EVERGREENRENTALS BROCHURE

Evergreen Cultural Centre offers venue rental opportunities for a wide variety of activities. Although our number one priority is providing space for arts-related events (performances, classes, etc.), we also have spaces that are appropriate for such events as meetings, weddings, public forums, receptions, small trade shows, birthday parties and more.

Rental rates are competitive within the industry, and we offer special lower rates for not-for-profit societies, arts activities and weekday rentals. We even have a User Group Insurance policy available to provide your rental activity with the required liability

insurance coverage at very reasonable daily premiums. And now, for the first time, we are offering Marketing opportunities.

Although not strictly a rental, we also offer Birthday Parties for a variety of ages featuring activities led by our professional arts instructors in Drama, Dance, Visual Arts, and more.

Are you interested in renting with us? Here is an example 8 step process of what you can expect when you have your next event at Evergreen Cultural Centre.

Consider your events needs. What do you require to make your next event a complete success? Technical requirements, box office, front of house, and marketing are all things that are offered.

Once you have an idea of what you’re looking for, it’s time to connect with David Mann, our Performing Arts Manager. You’ll be in touch with David throughout the process and he will answer any questions you might have. He can be reached at [email protected].

From there, David will work with you, showing you the spaces and compiling a contract outlining your event.

A hold will be placed on the room until we receive your signed contract. Note: holds are not guaranteed until payment is received.

You will be required to pay a deposit when you send in your signed contract, which is usually half of the estimated room rental fees. This will confirm your rental booking. The final settlement of all remaining fees and charges will be invoiced upon completion of the event.

For rentals under $500, we ask that the full estimated rental and other charges be paid in advance, if possible.

MARKETING OPPORTUNITIES

WHAT KIDS OF VENUES DO YOU HAVE TO RENT? Evergreen has several different rooms that can be rented out, including: Studio Theatre, the Main Lobby, the Lower Lobby, the Rehearsal Hall (a fully-equipped dance studio that is also a great multipurpose venue), and 3 classroom spaces (Studios A, B and D) which are used for classes, meetings and other small gatherings.

HOW FAR IN ADVANCE SHOULD I BOOK A RENTAL?We recommend as much advance notice as possible. At minimum, your first contact for a relatively small rental event should be made at least 30 days in advance – and preferably 60 days or more. For a theatre rental, especially involving multiple days, inquiries six months to a year in advance is recommended.

WHAT SORT OF SETUP IS POSSIBLE IN THE STUDIO THEATRE? Evergreen’s Studio Theatre is a modified “black box” venue with moveable seating. This means that it can be set up “theatre style” with either 215 or 257 seats, or the main bank of seating can be folded away to create an open, “flat-floor” room. In this configuration, banquet tables, rows of chairs, or trade-show booths can be set up as an event requires.

WHAT IS INCLUDED WHEN I RENT THE STUDIO THEATRE? Rental of the Studio Theatre includes: one Technical Supervisor; use of the lobby spaces, Green Room and dressing rooms; almost all available lighting and sound equipment; and full Front of House services (ushers, coat check, concession and bar) as required. Additional charges apply for certain specific pieces of equipment, services and required charges.

DO YOU DO WEDDINGS?Evergreen is a lovely location for a small to mid-size ceremony or reception. For a reception with banquet tables, we can accommodate up to 150 people.

CAN WE DO OUR OWN BAR OR CONCESSION?ECC reserves the right to all bar and food sales in the Venue. We provide bar and concession service at no charge for events in the Studio Theatre, and for a modest fee for public events in the Rehearsal Hall. Exceptions may be made for private events such as wedding receptions with professionally catered food and bar service.

CAN WE BRING IN OUR OWN CATERER?Absolutely. We do not have in-house catering, nor do we have any exclusive arrangement with a caterer.
