About the Oklahoma Statewide Autism Conference

The Oklahoma Autism Network at the University of Oklahoma Health Sciences Center collaborates with many

of the state’s autism organizations to plan the annual statewide conference on Autism Spectrum Disorder

(ASD). The conference brings together families, health professionals, educators, and advocates.

Vision and Goals

The conference is a step in implementing the vision outlined in the Individuals with Autism and Their Families,

Oklahoma Plan. The vision within the Oklahoma Plan is that Oklahoma has a system of support for people

with ASD and their families, and all professionals working with people with ASD understand the disorder,

provide contemporary and effective services and receive ongoing professional development that is based on

the most up-to-date evidence-based information. Our goals for the conference are:

programs, families and advocates, and community programs, healthcare professionals and childcare,

early intervention and school personnel;

3. To increase awareness and knowledge of needs, interests, and solutions that result in meaningful

change and community participation for individuals with ASD and their families; and

4. To promote collaboration between the autism organizations in Oklahoma.

Exhibitor Terms and Conditions

1. Exhibit Space Description: Each exhibit space includes a 6 foot skirted table with two chairs, and a waste

basket in the designated exhibitor area of the Sheraton Midwest City Hotel at the Reed Conference Center .

Electricity is available upon request.

2. Exhibit Setup and Dismantle: Exhibit setup will be on Monday, November 12, 2018 starting at 6:00 pm at

the Sheraton Midwest City Hotel at the Reed Conference Center. Exhibits will open on Tuesday, November 13,

2018 from 7:00 am to 5:00 pm. Dismantling must be complete by 6:00 pm on Wednesday, November 14, 2018.

3. Exhibit Storage: Due to the layout of Hotel, storage space is not available for display material and/or show

merchandise. All related equipment, crates, trash, etc. must be removed from the premises no later than 6:00

pm on Wednesday, November 14, 2018.

4. Payment for Exhibit Space: Credit cards and Checks are accepted. The Exhibitor Terms and Conditions must

accompany the application. If paying with a check, mail application with check. Do not mail checks separately.

5. Host of the Conference: The Sheraton Midwest City Hotel at the Reed Conference Center will be the host for

the Oklahoma Statewide Autism Conference. A block of rooms have been reserved. The special room rate will be

available until 5:00 pm on October 26, 2018 or until the group block is sold-out, whichever comes first. Ask for

the conference rates.

6. Right to Refuse: The Oklahoma Statewide Conference reserves the right to refuse exhibitor space.

7. Hold Harmless Clause: Exhibitor or third party representative shall be fully responsible to pay for any and all

claims and damages and agrees to indemnify the Sheraton Midwest City Hotel at the Reed Conference Center

and the Board of Regents of the University of Oklahoma, their owners or managers, for such claims or damages

which result from any act or omission of Exhibitor or third party representative. Exhibitor or third party

representative also agree to defend, indemnify and hold harmless Sheraton Midwest City Hotel at the Reed

Conference Center, the Board of Regents of the University of Oklahoma, and their respective owners, managers,

officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from

their use of the property, including attorney fees and expense. Exhibitor’s or third party representative’s liability

shall include, without limitation, all losses, costs, damages, or expenses arising from or out of or by reason of any

accident, property damage, bodily injury or other occurrences to any person or persons or property, including

the Exhibitor or third party representative, its agents, employees, and business invitees which arise from or out of

the Exhibitor's or third party representative‘s occupancy and use of the exhibition premises, Hotel or any part

thereof.

All sponsors receiving benefits including the use of their logo must email their logo to [email protected]

upon submission of this agreement. All efforts will be made to include this logo and company name in the

2018 Oklahoma Statewide Autism Conference per the level of described benefit, but no guarantee is made or
