Welcome The committee meeting was called to order at 4:02 PM Central time. Randy Stevens (committee chair) announced that individual committee member attendance is under review and will be discussed during the NAPBC Board meeting in October. A letter will be sent to committee members with attendance records below 50%.

a. NAPBC/ACS Webinar Update: Steffanye Hawbaker Mack of the NAPBC has been working with Stephanie Van Winkle of the American Cancer Society (ACS) to coordinate and plan the upcoming collaborative webinar series. The first webinar,

Genetic Testing 101, is scheduled for September 28, 2015. Scott Weissman, and NAPBC Board member, will give the genetics presentation and Dr. Len Lichtenfeld, also an NAPBC Board member, will give an introduction on behalf of the ACS. The committee was presented with the genetics webinar invitation and objectives. The second and third webinars have also been scheduled in October and November. The committee was asked to give input on the objectives/discussion topics for the upcoming webinars.

b. October/November Webinar Learning Objectives:

Risk Modification: The Importance of a Healthy Lifestyle, October 15, 2015, Speaker: Colette Salm-Schmid: The committee suggested the following objectives/topics for discussion on the breast cancer risk modification webinar:

i. Importance of exercise

ii. Weight: Effects of Low-Weight; What is mechanism of weight gain

for women going through treatment? (Steroids? Inactivity?); Pre-hab

where they work with patients to try to prevent the weight gain

iii. Limited Alcohol: A glass of wine with dinner? 2 a week? No more

than 2 within 24 hours? None?

iv. Use of baby aspirin

v. Nutrition: Is there a cancer diet? Soy? Eat Organic? Eat Meat or

plant and veggie diet? Supplements?

Imaging: Identifying Who to Screen, November 23, 2015, Speaker: Cheryl Herman: The committee suggested the following objectives/topics for discussion on the breast cancer screening webinar:

c. Future Webinars/E-learning Modules: The committee discussed the list of webinar/e-learning topics for 2016. The committee selected the following topics: Fertility, Contralateral Prophylactic Mastectomy (CPM), Pathology Standard 2.7, Risk Reduction

Fertility Webinar: The committee agreed that the NAPBC should definitely present a webinar on fertility, but did not determine the audience. It was suggested that this may be a webinar for patients. The NAPBC Board does not have an OB/GYN representative, so a speaker may have to come from outside of the NAPBC. Colette Salm-Schmid knows a fertility specialist who is a good speaker, but not involved with the NAPBC. The committee agreed that a medical oncologist should speak on this webinar as well, and will reach out to NAPBC Board members first, before reaching out to contacts outside of the NAPBC. Contralateral Prophylactic Mastectomy (CPM) Webinar: Ronda Henry-Tillman suggested that CPM is a topic that the NAPBC could address, and the committee agreed as long as the intended audience is clear. The webinar should be about informed choice, not a decision statement on CPM, and should cover surgery, plastic surgery, and psychosocial topics. The committee agreed that there should be a panel of speakers from each area. Donna-Marie Manasseh volunteered to be a speaker on this panel. The committee would like to reach out to the NAPBC Board for the additional speakers, citing Barbara

Rabinowitz as a possible speaker representing the psychosocial aspect. This topic is one of the topics suggested by the Advocacy Committee, so staff will set up a planning call between the chairs and vice-chairs of each committee. Pathology Standard 2.7: This will be an e-learning module on the NAPBC website and will cover the “nuts and bolts” of meeting this standard. Discussion topics will be how to get the slides and implementing the process. Randy Stevens volunteered to give this talk.

Risk Reduction: This topic was not on the exhibit in the meeting packet. Randy Stevens suggested that the NAPBC do a webinar on Risk Reduction for patients or primary care providers or both. The topic would include hormone therapy, biopsy and should have a pathologist and medical oncologist included as speakers. Ronda Henry-Tillman has done several talks on risk reduction, so she volunteered to be a speaker on this webinar and suggested that it is too big a topic for just one hour. It was decided that this topic should be covered by a series of webinars and added to the list of future topics.

