Welcome to the Richmond Rapids Swim Club

Our organization offers a progressive and balanced approach to the instruction, training, and competitive experiences of all our young swimmers. We have programs available to suit children of all ages and abilities. Our mission is to provide a competitive swimming experience for swimmers, enabling them to realize their personal potential in a fun and safe environment.

We have a committed coaching staff that strives to inspire great character and integrity in each of their athletes. Our goal as a team is not only to create great athletes, but to also create outstanding individuals. We want our athletes to succeed in all aspects of their lives: academically, athletically and socially. Our staff goes to great lengths to stress the importance of hard work both in the pool and in the classroom. The skills and ethics taught by the Rapids staff are ones that each athlete will be able to carry forward for the rest of their lives. The hope is that these skills will allow them to be better equipped to handle all the challenges that they will face both in the pool and in life.

Our program is divided between two pools in Richmond. The Minoru Aquatic Centre is where we run the Richmond Rapids Swim School. This program handles most of the 10 and under athletes within the Rapids program. Watermania houses our main competitive programs. This includes our young introductory swimmers all the way up to our Senior National athletes.

The Rapids Swim School is an innovative learn-to-swim program of incredible quality. The program’s methods teach children to swim more efficiently and in less time than traditional programs. The Rapids Swim School is a program dedicated to teaching children to swim well in a fun, challenging and rewarding atmosphere. Our young athletes are taught the basics of the four swimming strokes: front crawl, backstroke, breaststroke and butterfly, as well as competitive swimming starts and turns. Our swim program is fun and motivational, and allows participants to track their progress throughout their swimming lessons with the use of skills charts and report cards.

The Age Group program of the Richmond Rapids emphasizes technique in all groups. Our coaches implement a program that teaches balance, core development, propulsion, starts and turns. Age Group swimmers (14 and under) are provided with critical instruction in these areas that becomes the foundation for success at the senior level (15 and over). The Rapids promote long-term athlete development with continuous improvement as the swimmers move through their career. This enhances desire, motivation, and opportunity for improvement at the senior level of competition.

Returning Member Registration Instructions Defined as a child registered as of June 1, 2018. This does not include summer program participants. STEP 1: Read the Registration Package. Program descriptions, schedules, club policies, PPP information are stated in this document. STEP 2: Review the Registration Fee Payment form. Registration fees, payment schedules and Parent Participation Point requirements are stated. This form is emailed to returning members in July.

A. Review basic mailing and contact information on this sheet. If any changes are required please email [email protected] immediately. PLEASE Review the program descriptions in the registration information package.

B. Circle a payment option. If paying with a credit card, fill in the required credit card info on the form. a. This is only required if your credit card information has changed or needs to be changed from

the 2017-2018 season. C. Post dated Parent Participation cheques as shown on the form or in the registration package is required

for all groups (except Youth Fitness). PPP cheques are only required if paying for training fees with cheques or cash.

STEP 3: Register your child(ren) via the online registration on the Rapids website. Registering on-line does not guarantee your spot in the group. The online system is considered a RESERVATION.

A. Online registration will be available from July 30 to August 17 for returning members. Online registrations will be forfeited if all requirements are not met by Sept 1.

B. Fill in all required fields, any medical information that coaches need to be aware of including food allergies as well as emergency contact information.

C. Rapids Swimmer/Parent Code of Ethics form, the Parent Protocol agreement, Swim BC Release form and Rapids Team Travel forms are signed electronically via the online registration.

D. Make sure to have your child’s active pass card barcode. You will need to enter this number during the online registration.

Important Notes: A. Group size is based on lane space and coach availability. Therefore, returning members are not

100% guaranteed a spot. B. All outstanding fees from the 2017-2018 season must be paid prior to or during registration.

STEP 4: Team Swim Suit & RAPIDS Registration Completion

A. Attend the returning member registration on August 21 or 22 and place your Arena Team training suit order.

B. Hand in the registration fee payment form with all required post date cheque payments or updated credit card information.

C. Once the club registrar processes your registration, members will be sent a login instruction email. This confirms you have completed your Rapids registration.

STEP 5: Swimming Canada Registration

A. In September, an email from [email protected] titled Swimmer Registration Confirmation Please check your junk/or spam mail folders. Login & review the basic swimmer and contact information. Email [email protected] if any info is not correct. Completing this step ensures your child is fully registered and insured with Swimming Canada.

New Member Registration Instructions Includes summer program participants

STEP 1: Complete an Assessment

A. Drop in for an assessment with your child. Assessment/ registration dates are shown below. a. 2018 Summer Camp Participants do not require an assessment b. 2018 Rapids Summer Swim School participants will require an assessment.

