Each worksheet is labeled to guide you. The only libraries which are required to fill out the last two worksheets are those libraries who are using a Sirsi Unicorn or Symphony ILS and will be interoperating with Navigator via their Z39.50 server.
The worksheet labeled "Institution Entities" is used to collect the information that OCLC will use to populate the NRE (Navigator Request Engine) Locations database.
Instructions:
Please fill in the spreadsheet with the appropriate details for all of the entities within the institution that play a role in the consortial borrowing function.
These entities may be:
A single entity may perform one or more of these rolls. However, it only needs to be listed in the spreadsheet once.
Explanation of spreadsheet fields:
You do not need to assign a display name to a pickup location that doesn’t also act as a borrower or lender.
Institution: At the top of the spreadsheet, please enter the general institution name, such as Northeastern University, Boston Public Library, etc.
· A borrowing agency that receives and returns loaned items. Patrons will “belong” to a borrowing agency.
· A lending agency that will use NRE to ship requested loan items and manage the check-in of the material at the end of the process.
· A location to which patrons may request items to be sent for pickup.
Name – The name of the entity that will manage requests on behalf of users, lend items or serve as a pickup location. There is a limit of 240 characters.
Library Type - Public, University, State or Special. If none of these types describes your library, enter a generic term describing your library.
Function – Choose the function the entity will perform for consortial borrowing:
· Borrowing and Lending
· Lending
· Borrowing
· Pickup
This list is in priority order. If the entity performs more than one function, choose the one that comes first in the list. For example, if the entity manages the lending function but also serves as a pickup location, choose Lending.
Display Name – A shorter form of the entity name. This name should be 40 characters or less. This is the name used in the brief details display in NRE to indicate the borrower and current lender:
Address: Delivery – The address to which items you borrow should be sent. Fill in as many fields as appropriate. If the entity is a pickup location, enter its address in this field.
Address: Return to – The address to which items you lent should be returned, if different than the Delivery address. If the address is the same as the Delivery address, you do not need to repeat it.
Any other data – Notes or information you think should be considered in configuring the location.

Availability StatusShelf LocationAvailable to Consortial Borrowing? (Y/N)
In order to determine if a requested item is available at your library, NRE needs to know the availability and status terms or labels that your ILS uses. In the table below, please list all the availability status terms used in your catalog (such as On Loan, On Shelf, Missing) and indicate if items with that status can be requested by other members of your consortium. Additionally, whether an item can be requested from your library may depend on the combination of status AND shelf location, we provide a column for you to indicate when this interdependency exists in your lending policies.
Shelf Location Spreadsheet
When the Item Availability Service searches your OPAC and indicates to NRE that an item is available at a certain shelf location,NRE matches the shelf location to an NRE entity which performs lending functions. This is how the lender lists are built.
The shelf locations are the text that shows in the Location column in your OPAC.This example is from the Boston Public Library:
The purpose of this spreadsheet is to collect the shelf locations for your institution and link them to an entity on the Institution Entity spreadsheet.
Do not include shelf locations of non-circulating items. If in doubt or if some items circulate and others don't, the shelf location should be included.
You may be able to get a complete list from your OPAC system administrator or from your OPAC vender.
Instructions:
Shelf Location: The exact text from your OPAC. Do not include any beginning or ending spaces.
Entity Name:It is expected that the same entity will manage numerous shelf locations. The name of the entity (from the Institution Entity spreadsheet) that will manage the lending