ACTION: NAPBC Staff will work with Randy Stevens to develop an e-learning module for Standard 2.7 ACTION: NAPBC Staff will add Risk Reduction webinar series to the future webinar topics

Schedule of Events

The committee reviewed the NAPBC schedule of events that includes workshops, meetings and exhibits. Karen Pollitt reported that NAPBC members attending the American College of Surgeons Clinical Congress in October were asked to meet with fellows interested in the NAPBC. Scott Kurtzman and Colette Salm-Schmid volunteered. All but two NAPBC exhibits were cut from the American College of Surgeons Cancer Department budget this fiscal year. Scott Kurtzman suggested that the NAPBC present at national meetings instead of exhibit and asked if there was a cancer center executives meeting. Colette Salm-Schmid suggested that the NAPBC could present the value of accreditation during the January 27 – 30 ACE meeting in California. She suggested we should reach out to Bill Laffey (a CoC volunteer) to see if we can get on the agenda for the January meeting. Karen Pollitt suggested that we could also submit a poster on the value of accreditation at the 2016 AONN meeting.

ACTION: Scott Kurtzman and Colette Salm-Schmid volunteered to meet with Fellows interested in NAPBC during Clinical Congress in October. ACTION: Create a “value of accreditation” presentation and poster and submit for inclusion in the 2016 ACE and 2016 AONN meetings.

NAPBC Editorial Calendar

The NAPBC Editorial Calendar includes newsletters and email marketing campaigns. NAPBC staff will reach out to volunteers as needed for content.

NAPBC Education Committee Goals

The NAPBC Education Committee has met almost every goal except publish. Dr. Berger, the Clinical Scholar, is working on pulling the data together for the studies the committee wants to publish. Karen Pollitt informed the committee that there will be a data call in a couple of weeks that will progress this goal further. Randy Stevens suggested that the data collected by the NAPBC is more user-friendly in the future and Karen Pollitt reported that this is on the list of requirements for the team developing the new SAR. Karen Pollitt, Dr. Yao and the NCDB completed a data dictionary mapping project that will make it possible to bring over the data from current system into the new system. There could be data analysis access in the new system by Spring 2016. The Best Practices Conference may be moved to 2016. The planning committee is going to discuss the conference immediately following this committee call.

New Business

Colette Salm-Schmid asked if we could address the expectations of committee membership. Randy Stevens agreed and noted that we are starting with committee member attendance records. She will work with Dr. Kurtzman and Dr. Connolly regarding this issue.

Too short(half day is not enough) Workbook was presented for Friday, no workbook for Saturday presentations. I think it would have been great to have a book for both days with presentations I was disappointed that based on the price for the preconference and the start time that lunch was not available, or even a snack at break It was nice to have the workbook with the power points. This made it easy to take notes on each subject. the length was long. Well organized, great and comfortable location, well planned. The location of the conference was excellent. The support materials were extremely useful and provided a lot of information. Hotel too far from airport. would have been nice to have manual provided as well as a booklet for Saturday's conference

I really liked and appreciated the open question and answer format that was offered during the standards review portion of the workshop. I think it would be nice if there was more time allotted in this segment for attendees to share their practices, if they would like. Nothing formal, just a quick “here is what we do.” This was such a helpful workshop. Reviewing each standard and being able to ask questions helped me tremendously. I gained a lot more info on the NAPBC standards. Very clear, the questions were valid and answered definitively by the speaker. I walked away from the conference feeling very excited about bringing back to my facility everything I had

learned and moving forward towards accreditation. Many questions clarified, thanks Absolutely!! Was able to get many questions answered.

Do you have any suggestions for future workshops?