B. Location of the assessment does not determine the location of the practices. C. Fill out an assessment form have your child assessed by a Rapids coach.

STEP 2: Rapids Registration Fees and Forms

A. Review the Registration Information Package and the group description & schedule for your child’s assessed level.

B. Pick up a registration fee payment form provided by Rapids registrar. C. Fill in basic contact information on the fee payment form and circle a payment option. D. Fill in required credit card information if paying selecting Option 3 or 4. E. Hand in all required post dated cheques this includes Parent Participation point cheques for those

selecting option 1 or 2. F. Sign & hand in the Rapids Swimmer/Parent Code of Ethics form, the Parent Protocol agreement, Swim

BC Release form and Rapids Team Travel forms in the Registration package. G. Fill out and submit the Seasonal PASS form to the cashier at Watermania. Your child will need to be

present to get a picture taken for their active pass/ gate scanner card for entry to Watermania or Minoru pools.

H. Have your child sized and place an order for a team training suit at the registration.

STEP 3: Rapids Website Login and Swimming Canada Registration A. Once the Rapids registrar receives and processes your registration, you will be sent login instructions

for the Rapids website. Your account is now activated. B. Login and review the MY ACCOUNT section of the website. If any information is not correct please

email [email protected]. C. Update all the information under Billing Information, Guardians, and Insurance/Emergency Contact

tabs. Fill in all fields. Then click the “Save Account Changes” button. The emergency contact and medical information on the club website is very important. It could save your child’s life. Please take the time to fill it in.

D. Include your child’s BC Care Card Number in the “Medical Information/Notes” field. E. Please take some time to familiarize yourself with our website. F. An email from [email protected] titled Swimmer Registration Confirmation will be sent to you.

Please check your junk/or spam mail folders. Create a password, login & review the basic swimmer and contact information. Email [email protected] if any info is not correct. Completing this step ensures your child is fully registered and insured with Swimming Canada. Review the start date for your child’s program and support them to Learn and have fun!

General Information Registration Notes Returning members must reserve their space via the online registration. Online registration closes August 17. Postdated training fee & PPP cheques and the registration fee payment form are due by August 22 for returning members. Registration is not considered complete until all forms and fees and swimsuit order is provided. Any outstanding fees from the previous season must be paid in full. Swimmers can only begin swimming once their registration is complete. Starting August 25, space in each group will be open to new members. Start Dates Minoru Groups Monday, September 10, 2018 – RSS 1A/B, 2A/B, 3A, 4A, 5A at Minoru Aquatic Centre Tuesday, September 11, 2018 – RSS 1C/D, 2C/D, 3B, 4B, 5B at Minoru Aquatic Centre Monday September 24, 2018 – RSS 3E Tuesday September 25, 2018 – RSS 3F Watermania Groups Monday, September 11, 2018– at Steveston Outdoor Pool (please refer to Steveston training schedule). Monday, October 1, 2018 – all Watermania groups return to their regular schedule at Watermania Pool Communication Families must provide an email address at registration. Information will regularly be e-mailed to each family. Information will be posted on the club website or Twitter account, passed out on paper, or posted on club notice boards at Minoru and Watermania. Please call/email the Rapids office or talk to your swimmer’s coach if you have any questions. Family Membership All swimmers are members of the Richmond Rapids Swim Club. Each family is entitled only one vote at the Annual General Meeting. Parent Participation Points (PPP) A full explanation of the parent participation point system follows at the end of the registration package, with values and job listings in the Rapids Parents Handbook (Available on the Rapids website). Please note that Officials and Judges need special training. Specific officiating clinics will be offered during the season to learn these positions. Billing On the 1st of each month, every account will have an invoice created and subsequently emailed to them. Fees shown on this invoice are for the previous month of swimming. For example, the October 1 invoice reflects the fees for September. Members are able to view all transactions made to their account by logging onto the website. Members are obliged to maintain their account in good standing with the club. Failure to do so will result in a review of the account’s membership by the Board of Directors and Director of Swimming. Any refundable fees will be processed and refunded at the end of the swim season or termination of membership. Credit Card Payments Accounts that have provided a credit card for billing will have the total shown on the monthly invoice processed within the first 5 days of the month. A receipt of the transaction will be emailed to the account’s primary email address. Credit card payments will no longer be processed via the Rapids website. The Rapids registrar will process all payments. Any changes to members’ credit card information must be sent directly to the club registrar. A credit card authorization form is posted in the Parents section on the Rapids website

