Welcome to AccredionThe LOC of the ETU Triathlon European Champion-ships Weert 2019 have chosen Accredion as the event’s official accreditation platform. In this manual we provide you with clear information about how to work with Accredion for your organization, delegation or team.

To ensure a smooth accreditation process and a successful triathlon event in Weert, we kindly request you read this manual carefully.

You will be invited to sign up for an Accredion account by email. After signing up and logging in for the first time you will immediately have access to your Team Dashboard.

Accreditation deadlines

Your role as Team HeadYou have been appointed Team Head for accreditation of your organization, delegation or team. This important role comes with 3 key responsibilities.

To invite all individuals who attend the event under your responsibility to apply for accreditation.

To review their applications before the review deadline.

To ensure they all apply before the application deadline.

All accredited individuals at the event should submit their own application for accreditation upon your invitation through Accredion.

This is to ensure correct information, make people’s personal data easily accessible to them and allow them to update or remove it if they wish so. This is in line with the EU General Data Protection Regulation.

Note that this means it is not possible to submit applications on behalf of others.

The dashboardAfter loggin in, this is what your dashboard will look like.

Click on Send invitation to start inviting your delegates to

apply for accreditation.

Here you can see in which category/categories you can

invite delegates. Tip: Click on the category so see which

access it grants at the event.

Through this link you can see all applications submitted within your Team.

Through the Create application button you can create your own application.

Step 1 Invite your teamOn the dashboard, click on Send invitation to start inviting

your delegates to apply for accreditation.

Here you can add a personal message to the invitees, or a

message in your native language.

You can invite multiple people to apply in the same category at once. Use one valid email address per line. Tip: To invite people in different categories, send your invitations in one category and repeat this process for a different category.

If you have access to invite people in multiple categories choose the

category in which you want to invite people to apply.

Step 2 Check!You can see the status of people’s application progress on the

Invitations tab in the left hand menu.

Here you can see the deadline before which they are supposed to apply.

Here you see all people you invited along with the status of

their application.

You can revoke an invitation by clicking on the three dots.

Accredion does not send out email alerts when new applications come in. Please check regularly!

Step 3 ReviewOnce submitted, you can see people’s applications under

Accreditation > Overview. This is what an application looks like when opened.

Here you can see the full details of the application.

FYI: It is not possible for Team Heads to see passport/ID details of applicants.

Here you should change the status of the application, e.g. accept or reject it. If an application appears to contain incorrect information, set it back to Incomplete. The applicant can then correct the applications and submit it again.

The applicant will be informed of a status change by email!Make sure you either accept

or reject people application for accreditation before the review deadline of 17 May!

The application processThis page describes the application process people go through once you invited them

The applicant will receive an automatic email that contains your invitation and instructions to sign up for Accredion.

The applicant will create an account on Accredion. After loggin in, he/she will immediately have access to apply for accreditation in accordance with your presentation.

Tip: An applicant may decide to save his/her application in draft. You will see Incomplete application on your overview. You cannot review an incomplete application.

Once you have reviewed the application, the applicant will receive an email with either a confirmation (Approved!) or a rejection notification (Rejected!).

Tip: The applicant can download a convenient pick-up voucher from his/her dashboard, which can be used to speed up the process of picking up the accreditation badge at the event.

The applicant will submit the application form, which asks for:

• First/last name • Phone number • Country of residence • Photo • Passport/ID details • Race number (optional)
