INTRODUCTIONINTRODUCTION

Introduction

AN OVERVIEW ABOUT ONEXONEX means Online Examination which helps conducting various examinations online in schools, colleges, and organizations. Example of online exams that are popular are GRE, TOFEL, and medical entrance. There are numerous students who appear for such exams and the critical areas of concern are:

How do you make sure that these exams are conducted swiftly?

How can you ensure that all the answer papers are checked properly?

Online Examination System gives a solution to this critical problem. ONEX system is tested with 200 concurrent users.

In this user guide only the Manage Exam Menu will be explained.

TYPE’S OF ONEX USERSThere are two types of users:

Administrator: An Administrator performs various actions like creating an examination, adding an examination, editing an examination, adding questions to an examination, adding students, changing information of the students, removing students, and generating reports.

Student: A student can log into the system, attempt the exam and then log out. Students do not work with any other functionality. Students do not create the exam or choose the questions.

The system allows only one administrator login at a time with multiple students logged in concurrently.

Let’s Get Started

WHAT AN ADMIN CAN DOAdministrator can create exams, manage students, and generate reports. In short all the following operations are performed by an Admin on the ONEX system.

Manage User

This functionality allows the Admin to create user ID’s for students, provide access to exams, and also delete a student’s ID after completion of exam.

Manage Exam

This functionality allows the Admin to create new exam ID and also change or delete an existing exam ID by adding or deleting questions for a particular exam.

Manage Questions

This functionality allows the Admin to add questions to an existing exam ID and also change or delete an existing question for a particular exam ID.

Generate reports

This functionality allows the Admin can generate report for Pass / Fail students through the ONEX system.

ONEX configuration requirements

Online Examination System is a Client-Server application that runs on a client computer and makes requests to a remote server.

SOFTWARE CONFIGURATION REQUIREMENTSThe system requires Microsoft IIS which is supported on Windows server, Microsoft SQL.

HARDWARE CONFIGURATION REQUIREMENTSThe minimum hardware requirement for the software installation are IIS, RDBMS, and Server grade.

NETWORK ACCESSIBILITYThis a system can be accessed through Internet, and Intranet via LAN / WAN.

To login an administrator should:

Step1: Input valid Login Name in the text field provided.

Step2: Input valid Password in the text field provided. To know more about password set-up, click Tips for password set-up .

Step3: Click Login button to proceed.

LOGOUT SCREEN

The Logout link is the same on every screen and therefore the admin can logout from any screen.

For students the system automatically logs them out after completion of exam. However as a security feature students are not allowed to logout and re-login during examination. Only an admin under exceptional case can re-enable the user.

ONEX system will take login credentials as per the administrator and show the Admin menu screen. The menu options for an administrator are:

Manage Exams: This menu allows Admin to Add Exam, Edit Exam, Manage Questions, Add New Questions, Edit Questions, and Add Answers.

Manage Users: This menu allows admin to Add User, Edit User Enable User, and Delete User Reports: This menu allows Admin to generate reports of Pass/ Fail students. Exam Current Status: This menu allows admin to monitor the exams as they happen. Edit Score: This menu allows admin / supervisor to edit scores for descriptive type of questions.

To proceed the administrator has to click Manage Exam option from Admin Main menu screen.

Admin Functions

ADD FUNCTIONSThe steps and screens to Add Exams are explained in this section.

The Manage Exam screen allows admin to Add Exam, Edit Exam, Manage Questions, Add New Questions, Edit Questions, and Add Answers.

NOTE: In-charge of exam is different from an administrator. The person in-charge is responsible for checking the descriptive type questions. An admin is only responsible for set-up related tasks.

To add an exam the admin must click the Add Exam link displayed on Manage Exam screen.

The Admin has to enter the details in the field as mentioned:

Exam ID: This field mentions the short description of the actual exam title. Title: This field mentions the detailed name of the exam. No of Questions: This field mentioned the number of questions that a student will have to attempt

for this exam. Marks per question: This field mentions the mark assigned to every question within the exam. Total Marks: This field mentions the total marks that can be scored for this exam. Incharge of Exam: This field mentions the name of the examiner who would be responsible for

checking this exam. Email of incharge: This field mentions the email address of the Incharge of exam. Instructions: This field mentions the special instruction(s) which a student should know before

attempting the exam. Total Time: This field mentions the time allotted for completing the exam. Passing Marks: This field mentions the minimum marks required to pass the exam.

The Add Exam page is displayed with details to be filled by administrator. All the fields must be entered with valid data and click Save Data to an add exam.

The details added in the Add Exam screen like Exam ID, Title, and Incharge of Exam should now be displayed in the Manage Exam screen. This confirms that the examination details have been added to system.

Add Questions and Answers

The steps and screens to Add Questions are explained in this section.

On the Manage Exam screen, click Manage Questions link. This link is displayed under Manipulate Question column.

To add a question admin must click the Add New Question link displayed on Manage Questions screen. The Add Questions screen is displayed which allows admin to add different types of questions to an exam:

Single Choice: In this only one from the given options is correct. Example out of 5 options only 1 is correct.

Multiple Choice: In this one or more options could be correct. Example out of 5 options all 5 could be correct.

True / False: In this a given statement could be true or false Descriptive type question: In this the answer needs to be descriptive and would require students

to type it.

Other than descriptive type questions, all other questions are stored in the system with correct answers. This means that the system can check these questions all by itself. For example, if a certain exam has 10 questions of which only 1 is descriptive, then the system can check and score 9 questions against the answers stored. Only descriptive type questions will have to be checked and scored by an examiner.