Payment Options There are four options in paying the required fees: two by cheque (or cash), and two by credit card, either annual or monthly. Please review the registration instructions on page four for a description. Annual payments made by cheque only, starting in September, are entitled to the account to a discount of the training fee only. Parent Participation Points are not included in these 2 payment options. Please ensure that both the full name of the swimmer(s) and group level are on each cheque. Please note that the Swim BC fee, first month training fees, and June training fees are non-refundable. Non-Sufficient Funds Cheque & Declined or Expired Credit Card Fee $25 will be charged for any NSF cheques. Any credit cards that fail to process due to being expired or declined will also be subject to the $25 fee. If two NSF payments or declined credit card payments occur during the season, a certified cheque or bank draft will be required and the family will be required to keep their account current each month. Description of Fees Swim BC & SNC Fees These are non-refundable fees collected from each swimmer and remitted to Swim Canada and Swim BC on behalf of the swimmer. This fee also pays for your child’s insurance for the year. Please note that any swimmers that graduate from the RSS program to a competitive Watermania group will have their insurance upgraded from the non competitive to competitive category. The subsequent difference in fees will be charged to the members account. Families that register three or more swimmers can receive a rebate by returning the appropriate form, available in the Swim BC registration package. Training Fees Training fees cover pool, coaching and administrative costs for the swimmers. There is a 50% reduction in the training fees for the 3rd, 4th, 5th, etc. swimmer registered for the year from one family – this discount is calculated according to the lowest training fees applicable to the family. Training fees for the first month of swimming and the month of June are non refundable. Advance Fees The advance fees are used to cover, at least partially, costs charged to your account during the swim season (i.e., meet fees, equipment orders, social events). Any charges above the monthly fees paid will be billed to the swimmer’s account. Advance fees are not required if paying by credit card. Meet Fees (for AGD1, RD White and higher) Every time a swimmer competes in a PASS, Regional or Invitational meet, the host club charges a fee for each event that they swim. The club pays these fees on your behalf. At the completion of the swim meet, all meet fees incurred are then charged back to each member’s account. Qualified swimmers are automatically entered in all local meets. A coaching management fee is added to the individual meet entry fees for each swimmer. Travel meets must be paid for by cheque. We will not accept payment via credit card for any travel meet. Swimmers not able to attend these meets are expected to scratch (notify) the Club by phone or email before the deadline, or they will be charged meet fees Mini Meets and Pass Meets Fees for mini-meets are included in the registration fees. The fee for a swimmer to attend a Pass meet is $10.00 per meet.

Group Movements All group movements will be made based on ability, the criteria of the group, and the best interests of the athlete. Movements are solely the decision of the coaching staff. Change of Training Group Mid-Season Families will be billed for the difference in monthly training fees and Swim BC Registration fees that may occur as a result of a swimmer’s promotion during the season. Minimum Attendance Requirement Each swimmer must meet the minimum attendance requirements for their group in order to be eligible to attend swim meets and maintain their present group level. See group descriptions for each group’s attendance requirements. Withdrawals and Refunds from the Club *One month’s notice in writing must be given if a swimmer is no longer going to swim with the Club. If the notice is received after the 1st of the month an additional month’s training fee must be paid. No refunds are given if notice is received after April 1st, 2019.* Refunds of training fees due to illness or injury will only be considered if a swimmer misses 80% or more of scheduled practices for any given month due to the illness or injury. A letter from a physician must accompany any such request for a refund of training fees. For withdrawal of a swimmer before the season commences, notice in writing must be received before August 31, 2018. Swimmers absent for reasons other than medical will not receive refunds on their fees.

Arena: The Official Rapids Club Sponsor To help Richmond Rapids families find the best deal on high quality swimming equipment, the Club is continuing a sponsorship agreement with ARENA. The Arena sponsorship means Rapids swimmers will receive special team pricing for the piece of equipment needed most: the training suit. As a part of the sponsorship agreement, the club is required to purchase a team suit for each member once a year (except for Youth Fitness, University, or Winter Maintenance swimmers). The training suits will be ordered as part of the registration process and will be included in the fees paid during registration. It is the responsibility of the family to let the gear manager or Team Aquatic Supplies representative know what size they would like to order. Details on ordering are at the bottom of this page. Additionally, reduced pricing will be available for all Arena gear, including racing suits, track jackets, and backpacks. Other benefits include backstroke flags, meet stipends, and coaching apparel for reduced staff costs. We are pleased to continue this partnership with Arena for the 2018-2019 season. Suit Order During Registration: A team suit sizing kit will be available during registration.

• First, choose your size by using the Team Aquatic Supplies (TAS) sizing kit. Make sure to pick a size that leaves no wrinkles in the material. Do not choose a suit that your child will “grow in to.” Oversize suits lead to unnecessary drag and will wear out faster!