I really enjoyed the preconference format & topics presented by the key leaders. Remind the speakers to be mindful of the language they use during their presentations. Dr. Kurtzman had a bit of a "potty mouth" at times. Skip the dinner and provide lunch for people coming for a half day conference We could have used a little more time on the standards. Expanded time on standards...a full day with plenty of time for questions I would suggest more opportunities to discuss the standards. I felt I learned more at the workshop than at the Breast Practices Presentation. If I could get reminder emails of events that NAPBC is hosting that would be great. thought this was well thought out and was great Providing templates to use for accreditation. I think it may be helpful to have a workshop dedicated to those who are CONSIDERING NAPBC accreditation only, more like an introduction. I think it is helpful for programs to understand the components and resources they need. Maintain the excellent quality provided at this conference. Both the Pre-conference workshop and Best Practices were excellent and very helpful as we seek our first accreditation. Mach interdisciplinary conference review recommendations follow up best practice for documenting recommendations More time for question and answer periods For such a short meeting, consider having the hotel at the airport or very close to the airport of the host city.

I think it was a wonderful workshop. The presenters were very willing to meet with individuals and answer all of our questions. They were very approachable and knowledgeable. It seems as though they really want every facility to do well. more time on standards - so questions can be asked

What other resources or services could the NAPBC provide that don't currently exist?

We have a program rich in Oncology Rehabilitation, we would love to see American Academy of Physical Medicine and Rehabilitation listed as one of the professional organizations. It would have been nice to get an overview of SAR everything seemed to be covered Recommend use of consultants to programs going for initial accreditation or interested in accreditation, I find so many programs have spent a long time spinning their wheels.

Some of the presentations were too long. Needed more bathroom breaks in between speakers. Need two days and more time for individual speakers they all were very rushed to successfully cover their topics. Great conference, well planned and organized, terrific speakers, maybe less speakers on each topic and more time for each presentation, this could easily be a full two-day conference. Great job by NAPBC staff and educational planners. Not many exhibitors present. The set up for lunch outside should be re considered. It was very hot not enough shade and most of the food was in the sun. The comment was made during the conference that more time (which may necessitate another day to the conference) for both presenters as well as questions may be nice. Some of the presentations would benefit from being widdled down or given feedback to stay on the clear message to keep attendees engaged. While at times, there did not seem to be a lot of time for discussion after each presentation, all speakers and faculty were easy to approach afterwards and willing to share their knowledge.

provide best practice examples, provide view of new SAR and new manual, updates to changes in manual and SAR. More in-depth discussion regarding standards and Q&A time related to standards that require clarification- business rules for generating performance measure data needed in manual.

C3PR and RQRS metrics to not seem to match what is being requested for review at survey (class of case 10-14 only). Overall great conference- an extra day of activities covering the above would have been helpful. More time for presentations, limit topic presenters to (2) different people or perspectives More time on practice specific settings i.e. academic v private v charity etc Would like to see a greater focus on the standards that are currently being implemented i.e. SCP and standard changing practices provide a copy of the manual and booklet for presenters' slides. As mentioned, securing the presentations far in advance (not easy!! But common and standard as compared with other conferences. I have a presentation in July for which my PP is due 5/31. That offers the opportunity to decipher the "extra" content that doesn't tell as strong of a story. If this was able to be achieved- then an electronic format of the presentations could be given at the beginning of the conference and attendees could take notes in the slides as the presenters are speaking. Some attendees were taking pictures of the screen and writing notes in thier IPads. Great conference!!! Such valuable information and content. Thank you for all the work you do to make this happen, it is of such huge benefit. The needs of the larger cancer center vs the smaller breast centers print out of slides would be helpful prior to take notes

I feel it would have been beneficial to have a booklet for Saturday with slides like you provided for Friday's workshop For some of the topics, I was hoping for more of a "how to" rather than a highlight of a program. For the conference presenter evaluations- it is difficult to rate the presenters a few days later. "On the spot" would be more effective/ authentic.

*The one respondent whom answered “no” gave mostly low ratings throughout the evaluation; however they did not comment on any of the questions. The respondent identified themselves as a CTR and the Administrator at a currently accredited program.