This actually helps reduce the number of questions that an examiner has to check and score. It should also be noted that any incomplete answer will be considered as a wrong answer by the system.

Let us now see how to add the different types of questions in the system.

Add Single Choice question

To add single choice questions, select Single Choice from Question Type drop-down field.

The admin has to enter details in the field as mentioned:

Select Exam: Choose the correct exam from the drop-down list where the question needs to be added.

Question Type: Select Single Choice from drop-down. Number Choices: Input a number, for example 3. This will be the number of options that will be

displayed as answers. However only one would be correct from the available options. Enter the question: Input the question. This will be displayed to students while attempting the

exam. Select the Image: To add an image to this question, the admin must browse and select the image.

The image path will be displayed in the Path: field.

The next step is, click Add Answers to add answer to this question.

This screen allows admin to add the multiple answers to the question input in the Add question screen.

NOTE: The number of options under Answer section are as per the input made in the Number of Choices field in the Add Questions screen.

The following steps are required to be done:

The answers must be entered for all options. The radio button for the correct answer must be selected. Click Save Answers. The correct answer selected will be stored and the system can check this

question by itself.

displayed as answers. The number of correct answers can be more than 1. For example all 4 options may be correct for a question.

Enter the question: Input the question. This will be displayed to students while attempting the exam.

Select the Image: To add an image to this question, the admin must browse and select the image. The image path will be displayed in the Path: field.

The next step is, click Add Answers to add answer to this question.

This screen allows admin to add the multiple answers to the question input in the Add question screen.

NOTE: The options under Answer are displayed as per the input made in the Number of Choices field in the Add Questions screen. The following steps are required to be done:

The answers must be entered for all the options displayed. The check boxes for the correct answers must be selected. More than 1 option can be selected as

correct answer. Click Save Answers. The correct answer selected will be stored and the system can check this

question by itself.

The admin has to enter details in the field as mentioned below:

either true or false radio button option to proceed. Enter the question: Input the question. This will be displayed to students while attempting the

exam. Select the Image: To add an image to this question, the admin must browse and select the image.

The image path will be displayed in the Path: field.

The next step is, click Add Answers to add answer to this question.

This screen allows admin to add true and false radio button options to the question input in the Add question screen. The following steps are required to be done:

The radio buttons for True and False will be displayed without any selection. Select the radio button for the correct answers.

Click Save Answers. The correct answer selected will be stored and the system can check this question by itself.

The admin has to enter details in the field as mentioned below:

Select Exam: Choose the correct exam from the drop-down list where the question needs to be added.

Question Type: Select Descriptive from drop-down. Number Choices: This option is not required for this type of question as user will have to type

answer in the text box provided. Enter the question: Input the question. This will be displayed to students while attempting the

exam. Select the Image: To add an image to this question, the admin must browse and select the image.

The image path will be displayed in the Path: field.

The next step is, click Add Answers to add answer to this question.

For descriptive type of questions a text box is provided to type answer. The answer typed here is an ideal answer to help examiner compare the students answer against this and accordingly give marks. This answer will not be displayed to the student.

EDIT FUNCTIONSThe system allows an admin to edit the following:

Edit Exam: Editing exam allows and admin to change the setup within an exam. These could be:

Changing the number of questions to be included within the exam Changing the marks assigned to each question. Changing the attributes of the exam.

Edit Questions: Editing questions only allows admin to only make changes to the questions within an exam. There are no changes done to the exam setup. The types of questions that can be edited are:

The Edit Exam screen is displayed with details of the exam. The details of each field is mentioned and these can be edited or changed by admin:

Edit Question and Answer

To edit an exam on Manage Exam screen, click Manage Questions link under Manipulate Questions column.

The Manage Questions screen allows you to manage all the questions for an exam. The details of the fields, links, and columns displayed on this screen are mentioned:

Navigation links: The navigation links like First Page, Previous page, Next page and Last page allows admin to move pages of questions.

Add New Question: This link allows admin to add a new question to an exam. Questions column: This displays the existing questions for the exam. Question Type: This displays the type of question i.e. single, multiple. Delete Question: This is a check-box field. It allows admin to delete a question from an exam. Edit: This is the link allows admin to edit the content for a question.

We will see how an admin can edit all types of question through the edit link.

DELETE FUNCTIONSThe admin can perform delete function for:

An exam. Questions within an exam. Answers within a question. Example answer options for single and multiple questions.

Delete exam

To delete exam, follow the screens and steps.

1. On Manage Exam screen, click the link under Title column.

2. On Edit Exam screen, click Delete Data. The exam details will be delete and no longer displayed on Manage Exam screen.

Delete question(s)

To delete question(s), follow the screens and steps.

1. On Manage Exam screen, click Manage Questions link under Manipulate Questions column.

2. On Manage Questions screen, select the check-box under Delete Question column for the question(s) to be deleted.

3. Click Delete selected Records. The questions will be deleted for the exam.

NOTE: To delete all the questions on a page admin should click Select All, and then click Delete selected records.

Delete answer(s)

Admin can delete answer(s) only for Single Choice and Multiple Choice questions. To delete answer(s), follow the screens and steps.

1. On Manage Exam screen, click Manage Questions link under Manipulate Questions column.

2. Click Edit link, for Single or Multiple choice question.

3. Click Delete to delete the answer. The deleted answer will no longer be displayed as an option for the question.

TIPS FOR PASSWORD SET-UPTo make the password more secure, easy to remember, and difficult to guess it is suggested that below points should be considered while setting-up password.