• Report your size and style order to TAS, complete your registration payments. • A suit delivery date will be announced for pickup at the TAS store in Watermania. If you do not pick

your suit up at this time, you will need to wait until your child’s coach delivers it. • We have worked with Team Aquatic to forecast our team’s suit needs for next year. Many of you should

receive your suit in early October. Suit Order After Registration:

• The TAS store at Watermania will have a small stock of suits for immediate replacement needs. Check there first if you require a replacement training suit or sign up after September.

• If none are available, email [email protected]. A suit will be ordered from Arena and will be delivered as soon as possible.

IMPORTANT NOTE ON DELIVERY TIMELINES All Arena team gear orders, including training suits, will be placed on the 15th of the month. Any orders placed after this date will go on the following month’s order (i.e. an order placed on October 16th will go on the November 15th order). From that point, the usual delivery date will be six weeks following. If the national Arena office has the item in stock, it may arrive earlier. If it is backordered, expect an additional delay. Therefore, if you do not order your team training suit by September 15th, the earliest you can expect your suit would be the last week of November.

Description of the Rapids Swim School at Minoru Pool

The Rapids Swim School is a pre-competitive development program for swimmers age 5-10. Groups have a high coach-to-swimmer ratio to encourage consistent attention and improvement, and group numbers will be capped to maintain that ratio. Swim School Graduates will be encouraged to continue with the Rapids long-term development model. Swimmers will participate in approximately 6 Mini-meets thorough the season. Level 5s will participate in Pass meets along with AGD2 and RDWhite swimmers. Swimmers will be regularly evaluated to see if any group movement is appropriate. The Minoru Program Director reserves the right to move up swimmers that have met some, but not all, level requirements. Note for 2018-2019 Season: Availability of level-specific sections will be adjusted as the year progresses to compensate for an increase in Rapids Swim School standards. Equipment Required: Rapids team bathing suit, Rapids cap (if worn), water bottle.

Level1

This program is the first step in the development of a young swimmer. Basic skills include introductions to streamlining, freestyle, backstroke, dolphin kick, and starts and turns. Prerequisites:

• Red Cross Swim Kids 4 completed or assessed by Rapids coach Note: Levels 1R and 1RR are temporary groups for returning RSS1 swimmers that do not meet the new Level 1 standards and are being “grandfathered” into the new program.

Level2

This program is the second step in the development of a young swimmer. Streamlining, freestyle, and backstroke are continued, along with breaststroke development, basics of turns, and standing dives. Prerequisites:

• Successful completion of RRSS level 1 or assessed by Rapids coach

Level3

This program is the third step in the development of a young swimmer. Skills from the previous levels are developed further, and the addition of butterfly and more advanced starting and turning skills increase the challenge. Prerequisites:

• Successful completion of level 2 or assessed by Rapids coach

Level4

This program is the fourth step in the development of a young swimmer. Full strokes of butterfly, breaststroke, backstroke, and freestyle are developed, along with turns, underwaters, finishes, starts, and back starts. Prerequisites:

• Successful completion of level 3 or assessed by Rapids coach

Level5

Dryland Gear Preparation and Requirements

Please note: As dryland is an important part of Richmond Rapids programs, being adequately prepared for these training opportunities is highly important. All groups require running or cross training shoes and gym shorts for dryland exercises, especially in the warmer months when activation is likely to take place outside. Additional dryland equipment is required for older groups. This requirement is in place to ensure that dryland activities may be done with proper range of motion and athleticism, and for the athlete’s general safety. Tight-fitting restrictive pants and sandals/slip-ons are not acceptable as training attire, and your child may be dismissed from dryland should their attire be deemed inappropriate.

Description of Swim Groups at Watermania Pool

AgeGroupDevelopmentProgramThe Age group development program is designed to introduce young athletes (age 10 and under) to the sport of swimming. Skill sets begin at very basic levels and continue upward, and are consistently focused on developing skilled and knowledgeable athletes. AGD swimmers are encouraged to be multi-disciplined and multi-sport. Once they reach age 11, swimmers can move up to the Regional Development or Provincial Age Group programs.

AgeGroupDevelopment1COACH: Alex Pettifer

This level is for children 10 years old and under who enjoy swimming and are interested in participating in the sport of swimming. Athletes will work on competitive stroke fundamentals, the basics of starts and turns, and their ability to swim longer freestyle events. This group also has the goal of graduating to lower mainland regional (LMR) level meets through the Pass system. Pass meets will be offered around the lower mainland, with one travel opportunity during the season. If a swimmer completes their Pass requirements, they will be able to compete at LMR meets.

