Special Reminders
Dear Exhibitors,
Very appreciate your participation in the Exhibition of the Intelligent Transport Systems (ITS).
Please pay attention to the following special reminders.
I. Please carefully read this "Exhibitor Manual”, particularly its terms of fire and
construction safety, and pay attention to the schedules to timely submit relevant materials.
II. If any dispute arises between an Exhibitor and its designated construction company or
service providers, the dispute shall be resolved outside of the hall so as not to impact smooth
conduct of the exhibition. If not and the exhibition is impacted, the Organizers have the right to
ask Policemen to force the exhibitor and service provider out of the hall, and temporarily stop
the Exhibitor’s exhibition; any consequences arising whereof shall be fully borne by the Exhibitor.
Ⅲ. The rubbish and discarded items produced in the exhibition hall shall be cleaned away
from the hall and the surroundings. Demolition of special booths shall stick to the principle: One
who set up the special booth shall be responsible of its demolition. The deposit for safety and
cleanness can only be refundable 48-72 hours after the exhibition is closed, the booth is
dismantled and moved-out, and the Expo Center and the Construction Contractor of the
Organizers had confirmed the surrounding environment.
Ⅳ. An Exhibitor with special booth shall, for the image of its own booth and the overall
environment of the exhibition, be sure to keep well the sides, rear, and the top of the booth
during installation and decoration, keeping it looking graceful and beautiful, and is not allowed to
show its company's name, LOGO and advertising etc. on a side of a booth of other exhibitors.
Otherwise, the Organizers is entitled to impose on the construction company a penalty between
RMB1,000 and RMB2,000 which would be deducted from the deposit.
Ⅴ. Exhibitors shall notify their designated construction companies to prepare a power
distribution box, as the Level-1 electrical box of the hall cannot be directly available for them.
VI. In the stages of move-in and move-out, any person entering the exhibition hall shall wear
a helmet, otherwise no access is allowed. If the height of a construction work is above 2.5 meters,
the construction workers shall take adequate safety measures. Workers working in night are
required to wear reflective vests.
VII. Height Limit on Special Booth: 6M.
Ⅷ. An Exhibitor with special booth shall be a month earlier to designate a construction
company, and notify the construction company to submit the drawing by March 20 to the
Construction Contractor of the Organizers so as to make timely rectifications (if any).
Ⅸ. Exhibitors are strongly recommended to lease exhibition articles at the service point
designated by the Organizers, instead of conducting deals with black-market leasers.
Ⅹ. If any safety risks are detected by the Expo Center, the Organizers and Firefighters during
inspection, any exhibitor shall make rectification immediately, instead of refusing with any reason.
Otherwise, the Expo Center is entitled the right to power off the booth and to shut it down. The
power will only be resupplied and the closure be removed when the Exhibitor and its
construction company ensure to take a rectification.
XI. It is strongly recommended that Exhibitors and their construction companies buy
Personal Accident Insurance for their staffs.
XII. The exhibitors shall control the volume not to exceed 60 decibels when they engage in

activities. If not and the sound impacts neighboring exhibitors, the Organizers are entitled to
terminate their activities within the booth.
For the sake of safety, Please be sure to comply with the provisions of the Expo Center and
the Organizers, obey their instructions, and actively cooperate when problems arise. Thank you

If an exhibitor has to work longer hours, please go to the service point of the Contractor of
the Organizers to handle the overtime work formalities before 16 p.m. of the day. The access of
the overtime workers to the Site shall be with a Pass for Overtime. Otherwise, no overtime works
will be schedule by the Organizers. Overtime costs (including security costs) shall be borne by the
exhibitor or its construction contractor.

