We are honored to be hosting the New Mexico Municipal League’s Annual Conference once again. You will be thrilled to see the $23 million renovation of the Convention Center. The Albuquerque Convention Center has a new look that represents the unique architectural elements of our region. The City of Albuquerque selected a local architecture firm, to develop a design reflecting Albuquerque’s history, art, culture and environment. This year you will enjoy direct access to the West Building from Civic Plaza and Third Street. The renovation includes a new exterior façade, complete remodeling of the ballroom including a new entertainment deck off the ballroom. The West building has massive windows with panoramic views and the lower level atrium has been converted to “Albuquerque’s Living Room” including a fireplace and comfortable seating. Last but not least the kitchen has been totally remodeled and includes a tasting room.

The Convention Center Management Group (SMG) is now also managing events on the Civic Plaza, and NMML will be one of the first to enjoy a Welcome Reception on the Plaza catered by SMG. So come and enjoy our new Convention Center, and all that Albuquerque has to offer. Welcome back!”

Dr. Lowell B. Catlett, Regent’s Professor at New Mexico State University (NMSU), and Dean and Chief Administrative Officer for the College of Agricultural, Consumer and Environmental Sciences.

Events

Conveniently located near UNM and all Albuquerque hospitals, Casa Esperanza can accommodate 28 families at a time, providing appropriate housing and emotional support for cancer patients and their families who reside temporarily in Albuquerque while the patient receives treatment. Join us on Tuesday, September 1st, to help with general cleaning, gardening, painting, and preparing a dinner for all residents for that night. Lunch will be provided. Bring your grubby clothes and work gloves and meet me in the lobby of the Downtown Hyatt at 10:30 a.m. We will carpool over to the facility, and engage in some very meaningful work. Elected officials will receive one credit towards their Certified Municipal Official (CMO) certification or recertification. – Randy Van Vleck, NMML General Counsel

COMMUNITY PROJECT - Casa Esperanza - Tuesday, September 1st, 10:30 am – 3:00 pm

Enjoy a golf outing at Albuquerque’s West Side newly renovated Ladera Golf Course located at 3401 Ladera Drive on Albuquerque’s West Side near Coors and I-40. The outing will take place on Tuesday, September 1st. Teams will be determined by blind draw. Your Golf Outing registration includes lunch at the course restaurant at 11:00 am and participants will be accepted on a first-come first-served basis. Register early to secure your spot!

DELEGATE GOLF OUTING - Tuesday, September 1st, 11:30 am

The fun begins at the Tingley Beach parking lot (Central/Tingley Drive). Meet us there at 6:30 am to check-in or to sign up.

The run/walk starts at 7:00 am and will take us on the new crusher fine trail north through the Bosque along the Rio Grande River, then we will gather on the river deck after the run/walk for breakfast! This event will be held rain or shine.

5K FUN RUN / 3K WALK - Thursday, September 3rd, 6:30 – 8:00 am

Our Welcome Reception will be held at the Albuquerque Civic Plaza where you will enjoy several exhibits, live music, hors d’oeuvres, beverages including a sampling of a few New Mexico micro-breweries, and conversation with friends. No transportation involved, just walk across the street from the Convention Center and Hyatt!

EVENING SOCIAL – ALBUQUERQUE CIVIC PLAZA - Wednesday, September 2nd, 6:00 – 8:00 pm

Unlike a costume party, the masquerade is all about mystery. Playing on the decadence of disguise, guests will wear facemasks that allow all to mingle, and forge new relationships as strangers, whether with close friends or new acquaintances. This Masquerade Ball will encourage guests to conceal their identities from one another during the cocktail hour, ending in the unmasking and followed by a dinner and dance. Music will be provided by the fabulous “Red Wine” Variety Band. Come out for a night of mystery, cocktails, dinner and dance!

OPERATION OF EQUIPMENT DURING EXHIBIT HOURSThe continuous operation of equipment that includes loud noise, flashing or strobe lights, or any objectionable device will not be allowed during exhibit hours. A brief demonstration of such devices in the presence of a customer is allowed.