Prerequisites: • Completion of Rapids Swim School (or comparable program) • Pass Level 2 and Up: Legal 100 IM under 2:10. Legal 100 Free under 1:50.

AgeGroupDevelopment2COACH: Vlad Volchkov

This level is for athletes 10 years old and under who have been introduced to competitive swimming and wish to continue on with the Rapids’ long-term development plan. The primary focus of this group is technical improvement in all strokes and distances, turns, and starts. The secondary focus of the group is on learning the sport of swimming, including rules, nutrition, and self-management at practices and at meets. Endurance training is not a focus of this group. Any “endurance” improvements will happen as a natural product of learning and rehearsing. AGD2 is for the more competitive and experienced 10-and-under Rapids swimmers.

Athletes will race at an LMR meet once every four to six weeks. Swimmers who achieve the qualification standards for invitational or provincial level championships will be encouraged to attend. Travel meets will require a parent or guardian to join their swimmer.

Prerequisites (in short course meters): • LMR qualified • Turn-focused 100 Freestyle. Must complete 100m SC with an unbroken streamline to the surface and two (or

Swimmers are expected to have completed Swim School level 5 or equivalent and be interested in competition. Swimmers can progress through levels 1-3 based on the swimming prerequisites provided for each level listed below. Promotion in the RD program is at the discretion of the RD coaching staff and the Head Coach, and swimmers may be promoted that have some, but not all of the group requirements.

Swimmers may be moved into the RD Black program mid-season, if space allows.

ProvincialAgeGroupProgramCOACH: Alex Pettifer

This level of our program is for highly motivated athletes from 11 to 14 years of age, who are committed to long-term development and have met all of the listed group prerequisites. The focus of the group is learning to train, mastering more sophisticated technique, and exposing the swimmer to expanding aspects of competitive swimming and the sporting lifestyle. Training emphasis will consist of skill, physiology, and mentality development. In an effort to promote continued improvement through the Rapids long-term development plan, as well as success in training and at the Provincial level, PAG requires elevated commitment from its athletes. Swimmers will have 12-15 competitions per year, highlighted by a championship at the Regional, Provincial, or National level. Attending meets will often require missing a half-day or more of school, and swimmers are expected to prepare appropriately for these situations. Swimmers can move into PAG based on the training and competitive prerequisites provided below. Movement from PAG to NAG will depend significantly on the swimmer’s ability across multiple events and distances, training capacity, attitude, and commitment. The Head Age Group Coach and the Head Coach will make final decision for all group movements, and reserve the right to make decisions based on the individual. NAG is a pre-senior level program. The goal of NAG is to further develop dedicated athletes to be successful at national level competitions (Western Canadian Championships and Junior National Championships) and to prepare them for senior-level development. Athletes in this group will have the opportunity to be involved in decision-making for their training and competition, and will be asked to be accountable for those decisions. Swim-up opportunities with the National group will be available to highly devoted and high performing athletes. Travel training camps will be available annually for members of this squad.

Exceptional work ethic and positivity will be required daily.

Participation in this group is the sole decision of the Head Age Group Coach and the Head Coach. Coaches reserve the right to accept swimmers that meet some, but not all requirements. Squad members will be evaluated regularly to determine if each individual is meeting the high standard of the group. Entrance Guidelines

This program is for provincial-level swimmers working to develop and maintain the ability to perform at a senior provincial level and to achieve national time standards. The focus of the group is to continue to the process of physiological and technical training, with exposure to multiple levels of competition. There will be many competitive opportunities throughout the season, highlighted by two provincial competitions per year. Swim-up opportunities with the National group will be available to highly devoted and high performing athletes. Swimmers in this group may be able to move into the National program, should they meet the requirements. Prerequisites:

• 14 years or older • Tier 2 qualified or “on-track” • 80% attendance of all scheduled practices is required to compete. Failure to meet this group requirement will

result in a re-evaluation of the swimmer’s position in the program by the Senior Provincial Coach and Director of Swimming.

• Swimmers are required to attend Provincial competitions for which they qualify. Swimmers wishing to progress to the National program must attend the National meets for which they qualify.

• The Senior Provincial Coach reserves the right to accept swimmers into the program that have made some but not all of the above criteria.

NationalProgramCOACH: Robert Pettifer

This level of our program is for motivated and dedicated nationally qualified swimmers. The focus of this group is to develop the athlete’s ability and skills to qualify and compete as a finalist at the National level with the potential to reach the International level. Swimmers will have multiple competitive opportunities throughout the season, highlighted by two National Championship competitions.