Note: 1.the application for overtime works of unloading and construction in advance of the
exhibit preparation period is limited to daytime;
2.In overtime work application, goods unloading in advance of the exhibit preparation
period shall be approved by the Organizers;
3.In overtime work application, the application for goods uploading in advance of the
exhibit preparation period shall be based on a single booth, and the area of each
special booth shall not be unbundled or split for application.
(According to the requirements of the Expo Center, the fees for a booth with an area less
than 100 M2 will be calculated based on 100 M2, while the fees for a booth more than 100 M2 will
be calculated based on the actual floor area of the booth)
5) Overtime during Move-out (paid on-site)
By the requirement of the Expo Center, during the day of move-out (April 29), the
dismantling shall be completed before 24:00. If any exhibitor or its contractor is unable to
complete the dismantling work, it shall apply to the on-site service point of the Contractor of the
Organizers for the overtime work of dismantling. Overtime costs shall be borne by the exhibitor
or its contractor.
Fees: 24: 00-- : RMB15 / square meter / hour
(According to the requirements of the Expo Center, the fees for a booth with an area less
than 100 M2 will be calculated based on 100 M2, while the fees for a booth more than 100 M2 will
be calculated based on the actual floor area of the booth)
If an exhibitor or its Construction Contractor fails to bring the exhibits and decoration
materials out of the hall on time, and does not go to the service point to handle the relevant
overtime formalities, the Construction Contractor of the Organizers will be entitled to deduct the
overtime fees accordingly from the construction deposit of the exhibitor.

If an exhibitor or its Construction Contractor fails to bring the exhibits and decoration
materials out the hall on time, and there is no any persons to make cleanup of the booth, the
Contractor of the Organizers will be entitled to send cleaning staff to move it out, and all of the
construction deposit can be deducted.

Cards and Passes for the Exhibition
1) Category and Description of the Card/Pass of the Exhibition:
① Exhibitor Card: Used by Staff of Exhibitors for venue access.
Exhibitors with standard booth 9 M2 will be granted 3 cards for free;
Exhibitor with a 54 M2 bare area for booth construction will be granted 8 cards for free;
81 M2 booth area for 10 cards for free;
108 M2 booth area for 12 cards for free;
135 M2 booth area for15 cards for free.
② Card for Booth Installation:(ditto) Used by exhibitors with bare area for booth
construction. (Beyond the granted cards, the extra cards will be charged RMB10 Yuan per card as

the cost of production).
③Guest Card: Used by specially invited guests which can be used for Forum participation
(the exact number of the cards to be granted will be based on the number of forms filled).
④ Work Card: Used by the staff of the Exhibition.
⑤ Cards for Correspondent: Used by invited media, reporters or the Express reporter of the
expo.
⑥ Vehicle Cards: Used for vehicles for exhibition move-in and move-out. It is the certificate
for vehicles transporting the shelves and exhibits to and from the exhibition area during the
preparation and dismantling periods. (A charge of RMB 10 Yuan per card is imposed).
2) Cards Management &Requirements:
① When the Exhibitors come for registration, they shall hold the original Booth
Confirmation Letter (or a copy stamped) and business cards to the Registration Desk for
collection of relevant cards;
② During the exhibition to be allowed for access, all persons are required to wear relevant
cards in the chest, and kindly accept identification checks by the guards. No lending, sale or
alternation of the cards is allowed. If any violation is found, the offender will be held accountable;
③ The Vehicle Cards are used for trucks in according to certain standards. It functions both
for preparation move-in period and dismantling move-out period. Please keep it properly till
finishing of the move-out, the loss of the card will cause inconvenience.
3) Application and Use of the Cards for Booth Installation
To prevent irrelevant persons from entering and ensure a well-ordered exhibition
preparation at the site, a registration system of the Card for Booth Installation, with which the
real names of the construction workers will be registered, is hereby implemented:
① To apply for the card, the Construction Registration Form (Form F4) and staff ID card shall be prepared and submitted. The person responsible for the construction and all
construction workers shall be listed on the Construction Registration Form.
② The card is used by a specific person, and no lending or exchange is allowed. If a holder’s
card is obtained by criminals resulting in losses of the show, the person shall bear joint liabilities.
③ Persons who come in and out of the hall during the full range of the Exhibition shall
wear the card.

