTerf presents a simple business looking environment

that allows users to focus on their data. It is easy to put notecards on the wall and move them, much as one would using a taskboard based on post it notes (tm). To enter Terf you will first install it’s client. An administrator will create and account for you. You start in a lobby but will want to move to the training room or other custom space.

Terf is a good blend of usability and spatial presence. Avatars can be models selected from business looks, physicians, military, or construction. But a simpler figure is possible that actually presents the users video stream on the face. This allows people to interact with someone both by reading their spatial body language (where they are sitting) and their actual facial cues (via a the projected web cam stream). It is easy to place documents in the setting, and even have several people edit the document or spreadsheet at once. Terf also allows you to record your meetings, which is a feature many users of light weight tools have come to depend upon.

EnvironmentsTerf is unusual in that it was originally written on Mac

OS (tm) in Smalltalk no less. This means it run as well, or better on the Mac as it does on Windows. This is an important consideration for Agile Coaches who may be more likely than most to be running on a Mac OS device.

Agile Dimensions tracks over 30 tools for distributed collaboration. All have appropriate uses, but some are not used in this conference - either because they are too advanced or don’t fit the the needs of the current conference tracks However, we use and follow many of these tools should your future needs trigger questions.

OpenSimOpenSim based platforms feature

dynamic creation of objects at run time - during the simulation. The user interface offers many functions and detailed ways to customize one’s avatar. This can create the ‘proteus effect’ where learners better relate to heir role. But these functions come at a cost in complexity. While ostensibly a low cost platform, custom programming (in the Linden Scripting Language, or LSL) can raise the price of a custom build. Note that this platform has built in group functions

that can be used to manage roles and membership.

Many companies offer hosing solutions and many are included in the Agile Business Park. Some examples include Rockcliffe Grid, Jokaydia Grid, K i t e l y, and WebWor lds ( tm ) / SpotOn3d. Note that Second Life (tm) is not emphasized as it’s current focus is for the entertainment market.

On24On24 and Unisfair takes a

different approach. It is designed to handle large numbers of participants. To do this the environment is shown with static pictures of spaces and figures. It gives the impression of 3d without the complexity. It is good for trade shows because it is easy to connect attendees with marketing staff to answer product questions and follow up.

AvayaLive EngageAvayalive engage (tm) offers pre

generated meeting spaces and the ability to create custom venues using the Unreal (tm) engine. It uses simple 3d avatars that contribute to high performance. The usual features of these environments is supplied, including text chat, voice, screen sharing, and avatar movement.

ProtonMediaProtomMedia also offers an easy

to use 3d platform. But it’s close integration with Microsoft Outlook (tm) makes it a good pick for Windows based enterprises. It is not the least expensive alternative, but for many teams the integration with Microsoft Outlook makes it well worthwhile

‘Cape Able’ - Art by Deaf ArtistsOne of the purposes of this

convention is to support he Virtual Ability community. It is composed on i n d i v i d u a l s w i t h m a n h e a l t h challenges, including mobility, sight, hearing, and cognitive injuries. To make this tangible we wanted to feature some art by a community of artists without hearing. Theirs is an inspiring story of overcoming some l imi tat ions by bui ld ing in new directions. No sound? Do art.

One such artist is Ronin1 Shippe. He is an artist without hearing whose media includes wood, clay, steel, and

‘painting’ on the computer’s virtual canvas. His work is shown above in the top left figure entitled ‘La Grande’.

He does volunteer work as public relations officer for Virtual Ability, Inc. a federally licensed 501(c3) non-profit corporation whose mission is to assist people with disabilities as they explore virtual reality environments.

His paintings are studies in minimalism - Zen impressionist works which srive to capture a mood, moment, or feeling - often whimsy - with only a minimal number of lines.

Zen concepts an simplicity fit well with the values of Agile project mangement.

Online Conference Tech GuideThere are a few things that a

person needs to have for an effective online meeting.  

First of all you need to be able to HEAR the meeting in progress.  While many of the presenters will include text, and in some cases transcribers will type what the presenter is saying..some things may get lost in the translation.   As well, in most cases the speaker will give a question and answer period and you will most likely w a n t t o h e a r w h a t t h e o t h e r contributions of the audience may be. The easiest approach if you are in the audience is simply to type your question in the associated text chat window.

It is highly recommended that you have a headset to listen and to contribute during the conference.  Speakers and a microphone generally cause feedback that is unpleasant for the listeners.  

Conference VOIP - Voice Over IP (internet) Etiquette

Unless you are the speaker, or are in the process of speaking  please keep your microphone muted.  You will be able to do this in the online venue the presentation is be ing he ld at or usua l ly your microphone will have a mute button or toggle switch.

Keep in mind there is generally a 2 second delay when using VOIP, so to ensure that you are not talking over

anyone give a few moments before you begin to speak.

Generally before the presenter begins he or she will make sure that they can be heard, you will be asked in VOICE and in TEXT whether or not you can hear, please indicate with a ‘Y’  or an ‘N” in the TEXT chat window whether or not your headset is working.

We ask that BEFORE you speak, unless of course you are the presenter, indicate in the text chat window that you wish to contribute.  We are in the habit of using a * (asterisk), this is much like the raising of one’s hand in a classroom and it helps to keep confusion to a minimum.  The speaker will do his or her best to ensure that no one is missed and that everyone gets a chance to contribute.  

With each venue that you use for the first time, please enter the venue BEFORE the conference, each venue will be accessible to you before the Conference begins.   We will have guides that can test the VOIP options with you as well as answer any questions you may have to ensure that you will be comfortable and confident before you Present or before you attend a Presentation.   Exploring the many options of each venue you use will not only get you proficient with the program but you will feel much more comfortable as well.   The access of each venue used in the conference will be listed on the program.

Venues Used for the Conference

We will be using more than one venue during the course of the Conference.  The conference schedule will have instructions on how to follow the video stream an text chat and/or screen share. It will be used like the Conference Lobby.

A word on Avatar namesMany people have both an Avatar

name for a given platform as well as their actual name. At first this seams silly, but think of it as a nome de plume (or pen name). It can be used for personal branding, or to allow people t o a n o n y m o u s l y e x p l o re n e w environments. Sometimes the anonymity is a strength, but it can also enable digital vandals to disrupt events without proper securi ty measures. But it can also be important to protect people’s online privacy. The general rule is to let each person decide for themselves if they wish to connect their given name with an different nickname or avatar name. Therefore, let them be the ones to state the connection, rather than ‘outing’ the names yourself.

join.meThe join.me program does not

show webcam video directly, but is inexpensive, easy to use, and does a high performance job of sharing screens. It supports voice over IP as well as a phone bridge.

We define ‘lightweight’ as meaning no spatial context or rooms. Most offer both screen sharing and also video.

PowBat‘PowBat’ is a term Bill coined and

stands for ‘Plain old webcam, Big screen TV’. For some teams, simply seeing an office layout via a wide angle TV is sufficient.

Thoughts on Cisco Telepresence (R)Telepresence provides a powerful

experience. The purpose of the tool is to ‘feel’ like you are there, so attention is given to high quality audio, and

performance to support life size video. This comes at a financial cost, but requires no learning curve so feels natural to teams. It does not allow some of the spatial experiments possible with virtual builds - such and alternate chair layouts and dynamic objects. Room size may be limited, and you have to schedule (and walk to) the meeting room. But for beginners with funding it is a great solution.