• Swimmers must attend 85% of all scheduled monthly practices. Failure to meet this group requirement will result in a re-evaluation by the Head Coach of the swimmer’s position in the National program.

• Swimmers are expected to attend all Provincial Championship meets as well as any National competitions that they qualify for.

• Workouts and schedule will be flexible and appropriate for the age and ability level of the athlete. • Team travel meets and training camps will be available. • Dryland workouts will all be at the Balance in Motion Studio.

YouthFitnessCOACH: TBA

This is an introductory level for 11 and over swimmers who have some swimming skills and want to become more athletic. The swimmers may be non-competitive (do not wish to compete) or pre-competitive (have the ability to move into the Regional Development program when they have mastered all the needed swimming skills). This program is built to increase both the dryland and in-water athleticism and fitness of the participants, as well as their knowledge of the four competitive swimming strokes. Prerequisites

• 11-15 years old • Rapids Swim School Level 4, or equivalent to a legal 100m FR, 100m BK & 50m BR (Red Cross 10 minimum)

Equipment Required: Training suit (Rapids team suit not required), goggles, fins water bottle, athletic shoes, suitable dryland exercise attire Training Schedule (All workouts are at Watermania pool) Fridays: 6:45-8:00 PM Saturdays: 7:45 AM-9:00 AM Practice times include activation. This group is for swimmers who are interested in continuing to swim and race, but are either involved in multiple other activities or are generally more casually interested in the sport. These swimmers will be able compete in several competitions throughout the year, as well as any championship events that they qualify for. Youth Comp B is for our older, more experienced, and more competitive swimmers. Swimmers in Youth Competitive will be automatically entered in local meets. Members of this group will have to email a scratch to their coach before the scratch deadline of any given meet. Prerequisites

• 13-17 years old • Has previous competitive experience, either with Rapids or a year round or summer program.

Racing Requirements • Must attend one regular season swim meet during both short course and long course. • Must attend LMR Champs or other qualified provincial meet for both short course and long course.

Space is limited and positions will be filled on a first come first serve basis. Summer swimmers will train with the Rapids group that is appropriate for their age and swimming ability. Training schedule and fees vary based on what training group is appropriate for the swimmer. Prerequisites

UniversitySwimmers

This group offers membership to university athletes from April through the long course season (end of July/early August). The university swimmers will train the appropriate group based on their performance level. University swimmers are expected to train regularly and consistently and to represent the Richmond Rapids at as many long course meets as possible during the summer. Swimmers are expected to attend all scheduled monthly practices.

Parent Participation Point (“PPP”) System

In order for the Club to run efficiently and to meet the needs of the community, the Club relies on volunteer contribution from its members. The PPP system is designed to communicate to families the expected volunteer requirements. The PPP system requires that each swimmer’s family or guardian(s) earns points through the year by volunteering for various positions and roles in the Club. The number of points that must be earned in the year is determined based on the swimmer’s level at the beginning of the year (see table below). If a family or guardian has more than one swimmer in the Club, they are only required to earn the points assigned to the highest-level swimmer. It is not necessary to earn points for each swimmer. The number of points required does not change through the year even if the swimmer moves to a higher level.

Volunteer opportunities within the Club are assigned a nominal point value. A list of volunteer opportunities and their assigned value may be found on the Club’s website (www.richmondrapids.com) along with regular updates of each family’s earned PPPs.

Please note, repeating officiai’s clinics does not earn you PPP. To encourage families to volunteer at the Club, each point is assigned a value of $40. If families fail to earn all the

points required in the year, the difference between the number of points required and actual points earned multiplied by $40 must be paid to the Club. For example, if the family or guardian of a RD White swimmer earns 8 points compared to the required 10 points, they must pay $80 (2 times $40). The Club requires each family to provide post-dated cheques equivalent in value to their assigned PPP dollar value at the time of registration, unless paying by credit card. The post-dated cheques required for each swimming level are shown in the following table. Volunteers must provide at least 24 hours advance notice if they cannot attend or complete their committed job.

Failing to show up for a volunteer position will result in a $50 fine. PPP accounts are evaluated at the end of June. At the end of June, the Club will cash the appropriate number of post-dated cheques or bill the account credit card corresponding to the shortfall in points earned over the course of the entire season. Any residual funds from the post-dated cheques will be added as a credit to the family’s account. At the end of the season, all unused PPP post-dated cheques will be destroyed. Accounts paying fees by credit card, are not required to submit post dated PPP cheques. Late Registration and early withdrawal For families that join the Club after September or withdraw from the Club prior to June, the family’s required number of PPPs will be pro-rated according to the time spent in the Club. For example, if the swimmer was in the Club for 5 months (compared to the full 10 months) only 50% of the total points will be required. Requests for corrections All requests for corrections of earned PPP totals must be received by the Club no less than 4 weeks after the status of accounts is posted in early March, for volunteer activities up to and including the Rapids-hosted Fast Swim Meet, and by July 31st 2015 for subsequent activity in order to receive any reimbursement.