Fire Equipment Warm detectors, smoke detectors, active infrared intrusion detectors, flame

pump in the hydrants, and at the important engine rooms and places, there

Special Note
The Booth Installation &Decoration Terms and the Forms are provided for convenience of the
exhibitors to arrange their exhibition booth setup. Please complete all the forms and return them
back to the Organizer’s Contractor before the deadline, to ensure they can be timely processed.
For application for furniture and appliances, a surcharge of 20% will be imposed if the application
is later than the deadline, and a surcharge of 50% will be imposed if the application is made at
the site.

Standard Booth Description
Standard configurations for each standard booth (External dimensions: 3 m x3 m; internal
dimensions: 2.97 m x2.97 m) show as follows:
Company Signs (lintel board): Name of the exhibitor (in Chinese and English) and the booth No.;
Booth Walls: An aluminum frame, with one side as the company signboard and the other three as
walls;
Furniture: a desk, two folding chairs, and a waste paper basket;
Electric Appliances: two 100W spotlights.
Notes:
1) A booth with an area less than 18 square meters will receive only standard booth configuration of furniture and appliances that are available to a booth with 9 square meters.
Only those booths with an exhibition area that is a multiple of 9 square meters are qualified
to receive furniture and appliances in a quantity that is corresponding to the multiple.
2) If an exhibitor ordered two or more consecutive standard booths, the construction contractor of the Organizers will remove the walls placed between two booths, unless the
exhibitor specifically requests otherwise;
3) No nails or any device may be nailed on walls, aluminum frames, floors, ceilings, pillars and fire sprinklers in the hall. If any violation is found, a penalty for compensation will be
imposed.
4) Connection or increase of electric wires or lamps without permission is forbidden. The power socket received through application shall not be used for booth lighting; as its maximum
capacity is within 500W, no electrical equipment beyond the capacity is allowed to be used
with the socket. It is strictly prohibited to secretly bring in sockets for use without
permission.
5) For all electrical facilities and equipments configured and installed on standard booths, the exhibitor shall not remove or shift them at will, and further, not bring them out of the
exhibition hall.
6) Lighting equipments (such as: TV, recorders and refrigerators, etc.) to be brought in by exhibitors shall be subject to the approval of the Contractor of the Organizer, and the use of
electrical appliances that are of not compliance is prohibited within a booth.
7) If an exhibitor wants to rent articles that are not listed on the Forms, please inquire directly to the Contractor of the Organizers.
8) Exhibitors shall be responsible for maintaining undamaged the booth facilities and leased items; if not, they shall be held for responsibilities and liabilities to compensate damages.

Note:
If an Exhibitor fails to submit this Figure, the Contractor of the Organizers will install on its behalf
in proper positions. If the Exhibitor wants to change positions of the aforementioned facilities
and equipments, it will be subject to an extra fee.
All rented sockets are used only for non-lighting purpose. If an exhibitor or its construction
contractor self-prepares lighting equipments for decoration purposes, it shall consult the
Contractor of the Organizers for the installation and connection of the lighting equipments, and
bear related expenses.
Exhibitors shall submit the facilities marked on the Figure together with relevant Forms before
the deadline that will make valid the application.
All payments for the items an exhibitor applied shall be made no later than the date of March 23.
The Contractor of the Organizers will only arrange items that have been paid.
If the application is overdue after the deadline, a surcharge of 20% will be imposed, and a
surcharge of 50% will be imposed if the application is made onsite.

Note:
1、 For the placement of exhibition appliances and articles leased by the Exhibitor, please indicate them on the
Form F2. Exhibitors shall submit the Form F2 before the deadline that will make valid the application.
2、 If an Exhibitor fails to submit the F2, the Contractor of the Organizers will install on its behalf in a proper
location. If the Exhibitor wants to change positions of the aforementioned equipments, it will be subject to
an extra fee. For the pattern of the exhibition appliances, please see the following page.
3、 Exhibitors shall make payments for all applications. Please transfer or remit the money no later than March
23. Please do not transfer in a personal name, name of the exhibitor on the invoice the Contractor of the
Organizers issues will be the name of the company which remitted the money, and the Contractor of the
Organizers will only arrange items that have been paid.
Note to a special VAT invoice: with the national regulations on tax reform which implements the policy to replace
the business tax with a value-added tax, if a special VAT invoice is needed and in order to save time, the company
will issue the invoice in advance. Please submit relevant materials before the deadline specified by the
Organizers:
1) A copy of the business license (scanned copy); 2) a copy of the national tax registration certificate that qualifies
a general taxpayer(a scanned copy); 3) business address, telephone, opening bank and Bank account
Note: The above information is only required for the first time of invoice billing. If failed to provide the above
information, the Organizer can only issue an ordinary VAT invoice.
4、 All standard booth facilities are not allowed to be replaced. If there is a need to replace, it will be subject to
service charge.

