HR Approved by: Maritza Vega Effective Date: 12/29/2015 Job Summary: Under general direction and supervision the HRIS Coordinator performs data entry and maintenance for the Company’s HRIS system. This generally includes employee information and must meet a range of standards, including proficiency in Excel, Access and Crystal Reports. The HRIS Coordinator will also function as a link between various departments, ranging from payroll to management. Essential Duties and Responsibilities include the following, other duties may be assigned. Conduct audits of various HR programs or services. Process HR Metric reporting including turnover, time to fill etc. Responsible for conducting annual Federal and State reporting. Responsible for processing annual notices to Employees. Maintain shared folder on Network Drive to ensure effective communication with employees and management. Process benefit enrollments, changes and terms, reconcile bills, and coordinate COBRA. Conduct all data entry into HRIS system and conduct routine audits to ensure the integrity of the data. Coordinate and monitor information entered into the HRIS system. Maintain discretion in matters of confidentiality. Assist with various research and/or special projects or reports. Manage all data entry for Personnel Action Forms for both hourly and salaried employees. Maintain the accuracy of all employee files. Assist with processing payroll for Admin and Field Staff. Serve as a liaison between Payroll and all employees by troubleshooting payroll questions and request. Manage file retention which includes active employees, I9s, termination files etc. Record all unemployment claims and process initial response as directed. Process and track all Family Medical Leaves, Personal Leaves and other leaves as directed. Ensure the data and accuracy of the Vacation Calendar on SharePoint and assist in the transition of online vacation request into the HRIS system. Assist the IT Manager, as directed, in enhancing the use of the HRIS system.

EDUCATION and/or WORK EXPERIENCE: Associates Degree in Information Systems with general understanding of employment law and other government compliance regulations is preferred. Equivalent combination of education and experience is also fully qualifying. Understanding of data management. Understanding of office file management. Intermediate to advance proficiency in Excel, Access and Crystal Reports. Basic understanding of Payroll solutions and processing preferred. KNOWLEDGE, SKILLS AND ABILITIES Excellent organizational and interpersonal skills. Effective written and verbal communication skills. Excellent customer service skills. Ability to prioritize and demonstrate a high level of accuracy with an attention to detail Able to manage multiple priorities, meet deadlines, and follow through on work assignments with minimal supervision. Critical thinking skills and an ability to work independently and as part of a team are essential. Ability to exercise discretion, initiative and good judgment. Bilingual (English-Spanish) strongly preferred. Physical Requirements Essential and other important responsibilities and duties require maintaining physical condition necessary for walking, standing and sitting for prolonged periods of time; may be required to push, pull, bend, lift light to moderate objects (10 lbs.), carry, reach, and stoop; finger dexterity is essential. Maintain mental capacity that permits making sound judgments regarding work and have regular attendance.