Richmond Rapids Swimmer Code of Ethics Form As a member of the Richmond Rapids Swim Club all swimmers must adhere to the rules and regulations of the swim club. Swimmers that do not adhere to these rules will result in a review of the swimmer’s participation and/or membership with the club by the swimmers coach, and/or the Director of Swimming or Club President. Non-compliance with any of the above rules is grounds to have one’s membership reviewed and/or revoked. At travel meets, these rules and those established by the coach or chaperone are sufficient grounds for swimmers to be withdrawn from the meet and to be sent home at their own expense, based on the discretion of both the coach and the chaperone. Each and every member has a role and an effect on the success of the team. As a member of the club, swimmers must understand their participation in this program is a privilege and strive to be the best athlete, teammate, and competitor that they can be through acting in a positive and respectful manner. The Rapids Parents Role As a parent/guardian of a swimmer, parents must understand that swimming is simply a sport that your child does. The role of a swimming parent is to support, love and encourage their child. Swimming teaches children many life skills and can build one’s character. The Rapids coaches will help teach the swimmers about commitment, work ethic, teamwork, living a healthy lifestyle and managing their time, not just how to swim fast. Support the coach and the program.

Kids progress at different rates. Parents must understand some swimmers will be much more skilled and advanced at a young age while other swimmers will progress faster as they get older, stronger, more skilled or more coordinated. Your kids will have success and failures. Be a positive role model in these times. As a parent, your children look to you to set the example, not to be a coach. If you have questions or concerns talk to the coaches after a practice or phone or email them. Don’t gossip or speak negatively about the program. If there’s a problem, discuss it with your child’s coach or the Director of Swimming, rather than complain about it. There’s always a solution. Your child and their coach will appreciate you for it. For details on how to address a concern, please see the following Parent Protocol. You are required to sign that document as well.

Lastly, a swimming parent must understand that swim clubs are largely driven by the support by its members. By volunteering or supporting the Club with any ideas that will help the team grow, be a better organization or assist with building a successful environment for children that are striving for excellence in sport.

Media Permissions – Group photographs may be posted without identifying swimmers. I/we give permission to post individual photographs of our children or ourselves on the club web site, bulletin boards, newsletters, social media platforms, and related publications, and to include names and achievements in team stories. Please also read and sign the Swim BC Personal Information Consent Form at the end of this packet. Travel and Behavior Guidelines – I/we confirm reading and signing the Rapids Code of Ethics form. I/we agree that we will explain and discuss these guidelines with our child(ren) and agree to abide by these guidelines. Parent Participation Program – I/we confirm reading the Parent Participation Program included in the registration booklet, and agree to contribute to team activities as outlined. Outstanding Balances – I/we understand that we will receive regular account statements and can also view outstanding account balances via the Rapids web site, and that the outstanding balance must not exceed $500 at any point. Privacy – The Richmond Rapids Swim Club is required to submit information such as swimmer names, birth dates and contact information to Swimming Canada and Swim BC, the National and Provincial governing bodies, for registration and insurance. In addition, please be aware that competitive swimming takes place in a public forum. Competition results, including swimmers’ names, will be posted at swim meet locations, on our web site, and at the Swimming Canada Meets site (https://www.swimming.ca/MeetList.aspx). We have also signed the SWIM BC Personal Information Consent form. Richmond Rapids Parent Protocol for Conflict Resolution Parents and coaches share a crucial role in the personal and social development of athletes and in setting the values of our swim club. Every member of the Rapids is part of the Rapids Family; we must work together to ensure that we treat each other with fairness and respect in order to provide a positive and healthy environment for our athletes. This Parent Protocol provides a resolution structure should disagreements arise.