To ensure a smoothly conduced exhibition, the Organizers will charge special booth exhibitors the
construction management fees and collect construction deposit from them. We hope to get your
understanding and supports.

Notes on Payment of the Construction Deposit:
1. An exhibitors or its commissioned contractor shall transfer the money to the account of the Contractor of
the Organizers prior to March 23, 2015; at the site, no checks or cash will be accepted. The account information
of the Contractor of the Organizers show as follows:

2. When in money remittance or transfer, the exhibitor or its commissioned construction contractor shall use
its own bank account for the transfer or remittance, and shall mark the exhibitor name and booth number on the
summary column or on the postscript bar;
3. Please not use a check or cash to deposit into the account of the Contractor of the Organizers, lest a
site-access delay arises due to that the Contractor of the Organizers would be unable to identify and confirm the
exhibitor who has paid the money.
Note on Construction Deposit Refund:
1. Please transfer the money to the account designated by Contractor of the Organizers by March 23, 2015
by using your company account and indicating your company name and booth number. The construction deposit
will be refunded to the original account within 30 days after closing of the exhibition.
2. Provided that an exhibitor and its commissioned contractor have not involved in any circumstances that
would cause the deposit to be deducted, the deposit will be refunded without interest to the exhibitor’s original
bank account through which the deposit has been paid to the organizers. In case that an exhibitor and its
commissioned contractor have involved in circumstances that caused part of the deposits to be deducted, the
remaining deposit will be refunded without interest to the exhibitor original bank account through which the
deposit has been paid to the organizers. Please donot change the account information during. If changes are
made, please timely notify the Contractor of the Organizers; otherwise, the Contractor will not undertake the
responsibility for later refund of the deposit.
3. Disclaimer of the Contractor of the Organizers: If an exhibitor fails to remit or transfer in accordance with
the above-mentioned "Note on Construction Deposit Refund”, the Contractor of the Organizers will be unable to
conduct routine duties and provide related services, and the exhibitor and its contractor shall bear entire
responsibilities for all the consequences arising.
The Construction Permit and the Card for Booth Installation shall be applied at the registration service point
based on the construction deposit data, the "Construction Registration Form", and the staff ID(Please prepare
and fill in the "Construction Registration Form" before registration). The contents of the "Construction
Registration Form” shall be completed truly and completely, and the person in charge of the construction and the
list of all construction workers shall be set out in detail.

Note:
1. If the application is overdue after the deadline, a surcharge of 20% will be imposed, and a
surcharge of 50% will be imposed if the application is made onsite.
2. Exhibitors who apply the power supply shall lease an electrical box from the Expo Center. All of
electrical boxes that exhibitors leased shall be installed to the booth by an electrician designated
by the Organizers; while the work of electrical connections connected to the electrical box (within
the booth) shall be made by the exhibitor itself, and be supervised by the distribution personnel
of the Expo Center.
3. On the closing day, exhibitors shall designate a person to stay at the booths to wait for
collections of electrical boxes by the power distribution personnel of the Expo Center, and with
the signature of the personnel of the Expo Center and the deposit slip labeled with a reclaiming
mark, go to on-site service point to refund the deposit.
4. Exhibitors who leased a bare space shall fill out the F4, and submit them with detailed
decoration drawings before the deadline that will make valid the application.
5. All electrical boxes that have been applied and leased can’t be returnable. If a replacement is
made onsite, it shall be subject to a surcharge of 50%.

