What is FlexiCall?

FlexiCall is a call/product management system that allows the same information to shown and updated between multiple devices and across multiple platforms in an efficient and clear way.

1. Flexicall Solo – Linking up to 5 Devices together, low cost for the smaller business.

2. FlexiCall Client. – Like the solo version but uses the Server below to support more devices

3. FlexiCall Server – This is the application that manages the devices.

4. FlexiCall Webasp – These are sample pages that allow your customers to interface directly with you via the Web. E.g Support call logging, or supporting information.

What is a call or product management system?

FlexiCall offers the opportunity for those people remote from the office to view, amend or add to a list of products, or calls. E.g

• You could have salesmen on the road selling large machinery. Each time want to make a sale they have to ring into the office. With FlexiCall they have that list with them, and clearly see any new items added onto it. They make the sale it drops off everyone's stock list.

• You could have 5 engineers working an area. Each time they finish a call they then have to ring the office to get the next job. With FlexiCall, they have the list with them and can pick the next call. The office have the advantage as they can see where the engineers are and how long they take on calls..

FlexiCall has its own internal Email editor. Allowing you to receive and send emails between devices on the network or to email addresses outside of the network.

It allows you to view your incoming mail or to see messages you have sent to other people.

You can Forward, Reply or resend messages from FlexiCall.

Key Features – Alerting you to New messages

Its important to know when you have new messages. When it is an update to a call or Product then FlexiCall will beep to indicate a new message has arrived.

FlexiCall also indicates on the main buttons if there are new calls. To view those new calls FlexiCall highlights them or lets you do a search to select them.

Key Features – Set-up Wizard

When you first install FlexiCall, it is important to enter your email details correctly so we try to ask the basic questions to give you a flying start. These include you username, email settings and other devices on the network.

Key Features –Record ID’s

To avoid duplication of record numbers, unique numbers and references are created using a combination of Letters, machine id, time and date of creation.

This provides security as well as the ability to check a message.

FlexiCall uses structured email to pass the information allowing records to be queued then received when you are ready. This also allows for integration with other corporate systems.

FlexiCall will check for messages at fixed periods, allowing you to control the frequency and cost of retrieving messages.

Call Queue.

A call queue can be a list of outstanding calls, visits or jobs that require doing.

Calls are divided into 3 categories. UNALL for unallocated calls, OPEN for those calls currently being processed. CLOSED for those calls completed.

Any new UNALLocated calls that have not been read are shown in BOLD enabling you to see unread calls.

Call Details

The actual call details are divided into 5 sections. The first contains the basic details. The labels and drop down contents are configurable, allowing flexible use of the system. This example shows a support call database.

Where you see the Mem No/Ref, this ID in this example begins ID, with FlexiCall you can request the server to update or send if you do not have the information in the Customers section (Not on Solo Version). This can be configured dynamically to check for the existence of the record after receiving the call detail and if not then to request it.

Call Details - Info

This screen gives you a summary of the basic information.

Notice the Take Call Button. Clicking this button then changes the status of this call to OPEN. It also sends a message out to all the other devices to notify them that the call is now being dealt with.

The call lists are sorted by priority and the date/time

Call Details - Question

Next we have the question or the instruction section.

This is also where can post the answer. This then allows a database of question or answers and it also allows formatted responses to go out either as an email or fax if so configured when the call is closed.

Where using the web interface to post calls into FlexiCall, it can allow you to post an answer which would go directly back to the customer without having to talk unnecessarily to them, ideal if you are operating out of normal working hours.

Call Details – Contact details

Should you need to contact a customer or have additional notes on what protocol should be used, then FlexiCall offers you a choice of options. Either by ringing them, faxing them, or emailing them.

FlexiCall also identifies where the message was posted from so should you be unsure you are able to contact the person who posted the message.

Call Details – Closing the call

Notice the Call Completed Button. Clicking this button will change the status of the call from OPEN to CLOSED.

This again sends a message to all the other devices to close the call.

Once closed the calls can either be deleted from individual devices but held on others including the main server, or other master devices such as the office supervisors PC. Or archived into a separate database on the mobile device.

Messaging

No mobile device in use out in the field would be complete without a messaging ability. This allows sales figures, technical updates, news, or internal mail to be delivered and stored to individual or all devices at the touch of a button.

Because of the formats used existing corporate systems could generate information directly into the FlexiCall system.

External Emails can also be read and sent directly from Flexicall. You also have facilities such as replying, forwarding or resending messages.

Customer Lists

The final aspect of FlexiCall, is the ability to hold a list of Customers or members which is replicated where necessary across all devices, enabling verification of details, warrantees, subscription and other information relevant to customers.

The list can be searched, and individual records selected.

Customer Lists – Main Detail

Here you can see the basic details. On this screen you have the option to Log New Call, this opens a new call as previously mentioned but transfers key information for you to save time.

With FlexiCall you need not have all your customer records on every device. The FlexiCall software allows you to call records down based on a logged Call or by entering the ID code for that specific record.

FlexiCall allows you to store various contact details, and also to using its internal messaging system send messages in the form of emails directly to customers.

One of the great strengths in FlexiCall is in minimising the information that is passed between devices. Using the Category option you can on the FlexiCall server specify what information goes to which device e.g Region 1, Region 2 etc. The same applies with the Calls as well. You can have devices that receive all the information and them forward it to other areas.

The final aspect of the customer record involves dates, and for sales reps can enable them to plan or store when they are next due to visit a customer. This information can then be reported on using various products back at the office to improve customer service and exceed customer expectations.