Conflict Resolution Procedures In keeping with the Team Philosophy as outlined in the Parent Handbook, all communication between parents and coaches should be respectful and constructive. Aggressive or abusive language is not permitted. When a parent has questions or doubts about what is happening at the pool, the first step should be to talk with the coach after practice about the concerns. If the parent is dissatisfied with the answers, they should wait 24 hours before taking any further action. This requirement allows time for reassessment of the matter in hope of calming any emotional reactions. If, after discussion with the coach, an agreement cannot be reached, the Parent Conflict Resolution flowchart should be used to determine the next appropriate action. Dear Registrant/Swimmer/Parent/Guardian Welcome to the 2018-2019 swimming season! Please take a moment to review this brief explanation of the registration process required of all swim clubs and individual registrants. Each swim club in the province of [British Columbia] is a member of the national governing body for swimming called Swimming/Natation Canada (SNC) and the provincial governing body called SWIMBC. In return for government sport funding, all governing organizations are required to report on membership. Non-identifying statistics are obtained directly from the data collected in the Registration system. With your assistance to provide accuracy, we can comply with our requirements and continue to benefit from strong government support, virtually all of which is directed towards the support of swimmers, coaches and clubs. All swim clubs are required to process all registrations to [SWIMBC] and Swimming Canada via the online registration system. In compliance with PIPEDA and Provincial Legislation, consent to the collection and use of personal information is required. All registrants are therefore required to complete the PIPEDA Registration Consent Form giving consent to the collection and use of personal information as described in the form. The club will provide this form at registration. Officials’ Registration: Upon activation of the registration of an Official an email notification will be sent to the Official giving access to the registration account, to confirm the contained personal information, and refresh the username and password for re-entry. The email will be from [email protected] and the subject line will be titled: Registration of Swimming Officials. Contact your club’s Officials Administrator for assistance. Swimmer Registration: The final step of registering with the swim club is the confirmation of primary contact and demographic information related to your family and swimmer(s) in the registration system. When the club Registrar creates a swimmer registration invoice an auto-email is generated to the primary contact email address asking for review and confirmation of the submitted information. This email will be from [email protected] and the subject line will be titled: Swimmer Registration Confirmation. The link can be accessed once and you will have the option to create your own username and password for re-accessing the account. It only takes a couple of minutes to review and update your contact information and swimmer details. If you require assistance with this confirmation step, your club’s Registrar is the person who can assist you. This registration step includes answering four questions: (i) Aboriginal Ancestry (ii) Para-Swimming (iii) Deaf/Hard of Hearing (iv) Citizenship. Providing this information is voluntary and will be used for statistical and informational purposes. It will not be used by your Provincial Swimming Organization or Swimming Canada for any prohibited purpose as per The Canadian Human Rights Act and Provincial Human Rights legislation. (i) The voluntary Aboriginal Ancestry question is being asked so that the Provincial Swimming Organization knows which swimmers are eligible for the North American Indigenous Games and to perhaps direct families and/or clubs toward any event or funding opportunity within the Province. In some Provincial jurisdictions, these statistics are also required as part of government funding reporting requirements. For the Aboriginal Ancestry questions you have 4 options to choose from: 1) Status/Treaty, 2) Non-Status, 3) Métis or 4) Inuit (ii) Answering the Para-Swimming question will help Swimming Canada, [SWIMBC] and your swim club to direct opportunities that are specifically targeted to swimmers with a disability (Para-Swimmers) (refer to https://www.swimming.ca/en/resources/para-swimming). For the Para-swimming question you have 3 options to choose from: 1) Physical, 2) Visual or 3) Intellectual (iii) Answering the voluntary Deaf/Hard of Hearing question is to assist in identifying individuals who may be eligible for participation in events specifically targeted to swimmers who are deaf / hard of hearing. (iv) If the registrant is not a Canadian Citizen or Permanent Resident (Landed Immigrant) please indicate this. Canadian citizenship question is asked to identify individuals who are not eligible to set National records or represent Canada in an international competition. The default is Canadian citizen. NOTE: It is only upon completing the online registration that you/your swimmer are considered officially registered and a member of Richmond Rapids Swim Club and then covered by the insurance policy. Similarly, this registration process must be completed before entries into a swim meet can be submitted and accepted. The Province of BC Personal Information Protection Act (PIPA) and the Federal Personal Information Protection & Electronic Documents Act (PIPEDA) requires that consent be obtained prior to the collection and use of all personal information.

The personal information you provide to the Club from this registration will be used for the purposes reasonably associated with the swimming activities conducted by the Club, Swim BC and/or Swimming Canada. These purposes include national, provincial and event registration, insurance coverage, training and competition participation and competition result and ranking and:

a) Ensuring swimmers train and compete in an age appropriate environment; b) Establishing athlete eligibility for selection to swim teams; c) Establishing pertinent medical records and baseline performance data to assist coaching decisions in a national

and Swimming Canada Swimming Canada complies with the obligation and responsibility to the World Anti-Doping Agency – WADA (or its agents) to provide information upon request. Additional personal information may be collected from time to time. Consent for the use of this personal information may be inferred where its uses are obvious, and it has been voluntarily provided. When not obvious, the purposes for collection will be provided prior to, or at the time of collection; either orally or in writing.