EXHIBIT PAYMENT & REFUNDSThe full amount for exhibit space is due upon receipt of the signed Exhibitor Agreement & Registration Form on page 7.In the event an exhibitor must cancel his/her company’s participation in the show, a letter must be received at the NMML office to that effect by 5 pm on Tuesday, July 28, 2015. Upon receipt, a refund of the exhibit fee minus $150 cancellation fee will be processed. No refund will be made after July 28, 2015.Note: Sponsorship fees are non-refundable.

SPACE ASSIGNMENTBooth allocation will be assigned at the sole discretion of the show management and will be based on the date of receipt of registration and payment, with priority given to regular exhibitors and contributing sponsors. No space will be held until payment is received in full. NMML reserves the right to accept or reject without reason any exhibit agreement. Should it become necessary for any reason, NMML also reserves the right to reassign exhibit space.

UNOCCUPIED SPACENMML reserves the right to rent or reassign any booth space that is not occupied after the first hour of the show’s opening.

USE OF BOOTH SPACEExhibitors shall reflect their company’s highest standards of professionalism while maintaining their booth during show hours. No exhibitor shall assign, sublet or share booth space without prior NMML permission.

CONVENTION SERVICES OF THE SOUTHWESTConvention Services of the Southwest (CSS) is the official Exhibit Show Manager. After your registration and payment has been processed by NMML, your contact information will be sent to CSS. They will email you login information to access additional services that CSS has to offer. If you do not receive this information please call them at 505-243-9889.Note: CSS is responsible for inbound and outbound shipping. Refer to details below.

SHIPPINGDirect shipping to the Albuquerque Convention Center is not applicable. All shipping must go through Convention Services of the Southwest (CSS). If the facility receives show freight, it will be consigned to CSS and the exhibitor will incur drayage charges. The Albuquerque Convention Center will not accept any outbound shipping responsibility. Additional information including fees will be on the electronic service kit that you must access from the CSS website using your login information.

ELECTRICITYElectricity will be provided by the SMG Management – Albuquerque Convention Center. The form will be included in the electronic service kit that you must access from the CSS website using your login information.

FOOD SERVICENMML reserves the right to provide food and beverage service during certain hours in the exhibit area. No free samples of food or beverage may be given away or otherwise distributed by any exhibitor without prior written approval by NMML.

HOSPITALITY SUITES & OTHER EVENTSAny firm or organization wishing to host a hospitality suite or any other event in conjunction with the NMML Annual Conference must seek NMML prior approval and agree to purchase a sponsorship at the minimum level of a $1,500 Silver Sponsorship. NMML must be informed of the dates, times and locations for these events in advance, and said events may not conflict with any Conference activities.

SECURITY & LIABILITYBasic overnight security services will be provided by the Albuquerque Convention Center. The exhibitor agrees to hold the Albuquerque Convention Center and NMML harmless and to indemnify the Albuquerque Convention Center and NMML against claims or liability arising out of the actions, fault or negligence of the exhibitor, its agents or employees, prior to, during and after the exposition. NMML and the Albuquerque Convention Center shall not be responsible for any loss, damage or injury that may happen to the exhibitor or the exhibitor’s agents, patrons, guests, employees or property from any cause whatsoever (unless occasioned by the sole willful or gross negligence of NMML or the Albuquerque Convention Center) prior to, during or subsequent to the exposition period. The exhibitor hereby releases NMML and the Albuquerque Convention Center from, and agrees to indemnify them against, any and all claims for such loss, damage or injury.

Please make your reservation by calling the hotel of your choice directly. The main block is at the Hyatt Regency, and we have a smaller block at the Andaluz (1 block walk). All standard rooms are priced at $83 + tax/night, single or double. Please note the different cut-off dates for each hotel; you must make your reservation before then to be eligible for the government rate. Reservations are on a first-served basis and rooms may sell out prior to these cut-off dates.IMPORTANT: The Hyatt will require a 1st night non-refundable deposit at the time of reservation.