1、The structure of booth is not allowed to be covered and occupied the fire-fighting equipment 、distribution box and fire engine access 2、All the structure orthographic projection area of booth must within area of their own booth. 3、Electric saw and electric planer are forbidden in the exhibition hall. Oil painting especially using spray gun is forbidden. 4、All the special booth need to do fire resistance treatment.; 5、Take care of valuables, small things do not place at will. The laptop need to be locked. 6、Smoking is forbidden. 7、All members need carry cards for in and out 8、Inflammable and explosive things are forbidden. 9、Do not alter the structure of the booth without authorization. Painting on board ground is forbidden; cut aluminum product and board also forbidden 10、The organizer have the right to deal with special circumstance with special limit. 11、Other details please refer to the manual at Service counter.

The Construction Company shall review and select electrician-permit holders to participate in the
electric construction, commit and abide by the regulations and requirements of the Organizers
and the Expo Center on fire protection, power use and safety, and actively cooperate with the
Organizers to implement works and the requirements, to ensure a smooth preparatory work of
the exhibition. If any problem arises during the stages of move-in, exhibition and move-out, the

SHIPPING GUIDELINE
The organizer has appointed SINOTRANS JIANGSU LOGISTICS CO., LTD as the official freight forwarder and on-site contractor for the above-mentioned exhibition. Since the exhibits import in PRC, the official forwarder will go through Customs formalities for exhibitors. But on some occasions, the presence of exhibitors will be required. Full information and instruction are enclosed herein to help you ensure the correct dispatch of goods and associated documents to this show. Kindly read these carefully and comply with the instructions accordingly.
When making forwarding arrangement of exhibits, the exhibitors are requested to note that only the official freight forwarder, who is appointed by the organizer, is entitled to handle the exhibits after they have arrived in PRC.
We must emphasize the importance of adhering to the shipping instructions. Failure in compliance will cause unnecessary delay in clearance in PRC and additional expenses.

e-mail a copy of the B/L or AWB
Please courier one set of original B/L to SINOTRANS no later than three days before vessel is due to arrive. Or if you arrange telex release, please fax the copy of B/L to SINOTRANS and notify SINOTRANS in paper.

All the wooden packaging of the exhibition goods from overseas must be IPPC stamped. LIST OF EXHIBITS The Chinese Customs Authorities approve this form and as such is the only invoice format accepted for exhibition cargo. Every exhibitor must submit this form to us without exception. A detailed and accurate description of exhibits, in clouding major components and serial numbers must be declared on the list, (particularly in the case of televisions, computer and high-tech equipment). Catalogues, display materials, gift and foodstuffs must also be specified with exact quantities and values. Please complete these documents in English and send them to SINOTRANS no later than 10 days prior to the arrival of your shipments in China. The cost of translating invoices into Chinese will be billed to you together with the freight and handling charges. PACKING & MARKING Exhibitors shall be responsible for the consequences of improper packing. The following marking must be painted on two opposite sides of each case 2015:

UNPACKING/REPACKING ON-SITE We shall assist you in physical unpacking and installation of exhibits, however exhibitors must supervise and be responsible for these operations. For this purpose, a representative of the company must be available on-site during the move-in period. Similarly, during exhibition closing, exhibitors must also supervise the dismantling and re-packing of exhibits, especially for delicate or heavy equipment. INSURANCE
As the official tariff is complied on volume of weight basis and has no correlation with the value of exhibits, naturally no insurance has been covered in our charges and we undertake work at owner’s risk. Therefore exhibitors should arrange a proper round-trip all risk insurance policy for their exhibits.

EXHIBITION CLOSING PROCEDURES
The following documents will be distributed to exhibitors before closing. 1. A copy of the List of Exhibits previously submitted to Customs; 2. A form of Instruction for Disposal of Exhibits 3. Exhibitors are requested to declare on their List of Exhibits form the following information.
- sold; - to be returned ( port of destination/mode of transport ); - consumed; - given away; - abandoned
Please pay special attention to the following Customs’ regulations: - Declaration of the contents in each package must be correct; - Items other than those declared exhibits are absolutely not allowed to be returned together with exhibits. Violation of these regulations will result in confiscation and heavy fines imposed by the
Chinese Customs.
