Advisee E-mail Group You determined that you need to send your whole advising group an e-mail, the following will walk you through how to set up an e-mail group of your advisees. You can access this report via the admin login in ( https://admin.albion.edu/ ). Pick faculty secretaries (see arrow below)…

The login screen will come up and you need to enter your user ID and password (see screen shot below).

You will want to click on “advisers menu” (see arrow below) to bring up your options.

You will want to go into your advisee list (see arrow below).

First enter the current term (if you are unsure of how to do this, see below circled in red). 200730 (see arrow 1 below) is fall 2007. Then enter your last name (not case sensitive), then first name (optional) (arrow 2) and hit “submit”. The name MUST be submitted exactly as it is spelled in Banner. If you are unsure, just enter your last name.

The report will appear as seen above. Click on “export data as comma delimited file”, it will then ask if you want to “open” it or “save” (see you below). You can “open” it and this will allow you to change the size of the columns to read the information better.

The form will show up as above. Highlight the square with the “K” (arrow 1 below) and the whole column should then appear highlighted (dark gray).

Next go to your GroupWise account and open up a new e-mail (see above). Take your cursor and place it in the “BC:” area (see arrow 1 below) and hit “ctrl v” and that will paste all the names in (as shown below). You want to make sure you put them in the “BC” area so that you aren’t giving everyone on your list each others e-mail addresses. Just send the e-mail to yourself as that way you’ll always have a copy of what you sent out.
